Zappyhire

Zappyhire is an AI hiring system from India, sold to in-house teams at large companies. It links to many HR systems and job sites, and it runs video interviews in 50 or more languages. Its own pages disagree on who moves a candidate forward. Its video product rejects low scorers automatically, and no notice goes out. The price is on request. A signed order form overrides its website terms, so set your terms there.

Zappyhire sells AI hiring software to large teams, with the price on request

In one line

Zappyhire runs hiring from job request to offer letter. Its AI screens, ranks and interviews applicants. It sells to in-house teams at large companies.

Buy it if

You hire in large numbers and want AI to do the first screen. You run an HR system such as Darwinbox or Keka, or post jobs to Naukri. You want candidate data held on servers in India, which Zappyhire offers.

Do not buy it if

You are a small business or a staffing agency, because Zappyhire does not onboard either. Ask where it draws the line. You need a price before you speak to sales.

Price

Zappyhire’s own blog gives the price as “Contact vendor”. The review site SaaSworthy starts it at $39 a month for a single plan. Ask which figure applies to your headcount.

Where the AI acts alone in a Zappyhire hire, and where a person steps in

Where does the AI act alone, and where does a person have to act? That question decides who on your team carries the risk of each hiring decision. This section follows one hire through Zappyhire to answer it.

A hire starts with a job requisition, which is the formal request to open a role. Zappyhire routes the request through approvers. Once approved, the job goes to Naukri, Indeed and LinkedIn from one dashboard. It also goes to a branded career page. Zappyhire can write the job description with AI and suggest fixes for clarity, spelling, completeness and gender neutrality.

A candidate who applies on the career site meets a job application chatbot. Zappyhire’s chatbot Zoey asks candidates questions, collects documents and summarises their answers. Zappyhire also offers a multilingual recruiting chatbot. A candidate who misses the entry criteria for a job goes to an Ineligible list. A recruiter works through that list.

Next the AI reads and ranks. A recruiter turns on the CV reader and picks the CVs, and Zappyhire summarises each one. It reports 93% precise extraction for this reading. Recruiters define the screening criteria for each role. Zappyhire’s AI then ranks applicants on overall fit for the role. Course, certification and skill priorities can rank eligible candidates. Zappyhire also recommends candidates from the history of shortlisted and hired candidates for that job.

Who moves a candidate forward after screening is the question to settle, because Zappyhire’s pages give different answers. Its help centre has HR shortlist each screened candidate before the candidate moves on. The hiring manager’s shortlist is optional. A person also picks who goes forward between interview stages. Its pre-screening page puts it differently, because screening there eliminates manual shortlisting. Its resume-screening page has the AI shortlist candidates. Its home page has agentic AI auto-schedule interviews. Ask which one your setup will do.

Interviews are scheduled with calendar sync across the panel. Interviewers score candidates on evaluation forms. Inside the ATS, an AI video interview stage asks set questions and scores the candidate automatically on personality and language. Zappyhire’s robotic video interviews analyse body language and speech patterns in real time and create a transcript. Its pre-screening page adds that video interviews judge behavioural indicators and language proficiency. Ask how these scores are used before they affect a candidate.

The video interview product works differently. ZappyVue launched in the US in July 2024. Candidates record answers, and the AI gives a knowledge score and a language score. ZappyVue scores answers on knowledge and language without any human intervention. Candidates above the minimum qualifying score are shortlisted automatically. Candidates who fail the cut-off are rejected automatically. A person can change the status manually, but no notice goes to the candidate. Zappyhire’s ethical AI page puts people over every hiring decision. Its GDPR page adds that Zappyhire does not make hiring decisions. Ask Zappyhire who makes the decision when ZappyVue rejects a candidate.

At the end, Zappyhire generates the offer letter, and offers can be approved by email. It tracks acceptance, e-signatures and onboarding completion. Real-time reporting is part of the product. The Reports page is open to the administrator, HR and hiring manager roles only. Our guide to applicant tracking systems covers how the rest of this market handles the same steps.

What works in your favour

Four things count in Zappyhire’s favour if you hire at scale. Each one saves your team work or lowers a risk, and each comes with a question worth asking.

It connects to many HR systems and hiring tools

Hiring software is only as useful as the systems around it, and Zappyhire has many links. It connects to SAP, Workday, Darwinbox and Keka. It adds 45 or more other HR systems. For most enterprise clients, a dedicated implementation manager sets up the HR system connections. Tests from DoSelect, HackerEarth and WeCP send their scores back automatically. Recruiters do not chase scores in another tool. AuthBridge and SpringVerify are among its background check partners. It also connects to Zoom, Slack and WhatsApp. Staff can sign in with a Google or Azure account.

Video interviews in 50 or more languages, and tools for hiring in volume

A video interview that needs no recruiter in the room frees recruiter time. Zappyhire records these interviews without recruiter intervention. Candidates answer at any time, in any place and on any device. Recruiters set the questions and follow-up questions in advance. Zappyhire runs them in 50 or more languages for blue and grey collar jobs, which are hands-on roles. For high-volume hiring it adds bulk actions, automation and smart filtering. Chatbot-assisted engagement and self-scheduling help too, so candidates can book their own interview slots.

Candidates who miss the entry criteria wait for a person to decide

An automatic entry screen is easier to accept when a person controls what follows. You set the entry criteria for the job application chatbot. A candidate who misses them waits on an Ineligible list until a person acts. The recruiter can mark the candidate eligible, put them on hold or reject them. A rejection email goes out only if the recruiter picks that option. So at this step a person decides, and the candidate hears only if the person chooses to send the email.

Its data protection terms are written down

Candidate data is personal data, so the terms around it matter. Start with the standards Zappyhire holds. It gives ISO 27001, SOC 1 Type 1 and SOC 2 Type 2 as its security standards. It also gives GDPR alignment and readiness for India’s DPDP data protection law. Role-based access, audit trails and consent management come in the base product. Ask to see the certificates behind these. Next, check what is in writing for you to sign. A data protection contract is provided for you to review and sign. Zappyhire notifies the data controller of a breach within 72 hours of discovery. The data controller is the party that decides how candidate data is used. Transfers of EU candidates’ data use standard contractual clauses. Last, check where the data sits. Candidate data is hosted on E2E Networks, and data residency on Indian servers is available. Zappyhire does not sell candidate data or use it for advertising or profiling.

Where it stops, from automatic rejection to funding questions

Four things can cost you time or trust after you sign. Each one has a question to settle in writing first.

ZappyVue rejections need an owner on your side

ZappyVue is Zappyhire’s separate video interview product. Candidates below its cut-off are rejected automatically, and no notice goes to them. A person can change the status afterwards. So agree before you buy who reviews these rejections and how candidates are told. Zappyhire gives candidates and clients plain-language explanations of where AI is used. Ask whether that covers a ZappyVue rejection.

Ask who audits its AI, and when

Zappyhire tests its models for adverse impact. That means checking whether the AI selects one group at a lower rate than another. Independent experts and partners audit the models. Zappyhire also revalidates them regularly and audits them internally and externally. Ask for the auditor’s name, the date and the report before you rely on it. Zappyhire adds that no predictive-hiring system is perfect and that it is one tool in the recruitment process.

Go-live is given as one day, a few weeks or a couple of months

Your project plan depends on the go-live date, and Zappyhire gives several. Its ATS landing page puts go-live at one to seven days for most organisations. The same landing page carries the headline Live In 1 Day. Its main ATS page puts go-live at three to four weeks for most enterprise clients. That timing includes a dedicated implementation manager. The manager handles migration from the old ATS, HR system connections and training. In a Zappyhire blog, implementations generally take around a couple of months. Another blog reports that many clients go live within a few weeks. So get the date in writing.

Zappyhire raised a seed round in 2021, so ask about funding since

A long contract is a bet on the vendor lasting, so its funding history is worth a question. Intellioak Technologies Pvt. Ltd. owns Zappyhire, which is an Indian company. Deepu Xavier and Jyothis K S are the co-founders. Zappyhire raised 3.71 crore Indian rupees in seed funding on 30 November 2021. The money came from Kerala Angel Network and Alex K Babu. ETHRWorld also reports that the round included strategic investors and that more than four customers became investors. Ask about its current funding before you sign.

Zappyhire’s pages give four answers on company size

Company size decides whether Zappyhire is worth a demo, and Zappyhire gives four answers on it. Its main ATS page puts it exclusively at in-house HR teams in companies with 1,000 or more employees. Its ATS landing page puts the buyer at mid-sized and large enterprises. Its Freshteam migration page puts the programme at mid-to-large enterprises with 500 or more employees. Its collaborative hiring page puts it at companies of all sizes. Ask which answer applies to your headcount.

Its customers sit mostly at the large end. Baby Memorial Hospital has more than 2,000 staff. An unnamed small finance bank has more than 3,000. An unnamed private-sector bank has more than 16,000. NeST Digital has more than 1,000. Zappyhire puts Shaadi.com at around 900 staff on one page and 1,000 or more on another. It labels Network Techlab as mid-market, with 501 to 1,000 staff. Jiffy.ai has 200 or more. Zappyhire reports 103,000 or more users. The results below are Zappyhire’s own customer stories, so ask to speak to a customer.

Baby Memorial Hospital handled 150% of its usual workload

Baby Memorial Hospital has more than 2,000 staff. Its chief operating officer is Saji Mathew. The hospital handled 150% of its usual recruitment workload with the same hiring resources, Saji Mathew reports. The hospital hired nurses during the second wave of COVID-19 under urgent need. Zappyhire puts the result at 60 nurses hired from 160 applicants in 36 hours.

Federal Bank cut hiring cycles from 45 days to under 18

Federal Bank’s Head of Talent Acquisition, Reshma Shetty, reports that hiring cycles went from 45 days to under 18. Sourcing workload fell 60% as well.

A small finance bank cut time-to-hire fourfold

The bank is unnamed and has more than 3,000 staff. Time-to-hire fell 4X and candidate drop-offs fell 5X. Ask Zappyhire which period and method sit behind those figures.

Shaadi.com moved from three hiring platforms to one

The Head of Talent Acquisition at Shaadi.com reports a move from three hiring platforms to one Zappyhire platform. If your team works across several hiring tools, that is the result to ask about. Ask which three platforms it replaced.

NeST Digital streamlined requisitions, candidates and scheduling

NeST Digital has more than 1,000 staff. Its Lead Talent Acquisition reports that Zappyhire streamlined requisitions, candidate management and interview scheduling.

What Zappyhire costs and what its contract terms are

What will Zappyhire cost, and what will the contract let you do? The price is hard to find, so this section gathers every price signal. It then covers the contract terms that decide what you pay and how you leave.

A Zappyhire blog gives its price as “Contact vendor”, with the trial on request. Another Zappyhire blog puts enterprise software, including Zappyhire, at custom pricing or tiered packages. The review site SaaSworthy starts the price at $39 a month for a single plan. A Zappyhire blog post dated 6 December 2022 tells readers to start using it for free. Deel clients get 10% off all Zappyhire annual subscription plans. These signals do not agree, so the only figure to rely on is a written quote. Fees may vary by product and plan, so ask for each item priced on its own. They may also vary by number of users and usage limits. Implementation, integrations and support level can change the fee too.

ZappyVue charges per interview minute. Each invitation counts the number of questions times the answer time per question. Ask how that count turns into a charge for your volume.

A signed order form prevails over the website terms, so set the terms you need there. Start with renewal and cancellation. Subscriptions may renew automatically or manually, as the order form sets. Deleting an account or going inactive is not a valid cancellation unless the agreement permits it. So put the renewal method and the way to cancel in the order form. Payments are not refundable only because you stop using the service early. Then check the fees. Zappyhire may revise fees, and the revised fees apply from the next renewal unless agreed otherwise. So agree any fee rise at renewal in writing. Fees exclude taxes. Invoices may be issued in advance, periodically, on milestones or on another agreed schedule. Zappyhire may suspend paid services where payment stays overdue after notice. Use of the website falls under the laws of India.

Leaving needs a plan too, and the plan starts with your data. Zappyhire keeps data as the contract agrees, for the active contract period plus a grace period. Candidates may ask to view, update or delete their data, and Zappyhire routes those requests to the data controller. Only an administrator can delete a candidate. That deletion removes the candidate from the database and all jobs, and it cannot be undone. Reports download in Excel format, and an offer letter can be downloaded. Ask how everything else comes out.

Coming in is easier if you use Freshteam. Zappyhire migrates three things from it at zero cost. They are candidate profiles and CVs, open and closed job requisitions, and hiring stages and workflows. It offers limited free migration slots. You can also upload candidates in bulk by CV or Excel sheet.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Questions to put to Zappyhire before you sign

Each question below covers a point that Zappyhire’s own claims leave open. Each also gives a good answer to look for.

  1. What price applies to our headcount? Please price the ATS, ZappyVue and each connection to our other systems. Good answer: A written quote that prices each product and gives the renewal fee.
  2. Which go-live time goes into our contract, and who is our implementation manager? Good answer: A dated plan with a named manager and a go-live date.
  3. When ZappyVue rejects a candidate below the cut-off, can a person review the case before the rejection takes effect? Good answer: Yes, as a setting we control, and the candidate is told.
  4. Who audits your AI models for adverse impact, and can we read the report? Good answer: The auditor’s name, the date and the full report.
  5. Will our contract name India as the hosting location for our candidate data? Good answer: Yes, with the hosting location written in the contract.
  6. How long do you keep candidate data after the contract ends? Good answer: A stated number of days for the grace period, written in the order form.
  7. How do we export all our candidate data when we leave? Good answer: A named file format and a deadline, written in the contract.
  8. Can our order form set its own renewal, cancellation and fee-rise terms? Good answer: Yes. The signed order form overrides the website terms.
  9. Zappyhire pages give 69% and 72% as time-to-hire and cost figures. What does each one measure? Good answer: The customers, the period and the method behind each figure.

Alternatives to Zappyhire

If Zappyhire comes off your shortlist, five other products are worth a look. They are Darwinbox, Keka and Talkpush, then Fountain and Paradox. You can also keep your current system. The paragraphs below say which one fits which case.

If your company is below Zappyhire’s range, Paradox is one to check. It serves businesses from 50 employees to the Fortune 100.

Zappyhire connects to the Darwinbox and Keka HR systems, and both also sell hiring software. If you run Darwinbox or Keka, buying hiring software from the same vendor means one vendor instead of two. Darwinbox Recruitment is an AI-powered ATS for enterprise hiring. Keka Hire sits inside the Keka HR platform and posts jobs, tracks applicants and schedules interviews. Keka reports that about 70% of its customers do not use Keka Hire, so ask Keka for customers who do.

For high-volume hiring, Talkpush is built for teams that fill 500 to 50,000 roles a year. Fountain Hire finds, assesses and moves hourly workers through a pipeline. Paradox sells a conversational ATS for high-volume hiring.

You may not need to replace anything. ZappyVue integrates with existing enterprise HR systems and ATS products. You could add only the video interview product to the system you already run.
