1:1 Preparation Agent
A 1:1 preparation agent is an AI agent for manager enablement & coaching that before each 1:1, pulls the manager's own notes, open action items from last time, and anything the report has chosen to share such as goals or agenda points, and proposes an agenda with two or three good questions. Afterwards, captures the manager's notes and next steps so nothing gets lost.
How does the 1:1 preparation agent work?
What flows in, what the agent does with it, where a person decides, and what comes out.

What does the 1:1 preparation agent do?
Before each 1:1, pulls the manager's own notes, open action items from last time, and anything the report has chosen to share such as goals or agenda points, and proposes an agenda with two or three good questions. Afterwards, captures the manager's notes and next steps so nothing gets lost.
What does it produce?
A one-page prep brief per 1:1 and a running log of commitments in the manager's private workspace
Who decides?
The manager decides what to raise and how; the report controls what they share into the prep. The AI proposes agendas and questions and keeps the record; it does not assess the report or feed anything to HR.
What systems does the 1:1 preparation agent connect to?
Examples of the kind of systems this agent would read from or write to, so you can picture it in your own stack. The actual set is whatever you run.

What data does it need?
- manager's own 1:1 notes
- calendar access
- report-shared goals or agenda items
- team objectives
How would you measure it?
1:1 cadence adherence per manager, monthly, self-view; share of commitments closed by the next 1:1, monthly; report-rated 1:1 quality, quarterly pulse item
What does a first proof look like?
Twenty volunteer managers, each with a private notes space, use prep briefs for a month; reports opt in to sharing an agenda item.
You'd call it working when
Managers open the brief before most 1:1s, fewer commitments are dropped, and reports say in a short survey that the 1:1s felt more prepared.
What usually goes wrong?
- Building it on a shared performance tool; managers stop writing honest notes
- Pulling in the report's goals without the report knowing
- Briefs that grow into a dossier; keep it to one page
What are the guardrails?
- Manager's notes are the manager's; HR cannot query, export or report on them
- Report sees and controls what they share into the prep
- Never assesses the report or produces a rating, score or summary for HR
- Nothing feeds a performance review unless the manager copies it there themselves
What leaves your boundary is set per build; the inputs above are the ceiling, and where the model runs, what it retains, and the DPA are agreed with your security team before anything is connected.
Our read
Widely deployed and well understood. Low-risk to build well.
Some ATS, HRIS or LMS suites ship a version of this. Where yours already does the job well, switch it on. The agent earns its place when the native feature is missing, rigid, or does not respect your rules; the strategy month is where that call gets made.
Holds a manager's private notes about individuals; must be the manager's workspace, not a system of record HR can query
Where it sits in the order
Needs the private-workspace model in place, usually established by the coaching agent, before managers trust it with notes
Is a 1:1 Preparation Agent worth building for your function?
That depends on your numbers, your data, and what else is on the map for you. The strategy month works that out.
Thirty minutes. Bring the number this would move.
