Workday
Workday sells two learning products. Workday Learning, powered by Sana, is built on Workday HCM, Workday’s HR system. Sana Learn is sold for any HR system. A quote can name either one. Both write courses with AI and give learners an AI tutor. Their AI training terms sit in different documents. Check which product you are being sold before you choose.
Two learning products from Workday. Workday Learning is built on Workday HCM, Workday’s HR system. Sana Learn can be bought for any HR system.
You want AI course writing, an AI tutor and compliance tracking in one product. You get Workday’s answer in writing on how it uses your content to train its AI. For Sana Learn, you have at least 300 users.
You need the AI training wording to read the same in every document. For Sana Learn, you cannot commit to a minimum user count for the whole term. You need an uptime promise that does not depend on Workday’s “commercially reasonable efforts”. That phrase means efforts a business would call reasonable.
Sana Learn is priced per user per month from 300 users, on a three-year basis. Sana’s figure is indicative, and it sets a tailored price after an intro call. Ask Workday for a written price for Workday Learning.
Workday sells two learning products, so ask which one the quote covers
Workday sells both products, so a quote can name either one. Workday Learning is built on Workday HCM, so learning sits beside wider workforce data. It is built for Workday customers. Sana Learn can be bought, set up and run beside any HR system, with no move to Workday systems. Sana Learn continues as an independent product. It complements Workday Learning, and together they form a learning suite.
Both products write courses with AI. In Workday Learning, subject matter experts turn raw knowledge into content with AI course generation. Authoring comes with an AI writing assistant. In Sana Learn, authors upload PDFs and SCORM files. SCORM is a standard format for e-learning courses. The author chats with the AI to build a course and views the generated cards. They accept the cards or discard them. Sana tells authors to review each AI-written quiz question before approving it.
Every employee gets a personal AI tutor in Workday Learning. In Sana Learn, the tutor in courses answers from the course content and never from generic information. In Sana Learn search, the tutor flags a question that falls outside its sources. It asks whether to use general knowledge.
Sana Learn syncs with Workday HCM, SAP SuccessFactors, Oracle Cloud HCM, Rippling, BambooHR, Hibob and Personio. The sync enrols learners and assigns access. Sana marks some connections as custom, which means it builds them for the customer. Workday Learning has standard links to LinkedIn Learning, Skillsoft, Udemy, Harvard ManageMentor and YouTube.
Required training stays in view, and courses can be exported
Overdue training gets chased for you
In Sana Learn, required content comes first in learners’ to-do items and libraries. Reminders go out 7 days before the due date and again 14 and 29 days after it. Certificate expiry notices go out 30 days and 7 days before expiry. Workday Learning provides assignment management, completion tracking and audit trails for compliance. Managers can pull up-to-date reports of staff training status.
M Physicians reports 98% HIPAA training completion in 30 days
M Physicians is an organisation of 3,500 people. Its Learning team administers learning through Workday campaigns. It reports 98% completion of HIPAA training within 30 days of adopting Workday Learning. HIPAA is the US health privacy law. M Physicians also reports that compliance reporting fell from 4 hours to 20 minutes.
Sana Learn courses and records can move to another system
Sana Learn exports a course as SCORM 1.2 or SCORM 2004. It imports external courses in the same two formats. Completion data can be exported on a schedule as files or spreadsheets. It can also be sent to another system as it happens, using xAPI. xAPI is a standard for passing learning records between systems. Sana has built the foundation to support xAPI and sets it up client by client.
Named customers run from 400 to 8,500 people
Sana Learn customers include a company of 400 and one of 7,500
Veriff has 400 people. Spryker has 500 and reports a full move to Sana in 8 weeks. Polestar has 3,000. Ahlsell has 7,500 and reports 98% completion of code-of-conduct training, up from 60% before.
Bronson Healthcare, with 8,500 employees, onboarded 1,200 people remotely
The onboarding took 9 months and used Workday Learning. Bronson’s developers build digital courses that run on a laptop, smartphone or tablet.
Both products can train people outside the company
Workday Extended Enterprise for Learning gives partner organisations the same training content as employees. Bronson uses it so contractors get the same content. Sana Learn also takes external learners such as customers or partners.
Workday’s terms and Sana’s own terms answer the AI training question differently
Both products use AI, so the first question is what happens to your content. The answer depends on which document you read, and each set of papers can apply to both products.
Workday covers both Workday Learning and Sana Learn in its Talent Management Product Terms. Under those terms, customer content is used to train and improve Workday’s AI and analytics features for the product line. The customer can manage that use for what the terms call Talent Management Enhanced Features. Staff use of AI agents inside Workday applications creates data. That data is required to train and improve the agents used with the product line. The customer is responsible for assessing whether the AI features and their results are suitable. That check comes before making them available to end users.
Sana’s own terms, privacy notice and help pages read differently. Sana never trains models on customer data, in the words of its help pages. Under its privacy notice, neither Sana nor its outside providers use personal data to train AI models. Sana adds a limit for its outside providers. No training of large language models is allowed on Sana’s data or its customers’ data. Large language models are the AI behind chat tools.
Workday never shares customer data to train third-party public models. That comes from its Responsible AI page, which covers third-party public models. The product terms cover Workday’s own AI features. The questions below ask which paper governs each product.
The uptime promise has conditions
Workday’s Sana service terms set 99.5% monthly uptime on a commercially reasonable efforts basis. That means the promise depends on Workday making efforts a business would call reasonable. The customer must request a remedy within 60 days of a failure. These terms cover Sana Learn. They cover Workday Learning, powered by Sana, for the End to End Deployment Scope only.
In Sana Learn, the AI tutor works in Sana-built courses only
Tutor Mode in courses is available for self-paced Sana native courses only. SCORM courses do not support the tutor. Sana’s adaptive learning engine needs the course to be hosted on Sana.
In Sana Learn, certificates and repeat assignments run on separate clocks
Recurring assignments are independent of certificates. The customer must line up the repeat cycle with each certificate’s expiry.
In Sana Learn, an administrator can mark a course complete
Administrators can mark a course or programme completed for a user, or reset progress. That changes the training record.
Workday does not warrant accessibility compliance
Workday measures progress with an accessibility conformance report for each product. It helps customers arrange independent checks against WCAG 2.2 A and AA, Section 508 and EN 301 549. WCAG is the international web accessibility standard. Workday does not warrant compliance. Sana is working toward full WCAG 2.1 AA compliance for learners.
Sana hosts images and recordings in the US by default
Cloudinary hosts the images and recordings for Sana Learn, and its default datacentre is in the US. Google Cloud hosts Sana with the EU as the default and the USA as an option for US customers. Without a separate agreement, Sana’s standard worldwide setup applies, so ask Sana where your data goes. Sana’s outside providers also include OpenAI, DeepL, ElevenLabs, D-ID and Jina AI. In Sana Learn and Workday Learning, powered by Sana, OpenAI handles search and content generation. OpenAI does not keep the data. DeepL translates content and D-ID makes video avatars. ElevenLabs turns text into speech. Jina AI receives the URLs and search queries that users submit.
Sana Learn starts at 300 users, and the contract length needs checking
A Sana Learn user is anyone given access, including external learners, and the customer pays for each one. Sana charges no one-off implementation fee, and onboarding is not an added cost. No capabilities are locked behind add-ons, and Sana charges no surprise fees.
On Sana’s pricing page, the price is based on a 3-year contract. Sana sets a 12-month service term in its Terms of Service unless the agreement provides otherwise. Ask which applies to your order.
Under Sana’s terms, stated minimum commitments are non-cancellable. They cannot be decreased during the term. On Sana’s pricing page, the plan flexes as headcount changes. Ask what happens to the fee if your headcount falls. For an additional term, Sana’s terms let it raise the fee in line with the Swedish Consumer Price Index.
Workday Flex Credits are Workday’s usage-based pricing for AI agents and new platform features. Ask whether any Workday Learning feature draws on them.
Under Workday’s main subscription agreement, the customer owes all future amounts due under every order form. That holds for any reason for ending the contract other than an uncured material breach by Workday. On written request, the customer gets up to 60 days of access at no additional cost to retrieve its content. Sana keeps user data in backups for 30 days before it is anonymised.
You could also run training steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Alternatives to Workday Learning and Sana Learn, including buying nothing
If these terms do not suit you, look at Disco or Totara. Buying nothing yet is a third route.
Disco commits not to use customer data to train or fine-tune AI models. That commitment is limited by its third-party AI providers’ compliance with their data terms. Disco also promises in its Terms that it will not intentionally permit AI training on organisation or member data. Compare that wording with Workday’s product terms.
Totara suits a buyer who wants a shorter period to commit to. The Totara Cloud Terms of Service set a subscription period of three or twelve months. It renews automatically unless either party gives 30 days’ notice. Ask Totara what each period costs.
Buying nothing yet is a real option if fewer than 300 people would use Sana Learn. Its plans start at 300 users, and its minimum commitments are covered above.
