Darwinbox

Voice of Employee is the survey part of the Darwinbox HR system. That lets HR events start surveys and sends answers into action plans with owners. It also puts answers beside personal and performance data. Darwinbox quotes the price from your employee count and the parts you choose. Its US terms include a minimum term. Get four answers in writing. They cover who sees answers, data use, data location and uptime.

Voice of Employee is a survey built into the Darwinbox HR system

In one line

Voice of Employee runs surveys inside the Darwinbox HR system. It connects feedback to employee data, workflows and actions.

Buy it if

You want surveys, action plans and HR data in one system. You want a survey that an event such as a promotion or an exit can start.

Do not buy it if

You need a price you can compare before a sales call. You cannot accept a minimum term.

Price

Darwinbox quotes on request. Its pricing typically follows a per employee per month model. It depends on employee count and the products included.

Surveys start from HR events and end in action plans with owners

Voice of Employee lives inside the Darwinbox HR system. Darwinbox built it as part of its broader HCM platform. It connects feedback to employee data, workflows and actions. That link shapes everything below.

Because the survey sits in the HR record, an HR event can start it. A promotion, a transfer or an exit can trigger a survey. Pulse, lifecycle and event-based surveys are all available. Questions can be routed by role, department or location.

You can shape the survey to your own definition of engagement and your own languages. You define engagement with your own formula, indicators and key themes. Surveys can be deployed with auto-translation.

AI reads open text for emotions, themes and intent. Heatmaps compare sentiment across teams and locations. Darwinbox also looks at attrition risk and what drives engagement. A new Employee Agent runs chat-based surveys. It also writes AI follow-up questions. Insights can be pulled straight into action plans.

Survey results sit next to personal and performance data. Darwinbox Engage has ready access to employee data. That includes candidate profile, aspirations, personal data and performance data. Darwinbox People Analytics joins insights from Core HR, Performance Management, Engagement Surveys and Talent data. It highlights teams or employee segments with elevated attrition risk. Decide early which of that data may sit beside survey results.

Follow-up, reach and one shared system

Follow-up is built in

Darwinbox auto-generates next steps and assigns owners. Updates are monitored with reminders and escalations. Action plans are created from the engagement dashboard and linked to workflows.

Surveys reach staff in chat tools and on mobile

Surveys can be delivered inside Teams, Slack or workplace tools. Feedback is captured across web, mobile, chat and collaboration tools. Darwinbox offers mobile-first access for distributed and deskless teams.

The survey and the HR record share one system

Darwinbox builds engagement into its core HCM platform. It combines pulse surveys and eNPS with rewards and recognition and a social employee app. VibeX, its enterprise social network, can showcase surveys and polls on the feed to boost participation.

Retention

Yashoda Hospitals ran automated satisfaction surveys. It also ran pulse surveys every 3 to 6 months. Both drove better retention over three years. Yashoda’s staff number 6,000+. Retention was boosted 5 to 10% through survey digitisation. Robinsons Bank uses pulse surveys for quizzes, raffles and cultural initiatives.

Get written answers on visibility, data use, location and uptime

Four points need a written answer before you sign. They decide who sees answers and what Darwinbox may do with customer data. They also cover where that data sits and how reliable the service is.

Managers can see feedback for their teams

Managers can view feedback specific to their teams. Managers and HR get role-based access to insights. Results can be drilled from organisation-wide metrics down to team-level patterns. Darwinbox’s template library covers many needs. One is confidential feedback. Ask how many answers a team needs before a manager sees results. Ask whether confidential means managers never see who answered.

Glossary and US terms differ on customer data

In its HR glossary Darwinbox does not use any data for training. By default it does not store prompts for non-conversational features. Its US terms let Darwinbox use Customer information in anonymised form. The use is for statistical purposes to improve the services. They also grant a licence to use Customer Data to provide the Services to the customer. Ask which document covers survey comments. Put the answer in your Order Form.

Where data sits

Under the US terms, Customer Data is hosted at the location named in the Order Form. Darwinbox’s production systems are currently in co-location sites in India and Singapore. They are also in listed infrastructure sub-processors. Those include Amazon Web Services regions in Mumbai, Singapore, North Virginia, Frankfurt, Jakarta and the UAE. Ask which location your Order Form will name.

The uptime promise

Darwinbox uses commercially reasonable endeavours to make the Services available with an uptime of 98%. That comes from the US service levels. Planned maintenance is the exception. Ask which period the 98% covers. Ask what you can claim when Darwinbox misses it.

Darwinbox quotes by employee count, and its US terms include a minimum term

Darwinbox gives you a price only as a quote. So the contract terms are what you can weigh before you sign. Darwinbox’s pricing typically follows a per employee per month model. It depends on employee count and the products included.

AI is not an extra line on the quote. Darwinbox includes experience-focused AI in its standard per-employee subscription. That AI covers goals, feedback summaries and profile summaries written by GenAI. It also covers natural-language HR queries.

Darwinbox’s US terms set the term in the Order Form. Renewal beyond the end date must be agreed in writing. That must happen at least 30 days before the end date. The exception is auto-renewal agreed in the Order Form.

After the Minimum Commitment Term, either party may terminate for convenience. That needs 90 days’ written notice. If the contract ends early, the customer owes the pro-rated Subscription Fee for the rest of the Minimum Commitment Term. That fee is worked out at the undiscounted price. The exception is termination for Darwinbox’s breach. Ask which terms apply in your country.

If something goes wrong, your claim has a ceiling. Each party’s liability is capped. The cap is the fees paid under the applicable Order Form in the 6 months before the claim.

When the contract ends, Darwinbox makes a final backup of Customer Data. It provides the backup media to the customer. Each party returns or destroys copies of the information and data. It must do so within 30 working days of termination.

You could also run survey steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Six questions for the Darwinbox demo

  1. Which parts of the Darwinbox system does our quote include? What does the survey cost per employee per month? Good answer: A written line for Voice of Employee, with the employee count it assumes.
  2. How many answers must a team have before its manager sees results? Does confidential mean managers never see who answered? Good answer: A written number and a plain answer on who answered.
  3. Which covers our survey comments, the glossary or the anonymised statistical use in your US terms? Good answer: A written answer, with the glossary promise in our Order Form.
  4. Which hosting location will our Order Form name? Which sub-processors touch survey data? Good answer: One named location and a list that matches your sub-processors page.
  5. Which period does the 98% uptime cover? What do we get when you miss it? Good answer: A stated period and a stated remedy.
  6. What do we owe if we leave during the Minimum Commitment Term? How do the answers come out at exit? Good answer: The undiscounted figure for the remaining term, and a file of responses, not only backup media.

Alternatives to Darwinbox, including buying nothing

A survey inside an HR system can be swapped for a separate survey product, or for nothing. Qualtrics answers the uptime point above. Our guide for HR system owners covers the wider choice between a built-in survey and a separate one.

Look at Qualtrics if uptime is the point that worries you. Darwinbox uses commercially reasonable endeavours for an uptime of 98%. Qualtrics commits to an availability level of 99.93% in its service level agreement. It gives a 10.0% fee reduction if downtime is 241 minutes or greater. Ask Darwinbox for the same detail.

Buying nothing keeps survey results away from personal and performance data. That is data Engage has ready access to. No Minimum Commitment Term applies, and no pro-rated fee for leaving early. You give up surveys that a promotion, a transfer or an exit starts. You also give up action plans with owners and escalations in the same system as your HR data.

Sources and method Facts about Darwinbox come from its own product pages, blog, glossary, legal terms and sub-processors page. Facts about Qualtrics come from its own service level agreement.
