iCIMS

iCIMS runs hiring from job request to offer, and it links to the big payroll and HR suites. Some of its AI helpers are sold apart, so ask for one written quote that prices every piece. Some duties stay with you even with iCIMS in place. They include the New York City bias audit summary and accessibility testing of the recruiter screens. They also include answering candidates who ask to see or delete their data.

iCIMS is a broad platform, so check what each add-on costs

In one line

iCIMS is a large applicant tracking system with chat, text and AI helpers around it. Some of its AI helpers are sold apart. The Hiring Agent needs the Teams link and a subscription.

Buy it if

You hire for many roles at once or in several countries. You want hiring tied to Workday, SAP, ADP, Oracle or UKG. You want one supplier for text hiring, video interviews and onboarding.

Do not buy it if

Your staff use assistive technology and iCIMS cannot show recruiter screens working on your set-up. Also skip it if you cannot get every add-on priced in one document.

Price

Ask iCIMS for a written quote that prices every piece. One US Department of Defense order to iCIMS for its platform was $12,600. A separate US order of $2,745,321.91 went to Booz Allen Hamilton for iCIMS set-up work.

What each person gets, from job request to signed offer

A hire passes through three sets of hands, and each one needs something different from the system. Follow one hire from request to offer. You see what the recruiter, the hiring manager and the candidate get at each step.

The hire starts with a request in iCIMS Hire, its main hiring platform. Nothing should go live before someone approves it. So iCIMS sends jobs, candidates and offers through approval chains set in advance. The recruiter then posts the job to several job boards from one place. Templates carry pre-approved wording for jobs, emails and offer letters. Hiring managers start from wording that is already cleared. The system also captures and reports on US equal-opportunity (EEO) data, time to fill and time to hire. Its built-in analytics report application volume, conversion from one stage to the next and time spent in each stage. That means you can see where candidates wait.

Candidates meet the system next, and most of what they feel about your hiring happens here. A candidate books their own interview from the interviewers’ free times. The booking syncs with Office 365, Outlook and Google Calendar, so the interviewer’s diary stays right. When a rule triggers, a Zoom or Microsoft Teams interview is scheduled and the invitation goes out on its own. A candidate can finish an application entirely by text message. Text hiring runs over SMS, Facebook Messenger, WhatsApp and WeChat in dozens of languages. A chat assistant on the career site answers questions and screens candidates in 20 languages. It also lets qualified candidates book a video interview at any hour, so they do not wait for office hours.

At the end, the offer must be fast and correct. Candidates can review and accept offers online on any device. Once an offer receives final approval, it can trigger the DocuSign send automatically. That way the approval and the letter stay in step.

The AI helpers work around all of these steps. Inside the applicant tracking system, iCIMS compares, ranks and matches candidates to jobs. It also surfaces best-fit people for newly created jobs. The Hiring Agent works inside Microsoft Teams, so hiring teams can review candidates, share feedback and move approvals there. iCIMS announced the Hiring Agent in Microsoft Teams on 20 October 2026. The Hiring Agent also captures and summarises interview feedback. The Sourcing Agent finds and ranks people, including past silver medallists and profiles that sit unused. A silver medallist is someone who nearly won an earlier job. It sends outreach at the level of automation your team picks, so your team sets how much it does alone.

A talent CRM keeps in touch with people who are not in a live hiring process. iCIMS’s version is called CXM. It can work with iCIMS’s applicant tracking system or with another one.

Hiring for many similar roles has its own product. iCIMS made High Volume Hiring generally available on 9 July 2026. It pairs chat-based AI with a mobile workspace and links to iCIMS Hire. iCIMS also offers Frontline AI. Frontline AI is built on Apli’s chat and assessment tools and works inside iCIMS Hire. iCIMS announced on 11 September 2025 that it had bought Apli. iCIMS reports that Apli customers automate up to 90% of the frontline hiring process. It also reports that they cut time to fill by up to 75%. Treat those as iCIMS’s figures for Apli customers, not a promise for your volume.

The other links cover checks and onboarding. A Fragomen link for Form I-9 and E-Verify checks can be activated inside the applicant tracking system. iCIMS Onboarding works next to HR and payroll systems such as UKG, Ceridian and ADP. iCIMS’s Marketplace holds more than 300 products, including background checks and talent assessments. iCIMS puts its partner count at more than 750 on one page and more than 800 on another. For the wider market, read our guide to applicant tracking systems.

Where iCIMS is strong

Four things stand out in iCIMS’s favour. Each one answers a question a buyer in this market has to settle.

It joins up with the big payroll and HR suites

A hiring system has to hand over to payroll and HR, or someone types every new hire in twice. iCIMS’s applicant tracking system passes data both ways with most HR and payroll systems. Workday, SAP SuccessFactors, ADP, Oracle and UKG are among its most common links. When an onboarding product is connected, candidate and new hire details sync on their own.

It tests its ranking tool every week and has outside audits

A ranking tool can pick one group less often than another. That gap is called disparate impact, and a bias audit tests for it. iCIMS decided that its Candidate Ranking fits a New York City term, “automated employment decision tool”. The term covers software whose score or ranking substantially assists or replaces a hiring decision. iCIMS obtained an independent bias audit in November 2022 and a repeat in November 2023. iCIMS tests Candidate Ranking every week for disparate impact, and its AI Governance Committee oversees annual bias audits. iCIMS gives customers a public summary of audit findings on request. The newer outside report dates from November 2023, so ask for the current audit.

Your candidate data has a home, a backup and outside checks

You need to know where candidate data sits and what proof to hand your security team. US data sits in Virginia. EU data sits in Germany with a backup site in Ireland. Canadian data sits in Quebec with a backup site in Ontario. iCIMS puts its minimum uptime at 99.9% at every hosting location. Independent auditors check its privacy and security programmes, and it holds ISO 27001 and 27701 certifications. It maintains SOC 2 Type II audits. It also reports SOC 1, SOC 2 and SOC 3 compliance for all hosting locations. Customer data is encrypted at rest, which means while it is stored.

Candidates can be offered a route around the AI

Some candidates will want a route around the AI. New York City’s law requires notice to each candidate who lives in the city. The notice must give a way to ask for an alternative selection process or an accommodation. iCIMS provides settings to help you offer that alternative process, and settings for consent, opt-in, opt-out and unsubscribe. You have to switch them on and write the process.

Who already runs hiring on iCIMS

Before you buy, it helps to know whether iCIMS already works for companies like yours. iCIMS puts its customer count at nearly 6,000 on one page. Another page counts more than 4,400 companies across 200 countries, including a quarter of the Fortune 500. iCIMS also cites an average 22% decrease in time to fill against industry benchmarks, drawn from SHRM. Its customer stories run from 439 people to companies that hire tens of thousands a year.

A company of nearly 2,500 people cut time to fill from 23 days to 18

Suncoast employs nearly 2,500 people. It reports that time to fill fell from 23 days to 18 days after it put iCIMS in place.

PRMG, with more than 2,700 staff, builds offers in 5 to 10 minutes

PRMG has grown to more than 2,700 employees at 250 locations. Its hiring managers fill in the offer details and choose a template. iCIMS reports that this takes 5 to 10 minutes.

Two companies of around 440 people use the applicant tracking system

Velosio has 450 people and EagleView Technologies has 439. Both include the applicant tracking system among their iCIMS products. EagleView reports that it now hires 100% faster with it.

Isagenix cut onboarding time, and The Cheesecake Factory hires tens of thousands a year

Isagenix has more than 700 employees in the US and 1,000 abroad. It reports a cut of 83% in new hire processing time and 95% in onboarding time. The Cheesecake Factory hires more than 40,000 people a year on one iCIMS page and more than 30,000 on another.

Where iCIMS stops, and what is sold apart

iCIMS keeps buying companies, so the product list on your quote may differ from the demo. It bought Opening.io, EASYRECRUE and Altru Labs in 2020 and SkillSurvey in 2022. It bought Apli in 2025. Ask which products are sold apart today.

Some AI helpers need extra pieces first

A demo can show a helper that your quote does not include, so check what each one needs. The Hiring Agent works inside Microsoft Teams. It needs the Teams link, a subscription, set-up work and its workflows switched on. The Interview Scheduling Agent arrives in early 2027, by iCIMS’s own date. Customers have the option to add iCIMS Frontline AI. Check every product on your quote against what you saw in the demo.

iCIMS’s agents take action, and people decide at key stages

An agent that acts on its own changes who answers for a step. So you need to know where it acts. In June 2025 iCIMS said its agents will take action across hiring and hold conversations when no person is needed. It also said people keep the decision at key stages, and recruiters choose how much autonomy to switch on. Get the setting for each stage in writing, and name who on your side can change it.

Some links to your other systems cost extra

Links decide whether data moves on its own, so their fees matter. iCIMS sets limits and integration fees on its links, though some partner links carry no extra iCIMS fee. Activating iCIMS’s supported assessment, background screening and I-9 and E-Verify partners needs no professional services. It also needs no extra iCIMS integration subscription fee. Any change to the standard iCIMS API means buying a paid add-on. An API is the link other systems use to ask iCIMS for data. The Small add-on allows up to 25 field changes, so count how many fields your links change. The standard API allows up to 10,000 requests a day, and extra requests come in blocks of 10,000.

Recruiter screens sit outside its yearly accessibility audit

iCIMS runs outside accessibility audits each year between July and November. The logged-in screens for recruiters and hiring managers are not included, because customers generally set those areas up. iCIMS notes that customer branding and set-up often hurt accessibility. If a recruiter or hiring manager uses assistive technology, test your own set-up before you sign.

Your candidate data rules sit in the contract

Your contract with iCIMS decides what happens to candidate data, so read it before you sign. iCIMS keeps data for the timeframes in the Subscription Agreement. It may use customer data to provide support and to secure and improve the subscription. It may use “Public Personal Data”, iCIMS’s own term, for research and development, including testing its AI for biased output. It will not use, share or reference customer data except as the agreement or law permits. Candidates must contact you, not iCIMS, about access, correction, deletion and portability. That puts the work of answering them on you, so plan who handles those requests.

For jobs based in New York City, the bias audit duty is yours

New York City’s Local Law 144 covers tools that screen candidates. It applies only to employers and employment agencies that use such a tool in the city. The job location must be an office in New York City at least part time. The tool needs a bias audit within one year before use. A summary of the latest audit must be public on the employer’s website. The city’s Department of Consumer and Worker Protection confirms that the tool’s vendor is not responsible for its bias audit. iCIMS tells customers they must know their own obligations under the law. Ask iCIMS for the date of its latest audit and plan who on your side publishes the summary.

iCIMS expects most of its AI to be high-risk in the EU

iCIMS has decided that most of its AI systems fall into the EU AI Act’s high-risk category. The Act puts AI that filters applications or evaluates candidates on its high-risk list. Article 6(3) lets some systems escape the label, but it takes that route away from systems that profile people. If you hire in the EU, ask iCIMS which of its tools sit in which group.

Ask for one price that covers every piece

You will sign for the total and not for one product, so the quote matters more than any single price. Ask iCIMS for a written quote that prices every piece. It should cover the applicant tracking system and the volume product. It should also price each AI helper, the links to your other systems and the set-up work.

Two US government orders show how wide the spread can be. A Department of Defense order of $12,600 went to iCIMS for a digital recruiting platform. It ran from 26 September 2022 to 18 September 2023. A Department of Health and Human Services order of $2,745,321.91 went to Booz Allen Hamilton. It was a time-and-materials order for iCIMS deployment and implementation. The first buys a platform. The second is for set-up work by another company. Treat them as two buyers’ orders, not a price list.

Support is part of what you pay for. iCIMS offers implementation services, live and on-demand training, certification programmes, a self-service knowledge base and a dedicated customer success team. Ask what the quote includes and what is billed on top.

Leaving is part of the price too. iCIMS’s developer tools can pull CV files out and update them. Its Streaming Connector exports large data sets and keeps them in sync. Ask how a full export works and what it costs before you sign.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Nine questions for the demo

These questions have a right answer, and a vague reply is a warning. Take them to the demo.

  1. Which pieces are on this quote, and which are separate products? Cover High Volume Hiring, Frontline AI, each AI helper and the talent CRM that keeps in touch with past candidates. Good answer: One document with each piece priced and dated.
  2. Which AI steps can act without a recruiter on day one, and who can change that? Good answer: A written list by stage, a named admin and a change log.
  3. When was Candidate Ranking last audited, and can we read the full report? Good answer: A date inside the last twelve months and a summary we can publish.
  4. How many field changes will our links need, and which paid add-on covers them? Good answer: A count of our field changes and the add-on price in the contract.
  5. If Virginia fails, which site takes over for our US data? One iCIMS page puts it in Oregon and another puts it in Oregon or Washington State. Good answer: One named site written into the contract.
  6. What do you do with our candidate data beyond running our account? Good answer: A written limit that matches our retention period.
  7. Can you show an accessibility test of the recruiter and hiring manager screens on a set-up like ours? Good answer: A test report on a live set-up and a named contact for fixes.
  8. Which of your AI systems have you placed in the EU high-risk group, and which use the Article 6(3) exemption? Good answer: A list by tool, with the reason for each.
  9. What does it cost to leave? How do we export candidates, jobs and CVs, and in what format? Good answer: A stated format, a time window and no fee.

Alternatives to iCIMS

The alternatives to iCIMS are Workday Recruiting, Oracle Recruiting, UKG, Greenhouse, Workable, SmartRecruiters, Paradox, or buying nothing.

If you run Workday, SAP, ADP, Oracle or UKG, iCIMS’s most common links go to your own suite. So price iCIMS plus that link, and set the total beside the suite’s own recruiting. Oracle Recruiting is natively part of Oracle Cloud HCM. Workday combines Workday Recruiting with HiredScore and Paradox. UKG offers UKG Pro Talent Acquisition, made of UKG Pro Onboarding and UKG Pro Recruiting.

Teams that want a stand-alone system can look at three others. Greenhouse manages hiring from job post to offer and includes a recruiting CRM. Workable prices by company size, in bands from 1-20 up to 801-1000 employees. It also offers a free one-time migration from iCIMS on its Premier and Enterprise plans. SmartRecruiters suits organisations with at least 50 employees and many open jobs. It is an SAP company.

For frontline hiring, Workday sells Paradox, a conversational applicant tracking system that runs from first touch to onboarding. iCIMS has a comparable product in High Volume Hiring, so compare the two on the same roles.

Buying nothing is the last route. If you hire only a few people a year, you may not need a system. US federal rules still make employers keep application records for one year, so plan where those records live.
