SAP Joule
Joule is SAP’s AI assistant inside SuccessFactors. Employees ask it about pay, policies and time off. Joule Base is included with HCM Base and Premium plans. Joule Premium is billed monthly by usage. In SAP’s service desk product, Joule also opens cases and reaches staff through Teams, mobile, web and email.
Joule Base comes with SAP’s HR plans, and SAP may use your data
Joule is SAP’s AI assistant inside SuccessFactors. It does HR tasks and answers employees’ questions. SAP may use your data to build new AI features.
Your HR team already works in SuccessFactors. You hold an HCM Base or Premium plan, which includes Joule Base at no added cost. You want employees to get answers about pay and time off without writing to HR.
You cannot accept a contract clause that lets SAP use customer data to develop AI features. You need to know the total cost before you commit. Joule Premium is billed by use each month, so the price moves with how much your team uses it.
Joule Base comes at no added cost with HCM Base or Premium plans. You can use it without limits. Joule Premium is priced by usage in AI-units and billed monthly.
Joule answers employees and does HR tasks inside SuccessFactors
Joule writes job descriptions, handles time-off requests and updates employee information. It is a generative AI assistant built into SuccessFactors. Generative means it writes new text and answers in plain language.
Employees get their own help too. A feature called Explain Pay helps an employee understand their pay statement. It clarifies what changed in their pay data and links to the related policy documents. In SAP SuccessFactors Work Zone, employees type what they want in everyday language and Joule finds policies.
SAP also sells Joule inside SuccessFactors Enterprise Service Management, which is a service desk for HR. There Joule can answer an employee’s question before any request reaches HR. SAP calls this “proactive ticket deflection”. When a request needs a person, Joule opens the case automatically.
The service desk runs on live HR data from SuccessFactors Employee Central. Your team can also link Microsoft SharePoint repositories to build one HR knowledge base. Service teams then search it from inside their own workspace.

Employees reach Joule where they work, and SAP keeps your data out of outside training
Employees can reach HR help where they already work
In SAP’s service desk product, employees reach HR services on the web, on mobile, in a chatbot, in Microsoft Teams and by email. Staff who live in Teams do not need a new place to go.
SAP keeps your data out of outside model makers’ training
SAP does not share customer data with outside providers of large language models for training their models. A large language model is the AI engine behind a chat assistant. When a SAP AI feature runs on a model hosted by another firm, that firm processes your data. It does not store it.

SAP sells SuccessFactors Enterprise Service Management to midsize and growing companies through GROW with SAP. It also sells it to large enterprises.

In the service desk product, Joule can answer a question before any request reaches your team. It opens a case on its own when a person is needed.
SAP can use your data for new AI features, and contracts renew by themselves
SAP can use your data to build new AI features
SAP says it may use customer data to develop new AI features. A product development schedule in your contract sets the terms. SAP also says it may use customer data, where permitted, to improve its products. Read that schedule before you sign.
An auto-renewal contract renews unless you act
Under an auto-renewal contract, no action is needed to continue your subscription. Stopping takes a deliberate request. Put the renewal date in your diary.
Joule Base costs nothing extra, Joule Premium is billed by use, and you can leave with your data
SAP sells Joule in two levels. Joule Base is included in standard cloud subscriptions. If you already pay for an HCM Base or Premium plan, Joule Base adds nothing to the bill.
Joule Premium is priced by usage, in AI-units, and billed monthly. A busy month costs more than a quiet one. The service desk, SuccessFactors Enterprise Service Management, is a separate product. Ask for its price on its own.
To end an auto-renewal subscription, use SAP’s customer portal, called SAP for Me. Find the Contract ID, click Manage Contract, then click Terminate.
Export your data before the term expires. After the agreement ends, SAP deletes the customer data left on the servers that host the cloud service. The exception is data the law says SAP must keep.

- What does the product development schedule in our contract allow you to do with our employee data? Good answer: A written list of uses, and a clause that lets us leave out employee records.
- What is the rate for one AI-unit, and how many does a typical month use at our headcount? Good answer: A price per unit in writing, with a worked example for a company of our size.
- Which tasks does Joule Base cover on our plan, and which need Joule Premium? Good answer: A named list of tasks for each, with no gaps between them.
- What does the Enterprise Service Management service desk cost for our number of employees? Good answer: A quoted price with the term stated, on its own line.
- In which file formats can we export our data, and how long before the term ends should we ask? Good answer: A named format and a date, written into the contract.
- Which outside AI model providers touch our data, and in which countries do they process it? Good answer: A named list of providers and countries, and a line we can give an employee who asks.
