AI sourcing and screening software for mid-sized companies (200 to 2,000 people)
At 200 to 2,000 employees you meet three kinds of bill. Some tools charge for each recruiter. Some charge by company size. Some charge for each use of the AI. Start with the tools that show a price, then check how the bill grows.
Workable · Ashby · Recruitee. Each puts AI inside the hiring system, so you buy one product. Recruitee checks each applicant against up to six criteria you set.
Greenhouse · Lever · iCIMS · Teamtailor · Breezy HR. Each of these hiring systems has AI of its own.
Juicebox · Pin · SeekOut · Metaview · hireEZ. Each shows a starting price and sits beside the system you run today.
Gem · LinkedIn Recruiter · Pinpoint · Phenom · Leoforce. Each one sets the price for each buyer. Gem also sells its own hiring system.
Oracle Recruiting · Avature · Beamery · Workday Recruiting · Eightfold. Oracle sets a minimum of 500 hosted employees. Avature supports mostly large companies. Beamery partners with leading enterprises. Workday sets its price by employees, users or other size measures. Eightfold built its AI Interviewer for organisations of 1,000 to 5,000 employees.
HireVue · Humanly · Apriora · HeyMilo · Maki People · Talview · HackerRank · CodeSignal. These interview or test applicants rather than search for people.
A tool that scores applicants can bring a bias audit duty in New York City. A tool that only searches for people does not under that rule.
Finding people and sorting applicants are two different jobs
Sourcing means finding people who have not applied. The tool searches databases of public profiles and writes to the people it finds. Screening means sorting people who have applied. The tool reads each application against criteria you set and gives it a score.
Most of these tools now do both. Workable, Gem, Pin, SeekOut, Metaview and Indeed each cover both jobs. The split still matters for the law. A score on an applicant is treated differently from a search of a CV bank.
The tools overlap, so compare how they charge
Juicebox and Pin charge for each recruiter who logs in. A team of three pays three times the price. Metaview charges per user for sourcing. Its Application Review plan allows unlimited users. Workable, Recruitee, Gem and SmartRecruiters tie the price to your number of employees. Ashby prices its smallest plan by headcount. Its Plus and Enterprise plans carry allowances for each paid user.
Most tools also meter the AI itself. They sell prepaid “credits”, which are units of use. At Workable one unit pays for one candidate review. Finding a candidate takes 2 and a candidate chat takes 10. Units expire after a year.
This size also takes you out of the cheap plans. Ashby’s Foundations plan stops at 100 employees. Gem’s six free months stop below 30 employees, and its reduced rates stop at 100. Above that, Gem quotes a price from your headcount.
Fourteen tools to compare, and what to know about the rest
Hiring systems with the AI built in
A hiring system, or applicant tracking system (ATS), holds your applicants and your open roles. These five put the AI inside it. Each prices the system and the AI in its own way, so compare how each bill grows.
| Product | What the AI does | Who it is sized for | Price and plan limits | What makes the bill grow | Contract |
|---|---|---|---|---|---|
| Workable | Workable Agent finds candidates, screens them against your job requirements and hands over a shortlist. | Plans run from 1 to 20 employees up to 1,000 or more. | Standard $299 a month, Premier $599, Enterprise $719. Plan prices depend on headcount. | Workable Agent is sold as an extra and bills in AI “credits”. Every paid account starts with 3,000 free. | Renews each year. A renewal can rise up to 5% and can change with company size. |
| Ashby | AI review ranks applicants against the criteria you set. It is on every plan. | Foundations is for up to 100 employees. Plus is for 101 to 1,000. Enterprise is for 1,000 and above. | Foundations costs $400 a month. Ask for the Plus price. | Ashby bills AI in “credits”. One credit is one review of one candidate. Plus includes 2,500 a year for each paid user. | A one-year term that renews unless you opt out at least 30 days before. |
| Recruitee | A screening assistant checks each applicant against up to six criteria you set. A matching assistant searches the candidates you already hold. | Customers include companies of about 200, 1,500 and 2,900 employees. | Advance includes 100 screening “credits” a month. Optimize includes full screening. | Pass the plan’s employee maximum and you pay the lowest-priced plan that fits your headcount. | One year minimum, paid monthly. Cancel with 90 days’ notice or it renews. Renewals can rise up to 5% a year or by inflation, whichever is higher. |
| Pinpoint | Each applicant gets a score out of 10, a written verdict, strengths and concerns. You ask for access through a form. | Customers include companies of 500, 600 and 800 employees. | Pinpoint sets the price after a short call about your hiring. | Match scores spend usage units. Monthly use limits rise with the yearly price you pay. | Renews automatically. Fees can rise 10% at each renewal and are due whether you use the tool or not. |
| SmartRecruiters | Candidate matching comes with the Professional plan. AI screening comes with the High Volume plan. | Suited to organisations with at least 50 employees. A customer with 2,700 employees uses it. | Essential starts at $14,995. Professional, High Volume and Complete are by quote. | Fees follow your total employee count. Go over the count in your order and you pay more. | SAP’s version runs one to three years with automatic renewal and a 250-user minimum. |
Tools you add to the system you already run
These nine sit beside a hiring system and pass people into it. Gem and hireEZ can also run hiring themselves, so a company with no system can use them too. Several price each recruiter or each use, so a small team can start for a few hundred dollars a month. Check the link to your own ATS first. On several plans it costs extra or sits on the top plan only.
| Product | What the AI does | Who it is sized for | Price and plan limits | What makes the bill grow | Contract |
|---|---|---|---|---|---|
| Juicebox | You search in plain words. Optional AI assistants can find people each day and email or shortlist them on their own. | Built for recruiters from large firms to small agencies. Case studies include teams of under 10, under 50 and about 60. | Starter $99 to $119 a user a month. Growth $179 to $199, up to 5 users. Business by quote. | Each assistant is $199 a month. An email found uses 1 usage unit and a phone number uses 3. The link to your ATS needs Business. | Renews unless you give 30 days’ notice. Fees can change at the end of a term on 30 days’ notice. |
| Pin | An AI assistant finds people, screens them, writes the follow-ups and books calls. It works beside your ATS. | Serves startups to enterprises. A free plan is open to teams of any size. | Solo $99 a user a month on yearly billing. Professional $135 to $179. Business by quote. | Premium links to your ATS cost $100 a month. Extra lookups cost $50 for 250. | Billed monthly. Stop renewal with 30 days’ notice. Pin can change prices on 30 days’ notice. |
| SeekOut | Searches nearly one billion public profiles. AI screening of applicants is sold as an extra on Team and Enterprise. | Core is for small businesses and solo recruiters. Customers include companies of 51 to 200 and 220 employees. | Sourcing Core is $149 a month on yearly billing or $179 monthly. Other plans are by quote. | Contact lookups come in packs of 100. Most plans include 10,000 AI units a month for each user. | Core needs no annual commitment. Other subscriptions renew for a year unless either side gives 30 days’ notice. |
| Gem | A sourcing assistant searches 800 million profiles. Application Review scores and ranks every applicant. A recruiter decides. | Customers range from a 40-person firm to a company of 2,800. Under 30 employees get six months free. | Gem quotes a price from your employee count. It sells “Gem + your ATS” and “All-in-One” plans, and the second one is its own hiring system. | AI sourcing and application review are sold as extras through an account manager. Fraud detection is bought separately. | Enterprise agreements renew for one year unless either side gives 30 days’ notice. |
| Metaview | Application Review scores every applicant against a profile built from the job description. A person decides who moves on. | Customers include companies of about 200, 350, 400 and 1,300 employees. | Application Review Pro is $150 a month for 500 reviews. Sourcing Pro is $100 a user for 200 profiles. Sourcing Max is $300. | Each application reviewed uses one “credit”. Unused reviews do not roll over. Active reviews pause when they run out. | Auto-renews for the first period or one year, whichever is shorter. Give 30 days’ written notice. |
| hireEZ | EZ Agent runs sourcing and a voice or chat screening conversation. Hiring can run in your ATS or in hireEZ’s own. You decide who moves forward. | Case studies include teams of 150, 200 and 500 employees. At 500, one person runs all talent acquisition. | One recruiter starts at $494 a month with a 7-day trial. Larger teams get a price set for them. | The price is set to the tools you replace and is not a flat rate for each user. | A four-week check with your team comes before you sign. hireEZ keeps your database for three years unless you ask it to remove it. |
| Findem | Searches 850 million profiles and works beside your ATS. A search assistant sorts applicants. | Customers include companies of about 300 and 800 employees. | A 12-month licence is listed at $25,000 on AWS Marketplace. | Some products are priced on outcomes, such as hires made. | Your data is kept for up to 60 days after the service ends. |
| LinkedIn Recruiter | Hiring Assistant is sold as an extra. It finds candidates and evaluates applicants for a recruiter. | Customers range from 11 to 50 employees up to 10,000 or more. One edition is for staffing firms and large teams. | There is no standard price. Licences are typically bought for each recruiter. | Hiring Assistant Tier 1 allows 200 sourced candidates and 3,500 evaluated applicants a month on Recruiter Corporate. It stops at the limit. | Purchases cannot be cancelled or refunded except as the agreement states. If LinkedIn does not fix a serious breach, you get part of the prepaid fees back. |
| Indeed Smart Sourcing | Matches candidates to your job criteria. Smart Screening scores applications. It is not yet on general sale and is offered in limited numbers and places. | A case study covers a family-owned senior-living group with 40 communities. | Professional costs $520 a month or $4,992 a year in the US, with 100 contacts a month. | Extra contacts cost $5.20 each. Every outreach uses one contact. Each team member needs their own subscription to contact candidates. | Subscriptions outside India renew automatically. |
More hiring systems a company of this size may compare
Each of these hiring systems has AI of its own.
- Greenhouse Talent Matching sits in the Core plan as part of the Real Talent extra. Greenhouse asks you to request the price. Fees follow your employee headcount, and the subscription renews each year unless you give 30 days’ notice.
- Lever Lever gives prices on request and ties each subscription to your headcount on the order date. A renewal can rise by no more than the change in the US consumer price index. AI screening from VONQ is sold as an extra.
- iCIMS iCIMS customers range from 439 to 37,000 employees. Its Sourcing Agent is available now. Ask iCIMS for a price at your headcount.
- Jobvite Jobvite starts you on its core hiring system and lets you add modules. Its Talent Fit feature shows the reason for each match. Pricing is tailored to your hiring needs.
- Breezy HR AI use is paid in credits from $30 for 100,000, and one candidate review takes about 500. Customers include companies of nearly 500 and 650 employees. The AI stops when credits run out.
- Manatal Plans cost $15, $35 and $55 a user a month on yearly billing. AI Recommendations is still being tested, so its price may change. The trial lasts 14 days with no card.
- Zoho Recruit Zoho Recruit is a hiring system with per-user plans. It also keeps you in touch with past and future candidates. Candidate matching depends on your edition. The Screening Bot comes with Enterprise, People Plus or Zoho One.
- Teamtailor An admin can switch on Co-pilot, Teamtailor’s AI, at no extra cost. Teamtailor prices by quote, with unlimited job posts and users. Its offer splits by company size at 1,000 employees.
- ADP Recruiting ADP Workforce Now Recruitment scores how well a candidate fits on skills, experience and education. Genpak, with 1,500 employees, uses ADP Recruiting Manager for applicant tracking.
Tools built for one country or one field
These suit a reader who hires in one place or one kind of role. They are not a first pick for a company hiring across many fields.
- Naukri Resdex Resdex holds more than 50 million profiles. PremiumX is a paid upgrade for hiring mid to senior roles. Packages come through Naukri branches or a call-back form. Naukri must approve your KYC, or identity, documents before a new subscription starts.
- SEEK SEEK has employer sites for Australia, New Zealand, Hong Kong and Singapore. Premium Talent Search is made for agencies and professional recruitment teams, and SEEK fits it to your hiring needs. Ask its sales team for the price. Basic Talent Search lets you search freely and contact a limited number of candidates free each month.
- AmazingHiring AmazingHiring searches more than 50 sources for technical talent. The price depends on users and features. Each recruiter needs their own licence, and you ask for a demo to get a price.
AI interview and skills-test tools
These tools interview or test applicants rather than search for people. Most price each interview or each test, so the bill follows your applicant numbers.
- HireVue HireVue is built for hiring from mid-market to enterprise. Fees follow your headcount, uses and hires.
- Humanly Humanly is built for hourly and high-volume hiring. Case studies range from a franchisee with 15 locations to a company of 6,000 employees. A renewal is priced at the fees then current.
- Apriora Apriora’s Alex interviews and screens applicants. Pricing starts at $36,000 a year for staffing firms.
- HeyMilo HeyMilo screens applicants by voice, video and text. HeyMilo Red has a free plan at $0 and a Growth plan at $59 a month. Case studies include companies of 11 to 50 and 201 to 500 employees.
- Maki People Maki is not a hiring system. It adds AI interviews to the one you run. Maki charges for each candidate interaction and gives a personal quote.
- Talview Talview’s Ivy runs AI interviews. Talview charges by use, with a unit for each feature. A minimum of about 150 to 200 candidates is typical. A form starts the price conversation.
- HackerRank HackerRank’s Chakra interviews candidates for technical and non-technical roles and is priced for each interview attempt. The Starter Screen plan has 1 user and 120 attempts a year.
- CodeSignal CodeSignal’s Build plan is $79 a month on yearly billing and suits companies under 100 employees. Grow is $479 a month and suits companies under a few hundred.
Suites that look too big, and two that set the price for each buyer
Oracle Recruiting costs $8 a month for each hosted employee. It sits on top of the Fusion HCM base of $15, and both have a minimum of 500. Hosted employees include contractors who use the system. Fusion Suite pricing needs a term of 36 months or more. Avature supports mostly large companies. Its case studies include companies of 501 to 1,000 and 1,001 to 5,000 employees. It can fit the top of this size band. Beamery sets a price band by employee count and partners with leading enterprises. Workday Recruiting charges 6 “Flex Credits” to grade one CV. It also gives a yearly allowance of free usage based on company size. Eightfold built its AI Interviewer for organisations of 1,000 to 5,000 employees. It gives a five-figure price range for mid-size organisations.
Phenom sells its Hire product to companies under 5,000 employees and asks you to contact an expert for the price. Leoforce sells a version for small and mid-size businesses that needs no applicant tracking system. It sets a custom price. Its agreement renews automatically unless you end it 90 days before expiry.
What a small recruiting team pays each month
A small team can start under $500 a month. Pin Professional costs $135 to $179 a user a month, so two recruiters pay $270 to $358. A premium link to your ATS adds $100. Juicebox Growth costs $179 a user on yearly billing and $199 monthly, so two recruiters pay $358 to $398. Growth has no link to your ATS, because that link needs Business.
Other prices start higher. hireEZ starts at $494 a month for one recruiter. Indeed Smart Sourcing is $520 a month, and each team member needs their own subscription. Findem’s licence is $25,000 for 12 months, which is about $2,080 a month. SmartRecruiters Essential starts at $14,995.
Several tools bill the AI on top. Workable sells 5,000 units for $600, 10,000 for $1,000 and 50,000 for $4,750. At one unit a review, the smallest bundle costs 12 cents a candidate. Ashby adds 5,000 reviews for $500 a year. Metaview Application Review Pro is $150 a month for 500 reviews, and unused reviews do not roll over.
Where the price comes by quote, take two numbers to the call. Bring last year’s applicant count and your number of recruiters.
Where the bill and the risk grow after you sign
The bill follows your headcount
Workable can raise a renewal by up to 5% and adjust it for company size. Pinpoint can raise fees by 10%. Recruitee can raise a renewal by up to 5% a year or by inflation, whichever is higher. SmartRecruiters charges more if you pass the employee count in your order. Write the cap on the rise into the signed order.
The AI stops when the usage runs out
LinkedIn’s Hiring Assistant stops sourcing and evaluating at the monthly limit. Pinpoint pauses the features that run on usage units. Metaview pauses active reviews. Ashby’s unused AI usage does not roll into the next contract year. Workable’s credits expire after a year. Ask what happens in your busiest hiring month.
A tool that scores applicants can bring hiring-law duties
New York City’s Local Law 144 covers a tool that scores, classifies or recommends applicants. The tool must substantially assist or replace a person’s decision. It applies when the tool screens candidates for jobs in the city. You need an independent bias audit no more than a year old and a public summary. You must tell candidates who live in the city ten business days before use. The fine is up to $500 for a first violation and $500 to $1,500 for each later one. Each day of use counts as a separate violation. Searching a CV bank or sending outreach falls outside the rule.
Europe and Colorado add their own notices
The EU AI Act puts AI that filters applications or evaluates candidates on its high-risk list, unless an exemption applies. Employers that use it must tell workers’ representatives and the people it affects. An EU regulation of 8 July 2026 moved those duties to 2 December 2027. Colorado’s law starts on 1 January 2027. It requires a clear notice when a candidate meets the tool. After a rejection it requires a plain description of the tool’s role within 30 days.
Contracts are hard to leave
LinkedIn purchases cannot be cancelled or refunded except as the agreement states. SeekOut fees are not refundable and quantities cannot be cut. Pinpoint fees are due whether you use the tool or not. Recruitee asks for a year minimum and 90 days’ notice. Put every notice date in a shared calendar when you sign.
Some tools act before a person looks
Indeed can send rejection notices when screener answers do not match, if you set it that way. Juicebox assistants can email and shortlist on their own. Metaview’s fillmore finds candidates and runs outreach on its own. A Slack message asks a person to approve or decline each booking of a screening call. It became available on 30 September 2026. Decide who owns each of these settings before you switch them on.
What should you ask before you sign?
- Workable: What is the price at our headcount, and what will Workable Agent cost us over a year? Good answer: One written total for the plan and the AI usage.
- Ashby: What does Plus cost at our number of recruiters? Good answer: A written price for each paid user, with the yearly review allowance.
- Recruitee: What do we pay if our headcount passes the plan maximum? Good answer: A named plan and a price in writing.
- Pinpoint: Will you cap the renewal rise below 10%? Good answer: A cap written into the order.
- Pinpoint: How do we get AI Match Score switched on, and by when? Good answer: A start date in writing.
- Greenhouse: Is Real Talent in our quote, and what does it cost at our headcount? Good answer: A named line with a price.
- LinkedIn Recruiter: Which Hiring Assistant tier is in our quote? Good answer: A named tier with its monthly limits in writing.
- Juicebox: What does Business cost, and how many AI assistants does the quote include? Good answer: Both written in the quote.
- Pin: Does our applicant tracking system need a premium link, and is it in the quote? Good answer: A named link and its monthly price in writing.
- SeekOut: Is AI screening of applicants in the plan you quote? Good answer: Yes, as a named line. It is sold as an extra on Team and Enterprise.
- Gem: Which AI features sit in this quote, and what does each cost? Good answer: Sourcing and application review as separate lines with prices.
- Indeed Smart Sourcing: Which rejections does Indeed send without a person? Good answer: Only the ones we set up, listed in writing.
- Any tool that scores applicants: Can you show a bias audit by an independent auditor, dated within the last year? Good answer: A dated audit summary we can publish.
Try a free plan before you commit to a year
Several tools let you test before you pay. Juicebox has a Free plan at $0. Pin has a free plan, but it does not include the AI assistant or a link to your ATS. Metaview’s Application Review is free for up to 50 applications a month. SeekOut’s Core plan has a 14-day trial with no card. hireEZ and Manatal give trials of 7 and 14 days. Workable’s trial does not include Workable Agent.
Pinpoint gives access to AI Match Score through a form, after which a customer success manager follows up. If you are nearer 2,000 people or hire in several countries, read the enterprise guide. The comparison sets all the tools side by side. Our guide to AI sourcing and screening covers the whole market.
