SmartRecruiters

SAP bought SmartRecruiters in September 2025, so you can now buy it from either company. Its launch material presents the AI as scoring and ranking candidates. Its AI contract writes that the tools do not, and it puts the legal duty on you. It suits companies of 50 or more with many open jobs, and leaving gives you 30 days to export.

SmartRecruiters is now part of SAP, and you can buy it two ways

Most of the risk with SmartRecruiters sits in its contract terms more than in its features. Read the AI and exit terms first.

In one line

SmartRecruiters is an applicant tracking system that also keeps a pool of candidates for future roles. SmartRecruiters sells it, and so does SAP.

Buy it if

Your company has at least 50 employees and many open jobs. You want one system from job post to onboarding. You run SAP SuccessFactors, or want the option to.

Do not buy it if

You need a price before you talk to sales. You will not accept a contract that makes you responsible for how the AI features are used.

Price

SmartRecruiters sets the fee by your total employee count, in an order form. SAP’s version has a minimum order of 250 users and a contract of 1 to 3 years that renews automatically.

It covers job post to onboarding, with an AI layer called Winston

SmartRecruiters now has two sellers and an AI layer, so the first job is to settle what you actually get. Then you can match it to the work your recruiters and hiring managers do today.

SmartRecruiters is an applicant tracking system. That is the software that holds your jobs, your applicants and each applicant’s stage. It also has a CRM. That is the tool that sources and keeps in touch with candidates for future roles. SmartRecruiters includes everything from job posting to onboarding in its core platform. Recruiters can message candidates by SMS, WhatsApp and online. Candidates can pick their own interview time from open slots. In the SAP version, digital offer letters and e-signatures run through DocuSign.

The biggest change is who sells it. SAP announced the deal on 1 August 2025 and completed it on 11 September 2025. The deal terms were not disclosed. SAP now sells its own version, called SmartRecruiters for SAP SuccessFactors. It replaces the old SuccessFactors Recruiting product. It needs no other SAP product as a base. SmartRecruiters will also continue as a standalone product for the foreseeable future. That gives you two doors into the same software, and each door comes with its own contract.

Your own systems can connect in several ways. The vendor runs a marketplace with hundreds of ready-made connections to other tools. Staff can sign in with your company account. Its Customer API lets other software import, export and update your candidate and job data. An API is a way for other software to read and change data. A reporting interface hands you report data as CSV files.

Winston is the AI layer, launched on 10 June 2025. It has four named parts. Winston Chat is an add-on to the platform. The Match and Screen descriptions below come from its June 2025 launch. Its AI contract takes a different position on the applications, and the limits section explains how.

Winston Match scores applicants

Winston Match scores every applicant. It gives a four-star result with an explanation.

Winston Screen asks questions and ranks answers

Winston Screen sends each applicant job-specific questions and collects structured answers. It then ranks candidates on those answers automatically.

Winston Chat talks to candidates

Candidates use Winston Chat to ask questions, explore roles and apply. It follows up and schedules interviews in the same thread. It works on the web, by SMS and on WhatsApp, and it answers from your career site and knowledge base.

Winston Companion helps your recruiters

Winston Companion prompts for feedback, suggests next steps, summarises candidates and schedules interviews. It works in Slack, Microsoft Teams, SMS, WhatsApp, on desktop and on mobile.

An AI Control Center gives your company visibility and control over what Winston sees, learns and acts on. Winston is built on large language models, the kind of AI that writes text. Outside companies handle some of the data behind it, and the limits section below covers them.

The results it reports, and what each one measures

A vendor’s results help you only if you know what each one measures. SmartRecruiters publishes results for its AI and for some customers. Use them to decide which proof to ask for before you sign.

In September 2025, SmartRecruiters reported 85 percent accuracy in match results. It also reported that the top-ranked candidate was hired 85 percent of the time. Both figures come from the vendor and cover its own matching. Ask how many customers and roles sit behind them. The same release reports a 75 percent cut in manual CV screening. It also reports a 95 percent cut in manual interview scheduling.

For Winston Chat, SmartRecruiters reports a doubling of candidate conversion and a 35 percent rise in mobile application completions. Ask what counts as a conversion.

SmartRecruiters reports three different time results for Frasers Group. One release puts time to hire at 23 days in 2021 and 13 days in 2022. The same release adds that automation carried hiring from shortlist to interview to offer within a ten-day window. On its homepage, SmartRecruiters quotes Frasers at 9 days, down from 23, with SmartRecruiters AI. Those are three results for one customer, so ask which period and which measure each one uses.

SmartRecruiters reports 65 percent more hires year on year and a 33 percent cut in time to fill. Ask whose results those are, over what period and from what starting point.

The AI contract puts the legal duty on you, and leaving gives you 30 days

The risks with SmartRecruiters sit in its AI contract and its exit terms more than in its features. Read these six points before the demo, because they set who pays when something goes wrong.

The launch material and the AI contract describe the AI differently

At launch, SmartRecruiters presented Winston Match as a tool that scores every applicant. It presented Winston Screen as a tool that ranks candidates automatically. In its AI Addendum, SmartRecruiters writes that its applications do not independently evaluate, score or rank candidates. It adds that they are not meant to be the sole or main basis for a hiring decision. In the same text, you acknowledge that the applications are not an automated employment decision tool. That is a New York City term from Local Law 144. That law covers tools that issue a score or recommendation used to substantially assist or replace hiring decisions. Ask your lawyer which statement to rely on before you switch on any scoring feature.

You carry the legal duty for how the AI features are used

SmartRecruiters’ AI Addendum puts compliance with applicable law on you. The duty falls on you as the deployer of high-risk AI features. A deployer is the business that uses them. The Addendum defines AI laws to include the EU AI Act and South Korea’s AI Act. It adds New York’s rules for automated hiring tools, Colorado SB 205 and Utah SB 149. California AB 2013 and SB 942 are in it too, with others. These laws sit in several places, so check which of them apply where you hire. Whether a feature counts as high-risk under the EU AI Act changes your duty. An exemption in Article 6(3) can apply. It covers a system that poses no significant risk to people’s rights. It does not apply to a system that profiles people. SmartRecruiters also writes that outputs may contain errors and misstatements, and may be incomplete or inaccurate. You are solely responsible for any reliance on them.

SmartRecruiters may train its AI on your anonymised data

Under its AI Addendum, SmartRecruiters may use anonymised or pseudonymised data. It may use it to develop, train or improve its AI features and machine learning models. Pseudonymised means personal details are swapped for codes. So your candidates’ data, once anonymised, may help train the vendor’s AI. Ask whether you can opt out, as question 3 below does. You own your content and your candidate content, including AI output based on them. On request, SmartRecruiters provides technical documentation and instructions for the AI features. That documentation will not include source code or other proprietary information.

The uptime promise pays out only on a written request, and within a cap

An uptime promise only helps you if you claim it. SmartRecruiters commits to 99.9 percent system availability a year. If it falls short, it pays a penalty on written request. The penalty is 10 percent of the prior 12 months’ fees for each 1 percent below that level. All service penalties and liabilities stop at 100 percent of the subscription fees paid in the last 12 months. So the most you can recover is set by that cap, and you must ask in writing. Each party’s total liability is also capped at the fees paid or payable for the current subscription year. Fees are non-refundable in most cases. One exception is ending the contract for a serious breach that SmartRecruiters has not fixed. Customers on the Premium support level get phone support, so ask which level you are buying.

After you leave, you get 30 days to take your data out

For 30 days after termination, SmartRecruiters gives you free access to its Customer API so you can retrieve your data. That is the interface that lets other software pull your data out. After 30 days the access ends and the data is deleted. Plan the export before you sign, and test it on a sample. Thirty days is short for a large candidate database. Separately, SmartRecruiters keeps candidate personal data as long as the collection purpose requires, and longer where law or consent requires.

Several outside companies handle your candidate data

Your candidates’ CVs, messages and AI results pass through several other companies. Where they sit depends on your hosting region. Textkernel scans the documents a candidate uploads and parses the data into the database. AdeptID supports the screening and ranking behind Winston Match. Joveo is the technology partner for the conversational AI in Winston Chat. DeepL translates keywords and data you upload. Twilio sends the text and WhatsApp messages between candidates and you. SmartRecruiters hosts in Frankfurt by default, unless the order form picks another country. Its AWS hosting is in Frankfurt, Ohio or Sydney. For EU-hosted customers, AdeptID uses AWS Frankfurt and Joveo uses AWS Ireland. For US-hosted customers, AdeptID uses AWS North Carolina and Joveo uses AWS North Virginia. Check your hosting country in the order form. Under its pre-signed data processing addendum, SmartRecruiters must tell you of a personal data breach within 24 business hours. The clock starts once it has reasonable certainty that one occurred.

It suits larger hiring teams, with or without SAP

SmartRecruiters is built for a particular kind of hiring. A mismatch between that and yours costs more than any one missing feature. Here is who it suits, and what to check for each.

Many open jobs at a company of 50 or more

SmartRecruiters is best suited to organisations with at least 50 employees and many open jobs. It sells the platform for enterprise hiring of highly skilled roles and high-volume roles. You choose a corporate, high-volume or hybrid package. SAP sells its version for corporate, high-volume and seasonal hiring. Amazon, Visa and McDonald’s are among its more than 4,000 customers. Ask for a reference at your size.

Companies on SAP SuccessFactors, now or later

People, job and organisation data flow from SuccessFactors into SmartRecruiters. Recruiters and hiring managers use one login. SmartRecruiters customers keep the flexibility to use it with SAP or with other HR systems. So SuccessFactors is a reason to look at it, not a requirement.

Hiring in many countries

If you hire across borders, check three things. They are languages, messaging channels and where candidate data sits. Frasers Group partnered with SmartRecruiters in 2021. SmartRecruiters reports that 4,500 colleagues at Frasers use the system across 20 countries. Candidate messaging covers SMS, WhatsApp and online. Winston Chat has a feature called Omni-Language Support. Hosting defaults to Frankfurt, with AWS in Frankfurt, Ohio or Sydney.

Hiring managers who log in themselves

A hiring system only works if managers use it. SmartRecruiters quotes a Deloitte talent acquisition leader on how people intuitively knew how to use it. It also quotes a former Asbury Communities director on hiring managers finding the information they need in it. Ask to speak to a hiring manager at a customer like you.

You pay by quote, and the fee follows your headcount

Both sellers price SmartRecruiters through a sales conversation, so the first call is where you set your terms. To get a price from SmartRecruiters you talk to an expert. To get one from SAP you request a quote.

Under SmartRecruiters’ terms, subscription fees are based on your total employee count, as set in the order form. That counts the whole company, not only your recruiters. An employee is someone you hire and pay for their work. That includes contractors if you use SmartRecruiters to recruit and hire them. SmartRecruiters may use public information to check your count. The unit price per employee in the order form stays fixed for the term.

The term runs from the effective date to the end date in the order form. Renewals follow the order form too. The SAP version runs for 1 to 3 years and renews automatically. Find the date by which you must give notice to stop a renewal. Fees are non-refundable in most cases, so a renewal you meant to stop is money you do not get back.

SmartRecruiters sells the platform in packages. It calls its pricing outcome-aligned, meaning it is based on usage and value. Your final price therefore depends on which AI parts you take and how much you use them. The key features it offers include applicant tracking and a CRM. The CRM is the tool that keeps your pool of future candidates. They also include an AI recruiting companion and an AI talent matching engine. Further features are candidate messaging, dynamic scheduling, job distribution, an advanced agency portal and analytics. Ask for each one as its own line in the quote.

One public contract gives a sense of scale. In 2021, Ignitis grupes paslaugu centras in Lithuania awarded SmartRecruiters Ltd a contract for rental and development of the system. The total was 250,000 euros, and the buyer negotiated without prior competition. That covers services, not a price per employee, so do not scale it to your headcount.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Nine questions to ask before you sign

These questions each have a right and a wrong answer. Put them to SmartRecruiters or SAP in writing and keep the replies.

  1. Which Winston parts are in our quote, and what does each one cost on its own? A good answer is a separate price for Match, Screen, Chat and Companion, with the usage terms beside each.
  2. Your launch material presents Winston Match as scoring every applicant. Your AI Addendum treats the applications as tools that do not score or rank. Which should our lawyers rely on? A good answer is a written answer that identifies each scoring feature and what it means under Local Law 144.
  3. Can we opt out of your use of our anonymised data to train your AI? A good answer is yes, written into the order form.
  4. Does our employee count include contractors, and how will you check it? A good answer is a written definition of who counts, and a stated way to settle any difference.
  5. If we buy through SAP, which people count toward the 250-user minimum? A good answer is a named set of roles, written into the order form.
  6. How do we take all our candidates, jobs and notes out in the 30 days after we leave? Have you tested that? A good answer is a named file format, a test on our data, and a longer window on request.
  7. What does your audit log record, and does it cover actions taken through the API and the mobile app? A good answer is a full set of recorded events that includes API and mobile actions.
  8. Whose results sit behind the 65 percent more hires and the 33 percent shorter time to fill? Over what period, and from what starting point? A good answer is a named customer, a period and a baseline, in writing.
  9. If availability falls below 99.9 percent, can the penalty arrive without a written request? A good answer is yes, automatically, with a cap above twelve months of fees.

Alternatives to SmartRecruiters

Three things may send you to another product. They are your HR system, how you keep a pool of future candidates and your company size. Each has its own alternatives.

If your HR system comes from Workday or Oracle, start with their recruiting products, Workday Recruiting and Oracle Recruiting. Oracle Recruiting is natively part of Oracle Cloud HCM. Workday combines Workday Recruiting with HiredScore and Paradox as one suite. SmartRecruiters also works with other HR systems, so your HR system alone should not decide this. Compare the AI contract terms of each product as closely as you would SmartRecruiters’.

SmartRecruiters has a CRM, and Greenhouse and iCIMS have one too, set up in different ways. Greenhouse includes a recruiting CRM in its applicant tracking system. A prospect there becomes a candidate with no import or second login. iCIMS has a candidate relationship tool called CXM. It can work with iCIMS or with another applicant tracking system. That suits a buyer who wants the candidate pool apart from the ATS. For high-volume hiring, iCIMS made its High Volume Hiring product generally available on 9 July 2026.

A smaller company has a different problem. SmartRecruiters is best suited to 50 or more employees, and the SAP version has a 250-user minimum. Workable offers prices in employee bands from 1 to 20 up to 801 to 1,000. Breezy HR sells pricing for teams of 10 to 10,000.

SmartRecruiters is built for many open jobs. If you hire a few people a year, ask whether your current tools already cover it. Buying nothing new is also an option. Our comparison of applicant tracking systems and our market guide help you weigh that choice.

Sources and method Everything here about SmartRecruiters comes from its own website, legal pages and developer documentation. It also comes from its news releases and from SAP’s pages about the product. The public contract, law and alternative-product facts come from the sources below.
