SAP SuccessFactors Learning is a cloud learning system for training a company’s own employees. It assigns courses, flags the overdue ones and keeps the record of who finished what. It runs alone or as part of SAP’s HR suite. Its AI assistant is open only to an early-adopter programme. Premium AI features need a separate licence.

Buy it if

You must prove who finished which course, and when. You want retraining to repeat on a set cycle. You may need an e-signature on completions. You want learners to work through courses offline on a phone.

Do not buy it if

The AI assistant is your main reason. You expect to cut user numbers during a term.

Price

NTT DATA sells it on the UK G-Cloud list. It costs £1.26 per user per month for up to 2,000 users, before VAT. NTT DATA leaves support out and charges extra for storage.

It hands out the training, chases it and keeps the proof

The product gives each employee a list of what to finish, and it records the result. A learner starts an online course from a list called My Learning Assignments. A completion goes into the learner’s learning history with a status such as passed, failed or incomplete. The learning history is each person’s audit trail. It holds the courses a person formally completed.

SAP gives two answers on whether you need the suite. SAP’s product-page FAQ answers that the full SuccessFactors suite is not needed to start. SAP’s best-practice set-up assumes Learning is connected to an HR suite already in use. If it is not, the suite is set up first. Ask SAP which answer applies to a company that has no SuccessFactors today.

Attendance comes back only for some meetings. Live classes run in Microsoft Teams, Zoom, Webex or Adobe Connect. Depending on the meeting provider, SAP can read attendance lists and time in attendance. When an administrator creates or updates a meeting in Learning, the details go to the provider. SAP does not retrieve information for meetings created inside the provider’s own application.

Inside SAP’s suite, Learning also connects to onboarding and succession. It connects to Opportunity Marketplace for mentoring, coaching, fellowships and temporary assignments.

Most of the AI waits on a switch, a licence or a place in the early-adopter group

SAP’s AI in Learning falls into three groups. Each has a condition to know before you buy.

The first is suggestions for learners. Recommendations use the learning history of all employees, not just those with permission to access recommendations. For recommendations, SAP uses the user’s data to train machine learning algorithms. SAP tells customers to check their legal and regulatory framework before turning them on. They need at least 1,000 unique user-course interactions over 2 years. They also need at least 100 users and at least 100 learning items.

The second is drafting. Administrators can generate course details, task checklists and images from a description. The administrator verifies, revises or discards each course draft before saving.

The third is the Learning Assistant in Joule, SAP’s AI assistant. It has three agents. One assigns learning after a manager confirms. One creates or updates assignment profiles after an approval. One finds learners at risk of missing required training and sends reminders.

The assistant and its agents are in restricted availability. In the September 2026 release they are part of an Early Adopter Care programme. Early Adopter Care features are not available to users outside the programme.

Licences add a question. SAP’s Platform guide says an administrator turns on each AI feature in AI Services Administration. Buying the AI units licence is a prerequisite for reaching that page. The same guide’s Base AI chapter says Base AI is free. It includes Learning’s recommendations, which have their own setting. Generative AI features and Joule messages beyond the annual allocation are premium AI. Premium AI needs an AI units licence.

Its records are built for an audit

Retraining repeats on a set cycle

A curriculum is a set order of courses. It can require retraining at set intervals so users keep their qualification. You set the interval in days, weeks, quarters or years. A manager view highlights overdue courses for each team member.

E-signatures are built in but start switched off

SAP’s e-signatures support FDA regulation 21 CFR Part 11, the US rule on electronic records. Users type in an e-signature to confirm who they are. E-signatures stay disabled until the customer turns them on. Validated SaaS is a service built to meet that rule. It is optional. Its customers get updates once a year, not every quarter.

The reports cover what an auditor asks

The product has over 90 standard reports and a report designer. The Account Data detail report covers a user’s curriculum status and required dates. It also covers their competency profile assignments and learning history. Supervisors can view their employees’ assignments, record completions and run reports.

Mobile learning works offline

Mobile Learning comes with SAP SuccessFactors Mobile. It works when the phone is not connected to the internet. Learners can download content to an offline player. The administrator can restrict which content can be downloaded.

Its named customers run it with other SAP products

Grundfos and Atturra both run Learning with other SAP products. SAP’s own set-up guidance assumes a suite underneath.

Grundfos had a suite with Learning in it

Grundfos has 20,000 employees in industrial manufacturing. It had a suite of SAP solutions in place, including Learning.

Atturra put in four other products with Learning

Atturra put in Learning with four others. They are Employee Central, Onboarding, Performance & Goals and Recruiting. In SAP’s story, Performance & Goals, Learning and Recruiting gave staff better access to learning resources and compliance training.

Where SuccessFactors Learning stops

You check the AI output yourself

Under the SAP AI terms, the customer assesses AI output, including by human review, before relying on it. SAP’s promise to cover losses covers the AI technology but not its output. The terms bar the customer from using AI output to train other AI models, unless SAP permits it.

SAP may process your data for product development

Under SAP’s sample cloud agreement, the SAP Group may process customer data worldwide for product development. That holds if the output does not identify the customer, its users or any person. It must not reveal confidential information. The customer may remove that permission where SAP makes such functionality available.

Learning-only users need a second SAP service

SuccessFactors Learning can offer its staff training to partners and customers. Learning-only users have two ways in. Both need SAP’s Identity Authentication service.

Administration is not on the mobile apps

The mobile apps and mobile browsers do not support Learning Administration.

Course formats and libraries are licensed separately

The product imports SCORM 1.2 and SCORM 2004 course files. These are the standard e-learning formats. It supports a limited standard of AICC, an older one. Premium Content Management, SAP’s service for AICC and SCORM content, is under a separate licence. SAP Content Stream by Skillsoft, a ready-made course library, has three editions. Each is licensed separately. Set-up takes about 6 to 8 weeks once it starts, with an implementation partner.

£1.26 a user a month for up to 2,000 users, falling to £0.52, with extras on top

The price per user falls as volume grows. Validated versions cost more. Support and extra storage come on top, and prices rise every year.

These are NTT DATA’s UK G-Cloud prices per user per month, before VAT. A private buyer may pay something different. Learning falls to £1.13 for 5,001 to 10,000 users, £0.95 for 10,001 to 15,000 and £0.52 for 200,001 or more.

Solution support is not included in the subscription. Extra content storage costs £18.90 a month for each 25GB block. Backup, recovery and regular upgrades are included. Prices rise 3.3% on each annual contract anniversary. NTT DATA gives a 0% discount for annual contract values below £250,000 and between £250,000 and £500,000, excluding VAT. Discounts are available on request.

Under SAP’s sample cloud agreement, the customer may not reduce the volume of its usage metrics during the term. Those are the units an order is priced on. All order forms are non-cancellable, and fees are non-refundable except under two named sections. Either party may end the agreement for cause on 30 days’ written notice of a material breach.

Under SAP’s data processing terms, the customer instructs SAP to delete remaining personal data. SAP must do so within a reasonable time, not exceeding six months. Before the term ends, the customer performs one final export of personal data.

Which Learning AI features count as premium AI, and how many AI units does our plan include? Good answer: A named list, with the allowance written into the order form.
Do the free Base AI features, including recommendations, need the AI units licence to switch on? Good answer: A written answer for each Base AI feature in Learning.
Can a company with no SuccessFactors today start with Learning alone? Good answer: A written yes or no, with the cost and time of any suite set-up.
When does the Learning Assistant leave the early-adopter programme, and what will it cost then? Good answer: A date and a price in writing.
Who counts as a Learning-only user, and what does Identity Authentication cost for each outside learner? Good answer: A written definition and a price per learner.
What does Functional Use mean, and which of our staff would qualify? Good answer: A written definition, with a price for each group of staff.

Alternatives to SAP SuccessFactors Learning, including buying nothing

Look at Absorb or Valamis if SuccessFactors Learning stops short for you, or wait.

If the assistant is why you are looking, wait. Under SAP’s sample cloud agreement, you cannot reduce volume during the term. Wait until the assistant leaves the early-adopter programme.
