Workday Recruiting

Workday Recruiting is the hiring part of Workday HCM, the core HR system. The scoring and chat AI are add-ons with their own per-employee prices, and the agents are charged by use. Read the US court case, the narrow bias testing and the data settings first, because they all concern that AI. Customers sign multi-year contracts, so price the whole term before you sign.

Workday Recruiting is the hiring part of Workday, with the AI sold on top

In one line

Workday Recruiting handles hiring inside Workday. Its AI scoring and chat tools are add-ons with their own prices.

Buy it if

You run Workday HCM already, or are about to buy it. You want hiring in the same system that holds your HR records. You can sign a multi-year contract.

Do not buy it if

You want to be able to leave part-way through a term. Your lawyers want the court case on its AI scoring resolved first.

Price

Workday prices Recruiting inside a bundle per employee per year on G-Cloud, the UK government’s buying catalogue. Recruiting has no price line of its own there, so ask Workday for one. Flex Credits, which agent and platform features may require, cost £7,556 for 10,000 a year.

Recruiting is the base, and HiredScore and Paradox add the AI

Workday sells hiring as a base product with add-ons. Knowing which is which decides what you pay and what the AI does to your applicants. The base is Workday Recruiting. It lets a team manage requisitions, screen and interview candidates and send offers. Recruiting covers the steps from requisition to offer, plus career sites and pre-boarding programmes. Candidates get a Candidate Home and text messages.

HiredScore is the add-on that grades applicants, so read its limits closely. Workday bought it. The Recruiting Agent is powered by HiredScore. It compares each applicant with the job requirements and gives a grade with a reason. HiredScore Spotlight, its grading tool, gives grades from A to D. The AI also surfaces past applicants and leads in a recruiting CRM, which is a database of possible candidates. Demographic data is not factored into HiredScore AI for Talent scoring or grading. When HiredScore AI for Talent is used, final hiring decisions stay with the recruiter and hiring manager.

The second add-on is Paradox, which Workday bought in October 2025. Read this add-on most closely if you fill many similar roles. Workday builds its Conversational ATS for high-volume and frontline hiring, and candidates apply by text message. Paradox powers the Candidate Experience Agent, a chat assistant. The Candidate Experience Agent asks must-have screening questions. Candidates book their own interviews from the hiring manager’s calendar. The Conversational ATS carries a candidate from the first message to onboarding forms. One example is Form I-9, the US form that checks a new hire may work there. The Conversational ATS also sends offers from templates.

A third piece is the Talent Acquisition Agent. It coordinates interview panels, books slots and sends interviewer prep on its own. It works inside limits that recruiters set. Workday adds a notice to that agent’s page that announced products described there are not yet generally available. Ask what you can buy and use today.

Two Workday sources differ on how Paradox connects. In Workday’s G-Cloud entry for Paradox for Workday, the product needs Workday Recruiting, which needs Workday HCM. On Workday’s Candidate Experience page, the agent connects to the employer’s existing applicant tracking system. Ask which of these applies to you before you plan around either.

Every AI setting needs an owner. Customers decide how AI outputs are used in their hiring process. Because your team can switch each feature on later, someone has to own that choice. Write down who on your side can change each setting.

Our guide to applicant tracking systems covers how the rest of this market handles the same choices.

What works in Workday’s favour

Five things stand out as real advantages for a team that already works in Workday. These are features Workday sells, so ask to see each one running on your own hiring steps.

Hiring sits in the same system as your HR records

Workday HCM, the core HR system, holds Workday Recruiting. A team can manage requisitions, interviews and offers without a separate hiring product. Workday combines Recruiting, HiredScore and Paradox as one suite. That gives you one supplier to call about the whole hiring path.

You can switch the AI on or off

Customers can turn capabilities on or off. Workday told the court that Recruiting customers can enable, disable, use or ignore its features, AI features included. So the AI does not have to be part of your first rollout, and you can add it later.

Interview work gets lighter for hiring managers

Hiring teams get guided steps and AI-summarised feedback. Interviews with several people, rooms or locations are scheduled automatically. Hiring managers can share interview feedback in Microsoft Teams and Slack. They can also create requisitions on a phone.

Candidates can apply by text message, with no login

Candidates can apply by SMS, WhatsApp or Facebook Messenger without logging in. They also book their own interviews through the same chat. Workday gives over 30 languages for the Paradox candidate experience on its own website. In its G-Cloud datasheet text, Workday gives more than 100 languages for screening and Q&A. Ask which languages apply to your roles.

Workday holds an ISO/IEC 42001 certificate and a NIST attestation for its responsible AI programme

ISO/IEC 42001 is the international standard for managing AI. Workday’s responsible AI programme holds that certification. It also has a third-party attestation of alignment with the NIST AI Risk Management Framework. Workday publishes an AI Fact Sheet for each AI feature. Under its master agreement Workday will make the fact sheets available to the customer. So you can ask for the fact sheet for each feature you plan to use.

Do these customer results look like your hiring?

All of these results come from Workday’s own pages. The Capita and Essentia Health stories come from large employers. Capita employs around 32,000 people, and Essentia Health employs over 15,000. So the results show what is possible at that scale, not what you will get. Check whether your hiring volume looks like theirs before you borrow their numbers.

Capita gets about 300,000 applications a year

Capita added HiredScore to Workday Recruiting. Capita reports it cut time to hire by 43% since introducing HiredScore.

Essentia Health cut time-to-hire by 30%

Essentia Health’s agent can move candidates into a full application in Workday Recruiting.

Workday reports results for three more customers

On its Talent Acquisition Agent page, Workday reports that 7-Eleven saved two million hours a year. Accenture cut time-to-fill by 25% across seven million applications a year. Autism Learning Partners raised yearly hires by 50% without adding recruiters.

Workday gives a 60% average rise in recruiter capacity for HiredScore

Workday gives this figure for HiredScore AI for Talent. It is an average, not a result for any one company.

A court case, narrow bias testing and data terms to read first

Five things here could change your decision. Each is easier to settle before a demo than after a contract. The biggest is a court case about the AI that scores applicants. The others are bias testing, a chat agent that can disqualify candidates, and how applicant data is used and stored. Read these before the demo, not after it.

A US court case claims Workday’s AI recommendations discriminate

Mobley v. Workday is a US court case. The claim is age discrimination, and also race and disability discrimination, by Workday’s AI applicant recommendation system. On 16 May 2025 the court granted preliminary collective certification, which is a step towards a group claim.

The court looked at HiredScore, which Workday calls a separate product

On 29 July 2025 the court looked at whether the HiredScore AI features fall inside the group. The court wrote that they are part of Workday’s job application platform for the preliminary collective. Workday’s statement, recorded in the order, is that HiredScore is a separate product. Workday told the court it can run on Workday or on any other applicant tracking system.

The case is open, and its scope now takes in HiredScore

The risk has not gone away, and it could still change. The dates show how the case has moved. On 22 June 2026 the court ruled on Workday’s request to dismiss the plaintiffs’ Third Amended Complaint. It granted the request in part and denied it in part. On 2 July 2026 it denied Workday’s request to appeal before the case ends. On 14 September 2026 the plaintiffs asked for class certification, with declarations from 38 opt-in plaintiffs. Ask your lawyers what this means for an employer that uses the tool.

Workday’s own bias analysis covers one area and five job types

Secretariat, an outside firm that Workday engaged, analysed Workday’s own use of HiredScore Spotlight. It covered applications from US residents for roles in the greater New York City area. The period ran from 1 September 2025 to 28 February 2026. Only the five job profiles with the most applications were included. Workday notes that the results are specific to its own deployment. Ask Workday what testing covers your roles and the places you hire in.

The chat agent can disqualify candidates on rules you set

The Paradox agent asks must-have screening questions. It then qualifies or disqualifies candidates on the employer’s hiring criteria. Workday’s statement that the recruiter and hiring manager make final decisions covers HiredScore AI for Talent. So ask whether a person sees every disqualification the chat agent makes.

Your applicant data may help train Workday’s AI, depending on settings

Workday never shares customer data to train third-party public models. In its Responsible AI whitepaper, Workday adds that it processes customer data for AI under customer instructions and account settings. That includes cases where customer data trains Workday’s AI models. Customers can set the use of their data for those models, or ask Workday to disable it.

Where the data sits, and what the security certificate covers

For Paradox for Workday on G-Cloud, Workday gives the European Economic Area as the place data is stored and processed. Workday adds that the user cannot control where. For Workday HCM, which holds Recruiting, Workday gives the United Kingdom and the European Economic Area. Workday also notes that HiredScore is not covered by its ISO/IEC 27001 certification.

What it costs, how long you sign for and how you leave

Workday charges for hiring on two meters, one by employee and one by use. The AI comes on both. HiredScore and Paradox are priced per employee, and the AI agents are charged by use through Flex Credits. The per-employee price follows your headcount. Flex Credits follow how much hiring work the agents do. So a team that hires at high volume should size the Flex Credits bill from its own applicant numbers.

The clearest public prices come from G-Cloud, the UK government’s buying catalogue. Workday’s prices there are in pounds and exclude VAT. Minimum deal values apply, and the order form carries the full terms. Use the prices as a guide to how Workday charges.

Workday prices Recruiting inside a bundle, per employee per year. There is no line for Recruiting alone. One bundle holds Recruiting and HiredScore AI for Talent, which Workday also sells as its own line. Subscription pricing rests on employees, users or other size measures, and for some applications on usage.

Paradox for Workday is also priced per employee per year. For companies of 500 to 1,500 employees, Candidate Experience costs £49.55 and Conversational ATS costs £64.77. For a company of 1,000 employees, that comes to about £49,550 and £64,770 a year before VAT. The sum assumes the band rate applies to every employee. The Paradox prices apply to standalone purchases only. Ask what a bundle costs.

The agents bill for each task, so the cost follows your applicant volume. Flex Credits charge for work done, not employee count. On G-Cloud, 10,000 Flex Credits for a year cost £7,556. On Workday’s rate card, each resume the Recruiting Agent grades and scores costs 6 Flex Credits. Each requisition where the agent searches past applicants costs 750. Workday also offers complimentary Flex Credits based on company size.

Here is a worked example. At the G-Cloud price, one scored resume comes to about £4.53. Say the Recruiting Agent grades all 500 resumes for one job. That uses 3,000 Flex Credits, or about £2,267. The sum mixes two price sources, and the rate card is not an offer or a contract. Use it to size the question, not to budget. One question stays open. Does HiredScore bought inside the bundle also draw Flex Credits for grading? Put that to Workday.

Implementation has its own price on G-Cloud, apart from the subscription. A Paradox implementation consultant costs £225 an hour or £1,687.50 a day. Workday also delivers Paradox projects for a fixed fee. Ask whether the fixed fee is built from those rates and what it covers.

The contract is the next cost to weigh. Workday does not offer termination for convenience, which means ending a contract without a breach. Customers sign multi-year agreements. Under the master agreement, termination other than for Workday’s uncured breach does not relieve the customer of future fees. Workday keeps an availability policy and compensates customers for certain failures to meet it. For Paradox for Workday, it commits to 99.9% availability each month.

If you leave, these terms decide how you get your data out. Under Workday’s master agreement a leaving customer gets up to 60 days to retrieve content. Content is available in a machine-readable format. Customers may download content at any time during the term. Workday provides export tools during the term and securely erases data when the contract ends, which it calls cryptographic erasure. For Paradox, Workday makes customer data available to leaving customers as CSV, a plain spreadsheet file. For Workday HCM, the customer can extract data itself or engage Workday services or a partner.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Nine questions to put to Workday

These questions fill gaps in Workday’s public material, or ask for a change to the contract. Each comes with the answer you want to hear.

  1. Which products and prices are in our quote, line by line? Good answer: A quote that covers Recruiting, HiredScore, Paradox and any agent, each with its own unit price.
  2. How many Flex Credits will our hiring use in a year, and does HiredScore inside the bundle draw any? Good answer: A written estimate from our applicant numbers, with the price of extra Flex Credits. A clear answer on HiredScore.
  3. Does a person see every disqualification the chat agent makes? Good answer: A setting we control, written into the order form.
  4. Which AI Fact Sheet covers each feature we switch on? Good answer: A named fact sheet for every feature, handed over before signing.
  5. Is our applicant data used to train Workday’s AI models, and who on our side controls that? Good answer: Use switched off for us in the order form, with a named person who can change it.
  6. Where is applicant data stored and processed for Recruiting, HiredScore and Paradox? Good answer: A named country or region for each product.
  7. What uptime figure applies to Recruiting, and what do we receive if Workday misses it? Good answer: A written figure and a written remedy in our own order form.
  8. What do we owe if we stop using it part-way through the term? Good answer: A plain statement of the fees due, tied to the clause in the master agreement.
  9. What does the Mobley case mean for an employer that uses HiredScore, and what testing covers our roles? Good answer: A written answer from Workday’s legal team that our own counsel has reviewed.

Alternatives to Workday Recruiting

Some of Workday’s hiring AI does not depend on Workday’s hiring system. Workday told the court that HiredScore can run on any applicant tracking system, not only Workday. Workday sells the Candidate Experience Agent through Workday or through Paradox, which it now owns. So you can weigh the AI apart from the hiring system. In Workday’s G-Cloud entry for Paradox, the product needs Workday Recruiting, so confirm which applies to you.

If you want a recruiting price you can read in advance, Oracle publishes one. Oracle prices Fusion Recruiting at $8.00 a month for each hosted employee, with a minimum of 500. Oracle prices its AI agents on separate lines, so compare like with like. Use Oracle Recruiting as a yardstick against Workday’s quote.

Other hiring systems to price against include SmartRecruiters, UKG, Dayforce, ADP, Greenhouse and iCIMS. Buying nothing new is also a choice. Our comparison page sets all of these side by side.

Sources and method Everything here about Workday Recruiting comes from Workday’s own material. That covers its website, datasheet, rate card, master subscription agreement and customer stories. It also draws on Workday’s G-Cloud listings and price documents. Court orders in Mobley v. Workday are a source too. So is Oracle’s global price list for the alternatives. What Workday publishes about its own product is taken as a true description of that product. Every source was read on 2 November 2026.
