HeyMilo

HeyMilo is an AI recruiter. It reads CVs, texts applicants and interviews them by phone or video, then scores each person. It can also search the candidates already in your hiring system. You pay for what you use.

HeyMilo screens every applicant, and you set the rules

In one line

HeyMilo screens every applicant by CV, text, phone or video and scores each one. Your team sets the rules and the pass mark.

Buy it if

You get more applicants than your recruiters can talk to. You want each applicant contacted the moment they apply. Your hiring system is on HeyMilo’s list of connections.

Do not buy it if

You need the price list before you open an account. You want text screening outside the United States and Canada. Your lawyers will not accept Delaware law, arbitration and a liability cap of six months of fees.

Price

HeyMilo bills by use, in units it calls “credits”. Interviews, CV screens and texts each use them. The price list appears once billing is set up for your account. Enterprise pricing goes through your account manager.

What HeyMilo does from the moment someone applies

HeyMilo screens and interviews every applicant by voice, video, text message and online form. It works at any hour, in many languages. Its AI assistants start the moment someone applies. Your team chooses the order of the steps. One example is a CV check, then a text, then a phone interview.

The CV step reads every CV against the experience, certifications and skills your team sets for the role. It scores each CV and ranks the applicants. Each interview question scores from 1 to 5, and you set the weights. The overall score runs from 0 to 100. Each interview also gets a trust score for the likelihood of cheating.

What happens to a candidate after the score depends on your hiring system. In Teamtailor, candidates above the pass mark move on automatically and low scorers wait for a person. In four systems, HeyMilo asks the system to move a candidate on once they clear the pass mark. They are Workday, iCIMS, SmartRecruiters and SuccessFactors. The UKG Pro link moves no one, and recruiters decide.

Candidate Recommendations also searches for people. It looks across your hiring system, past HeyMilo interviewees and an outside talent pool from People Data Labs. A recruiter pastes a job description or types the must-haves. HeyMilo then scores and ranks people against the open role.

HeyMilo connects to 20 systems, including Greenhouse, Workday, Lever and Salesforce. Scored reports flow back to the candidate’s record. Your team can set its own rules for saving results back. A programming interface (API) is also available.

Written reasons, a monthly bias audit and no training on your data

Every score comes with a written reason

A hiring manager can read why a person scored as they did. Your team sets the marking guide for each role, and the pass mark. Recruiters can change any AI score by hand.

An outside firm audits the interview scores for bias every month

HeyMilo works with Warden AI, an outside firm, on monthly bias audits. The audits cover sex, race and the two combined. The latest audit was on 9 September 2026, with a sample size of 22,914. It covers HeyMilo’s voice and video interviews. Warden AI also publishes a report for New York City’s Local Law 144, the city’s law on automated hiring tools.

HeyMilo never uses your data to train its AI

HeyMilo never uses customer data to train or fine-tune its models. Personal details may be masked before they reach an AI model. Candidates are always told they are talking to an AI, and their consent is logged and can be withdrawn.

It holds security certificates and offers privacy options

HeyMilo holds SOC 2 Type I and Type II. These are security certificates from an outside auditor. A GDPR option and a HIPAA option are also available, depending on your contract. GDPR is the EU’s data protection law. HIPAA is the US health privacy law.

Who uses HeyMilo, and the results they got

Small teams with more applicants than time

At Care Dynamics, a company of 2 to 10 people, strong candidate submissions rose from 10 to 29 a month. At PMO Partners, with 1 to 10 people, overflow candidates now get a structured screen instead of silence. Alpine Home Air, with 11 to 50 people, cut screening time by 70%.

Teams with high-volume hiring

Inergroup, with 51 to 200 people, screened and scheduled about 10,000 candidates in one quarter. It also saves more than 80 recruiter hours each week. The Blue Collar Recruiter screened 1,429 candidates across 76 roles, with a median of 2.1 hours to screen. BPOLabs, with 201 to 500 people, tripled its screening capacity without more recruiters. Wilson made four times more placements and cut time to hire by 82%.

Customers running it in production

Randstad, Christiana Care and Neo Financial use HeyMilo in production. Neo Financial runs HeyMilo across 47 Canadian locations. Intershop, an enterprise customer, also uses it.

Recruiters who find candidates themselves

At The Blue Collar Recruiter, recruiters add the candidates they source. Automated texts then start the conversations. Text screening works with US and Canadian phone numbers.

Where HeyMilo stops

Some settings reject a candidate with no person involved

With “Enforce” turned on, a candidate who fails a required qualification is disqualified automatically. Questions marked as dealbreakers also disqualify automatically. A recruiter can override a rule for one named candidate with an action called “Fast Track”. HeyMilo’s terms make the employer solely responsible for hiring decisions. Decide which settings you allow before launch.

EU and UK law set rules for tools like this

The EU AI Act puts AI that filters job applications or evaluates candidates on its high-risk list, unless an exemption applies. Employers using such a tool must inform the affected workers and candidates. These duties apply from 2 December 2027. The GDPR gives a person the right not to face a decision based only on automated processing. That applies when the decision significantly affects them. The UK data regulator (the ICO) calls this a decision with no meaningful human involvement.

The contract limits what HeyMilo owes you

HeyMilo’s terms do not guarantee that the service is available or that interview results are accurate. They cap what HeyMilo pays at the amount you paid in the six months before a claim. Delaware law governs the terms, and disputes go to binding arbitration. A claim must be brought within one year. The data processing agreement is governed by New York law.

Candidate data is processed in the United States

Google Cloud holds the data for all HeyMilo services, and processes it in the United States. The data processing agreement forbids transfers outside the EU and the European Economic Area (EEA) without an adequate level of protection. Ask how that works for your candidates.

A small share of interviews end early

The AI sometimes ends an interview early. Under about 4% of interviews end this way. Ask how a candidate gets a second try.

The search tools work with few hiring systems

Candidate Recommendations currently works with three hiring systems, Bullhorn, Avionté and Tracker. Sally is HeyMilo’s search assistant. Sally can search a hiring system only if it is Avionté. Candidate Recommendations also searches an outside talent pool. HeyMilo does not replace outside sourcing for people who have never been in your database.

Plan deletion in two places

Data deleted in HeyMilo stays in the connected hiring system. A confirmed deletion request waits 60 days by default before deletion. You can set that from 30 to 180 days. Recording retention is separate, and customers ask support for a retention period. Plan who deletes what, and when.

What HeyMilo costs, and what leaving looks like

HeyMilo bills by use, in units it calls “credits”. Interviews, CV screens and texts each use them. You can set a maximum spend for each job posting, as a daily or an all-time cap. A price list in US dollars appears once billing is set up for your account. Phone numbers and text screening are not in the trial plan. They come with a paid subscription.

Candidate Recommendations is a usage-based add-on with volume discounts. HeyMilo bases its estimate on the size of your database.

HeyMilo may change prices at any time. All payments are in US dollars. All purchases are non-refundable, and you can cancel a subscription at any time.

When you leave, HeyMilo must delete your company’s personal data within 10 business days of the end of the service. It must certify the deletion in writing within the same 10 days. You can export your data as CSV, Excel or JSON files, a ZIP package or a ZIP of PDFs. A candidate can ask for their own data to be deleted from the “My Data” link on their interview page. Where HeyMilo handles the data for an employer, the employer controls that request.

You could also find and screen people with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Eight questions to ask HeyMilo

  1. What do an interview, a CV screen and a text cost on our plan, and what does our plan include before we pay per use? Good answer: A written price list for each type of use, and a spending cap we set.
  2. Which settings let HeyMilo reject or move a candidate with no person involved, and who can change them? Good answer: A named list of settings, one locked admin role and a log of every change.
  3. Will you give us the full Warden AI report, with figures for roles like ours? Good answer: The full report, plus the monthly figures, in writing.
  4. How long do you keep recordings and transcripts, and can we choose the period? Good answer: A number of days that we set, written into the contract.
  5. Which countries hold our candidates’ data, and what protects candidates from the EU and UK? Good answer: A named country for each service and a written basis for each transfer.
  6. Which languages are covered for phone, video and text, in the countries we hire in? Good answer: A written list for each channel and country.
  7. Will you raise the liability limit above six months of fees, and add an uptime promise? Good answer: A limit tied to the risk we carry and a written uptime figure.
  8. When we leave, how do transcripts, recordings and scores reach us, and what must we delete ourselves? Good answer: Named file formats, a time window and the certificate of deletion that the data agreement promises.

Alternatives to HeyMilo

If HeyMilo leaves your shortlist, look at Apriora, Humanly, Maki People, Talview, HireVue and Metaview.

Apriora sells an assistant called Alex. Alex handles outreach, screening, interviewing, verification and scheduling, with your team in the loop at every step. Humanly is AI recruiting software for hourly, frontline and high-volume hiring. It covers engagement, screening, scheduling and AI interviews.

Maki People is a layer of AI assistants that plugs into your hiring system. It is not a hiring system itself. Its Mochi assistant runs the recruiter phone screen. Maki prices for enterprise hiring, tailored to the organisation. Talview’s Ivy is an AI interviewer that runs structured conversations for a role. Ivy has SOC 2 Type II certification.

HireVue’s AI Interviewer interviews every applicant by voice, at any hour. Metaview reviews every applicant against a profile it builds from the job description. It supports eight hiring systems and also runs a short AI voice interview.

If you use a hiring system, ask its maker whether AI screening is included in what you pay now. If you get few applicants, buying nothing is also a fair answer. A recruiter can read every CV at that size, and you carry no contract risk.
