UKG Pro Recruiting
UKG Pro Recruiting is the hiring half of UKG Pro, and it fits best where UKG Pro holds your records. Its two AI extras work mainly in the United States and put consent and review duties on you. The contract renews by itself, and the minimum quantities you buy cannot fall during a term. So put the price, the countries, the data use and your exit terms in writing.
UKG Pro Recruiting is a good fit if UKG Pro already holds your people records
UKG Pro Recruiting takes a candidate from job opening to hire inside UKG Pro. Rapid Hire adds AI screening for frontline hiring. Ask UKG for the Pro Recruiting price in writing.
UKG Pro already holds your employee records and you want hires to land there. You also want one supplier for hiring and onboarding.
You hire outside the United States and want AI screening. The AI extras work mainly in the United States. Or you want a contract you can shrink in the middle of a term.
UKG sells through an Order, the signed list of what you buy and what it costs. Rapid Hire fees are calculated per site unless your Order sets another basis. Candidate Texting is invoiced per employee per month.
It handles the basics of hiring, and extras add AI screening and scoring
Start with what you are buying. UKG sells UKG Pro Talent Acquisition, which is made of UKG Pro Recruiting and UKG Pro Onboarding. Recruiting is the hiring half. A job opening is created in UKG, which calls it an opportunity. It needs a title and at least one location before UKG can publish it. It can also carry pay details, an approver and a hiring manager.
After that, the path of a candidate is easy to follow. An application is submitted and then moves through the steps of a recruiting process that you set up. UKG lets you record a reason and a recruiter comment when an application moves. Offers are created in the system and sent for approval. The system can then start the hire from the application.
Pro Recruiting also connects to the outside services a hiring team uses. It connects to job boards, to third-party job sites for postings, and to assessment and WOTC screening providers. WOTC is a US hiring tax programme. The screening link for an applicant comes from the provider, so ask UKG which providers it connects to today.
UKG’s recruiting tools include branded application pages built for phones, and CV reading. They also include automation for screening, and they cover communication with candidates at every stage. The AI sits mostly in extras around this core. The cards below say what each extra does, and the limits come later in the page.
Rapid Hire screens frontline candidates by text chat
Rapid Hire is UKG’s tool for frontline and high-volume hiring. UKG points to retail, hospitality, healthcare and manufacturing as the industries that benefit most. It joins Pro Recruiting as a type of opportunity called Frontline. Candidates apply through an AI assistant by text, so they need no login or form. The assistant takes each one through the screening questions assigned to that job. Candidates then see open interview times and can book one without a recruiter. UKG puts the share of repetitive hiring tasks that Rapid Hire automates at up to 90%.
In Rapid Hire, your hiring manager writes the rules first
The important work in Rapid Hire happens before the first candidate applies. Your hiring manager sets all the screening criteria first, including the must-have questions and the assessment models. After that, no recruiter is involved while each candidate is screened. UKG labels that screening step autonomous. It labels the candidate summary and the hire and offer decision as human work. UKG’s position is that Rapid Hire never makes employment decisions automatically.
Candidate Match adds an AI score to Pro Recruiting
A customer that orders UKG Pro Recruiting or Pro Talent Acquisition may enable UKG Candidate Match. It includes AI tools and produces a Candidate Match score. Because you may enable it, it is a choice to make on purpose. Ask UKG to show you the score on one of your own jobs before you decide.
Our guide to applicant tracking systems covers how the rest of this market handles the same decisions.
What works in your favour
UKG’s strongest case is that hiring, onboarding and your people records can sit with one supplier. A second point in its favour is that UKG publishes how its AI features work. The cards below give the evidence.
One supplier can cover hiring, onboarding and records
If UKG Pro already holds your people records, one supplier can cover hiring, onboarding and the employee record. UKG sells Pro Talent Acquisition as Pro Recruiting plus Pro Onboarding. The system can start a hire from an application. Rapid Hire sends data on a hired candidate to UKG Pro HCM, Pro Recruiting and Pro Onboarding. Which of these it reaches depends on the products you own. So you deal with one supplier, although the extras keep their own terms.
UKG publishes an AI card for every AI feature
You can read how each UKG AI feature works before you sign. UKG provides a transparency card, which is a short public description, for every one of them. That matters because UKG’s terms for both AI extras put consent and review duties on you. UKG gives the AI model and who switches the feature on for Rapid Hire and Job Genius. It tests its AI models for bias across protected characteristics where appropriate. It also works with independent auditors where appropriate. Models are retrained quarterly or when they fall below performance thresholds, and users can always override an AI recommendation. Because the bias claims carry the words “where appropriate”, ask which features were tested.
Job Genius drafts job text, and a person approves it
Job Genius is a gentle way into UKG’s AI, because it works on the job and not on a person. It drafts job descriptions and interview questions for open positions. A person has to approve the text, and nothing it writes is posted automatically. It uses job-level inputs only, with no employee or candidate data.
Bulk Apply moves up to 100 candidates in one step
HR can advance up to 100 candidates at once with Bulk Apply, which helps when one job draws many applicants. UKG’s position is that AI summaries and Bulk Apply keep hiring decisions in human hands. Decide who reviews a group of candidates before anyone presses the button.
Who uses it, and who the results belong to
The customer results on this page all come from Rapid Hire, UKG’s frontline hiring tool. So they show what that extra did for frontline employers, not what Pro Recruiting does on its own. Ask UKG for a customer who uses Pro Recruiting without it.
Jetro Restaurant Depot reports at least $1.8 million saved in 2025
The Jetro result is about cost. Jetro runs 165 locations and has more than 10,500 employees. It spent over $2.2 million a year on candidate sourcing from 2020 to 2024. It also spent $240,000 on onboarding and job postings. Jetro reports it cut annual sourcing and onboarding costs by at least $1.8 million in 2025 on Rapid Hire. It projects $2.2 million a year. Rapid Hire also screens automatically at Jetro for policy requirements such as legal hiring age.
NHS Management reports time to hire fell from 15 days to five
NHS Management’s numbers are mostly about speed. It piloted Rapid Hire in January 2022 and expanded to all facilities by April. It reports time to hire fell from 15 days to five. Time to interview fell from three and a half days to five minutes. Apply-to-hire conversion rose from 7% to 20%, and candidate ratings were above 90%. NHS Management ties that speed to money. It reports $2.2 million in new annual revenue from filling staffing gaps faster.
Yarco has no in-house recruiter, so each hiring manager recruits
Yarco is a test of how far candidates get when nobody in a recruiting role steps in. Yarco has no in-house recruiter, so each hiring manager recruits. Yarco reports candidates move from application to interview in minutes, without a recruiter or leader stepping in. It processed about 12,500 applicants in a year. Nearly 60% met its qualification criteria and moved directly to interviews.
Dutchman books interviews in under four minutes
Dutchman Hospitality Group has 1,500 frontline workers at more than 20 locations. It reports interview scheduling takes under four minutes, and 58% of qualified applicants moved into interviews. Rapid Hire starts a text conversation with each candidate and asks role-specific screening questions. Even so, Dutchman’s managers still review applicants and make the hiring decisions.
UKG Ready customers get a different product
UKG Ready Recruiting is not UKG Pro Recruiting, so these results do not describe it either. If someone at UKG offers you Ready, you are looking at a different recruiting product with its own plans. UKG Ready Start is for organisations with fewer than 200 employees and includes select recruiting capabilities. In Ready Plus and Ready Advanced, recruiting is one capability you can choose. Ready Core includes Bryte AI. Bryte schedules interviews inside the Ready applicant dashboard, and a person confirms all the details before it books.
Where Pro Recruiting and its extras stop
Seven limits matter before you sign. The first covers where the AI extras work. The next two cover what you owe candidates. The two after that cover what UKG may do with your data. The last two are smaller, and they cover your own AI tools and accessibility.
The AI extras are built around the United States
If you hire in more than one country, check the reach of each extra first. Rapid Hire has two answers on region. Its services description puts it in the United States only, on its own or with UKG Pro. Its AI transparency card puts it in North America. Settle which one applies to your contract before you plan hiring at a Canadian site. Candidate Match offers its AI tools solely in English and in the United States. UKG Pro Candidate Texting covers recruiting messages in the United States and Canada.
You carry the duty to tell candidates and collect consent
Both AI extras put duties on you. For Rapid Hire you must give candidates privacy notices and obtain consents for the AI’s processing of their personal data. For Candidate Match you must do the same before you deploy it. You must also let candidates opt out or opt in, and have their application handled manually. Human reviewers must evaluate AI output before you use or share it. Candidate Match’s score is not intended to replace your people’s judgement at any step.
Screening without a recruiter sits beside a human-review term
Rapid Hire screens each candidate with no recruiter involved, using rules your hiring manager set. Under Rapid Hire’s terms, you may not use AI output in an automated decision with legal or other significant effects. The exception is when a human makes the final decision or oversees it. Decide who counts as that human, for example when a candidate fails a must-have question. Settle it in writing and record it in your hiring policy.
Your applicants’ data may help improve UKG’s products
Applicants count as data subjects under the data processing agreement, so these terms cover their records. Under that agreement, you instruct UKG to process personal data for general improvements and new products. That includes data that no longer identifies an individual. UKG also designs its systems to avoid using customer data for model training without appropriate authorisation. These are two different things, so get the answer you want written into your Order.
Applicant data may be processed anywhere in the world
UKG may process personal information worldwide, including through subprocessors, affiliates and subsidiaries. Rapid Hire’s AI model is OpenAI GPT-5 mini. That adds a named AI provider to the companies you may need to ask about. Ask which countries and which companies handle your candidates’ data.
Your own AI tools need UKG’s written permission to connect
Under the master services agreement, you may not give AI tools programmatic or automated access to the services. That covers an AI program, system, tool or agentic access. It holds unless UKG authorises it in writing. This matters if your team wants to connect an AI assistant to hiring data. UKG announced the beta of UKG in Claude on 20 October 2026. Ask which route is approved for your account.
Accessibility is partial
UKG’s products are partially conformant with WCAG 2.2 Level AA. That standard covers how usable a website is for people with disabilities. Candidates apply through these screens, so ask which parts of the application flow fall short.
What you pay is set on a signed Order, and the contract renews by itself
You buy UKG on an Order, which is the signed list of what you buy and what it costs. The Order and UKG’s master services agreement set the price, the renewal and the lock-in. Ask UKG for the Pro Recruiting price in writing, and for what it covers.
The extras are billed differently from Pro Recruiting, so count them separately. Rapid Hire fees are calculated per site unless your Order sets another basis. A site is each unique physical location where you use Rapid Hire, so count your sites before the demo. Rapid Hire includes up to 50,000 text messages and 25,000 emails a month with candidates. UKG sells further blocks of 25,000 texts at its then-current rate, unless your Order sets another rate. Rapid Hire Onboarding includes digital signing of up to 5,000 documents a year. Candidate Texting is invoiced per employee per month, so its cost moves with your headcount.
UKG Ready is the other UKG route to recruiting, and it has its own pricing terms. It is priced on the basis your Order identifies. That can be per month, per transaction or per access point. The Order can also price it per active employee per month or per compensated employee per month. Ready also sets a monthly fee floor at the minimum number of employees in the Order. So a falling headcount does not lower the bill below that floor. A UKG sales expert quotes UKG Ready plans personally, and you can add capabilities later.
The contract is built to keep running, so plan the renewal date now. Under the master services agreement, services renew automatically for the renewal term stated on the Order. Either side can end a service at the end of a term with at least sixty days’ written notice. Put that date in your diary, because a missed date means the service renews. Minimum quantities you buy cannot be lowered during the current term. UKG may also increase fees for each renewal term, as set out in the Order. So you pay for at least the volume you signed for until the term ends.
UKG sets production availability at 99.75% for UKG Pro Pay and People Center. Ask whether that covers Pro Recruiting. UKG sets Rapid Hire’s uptime at 99.75% a month with commercially reasonable efforts. That is about 1.8 hours of downtime in a 30-day month.
You may see the name Chattr on a Rapid Hire invoice. Chattr, Inc. is one UKG affiliate that may provide and invoice Rapid Hire. UKG built Rapid Hire on its acquisition of Chattr.
Plan your exit before you sign. You may access, export or delete personal data during the term, subject to available functionality. After your access and retrieval rights end, UKG deletes your data in its standard deletion process. So the time between those two points is the time you have to take your records out. For UKG Ready, you can retrieve your data at no extra charge during the term. You can also retrieve it for no more than thirty days after the agreement ends, unless the parties agree otherwise. Ask for the window that applies to Pro Recruiting.
You also set your own retention. UKG provides tools for your retention and deletion needs, and does not determine customer-specific retention obligations. Individuals may have rights to access and delete their personal information, so decide who answers a candidate who asks.
You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Nine questions to put to UKG
These nine questions turn the risks above into answers you can hold UKG to. Put them to UKG before you sign, because the written answers decide what the contract really covers.
- Which UKG products does my Order cover, and what does each cost? Good answer: A list of the products on the Order, each with its own price.
- Which countries are covered for Rapid Hire and Candidate Match? Good answer: Our hiring countries named in writing, and what we use where one is missing.
- When Rapid Hire screens out a candidate, who is the human who oversees that decision? Good answer: A role on our side and a way for the candidate to ask for a person.
- Will you confirm in the Order that our applicants’ data does not improve your products or train your models? Good answer: Yes, in the Order, for the applicant data UKG already holds for us.
- Which countries and which companies process our candidates’ data? Good answer: A named list, including the AI model providers, kept up to date.
- Has an independent auditor reviewed the AI features we will switch on, and who? Good answer: A named auditor and a report we can hand to a regulator.
- How do we get every candidate record out, and for how long after the contract ends? Good answer: A file format and a window longer than thirty days, written into the Order.
- What will renewal cost, and can we lower our quantities? Good answer: A written cap on the renewal increase and a point where quantities can fall.
- Which customer uses Pro Recruiting without Rapid Hire? Good answer: A named customer of our size that we can phone.
Alternatives to UKG Pro Recruiting
Your alternatives are Workday Recruiting, Oracle Recruiting, Dayforce and ADP. For frontline hiring, look at Fountain, Paradox and Talkpush. For a separate AI tool, look at Eightfold.
Workday Recruiting, Oracle Recruiting, Dayforce and ADP are the closest swaps if you want one supplier for HR and hiring. Oracle Recruiting is built into Oracle Cloud HCM. Dayforce sells a Talent Acquisition package that includes Recruiting and Onboarding, the same shape as UKG’s. ADP Recruiting Management is part of the ADP Talent Acquisition suite. Ask each the same questions about price, renewal and leaving.
If frontline hiring is the reason you are looking at UKG, compare Rapid Hire with three others. Fountain’s ATS is run by its AI, Cue. Cue screens applicants, books interviews and moves people to offer on its own. Talkpush is an AI-powered applicant tracking system and recruitment CRM built for high-volume hiring. Paradox sells a conversational ATS, and Workday combines Workday Recruiting with HiredScore and Paradox as one suite. Ask each the question you asked UKG, which is who the human in the decision is.
Eightfold is the one to look at if you want a separate AI tool on top of UKG Pro. UKG announced in 2023 that Eightfold AI would integrate with the UKG Pro suite for enterprise talent acquisition. Ask both suppliers how that works today.
Buying nothing is also an option if your hiring is small. UKG’s contract renews automatically, and the minimum quantities you buy cannot fall during a term. A tool you barely use still costs what you signed for. Our market guide covers how the whole field compares.
