Applaud answers and acts in chat, but its contract caps what it owes you
Applaud’s AI Assistant answers HR questions, completes requests and hands the hard cases to your HR team. Employees use it in Teams, Slack, WhatsApp and mobile.
Your staff already chat in Teams, Slack or WhatsApp. You run several HR systems and want one assistant in front of them. You can start with 500 users.
You want an HR system itself, because Applaud is not one. Your lawyers will not accept a liability cap of 6 to 12 months of fees. You need to cut your user numbers during the term.
Applaud charges per user per month on a subscription. Its pricing page says to contact Applaud. You can start with as few as 500 users and grow from there.
It answers a question, finishes a request or passes you to HR
Applaud’s AI Assistant is HR help that answers in every channel. It answers questions and takes action. An employee can type that they need next Friday off. The assistant completes the request. If a person would handle the matter better, it passes the case to HR.
It works through the systems you already own. From Workday it can show an employee their feed, benefit choices, balances and time-off requests. It can also write changes back to Workday. From ADP it shows payslips and personal data. It shows SuccessFactors or older SAP R/3 profiles and org data in an employee portal. It also connects to Oracle Cloud HCM, PeopleSoft and E-Business Suite.
For answers, Applaud’s assistant can read from Workday, SAP SuccessFactors, Oracle HCM, ServiceNow, SharePoint, Microsoft Teams, Slack, knowledge bases and document stores. Applaud offers more than 1,000 ready-made connections, plus open programming links your own IT team can use.
Employees reach the assistant in the Applaud app, Teams, Slack and on mobile. In Teams they can raise cases and request leave without leaving the chat. In WhatsApp they get answers and send requests. The assistant shows where each answer came from. It also keeps a log of every chat for audit.
Applaud does not use customer and employee data to train outside large language models. Those are the AI engines behind chatbots. You choose where your data lives, in Frankfurt or in Oregon in the United States. All backups, logs and AI work stay inside the region you choose.

It suits staff who work in Teams, Slack and WhatsApp

Employees can raise cases, request leave and chat with the assistant without leaving Teams. It also answers in Slack, in the Applaud app and on mobile.
Staff with no desk or company laptop
Applaud works inside WhatsApp chats. Deskless staff can get an answer, send a request or raise a case from their own phone.
Companies running more than one HR system
Applaud connects to Workday, SAP SuccessFactors, Oracle, ADP and ServiceNow, among others. One assistant can sit in front of several systems.

You can start with as few as 500 users and grow to everyone later. Check what that does to your contract before you agree.
It sits on top of your HR system and its contract limits are tight
Applaud Solutions UK Ltd was incorporated in December 2008. Two people hold significant control, the co-founders Duncan Casemore and Ivan Harding. Its Terms of Use say English law governs the agreement and any dispute. Plan for that if you employ people outside the UK.
It does not replace your HR system
Applaud is not an HR system, an HRIS or a system of record for platforms such as Workday, Oracle, SAP or ServiceNow. You keep paying for those. Applaud sits in front of them.
Its liability limit is low, and lost data is excluded
Applaud’s Master Services Agreement caps what it owes you at the last 12 months of fees before a claim. It excludes liability for any loss or corruption of data. The assistant handles pay and personal records, so read both lines.
Its two contract documents give two different caps
Applaud’s Terms of Use cap its liability at the fees you paid in the 6 months before the claim. The Master Services Agreement says 12 months. Ask which document governs your contract and get the answer in writing.
You cannot cut your user count mid-term
Under the Terms of Use, you may not decrease the number of users during any subscription term. You can leave at will on 30 days’ written notice. Start with the number of users you are sure about.
The contract renews by itself
Under the Terms of Use, the agreement renews automatically. To stop it, tell Applaud in writing. Do that at least 60 days before the first term ends, or 30 days before a renewal ends. Put both dates in your calendar on day one.
You pay per user per month, and you must ask for the number
Applaud sells its AI Assistant per user, per month, on a subscription. Its pricing page reads “Contact us for pricing.” There is no rate to check before you call. Ask for a price per user at your headcount, in writing.
You can start with as few as 500 users and grow to your full population later. Because your user count cannot go down during the term, a pilot of 500 is a safe first step. A guess of 5,000 is not.
If you leave, the Master Services Agreement lets Applaud keep running the service for up to three months. You both have to agree to that. Applaud will also give reasonable help with moving to another supplier. For up to three months it will give you access to information about the service that it still holds.
The Terms of Use set a tighter clock on your data. Applaud may destroy it unless you ask in writing for the latest backup. You have 10 business days after the contract ends. Put that date in your own diary before you sign.

Seven questions to put to Applaud before you sign
- Which document governs our contract, the Master Services Agreement or the Terms of Use? Will you cap liability at more than 12 months of fees? Good answer: One named document, and a higher cap in our order form for pay and personal data.
- What do you charge per user per month at our headcount, and what does it cost to add users later? Good answer: A written price per user at our size, and the same rate for every user we add.
- What happens if we start with 500 users and need to cut back after six months? Good answer: A written right to reduce users at renewal, with no penalty.
- After we leave, how do we get our chat logs and data back, and how long do we have to ask? Good answer: A file format, a delivery date and a request window longer than 10 business days.
- Can the assistant write changes into Workday, ADP or Oracle for us, or only read from them? Good answer: A list of the exact changes it can make in each system we use, with the approvals required.
- Which of our HR systems is the assistant already running against at a customer like us? Good answer: A named customer on our HR system that we can speak to.
- Which region will hold our chats, backups and logs, and who can read the logged chats? Good answer: Frankfurt or Oregon, chosen by us, with a named list of who can open the audit log.
Alternatives to Applaud
