Learning management systems for companies of 200 to 2,000 people

Vendors change plan or price at sizes inside 200 to 2,000 people. Kallidus, Totara and Docebo publish a price for 500 and for 1,000 people. Start there. Then check how each vendor counts users, how long you sign for and what the first renewal costs. Last, ask how long setup takes and what help is included.

Publish a price

Kallidus, Totara, Docebo, Access LMS Evo and Valamis publish prices by headcount. iSpring does the same up to 500 users.

Start small

TalentLMS publishes plan prices for small headcounts and bills monthly. You can end it on 30 days’ notice.

Starting price only

Bridge starts at $15,000 a year. Litmos starts at $8,000. Learnifier starts at €1,100 a month. 360Learning’s Business plan is custom.

Quote only

Absorb tells you to talk to sales. Cornerstone estimates the cost after a demo.

Setup help

Juno includes tailored setup and a dedicated contact in every package. Access includes onboarding. Bridge includes a dedicated account manager. Cornerstone’s SMB packages can deploy in as little as 6 weeks. At Learnifier, most organisations can go live within a few weeks.

Check first

Docebo, Valamis, Bridge and 360Learning usually sell terms of three years or more. At Docebo, iSpring, Litmos and Learnifier, your user count becomes the minimum you pay for. Their terms bar lowering it during the term.

Where vendors change plan between 200 and 2,000 people

Plans change at sizes inside your range. Litmos’s mid-market offer is purpose-built for 150 to 2,000 employees. TalentLMS starts its Flexible plans at 500 users and its Enterprise plan at 1,000. 5Mins prices 51 to 500 employees from $10 per user a month. Above 500 it asks you to speak to sales. Learnifier’s Professional plan covers up to 250 active users. A company of 400 and a company of 1,200 can land on different plans at the same vendor.

Vendors also count people in different ways. Some count people who log in or are active. iSpring counts anyone who logs in at least once in a month. TalentLMS counts unique users who log in each month. Docebo counts anyone active at any point in the contract year. Totara’s Product Licence counts accounts that logged in during the past 12 months.

Others count accounts. Learnifier counts a user as active as long as they have access to a course. Ask whether staff who never log in count. Kallidus prices per named user and counts active or enabled accounts. Totara’s G-Cloud terms count every account that existed in the past 12 months, even if later suspended. 360Learning offers registered users, monthly active users or a mix in one contract. Count how many of your people fall under each rule before you compare quotes.

The term you sign matters as much as the price. At several vendors, your user count becomes a floor for the whole term. Many vendors here also sell multi-year terms. Most Docebo customers sign three to five years. A three-year agreement is standard at Valamis. Bridge typically offers three years. 360Learning sets an initial period of 36 months unless the order sets another period. TalentLMS bills monthly or yearly. Learnifier bills monthly or yearly too. Cezanne Learning has no long-term contract.

Which products let you add up a bill, and what help comes with them

Five products publish a price by headcount in this range. Two more publish plan prices for smaller teams. The table sets out those seven and four more where you have to ask. Kallidus, Totara, Access LMS Evo, Valamis and one Docebo price come from G-Cloud, the UK government’s buying list. Ask each vendor whether a private company pays the same.

How long does setup take, and what help comes in the price?

Bridge designed its learning system for companies of 250 to 5,000 employees, especially those with lean learning and HR teams. Ask every vendor how long setup takes. Cornerstone’s SMB packages can deploy in as little as 6 weeks. At Learnifier, most organisations can go live within a few weeks. At 360Learning, most teams launch first training programmes in a few weeks. TalentLMS’s Starter onboarding is two weeks of guided onboarding with two expert-led sessions.

The help that comes in the price differs more. Juno includes tailored setup, training, success planning and a dedicated customer success manager in every package. Bridge’s pricing includes customer support, learning resources, workshops and a dedicated account manager. Access includes onboarding and standard customer success support in every package. A designated Customer Success Manager is an upgrade. At Learnifier, a dedicated Customer Success Manager comes with Enterprise. Kallidus provides support to every customer at no additional cost.

Course building matters when one person does it. iSpring includes its authoring tool in all plans. Valamis Studio authoring is included as standard with no per-author licence.

Start with Kallidus, Totara and Docebo, but check what you are buying

Kallidus publishes both a fixed implementation fee and a timeline. Standard implementation of Learn (Learning Advanced) costs £3,000 per service and takes around 8 to 12 weeks. Most Totara sales go through a network of over 70 partners. Ask who sells to you and at what price. Totara’s £20,200 Base price for 500 users sits under a G-Cloud service for renewing customers only. Docebo’s two AWS Marketplace listings disagree on the period for $35,900. One gives it per 12 months and the other per 36 months. Docebo’s real yearly price stays unknown until you ask.

Access LMS Evo and Valamis publish prices, but each leaves a question

Access LMS Evo’s G-Cloud price document sets a minimum of 100 employees. Its own pricing page makes LMS Evo available from a minimum of 10 learners. Its pricing page puts the minimum term at 12 months. Its Core Terms put the initial term at 36 months unless the order sets another period. Ask which minimum and which term apply to you. Ask Valamis whether its per-user prices are monthly or yearly before you compare them with anyone else. Valamis starts at about €17,000 a year.

iSpring and TalentLMS suit a cautious start

iSpring’s Business plan runs from $8,286 a year for 100 users to $23,790 for 500. All plans include unlimited storage and its authoring tool, and it offers a 30-day free trial. TalentLMS bills monthly. You can end it on 30 days’ notice, with no refund for unused prepaid time.

Ask for a quote from these four, but know the starting point

Litmos starts lowest, and its mid-market offer is purpose-built for 150 to 2,000 employees. Bridge starts at $15,000 a year and is designed for 250 to 5,000 employees. Learnifier’s €1,100 a month covers up to 250 active users, so ask what Professional costs above that limit. 360Learning’s Business plan is custom. A Brussels public body estimated about €300,000 over four years for 360Learning. That covered licences, advanced solutions and support for its SAP HR link. The notice covered about 1,785 users. It works out at about €42 per user a year, including support.

If you want a price per user each month

Four vendors publish a per-user monthly price near your range. Juno Training costs $8 on a yearly plan, and its customers include Prodware with 1,270 employees. 5Mins costs from $10 for 51 to 500 employees. Confirm’s Learn:Up starts at $9 or £7, based on a company of 200 people. Cezanne Learning starts from £2.40. It also has no implementation fee and no long-term contract.

Where the price comes after a conversation

Absorb tells you to talk to sales. Cornerstone estimates its cost after a demo.

What the extras add to the yearly price

Price rises more slowly than headcount. Going from 500 to 1,000 people adds £8,615 a year at Kallidus on Learn (Learning Advanced). It adds £4,900 at Totara on Base. A UK reseller prices Docebo at £18,340 a year for 250 users and £32,718 for 1,000. That is four times the users for under twice the price.

The yearly price is not the whole bill. Totara requires a support package at £3,900, £7,800 or £13,000 a year on its G-Cloud price list. It also charges £9,500 once for Base implementation. A UK reseller prices Docebo onboarding at £11,200 once and makes it a mandatory add-on. Valamis includes implementation, the mobile app and 24/7 support in one annual subscription.

Links to other systems can cost more. Docebo includes up to four integrations in Elevate and up to six in Enterprise. A UK reseller prices three more integrations at £5,603 a year. 360Learning prices its Workday connector separately. Kallidus prices its BambooHR link through its account manager.

Four ways a mid-sized contract can cost you more

Your user count becomes a floor

Under Docebo’s terms, you cannot lower user thresholds during the term. iSpring, Litmos and Learnifier terms also bar cutting the quantity you bought. Valamis sets your agreed tier as the minimum for the whole term. Count your likely users before you ask for a quote.

Going over your limit costs more

Totara moves you to a higher tier when use passes 105% of your user cap. Valamis moves you up after three months in a row more than 10% over your tier. Bridge charges extra use in blocks of at least 10% of your order. Litmos may bill each extra licence at 1.5 times the fee if your order sets no rate. On a UK reseller’s Docebo price list, each extra user above the 250-user tier costs £276 a year.

Renewals can reprice you

Some renewals are capped and some are not. Docebo sets renewal fees at its then-current fees or 10% over your highest earlier annual fee, whichever is lower. Totara’s G-Cloud terms allow one rise a year on 90 days’ notice. The rise is capped at the greater of 5% or UK consumer price inflation. Access may move your fees to its then-current list price at the end of any term. The iSpring terms set renewal fees at its then-current fees and may change fees on 15 days’ notice. Valamis may adjust prices to EU inflation on 60 days’ written notice after the first term. Ask Access, iSpring and Valamis for a cap.

Links to your HR system may be unfinished or cost extra

TalentLMS’s Workday link is in beta, tested in Workato’s test environment and not in a customer’s Workday. Kallidus’s BambooHR link is a premium extra and is in beta. Ask whether the link to your HR system is finished and in the price.

What should you ask each vendor before you sign?

  1. Docebo: Your AWS Marketplace price for 500 users is $35,900. Is that for 12 months or for 36? Good answer: One period, written in the order.
  2. Docebo: Does the link to our HR system count as one of the four integrations in Elevate? What does a fifth cost? Good answer: A named list of integrations and a price for each extra one.
  3. Docebo: Can we lower our user count at renewal? Good answer: Yes, in writing, at renewal.
  4. Totara: Which support package is in our quote? Do we buy from Totara or from a partner? Good answer: One named package and one named seller.
  5. Totara: Can a new customer get the £20,200 Base price for 500 users? Good answer: Yes, or one written price for a new customer.
  6. Kallidus: Is the link to our HR system finished, and what does it cost? Good answer: A live link, with its price in the order.
  7. Kallidus: What will it cost to take our data out when we leave? Good answer: A fixed fee, or no fee, in the order.
  8. Valamis: Are your per-user prices monthly or yearly? Good answer: A period in writing and a total for our headcount.
  9. Access LMS Evo: Is our minimum term 12 months or 36 months? Good answer: One term, written in the order.
  10. iSpring: Your renewal fees follow your then-current fees. Will you cap the rise at our first renewal? Good answer: A cap in the order.
  11. Litmos: Will you put a rate for extra licences in our order? Good answer: A set rate, stated in the order.
  12. Bridge: If we go 5% over our headcount, what do we pay? Good answer: A per-user price for the extra, not a 10% block.
  13. TalentLMS: Is your Workday link live in a customer’s own Workday? Good answer: Yes, and we can speak to that customer.
  14. 360Learning: Is the connector to our HR system in the price? Good answer: A price for the connector in the order.
  15. Access LMS Evo: Is a designated Customer Success Manager in our price, or in the Premier upgrade? Good answer: A named manager and the price in the order.
  16. Cornerstone: Can we go live in 6 weeks? What go-live date goes in the order? Good answer: A date in the order.
  17. Learnifier: After we leave, do we have 30 days to ask for our data, or 90? Good answer: 90 days, in the contract.

When a different tool fits better

A learning system assigns courses and keeps the completion records. If your HR system already includes learning, read the guide for companies in that position. If you are above 2,000 people, read the enterprise guide. The comparison covers 57 products side by side. Our guide to learning management systems covers the whole market, including what happens to your training records when you leave.

If you want managers to practise hard conversations, Merlin is an alternative. Merlin is Risely’s AI coach. In role-play, Merlin plays the other person, such as a defensive direct report or a sceptical VP. The manager practises an approach before the real conversation. Merlin also works through scenarios with a manager, such as a team member saying they are thinking about quitting. Merlin delivers no training and keeps no completion records. It sits beside a learning system and does not replace one.

Sources and method Everything said here about each product comes from the vendor’s own website, help centre, price documents and contract terms. Some comes from UK government G-Cloud listings, AWS Marketplace listings, a UK reseller’s price document and a public contract notice. Each was read on the date below. Which products suit which size is our own judgement, reasoned from those facts.
