Darwinbox

Darwinbox Recruitment is a hiring system inside an HR suite. It suits large, multi-country or high-volume employers, most of all those whose HR records already sit in Darwinbox. The price typically follows your headcount, the uptime target is 98% and claims are capped at six months of fees. Settle those terms, where your data sits and which AI steps run without a person before you sign.

A hiring system for large employers, built into an HR suite

In one line

Darwinbox Recruitment is a hiring system for large employers, built into an HR suite. It makes the most sense if your employee records already sit in Darwinbox. The price is a quote, and the contract needs a careful read.

Buy it if

You hire in volume or across several countries. Your employee records are in Darwinbox, or soon will be. You want a candidate’s details to move into onboarding without anyone typing them in again.

Do not buy it if

You have fewer than 50 employees. Darwinbox itself advises that a lighter standalone tool may be more cost-effective at that size. You cannot accept a 98% uptime target. You cannot accept a liability cap of six months of fees.

Price

Darwinbox typically prices recruitment per employee per month. The amount depends on how many employees use the platform and which products you take. Ask for a written quote at your headcount.

A hire runs from the job request to onboarding in one system

One system carries the whole hire, from the job request to the new starter’s onboarding record. That matters because nobody has to key a hire in again between systems. Recruitment sits inside the Darwinbox HR platform and connects to Core HR, Onboarding and Workforce Planning. You can implement it on its own or with other Darwinbox products. The product automates requisition approvals, candidate screening, interview scheduling and pipeline tracking.

The front of the hire is wide. A hiring manager can raise a requisition, and so can a recruiter. It can start from a separating employee, an existing job or requisition, or the organisation chart. The job then posts to career portals, social media, internal job postings, referrals and job boards. Darwinbox connects to more than 100 job boards, social media platforms and outside vendors. The career portal can reflect your employer brand.

The middle of the hire cuts typing for recruiters. Darwinbox reads each CV and fills in the application form. Candidates are matched to jobs with AI recommendations. A candidate helpdesk handles their questions. Reports cover time to hire, source effectiveness and pipeline health. You can subscribe to a report and receive it as a PDF by email. The product also gives insights into workforce mix for DEI initiatives.

The end of the hire is the offer. You can edit or regenerate counter offers, and produce offers in bulk. Built-in salary data supports pay benchmarking. When a candidate accepts, their details flow into Onboarding.

AI runs through most of these steps. The useful question is where it does the work and where your recruiters still decide. AI handles repetitive tasks while recruiters focus on evaluation, engagement and final hiring decisions. Darwinbox Sense writes job descriptions. AI ranks applicants and searches CVs. It also finds top candidates in your existing pool. Darwinbox calls its task-doing AI assistants agents. Screening Agents evaluate candidates, explain their rankings and recommend who to interview. Other agents prepare interviewers, schedule interviews and capture notes. AI also reviews offer details and flags inconsistencies. Candidates who are turned down get a message with contextual feedback. The Super Agent gives recruiters one assistant with six specialist sub-agents. Most of these steps help a recruiter decide. Which ones act on their own is the question in Where it stops.

Darwinbox has to connect to the other software you run. It connects through more than 250 APIs. An API is a way for one program to exchange data with another. Darwinbox gives two counts for what it ships ready-made. Its Extensibility page gives more than 200 connectors across more than 60 applications. Its implementation page gives more than 100 pre-packaged integrations. Ask which ones cover your payroll, assessment tools and background checks.

One system for hiring and HR records, with AI at most steps

These are the reasons to pick Darwinbox over a separate hiring tool. They count most if you want hiring and HR records in one place.

A new hire’s details move on to onboarding without being typed again

When a candidate accepts an offer, their details flow from Recruitment into Onboarding. Recruitment also connects to Core HR and Workforce Planning. Customers already on Core HR or other talent products can activate recruitment more quickly. Indorama employs over 20,000 people worldwide. It uses standard flows for Recruitment, Onboarding and Performance Management across regions.

AI covers most steps, with a person kept in charge of big decisions

A person reviews high-impact decisions first. Darwinbox calls these human-in-the-loop controls. For you, that means the decisions with the most effect on a candidate have a person’s review built in. A Responsible AI Council governs every AI feature, with risk reviews and external validation. Every AI decision is documented and can be audited. That gives you a record to check if a candidate or manager questions a result. Darwinbox tests its models for bias on a continuing basis and trains them on diverse data. Customers keep control of how their data is used, including an opt-out from model training. Data is kept apart from other customers’ data. You also define how long your data is kept.

Outside AI assistants can connect to it, with limits you set

Darwinbox registers the outside AI assistants that may connect, and Claude, Copilot and Glean are among them. Every connection acts as the employee who authorised it. So whatever an outside assistant does, it does in the name of one employee. Each Darwinbox agent is switched on for these connections one by one. Its Cortex Agent Platform lets you choose the AI model. It also masks personal details and has checks against attempts to trick the AI. You can set limits on AI use per platform, per agent and per user. That lets you decide how much each of them can use the AI.

It has been run at large scale

Kopi Kenangan processed over 50,000 applications with scaled digital hiring. Darwinbox reports a 67% cut in recruitment time at Steriscience and Stelis. Hiring time fell from 45 days to 14. Darwinbox reports both results, so ask for a reference at your size. More than 1,000 enterprise clients across 130 countries use Darwinbox. Starbucks, Nivea, Cigna, WeWork and Crisil are among them.

It suits large employers, most of all those already on Darwinbox

Darwinbox built this product for big, busy hiring. Whether it suits you depends on your size, your hiring pattern and the systems you already run. A tool built for one kind of employer can be a poor buy for another.

Darwinbox Recruitment is an AI-powered, autonomous ATS for enterprise hiring. It supports high-volume, bulk and evergreen hiring, where a role stays open all the time. It also supports large-scale, multi-country hiring. The platform has a multi-language framework. It lets you set up more than 2,000 left-to-right languages.

Size matters at the small end. Darwinbox itself advises that companies with fewer than 50 employees may find a lighter standalone ATS more cost-effective.

Your existing systems matter as much as size. Customers already on Core HR or other talent products can activate recruitment more quickly. Recruitment can also be implemented on its own. It typically takes a few weeks to a few months to implement. Kopi Kenangan had its first phase live in two months and its full implementation in six. Darwinbox uses an implementation method called Inflexion, built on more than 550 enterprise implementations. Darwinbox also tells buyers that its advanced AI may take some time for recruiters and hiring managers to fully use. Plan training for both groups.

Unless Darwinbox is in breach, leaving early still costs the rest of the minimum term. So you are choosing a supplier as well as a product. Darwinbox was founded in late 2015 by Chaitanya Peddi, Jayant Paleti and Rohit Chennamaneni. It has raised USD 280 million in total. In January 2022 it raised USD 72 million, led by Technology Crossover Ventures. Darwinbox also raised USD 40 million from Teachers’ Venture Growth, the growth arm of Ontario Teachers’ Pension Plan. That round mixed new shares and sales of existing shares, at a blended valuation of around USD 1 billion.

Settle who decides, what the contract promises and where your data sits

These are the points that decide what you can do if the service fails or your data moves. They matter more than any feature. Settle each one in writing before you sign.

Its AI acts alone in some places and asks a person in others

Darwinbox calls its recruitment AI conversational agents that act autonomously. At the same time, a confirmation comes before every change the Super Agent makes. Human review stays part of the process, especially for high-impact decisions. Recruiters keep the final hiring decisions. Both can be true if the autonomous steps are low impact. You need to know which steps those are. Ask whether rejecting a candidate is one of them.

The contract sets a 98% uptime target and caps what you can claim

Under Darwinbox’s US terms, the uptime target is 98% on a commercially reasonable endeavours basis. Over a year, 98% allows about seven days of downtime. Ask your lawyer what that wording commits Darwinbox to. If a server outage or service failure stops logins, the fix target is 4 hours. Darwinbox informs you of the status every hour. Liability is capped at the fees paid under the Order Form in the preceding six months. Under the same terms, you may not run a load test on your own system. You may not run a vulnerability assessment or penetration test either. Support days and hours run Monday to Friday, 9AM to 6PM US Central Standard Time. Check that against your own working day.

Its documents point to more than one place for your data

Under Darwinbox’s US terms, your data is hosted at the location in the Order Form. On its sub-processor page, Darwinbox adds that accounts are typically set up in a listed region. The region depends on where the subscriber is located. It also adds that accounts may be shifted among locations to ensure performance and availability. So a named region in the Order Form is the term to secure. Amazon Web Services has locations in Mumbai, Singapore, North Virginia, Frankfurt, Jakarta and the UAE. Microsoft has locations in Central India, Singapore, Frankfurt, the UAE and East US. Production systems sit in data centres in India and Singapore, and with the other infrastructure providers on that page. Darwinbox’s security page adds out-of-the-box data residency, which means a say over where your data is stored. Ask what that covers for your country.

Two documents differ on how Darwinbox may use your data

On its AI in Recruitment page, Darwinbox gives customers control over how their data is used. That includes an opt-out from model training. Its US terms allow Darwinbox to use customer information in anonymised form for statistical purposes to improve the services. Those are two different permissions. Get both answered in writing.

CyberX9 raised a security concern and Darwinbox disputes it

CyberX9 reported that sensitive personal data of employees and job applicants on the Darwinbox platform could be at risk. Darwinbox refuted the claims. It attributed the issues to credential theft on its clients’ end. It confirmed implementing fixes while maintaining that the vulnerabilities were primarily external. You cannot settle that from the outside. The US terms bar your own security testing, so you rely on Darwinbox’s reports. Darwinbox has all its audits and penetration tests done by Cert-IN empanelled auditors. It also reports regular audits with Big 4 firms to meet global privacy regulations. Ask for current evidence and for who the auditors are. Ask what your own team must do to protect logins.

The price usually follows your headcount, and leaving early has a cost

Darwinbox typically charges by headcount, so the bill moves with the people on the platform. Leaving early also has a price, which you can work out before you sign.

Darwinbox Recruitment pricing typically follows a per employee per month model. The price depends on the number of employees using the platform and the products included. Ask for a written quote at your headcount, with each product priced on its own line.

Under Darwinbox’s US terms, the term is set in the Order Form. Renewal beyond the end date must be agreed in writing at least 30 days before it. The exception is an auto-renewal clause in the Order Form. After the Minimum Commitment Term, either side may end the contract for convenience on 90 days’ written notice.

If the contract ends early for any reason other than Darwinbox’s breach, you pay the pro-rated fee. That covers the rest of the Minimum Commitment Term. Work out that number before you sign.

Mid-term changes go on the next invoice. The fee for added services, and for added or deactivated user logins, is adjusted pro rata. Any setup fee for an added service goes on the same invoice. Late payment carries interest of 1.5% per month on the entire outstanding amount. The service is automatically suspended if invoices go unpaid past their due date.

On termination, each side returns or destroys the other’s data within 30 working days. Darwinbox provides a final backup of your data as backup media. Ask what format that backup uses.

Disputes that cannot be settled go to arbitration. A sole arbitrator decides under International Chamber of Commerce rules, with the venue in Dover, Delaware. The US terms follow the laws of the State of Delaware. These are the terms of the US edition. Ask which edition applies to your company.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Twelve questions for the sales call

Use these questions on the sales call. Each one has a good answer, so you can tell a firm commitment from a vague reply.

  1. Which AI actions run without a person, and can our admin switch each one off? Is rejecting a candidate one of them? Good answer: A written list of actions, with a setting for each one that we control.
  2. Does any anonymised statistic from our hiring data ever train a model, even if we opt out? Good answer: A clear no, written into the Order Form.
  3. Can the hosting location be fixed in our Order Form, with notice before any move? Good answer: Yes, a named region and written notice.
  4. What does the 98% uptime target mean in practice, and what do we get when you miss it? Good answer: A written remedy for each month it is missed.
  5. Will you raise the liability cap above six months of fees? Good answer: A separate, higher cap for a data breach.
  6. If we leave before the Minimum Commitment Term ends, what exactly do we owe? Good answer: A figure for each year of the term, in writing.
  7. Which independent security reports will you share, such as SOC 2 or ISO 27001? What did your latest security test find? Good answer: Current reports, with dates and the name of the tester.
  8. What did you change after the CyberX9 report, and what must we do on our side? Good answer: A specific list of fixes, and a short list of tasks for us.
  9. Your recruitment page carries a 2025 Gartner placement as a Visionary and a card about a 2026 Leader placement. Which report is current? Good answer: The report itself, with the year and your position in it.
  10. Which of our systems have a ready-made connector? Does it count among the 200 connectors or the 100 integrations? Good answer: A named connector for each system, and a customer already using it.
  11. Which right-to-left languages, such as Arabic or Hebrew, can candidates use? Can you show the candidate side working in them? Good answer: A live demo in each language we hire in.
  12. What is the price per employee for each product, and how does it move if our headcount changes? Good answer: A rate card with each product and how its price moves.

Alternatives to Darwinbox

Alternatives to Darwinbox include Workday Recruiting, Oracle Recruiting, SmartRecruiters, Keka, Cezanne, Zappyhire and Greenhouse. The first five pair hiring with an HR system, as Darwinbox does. The last two are worth a look if you want hiring chosen on its own.

The main reason to pick Darwinbox is that your HR records already sit in it. If they sit in Oracle or SAP instead, that reason points to their own hiring product. Oracle Recruiting is natively part of Oracle Cloud HCM. SmartRecruiters for SAP SuccessFactors is an AI recruiting platform that combines a connected ATS and a recruiting CRM. Since the August 2025 SAP deal was announced, SmartRecruiters stays available on its own for the foreseeable future.

Workday Recruiting lets a team manage requisitions, screen and interview candidates and extend offers. Workday also sells a Conversational ATS, called Workday Paradox, for frontline hiring from first touch to onboarding. Look at Paradox if frontline roles are your main hiring.

Keka Hire is the recruitment product inside the Keka HR platform. It supports job posting, applicant tracking and interview scheduling. Look at it if Keka is your HR system. Cezanne Recruitment works with the Cezanne HR system or as a standalone solution. That makes it the one to price if you want recruitment without changing your HR system.

You may like Darwinbox for HR records but want a separate hiring tool. Zappyhire connects to Darwinbox, SAP, Workday, Keka and more than 45 other HR systems. Zappyhire is an AI-powered recruitment automation platform for large enterprises. Greenhouse connects sourcing, interviewing, scheduling and its ATS in a single hiring ecosystem.

Our applicant tracking guide covers how to choose between a suite and a standalone tool. Read it first if you have fewer than 50 employees. Our page for enterprise buyers covers companies of 2,000 people or more.

Sources and method Everything here about Darwinbox comes from Darwinbox’s own website, its US legal terms, its privacy policy and sub-processor page, and its customer case studies. Facts about the company and the security report come from press coverage. Facts about the alternatives come from each vendor’s own site. Every source was read on 2 November 2026. What Darwinbox publishes about its own product is taken as a true description of that product. Where two Darwinbox pages differ, this page keeps both and puts the difference to Darwinbox as a question.
