Teamtailor Co-pilot

Co-pilot is the AI inside Teamtailor, an applicant tracking system. It screens applicants against criteria you write. It also finds people in your own candidate pool for an open job. Switching it on costs nothing extra. The contract renews itself every year.

Teamtailor Co-pilot adds AI screening and candidate suggestions to a hiring system

In one line

Co-pilot is a set of AI features inside Teamtailor. It screens applicants against your criteria, suggests people from your own pool and drafts messages. A recruiter can override every screening result.

Buy it if

You run your hiring in Teamtailor, or plan to. You want AI screening without a separate product. You want to find people you already hold on file.

Do not buy it if

You want the AI to find people who are not already in your candidate pool. You need candidates to be able to refuse AI screening. You need an uptime guarantee in the contract, because the standard terms give none. A figure is possible only by exception and at extra cost.

Price

Co-pilot has no additional cost to switch on. The Teamtailor subscription itself is priced by quote. Pricing includes unlimited job postings and users.

How Co-pilot screens, suggests and automates

Teamtailor is an applicant tracking system. That is the software that holds your applicants and moves them through your hiring steps. Co-pilot is the set of AI features inside it, powered by OpenAI’s GPT models. Teamtailor does not build the AI models itself.

Screening is the feature to look at first. A recruiter writes criteria for a job, or asks Co-pilot to suggest them from the job description. Co-pilot then checks each candidate against every criterion. It reads the candidate’s application data, including the cover letter. You can set criteria for any stage and run them again at a later stage. Screening also runs again whenever the candidate’s data changes.

The result appears on the candidate card as a status and a reason for each criterion. That includes criteria Co-pilot could not judge. A recruiter can sort a stage so the candidates who meet the most criteria come first. They can also compare candidates side by side with their evaluations shown together.

Screening can move candidates on its own. Teamtailor calls these rules Smart moves. You can set one to move a candidate who does not meet the screening criteria. Once it is set up, the move happens automatically. A Smart move based on screening runs for every candidate moved into the stage, including people already there. Decide who on your team may create these rules.

Suggest candidates looks for people in your existing pool. A recruiter clicks the button on an open job. Co-pilot takes the skills from the job description and shows up to 20 matching people. Teamtailor expects a person to review every suggestion. The recruiter moves a chosen person into the job, where they are marked as a sourced application. The recruiter can also mark someone as not a fit, and Co-pilot will not suggest them to that job again.

For people outside your pool, a browser extension adds a person from another website to your candidate bank. It records the website as the source. It also adds a person from an uploaded resume or typed details. The Resume parser then reads details from the resume of every candidate who applies, connects or is sourced. It can detect hidden text in resumes. A warning about hidden text does not count against the candidate.

Co-pilot writes a five-point summary of each resume without the name, email address or gender. The summary comes with a timeline that highlights periods with no recorded employment or education. It also drafts rejection messages, which a recruiter can edit before sending. Request missing info sends candidates a questionnaire for any missing details. You write the email subject and message, and you can cap the number of questions.

Teamtailor also lets other AI assistants read from and act in your account. The link is called MCP, short for Model Context Protocol, a standard way to connect outside AI assistants. An admin sets read, create and modify, or delete permission for each role. With create and modify access, an assistant can move a candidate to another stage. Teamtailor leaves the choice of AI assistant, and legal compliance, to the customer. Webhooks, which send live updates to other systems, are an add-on. A LinkedIn Recruiter connection is an enterprise add-on.

What works in your favour

An admin controls Co-pilot, and every feature is opt-in

A Company Admin switches Co-pilot on, and every Co-pilot feature is opt-in. You can switch the features off again. Co-pilot itself costs nothing extra, but other Teamtailor add-ons do.

Every screening result shows its reasoning

Each criterion shows a status and the reason Co-pilot gave. A recruiter can override any of them. Teamtailor’s AI systems with a significant impact include ways for a person to review, step in and override.

Co-pilot checks for unfair wording, and Teamtailor can hide identities

Co-pilot checks your screening criteria for wording that could discriminate. It also flags application questions that refer to sensitive personal characteristics. The flag is only a reminder, so a recruiter can still save the question. Anonymous mode is a separate Teamtailor feature and is optional. It masks identifying details in candidate profiles. When it is on at the Inbox stage, it also masks suggested candidates. In that case, candidates are told about it when they apply.

The AI provider does not train on your data

Co-pilot runs on OpenAI’s Enterprise service. OpenAI does not train on the data. Teamtailor does not train its AI on one customer’s data to serve another. Teamtailor has been certified to ISO/IEC 42001, a standard for managing AI systems, since August 2026.

Where Co-pilot stops

Candidates cannot opt out of the main features

Co-pilot screens a candidate automatically when they enter a stage that has screening. It also summarises every resume automatically. Ask Co-pilot reads every candidate’s application data. A candidate cannot opt out of any of these while their data sits in your account. Candidates cannot choose whether Co-pilot drafts their rejection message either. Teamtailor’s own privacy policy does not cover candidate data that its customers hold. Telling candidates how their data is used, through your privacy notices, is your job under the contract.

Teamtailor does not promise the output is correct

Teamtailor cannot guarantee that Co-pilot output is correct and complete. It asks customers to verify it. Customers are responsible for their own compliance when they use AI. If a candidate asks for their data, the reply can include the screening evaluations Co-pilot made about them.

Some features are high-risk under EU law

Some of Teamtailor’s AI features count as high-risk under the EU AI Act. The Act gives that label to features that analyse or filter applications or evaluate candidates. The high-risk requirements apply from 2 December 2027. Customers will have duties as deployers, which means the organisations that use the AI.

Candidate suggestions do not reach beyond your own pool

Suggest candidates matches people to an open job. It leaves out people with no activity in the past year and people whose location does not match the job. It shows at most 20 people. It only looks at people already in your candidate pool.

OpenAI may keep some data for up to 30 days

For most Co-pilot features, OpenAI does not keep the data Teamtailor sends it. Two features are different, Suggest candidates and the Resume parser. Suggest candidates uses OpenAI’s batch mode, where OpenAI may keep the input and output for up to 24 hours. For both features, abuse-monitoring logs may be kept for up to 30 days.

Who gets the most from it

A team that wants recruiters to spend less time on repetitive screening

Klass Wagen is a holiday car rental company in Romania, Hungary and Portugal. It reports that average time to hire fell by 20 to 25% since it started using Co-pilot. It also reports that recruiters spend about 30% less time on repetitive tasks. Its Group HR Manager describes Co-pilot as scanning resumes and pointing out the most relevant candidates against the job requirements.

If your hiring already runs in Teamtailor

Co-pilot is a set of features inside the system, so there is nothing separate to buy or connect. Your recruiters keep working in the screens they already use.

If you hold many past applicants on file

Where you collect permission to contact people about future jobs, Co-pilot respects it. A large store of past applicants who have been active in the past year gives the suggestions more people to draw from.

What it costs, what the contract says and how you leave

The Teamtailor subscription is sold by quote, so you get the price by asking for one. In 2024 RISE Research Institutes of Sweden AB picked Teamtailor for a web-based recruitment tool. The estimated value of that contract is 2.5 million Swedish kronor.

The service is provided annually at the fees in your order form. The contract renews for 12 months unless you give notice at least one month before the period ends. Teamtailor can change the fees for a renewal period with 60 days’ written notice. A renewal invoice can go up for two reasons. One is a first-year discount that no longer applies. The other is growth of your company. There is no refund on early termination.

Access is disabled 23 days after the due date of an unpaid invoice. The standard terms give no uptime guarantee. Teamtailor typically does not commit to specific uptime figures. It can commit to one in exceptional cases, at extra cost. Teamtailor’s liability is capped at the fees you paid in the previous 12 months. Nothing limits Teamtailor’s liability for fraud, gross negligence, wilful misconduct, or death or personal injury from its negligence. Swedish law applies, and Swedish public courts settle disputes.

After the contract ends you have 30 days to tell Teamtailor whether to return or destroy your personal data. It complies within 60 days of termination. With no instruction, it deletes the data within 60 days. Deleted data generally stays in backups for ten days. Some outside providers keep data for up to 30 days after deletion. You can export candidates as a CSV file, which opens in a spreadsheet. Teamtailor sends it to the account email. Automatic deletion rules flag candidates and remove them after a one-week grace period.

You could also find and screen people with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Eight questions to put to Teamtailor

  1. Can we require a recruiter to approve every stage move that comes from a screening result? Good answer: Yes, as a setting an admin controls, with a log of who changed it.
  2. What do you advise we tell a candidate who objects to AI screening, given they cannot opt out? Good answer: A written route to a person’s review that does not count against the candidate.
  3. What uptime figure will you put in our order form, and what does it cost? Good answer: A written figure, a price, and a stated remedy if it is missed.
  4. Can the order form cap the fee change at renewal? Good answer: A written cap, or a fixed price for the renewal period.
  5. How long does OpenAI keep what the Resume parser sends, and which region processes it for our account? Good answer: A stated period and a named region for each Co-pilot feature, including Asia-Pacific accounts.
  6. How long are audit logs kept by default, and what does more time cost? Good answer: A stated number of months and a price for each extra period.
  7. Which Co-pilot features do you treat as high-risk under the EU AI Act? What papers do you give us as the deployer? Good answer: A named list of features and the documents that come with them.
  8. What is the quote for our headcount with Co-pilot on, and what is the price in year two? Good answer: One written quote that shows both years.

Alternatives to Teamtailor

The closest alternatives are Recruitee, Workable, Breezy HR and Pinpoint. Each is an applicant tracking system with AI screening built in.

Choose Workable if you want AI to search people who have never applied to you. Its Workable Agent searches a database of more than 400 million profiles. You pay for it in AI credits, which are prepaid units used by each AI action. You can add the Agent to any plan. Teamtailor’s Co-pilot searches only your own pool.

Recruitee has a Screening Assistant that reviews applications against your criteria. It reviews only people who apply through the careers site form. Its Matching Assistant looks for candidates in your talent pools and other jobs. Breezy HR scores every applicant from 0 to 10 against criteria you control. It drafts up to five scoring categories from the job description. Pinpoint scores each applicant out of 10 and adds a written verdict, strengths and concerns. Its AI Hiring Copilot searches your existing talent pool in everyday language.

Buying nothing extra is also an option. Co-pilot is opt-in, so you can run Teamtailor with it switched off. Our guide to AI sourcing and screening covers the whole market.
