Workday Recruiting Agent grades each applicant against the job and gives its reasons
Workday Recruiting Agent finds past candidates, grades applicants and books interviews. It comes from HiredScore, which Workday agreed to buy in February 2024. Workday sells it for usage credits on a contract that runs for several years.
Workday Recruiting Agent grades applicants and is sold in credits on a long contract
An AI helper for hiring teams, priced in credits and sold on a long contract.
You want every applicant grade to come with a written reason. You want to reuse the applicants and leads you already hold. You can sign a contract of several years that you cannot shrink. You run Workday Recruiting or another applicant tracking system, which is the software that holds your applications.
You need to cancel early or pay less when hiring slows. Your legal team wants the Mobley v. Workday lawsuit settled before you sign.
Workday sells the agent in Flex Credits, which are prepaid usage units. Grading one CV costs 6 credits. Finding past candidates for one open role costs 750 credits.
What the agent does, from a role opening to a booked interview
Workday Recruiting Agent is the AI helper inside Workday Recruiting. It brings relevant talent to the front, takes over manual work and guides recruiters and hiring managers. Workday has combined HiredScore’s agents with its Candidate Experience Agent into one layer for Workday Recruiting. The agent automates sourcing, screening, scheduling and candidate messages inside your Workday system. Workday also sells the same tasks under the name Talent Acquisition Agent.
When a role opens, the agent brings up past applicants and employees. It also brings up leads from your candidate list. It can do this before the role is posted. Workday gives its own names to two of these tasks. Spotlight grades candidates. Fetch looks again at past candidates.
The agent grades each applicant against the job requirements. Each grade comes with the reason behind it. Match grades run from A to D. Workday’s own recruiters use the suggested grades to shortlist and prioritise applications. Recruiters also set the limits the agent works inside. The agent finds and qualifies the best-fit candidates within those limits.
The chat side comes from Workday Paradox, which Workday now sells as Candidate Experience. Candidates can apply by text message, WhatsApp or Facebook Messenger. The assistant asks must-pass questions by chat. It qualifies or disqualifies people on the criteria you set. Once a person qualifies, it checks the hiring manager’s calendar and books the interview. Candidates pick their own slot by text, WhatsApp or chat. It spots the candidate’s time zone and works in over 30 languages.
The Talent Acquisition Agent name covers the rest of the diary work. It coordinates interview panels, books slots and sends each interviewer a prep note. It also handles messages to candidates.
HiredScore is built to work inside Workday Recruiting and Microsoft Teams. Hiring managers can work with recruiters through Teams. Workday told a US court that HiredScore can run on any applicant tracking system. That includes Workday’s own.
Our guide to AI sourcing and screening shows how the rest of this market handles the same job.
Results from customers using the agents
Workday gives three results for customers already using its AI agents. Time to schedule interviews fell 97%. Cost per hire fell 44%. The applicant conversion rate reached 70%. Ask Workday which customers and agents produced them, and what the 70% counts.
What works in your favour
Recruiters can check the reason before they act
A grade on its own is hard to question. A grade with a reason lets a recruiter see why the agent ranked someone high or low. The grade shows how close the match is. A recruiter who disagrees can read the applicant themselves.
Old applications become a source of candidates
Past applicants and leads you already hold become people to call first. A team can start with them before it pays for new advertising. The agent is built to help cut sourcing spend.
Your data is not shared to train other companies’ public AI models
Workday never shares customer data to train third-party public models. Its contract says Workday may use your content only to provide the service. The contract also says Workday will give you its AI Fact Sheets. Hosting partners MongoDB and Google store HiredScore data in data centres in the European Economic Area and the United States.
Free credits let you test the agents away from live hiring
Workday offers free credits to test its agents in a test environment.
Who uses it, and what each story shows you
Workday publishes customer stories. Two are about the chat assistant and not the grading agent. Each shows something a buyer can use.
JLL started small, with about 20 recruiters in India
JLL rolled out HiredScore in India in 2021. It used Spotlight for shortlisting and Fetch to look again at past candidates. The first group was about 20 recruiters. JLL has more than 100,000 employees in over 80 countries. Workday describes user feedback at JLL as overwhelmingly positive. The story shows a large employer starting with a small team.
Autism Learning Partners added 2,400 hires a year with the chat product
Autism Learning Partners offers services in 32 states. It picked Workday Paradox Conversational ATS. Workday puts the gain at 2,400 more hires a year, a 50% rise, with no extra recruiters. This story is about the chat assistant, not the grading agent.
7-Eleven runs most of its hiring through a chat assistant
7-Eleven’s corporate-owned locations connect Workday Candidate Experience to the applicant tracking system they already had. The story shows the chat assistant can sit on top of a system you keep. Rita, its chat assistant, handles 95% of the hiring process. The result belongs to the chat product.
Where it stops, from the contract to a court case
The rate card prices each task in credits
Workday’s rate card counts in Flex Credits. Your bill in money depends on what one credit costs you. Ask Workday for that price first. Then work out your yearly cost from the credits each task uses.
The contract is hard to leave or shrink
These are Workday’s standard terms for the Americas. Workday sells on agreements of several years. Fees cannot fall during the term. Workday does not accept ending a contract early just because you choose to. Order forms cannot be cancelled. Payments are not refunded. The only exceptions are in the clauses on legal claims and on ending the contract. There is no acceptance test period. If your hiring slows, Workday cannot cut what you owe, whatever the reason.
Workday’s liability has a ceiling
Each side’s total liability is capped at the fees for the last 12 months. For breaches of confidentiality, security or privacy duties, the cap is 24 months of fees. Workday gives service credits for some failures to meet its uptime promise. It does not change that promise customer by customer.
A lawsuit covers HiredScore features
In Mobley v. Workday, applicants aged 40 and over claim Workday’s AI screening treated them unfairly. They applied through Workday’s application platform since 24 September 2020. In July 2025 the court ruled that this group includes people screened with HiredScore features. Workday told the court it bought HiredScore after the complaint was filed. The court has told Workday to list the customers who switched those features on. Both sides must agree when. In September 2026 the plaintiffs asked the court to turn the case into a class action. Their proposed class names HiredScore Spotlight and Fetch. Its four subgroups are African American, female, age and disability applicants. A hearing is set for 9 March 2027. Workday’s own motion to end the group action is due on 10 November. These are claims in an open case.
Some steps can turn a person away before a recruiter looks
Workday designs its AI so that people make the final call on critical decisions. The chat assistant still screens applicants for basic qualifications on its own. It qualifies or disqualifies a candidate on the criteria you set. Workday’s recruiting privacy statement covers its own hiring. For very high applicant numbers, a person does not read every application during the first sift. That describes Workday as an employer and not a setting in the product. Ask Workday which steps can disqualify a person.
The published fairness analysis covers Workday’s own hiring
Workday published a summary of an outside analysis by Secretariat. It covers Workday’s own use of HiredScore Spotlight. The analysis looks at US residents who applied for New York City area roles. It covers 1 September 2025 to 28 February 2026. The analysis found no evidence of disparate impact, based on impact ratios. Disparate impact, or adverse impact, is a legal term for a hiring method that puts a group at a disadvantage. An impact ratio compares how often each group is picked with the group picked most often. The analysis covers only the five busiest job profiles. It leaves out applicants who gave no gender or race information. The results may differ in other settings. Workday takes no view on whether any hiring-AI law covers Spotlight.
What it costs and how you leave
Workday sells its AI agents on a usage credit model. Credits are used when the agents run on live hiring. Each task has a set number of Flex Credits on Workday’s rate card. Grading one CV costs 6 credits. Looking again at past candidates for one open role costs 750 credits.
Grading 1,000 CVs uses 6,000 credits. One rediscovery run on a single role costs the same as grading 125 CVs. The rates are for general information as of 9 October 2026 and may change. The rate for tasks on general sale is locked for your order term.
Credits are bought as one bulk purchase each year. Workday gives an annual allotment of free credits based on company size. The subscription price is based on employees, users or other size figures. For some applications it is based on usage. Ask Workday how the credits sit alongside your subscription price.
Leaving takes planning. Under Workday’s standard terms for the Americas, Workday provides a standard final data download during and after the term. The contract gives limited access for up to 60 days at no extra cost to collect your content. The content comes out in a machine-readable format. The contract counts the AI’s outputs as your content. Outputs are the predictions, content, recommendations or decisions the AI produces in your Workday system. That includes grades.
If you need longer, the contract allows one transition period of up to three months. It is billed monthly at one twelfth of the last 12 months’ fees, plus 5%.
You could also find and screen people with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Nine questions for Workday
- What does one Flex Credit cost us, and which agents and tasks on our order form will our yearly hiring use? Good answer: A price per credit, a yearly estimate and a list of each agent and task matched to the credit rates, all written into the order form.
- Which steps in our account can disqualify a person without a recruiter looking first? Good answer: A written list of those steps, with a setting for each that our own team controls.
- Are we, or would we be, on the court-requested list of customers who switched on HiredScore features? Good answer: A plain yes or no, and notice before any customer list goes to the court.
- What do we owe if our hiring falls to half? Good answer: A written figure for each volume level, so we can plan the budget.
- Can we read the AI Fact Sheets for the Recruiting Agent before we sign? Good answer: The sheets in our hands before signature, not after.
- Does the bias analysis cover our job types and our country, and can we publish the report? Good answer: A report on roles like ours, in a form we can publish if a law asks for it.
- What does a candidate get if they ask for a person to review their application instead? Good answer: A named process with a reply time, and no mark against the candidate.
- When the contract ends, how do grades, reasons and candidate records leave Workday? Good answer: A full export in a readable file, inside the 60 days of access, written into the order form.
- Which contract terms apply in our country? Good answer: The terms for our country in writing, with any difference from the Americas terms marked.
Alternatives to Workday Recruiting Agent
If Workday comes off your shortlist, look at Oracle Recruiting, iCIMS, SmartRecruiters and Eightfold. Buying nothing is a fifth route.
Oracle Recruiting sorts job applications by an overall rating, education, experience and skill. That gives your recruiters a ranked list to work from. iCIMS gives recruiters a ranked list of applicants against a position’s requirements. The iCIMS Sourcing Agent has been available since 1 September 2026, so iCIMS also covers finding candidates.
SmartRecruiters Winston Match reviews incoming applications and puts the top candidates first. AI candidate screening sits in its High Volume plan, which suits a large pile of applications. Eightfold works independently of the applicant tracking system you use, so you can keep it if you leave Workday Recruiting. It focuses sourcing on past applicants, current employees, past employees and referrals.
If your recruiters can read every application, you may not need a grading tool. Nobody’s grade then sits between an applicant and a recruiter. What you give up is help with sorting a large pile of applications.
