Valamis

Valamis is an enterprise learning system. It keeps the record that each person finished each course, for staff, partners, resellers and customers. Each outside group gets its own separate area. Valamis prices by learner tier, and a three-year agreement is standard.

In one line

An enterprise learning system that records training, tracks certificate expiry and trains outside groups. It sells by learner tier on a multi-year agreement.

Buy it if

You must show auditors who finished which course, and when. You train partners, resellers or customers as well as staff. Your HR system is Workday or SAP SuccessFactors and should stay the master record. You can run a set-up project and sign for three years.

Do not buy it if

You train fewer than 250 learners. You will not accept a term that lets Valamis use data about how you use the product. You need full control over where your data is stored. In its G-Cloud listing, Valamis gives users none.

Price

Per user, prices run from £4.15 to £54.00 on the G-Cloud 15 list, depending on package and learner count. That is for a three-year term, with no period given. In Valamis blog posts, starting prices are around EUR 17,000 a year.

Valamis keeps the training record that auditors ask for

Valamis is an enterprise LMS that brings learning, skills and compliance into one platform. The training record sits at its centre. It holds completions, scores, time spent, certificates with their expiry dates, and attendance at classroom and online sessions. Valamis can also track on-the-job assessments and CPD points. CPD means continuing professional development.

Managers see who has finished training and how they scored. They also see each team member’s upcoming registrations and outstanding mandatory sessions. Employees see their own skills profile. Learning and development staff see the whole organisation. Admins and managers can type a question in plain language and get answers and charts. That feature is called Ask AI Insights.

Training reaches people without a manual step. When an employee joins, Valamis assigns courses by role, department and location. A mobile app for iOS and Android carries the same courses and records. People download content on Wi-Fi and finish it offline, and progress syncs when they reconnect. Valamis aims the app at technicians, drivers, nurses and retail staff. For courses built inside Valamis, AI translation covers more than 50 languages. AI also drafts lessons, quizzes and summaries, and what it drafts may depend on the package.

Valamis works with outside courses and AI tools. It imports SCORM and xAPI course packages. SCORM is the standard file format for e-learning courses. The xAPI format is a standard for learning records. Valamis connects to Microsoft Copilot, Claude and ChatGPT through a standard called MCP. Those tools can ask Valamis for compliance status, training records and skills data. Authoring in Valamis Studio carries no per-author licence.

Reminders, separate areas for outside groups and AI that a person checks

Certificate expiry comes with reminders and manager escalation

Valamis tracks when each certificate runs out. It reminds the person at renewal intervals you set. It then escalates to their manager. It sends expiry alerts and builds audit reports in real time. Attendance at live sessions is stored with a time stamp in each person’s compliance record.

Completions return to SAP SuccessFactors

Assignments sync from SAP SuccessFactors into Valamis, and completions sync back. SuccessFactors stays the master record. For Workday, Valamis syncs user data into Valamis, and Workday stays the master record. Valamis also has ready-made connections to BambooHR, HiBob and Oracle PeopleSoft. Staff can log in with their work account from Azure AD, Okta or Auth0. Ask whether completions return to your own HR system.

Each outside group gets its own separate area

Valamis is designed to train employees, partners, resellers, subcontractors and customers in one place. Each outside audience gets its own isolated area. The same programme can run in each group’s own language. Translation sits inside the authoring tool with glossary control. In 2024 Valamis said a person can view and edit translated content before it is published.

AI output is checked by a person, and each AI feature has a switch

A person reviews every AI-generated output before it is published. An administrator can switch AI features on or off one at a time. In its G-Cloud service definition, Valamis lists one control that switches all AI on or off. Others work by area, such as content creation or search, and by user group. The AI runs on Microsoft Azure, on the same EU-hosted infrastructure as the rest of the platform.

Who Valamis is for, and what its customers report

Valamis publishes the customer results below. Each result belongs to the customer named.

Valamis is aimed at companies with 250 or more learners

Valamis is aimed at companies that train at least 250 learners. These can be employees, customers and partners. In a blog post, Valamis puts the best fit at 500 to 7,500 or more employees in regulated industries.

For required training, Enento Group raised completion from 70% to 90%

That result is for mandatory training. Enento brought 500 learners into the platform at the start. If required courses are your reason to buy, ask Valamis for a reference at your own learner count.

For large outside audiences, Motorsport UK moved 10,000 volunteers onto Valamis

Motorsport UK moved accreditation for more than 10,000 volunteers to Valamis. It also connected Valamis to its membership system, Sport:80. Motorsport UK reports a median of 1 hour 24 minutes from first click to completed accreditation. It reports that 37% finish on the same day.

For scale, a Nordic government agency reports annual cost reductions of €4 million

The agency rolled Valamis out to an audience of 300,000, with 50,000 to 70,000 active users a year.

For many countries, Vaillant Group runs 23 separate Valamis systems in 21 countries

Vaillant Group has 17,500 employees. Vaillant reports a 240% rise in eLearning clicks since it introduced Valamis. If you operate in many countries, ask how many separate systems your plan needs.

One caution is Variosystems, which began with 20% of its 2,500 employees engaged

Early on, 20% were actively engaged. Variosystems set a goal of 50% within three months. Ask Valamis for the figure it reached.

Data use, hosting and leaving are the points to settle first

Two documents let Valamis use data about how you use the product

Under Valamis’s terms, Valamis may use data from your use of the product. That covers its own product development and similar purposes. In the Dutch text of its data processing addendum, Valamis may use all data about your use of the services. That includes personal data. Valamis may use it for product development and other purposes. In the same text, Valamis is a data controller for processing done for purposes outside the addendum. In its privacy policy, Valamis acts as a processor for you. On its data security page, Valamis says customer data is never used to train AI models. Ask whether product development covers AI, and get the answer into the contract.

Hosting is described in two ways

On its data security page, Valamis stores and processes EU customers’ data in EU Microsoft Azure data centres by default. US hosting is available on request. Data leaves the EU only in rare support cases, with legal safeguards. In its G-Cloud listing, Valamis gives the storage locations as the UK, the European Economic Area and other locations. In the same listing, Valamis gives users no control over those locations. Ask for the hosting country, and the support cases that move data, to be named in the order form.

Security certificates arrive on request, and one has a stated scope

Valamis holds ISO 27001, ISO 27017 and a SOC 2 Type II report. It sends the certificates, the report, the data processing agreement and the EU standard contract clauses on request. In its G-Cloud listing, Valamis limits the ISO 27001 certificate to the development, production and maintenance of its learning platform. Ask for the certificate and read its scope before you sign.

Your records leave as files, and you must ask for them in time

At the end of the term you can export course content and xAPI statements at no extra cost. The xAPI statements are learning records in a standard format. Valamis exports them in JSON format. Valamis can support the export for an extra fee. Offboarding and data deletion start within 30 days unless agreed otherwise. If you make no export request, Valamis permanently deletes all your data and settings, including backups. Agree the export date and the deletion date in writing.

Set-up time is described in two ways

On its platform page, Valamis says most companies launch in weeks, not months. In a blog post, Valamis says it is not a quick setup. G-Cloud customers get a Solution Delivery Manager and a Learning Solution Partner. The implementation runs from discovery to go-live and hypercare, which is extra support after go-live. It includes training for administrators. Ask for a dated plan.

Skill levels and business results need input from you

Current skill levels come from self-assessments or manager input. Performance data from connected systems adds to them in some setups. On its product training page, Valamis says linking training to business outcomes needs an analyst. It can also use an integration with your CRM or support system. Ask who does that work and what it costs.

A price per learner tier, on a three-year agreement

Valamis prices by learner. The price depends on learner numbers, customisation, and support and training services. It sells three packages called Foundation, Standard and Enterprise. On its pricing page, Foundation covers AI content tools and implementation help. It also carries 24/7 enterprise-level support with a service level promise. Standard adds a mobile app and HR system connections. Enterprise covers several separate sites and training for outside groups. Advanced customisation and eCommerce cost extra.

Valamis also says pricing typically includes the mobile app. On its mobile app page, Valamis says the app carries no separate licence and no per-user surcharge. Ask whether Foundation includes the app, and which package holds the connections you need.

G-Cloud 15 price per user, in pounds · 3-year term
Learners Foundation Standard Enterprise
500 £29.25 £45.00 £54.00
1,000 £18.04 £27.75 £33.30
2,000 £13.89 £21.38 £25.66
5,000 £8.76 £13.50 £16.20
10,000 £7.77 £11.95 £14.34
20,000 £6.48 £9.98 £11.98
25,000 £5.97 £9.18 £11.02
50,000 £4.15 £6.39 £7.67

Valamis gives no period, per month or per year, beside these figures. In blog posts, Valamis puts its starting price at around EUR 17,000 a year on annual agreements. G-Cloud is the UK government’s buying framework. Ask whether a private buyer pays the same list, and which period the figures use.

Valamis says further multi-year and volume discounts can apply. In its G-Cloud listing, Valamis sets volume discounts by annual contract value. They run from 0% below £250,000 to 5% above £5,000,001.

One public contract gives a second price point. The Finnish company HAUS kehittämiskeskus Oy awarded Valamis a hosted learning system contract in October 2025. HAUS gave the result value as EUR 647,800 for a fixed 36-month term that can be extended. In its description, HAUS estimated EUR 400,000 to 500,000 over four years.

What the agreement says
Term What it covers
Length Three years is standard. Five years is available. One year is available for consideration.
Renewal The agreement renews for 12 months at a time. Either side can stop it with written notice at least 90 days before the term ends.
User tier The agreed tier is the minimum for the whole term. Using more than 10% over the tier for three months in a row moves you up a tier. The tier does not fall below the agreed minimum if your user count drops.
Billing Fees are invoiced annually in advance. Payment is due in 30 days.
Price at renewal The renewal price is the list price at that time, unless agreed otherwise. After the first term Valamis may adjust prices to EU inflation on 60 days’ written notice. If you do not accept the change, you may end the agreement. The end date is the date the change takes effect. You give 30 days’ written notice. A data export or migration in that period is at your own cost.
Plan changes You can upgrade at any time. Downgrades are available after the initial contract period.
Uptime and support Valamis commits to 99.9% availability each month, with a remedy below that. A weekly maintenance break of usually 30 minutes at most is scheduled. An optional Critical Response SLA (service level agreement) costs an extra 50% of the annual fee.
Support On its pricing page, Valamis puts 24/7 enterprise-level support in Foundation. In its G-Cloud pricing document, Valamis lists standard email support for Foundation. In its G-Cloud listing, Valamis includes 24/7 email and phone support in the subscription.
If Valamis stops the product Valamis gives six months’ written notice. It refunds prepaid fees beyond the end date.
Liability and disputes Liability is limited to direct damages. Disputes go to arbitration in the country of the Valamis company that signs.
Marketing Valamis may use your name and logo in its marketing.
Trial In its G-Cloud listing, Valamis offers a free trial of 2 to 4 weeks. In its pricing FAQ, Valamis offers a free trial or demo. In a comparison table in a blog post, Valamis marks the free trial as No.

Alternatives to Valamis, including buying nothing yet

Each alternative answers one place where Valamis stops. A course library answers the content Valamis does not hold. Workday keeps assignments, completions and audit trails inside Workday. Buying nothing yet answers the three-year commitment.

Valamis says it is not a content library. It connects to outside libraries instead. LinkedIn Learning is a library of courses, certifications and personalised learning experiences. Managers can assign courses to their team. Its subtitles cover more than 10,000 courses in the English library, in 46 machine-translated languages. For courses built inside Valamis, Valamis translates with AI into more than 50 languages. Weigh which languages a library adds against that. Ask Valamis whether LinkedIn Learning is among the libraries it connects to.

Valamis syncs Workday user data into Valamis. For SAP SuccessFactors, it also syncs completions back. For Workday, Valamis says Workday stays the master record while Valamis handles delivery, completions and reports. Workday Learning provides assignment management, completion tracking and audit trails for compliance inside Workday. So a Workday customer must settle with Valamis whether completions return to Workday. The page for HR suite customers covers that route.

Buying nothing yet is also an option. A three-year agreement is standard, and the tier you sign is the minimum for the whole term. Make that commitment only once the need is clear. The market guide compares the products in this market.
