Ashby

Ashby is one hiring system with AI built into most steps, and a person confirms what its AI assistant does. Auto-reject rules archive applicants on their own, and its newest AI is still early. The price follows company size and paid seats, and the AI allowance does not roll over. Settle that and your exit before you sign, because Ashby may erase your data 30 days after termination.

Ashby suits a team that wants AI inside its hiring system and a person in charge

In one line

Ashby is one hiring system for jobs, candidates, scheduling and reports. It builds AI into most of those steps.

Buy it if

You want AI help with application review, scheduling and interview notes. You will keep a person responsible for every decision about a candidate. You can accept a price that follows your company size and paid seats.

Do not buy it if

You need the AI Interviewer now, because it is still an early access waitlist. You need a fixed price in writing before any sales call. Your legal team needs an uptime promise, and your agreement does not refer to Ashby’s service level terms.

Price

Foundations covers companies of up to 100 employees. It is priced at $400 a month for one of its five company-size bands. Ask which band that is. Plus covers 101 to 1,000 employees, and Enterprise covers 1,000 or more. Annual commitments save 10%.

What Ashby does with a candidate, and where the AI acts on its own

What Ashby does to a candidate decides how much of your hiring the AI touches, so start there. Ashby is one system for the whole hiring job. It covers applicant tracking, a candidate database with sourcing tools, interview scheduling and reports. It adds AI to each. Your team builds jobs from templates and tracks candidates through a visual pipeline. It plans structured interviews and sends offers through approval workflows with electronic signatures. Candidates can book their own interview from a link. Ashby also contacts them by text in the US and Canada, and by WhatsApp. It connects to over 250 other tools for job boards, assessments, video interviews and post-hire tasks.

The AI feature that touches candidates most is application review. Your team writes the criteria for a job. The AI checks each resume against them and answers meets, does not meet or undecided for each criterion. A column then gives the percentage of criteria each candidate meets. You can sort it from best fit to lowest fit. Ashby does not rank candidates or give them numerical ratings in this review, and a person is always involved. Sorting by that column still puts candidates in an order. Decide beforehand how your recruiters may use it. Ashby also checks your criteria for clarity and flags any that could break equal opportunity rules. You can go ahead with a flagged criterion, although Ashby does not recommend it.

Candidates have a say in this. Ashby provides automated candidate disclosures and a way to opt out of automated processing. When a candidate opts out, the AI evaluation is skipped. Candidates who apply through Ashby’s own form count as having seen the notice. Ashby sends your team no alert when a candidate opts out. One setting hides AI evaluations for a candidate who opted out or did not apply through Ashby’s own form. Ashby treats the customer as the deployer and controller. Switching on the AI disclosure is therefore your job.

Auto-reject rules archive applicants without a recruiter reading them, and fraud detection may too. Auto-reject rules archive anyone whose form answers match conditions you set. They run when the application arrives. Fraud detection checks the device, IP address, email address and phone number of each applicant. Marking an application as fraudulent archives the candidate with a rejection reason for fraud. In its help articles, fraud detection flags applications for manual review. In its pricing material, it marks candidates as fraudulent automatically. Ask which happens first. You can switch fraud detection off for certain jobs.

Ashby also has an AI assistant and custom agents, and they ask before they act. They answer questions and work across jobs, candidates and pipelines. An agent asks you to approve an action before it takes it. That includes moving a candidate to a different stage. Agents can also draft emails for you to review, edit and send. Agents that run on a schedule can only read. All plans include agents. The connection for outside AI tools such as Claude and ChatGPT is different. It lets those tools read and act on Ashby data. An organisation admin must switch it on, and it follows each user’s own permissions. One of its tools moves applications between stages and can archive them. So whoever runs your hiring should decide who gets that connection.

The AI Notetaker is a paid add-on. It records, transcribes and summarises interviews and debriefs. It transcribes in over 99 languages and typically summarises in English. Interviewers cannot opt out of the Notetaker themselves. You set how long recordings and transcripts are kept. Telling candidates about the recording and getting consent is your job. Ashby provides consent messages and logging in the product. Most of the other AI features draft or sort. They find past applicants for a new job, and they draft job descriptions and rejection messages. Another sorts replies to outreach into interested or not interested. Read each draft before it goes out. Interview feedback summaries cite the original feedback, so you can check a summary against its source. Most AI features are free, while the high-volume ones use an AI allowance. The cost section covers how that works.

Our guide to applicant tracking systems covers how the rest of this market handles the same decisions.

Your team switches AI features on or off, and outside firms have audited the screening

These are the parts of Ashby that work in a buyer’s favour. Each one lowers a risk you would otherwise carry yourself.

Your team switches AI features on or off

Two things matter here. The first is control. Your team turns AI features on or off with toggles in an Opt-In Features area. You can leave new AI features off until you have reviewed them. That way you decide when each one reaches your candidates. An organisation admin must enable application review before anyone uses it. The second is your candidates’ data. Ashby trains no AI models on customer data. It removes personal details from resumes before they reach an AI model. Ashby uses outside AI models from OpenAI and Anthropic. Under its AI terms, neither Ashby nor those outside services train on customer data. Ashby also publishes AI Model Cards in its Trust Center, so you can read what each model is for.

Outside firms have audited the screening AI

Ashby had FairNow, an outside auditor, run a bias audit of its screening features. It reports an audit that meets the requirements of New York City’s Local Law 144, which covers automated hiring tools. Ashby does not consider its tooling an automated employment decision tool under that law, and it audited the tooling anyway. A report from WardenAI dated 21 September 2026 covers the model that checks resumes against your criteria. Ashby also keeps a bias audit report for the AI Interviewer in its Trust Center. Ashby warns that Local Law 144 duties may apply if you use Notetaker outputs to evaluate candidates. Ask for the reports and show them to your own lawyer.

Moving across from Greenhouse or Lever takes days

Ashby’s pricing FAQ puts a migration from Greenhouse or Lever at a day or two by API. Its help centre puts API migration at two to three days, for Greenhouse, Workday and some Lever migrations. Ask which figure applies to you. Ashby offers contract buyouts to qualifying companies, and customer success support is part of the subscription. A self-serve bulk import takes candidate data from a CSV file. That import is not a full lifecycle view.

Reports and diversity surveys come with the product

Reports are built in, and Foundations includes a library of report templates. Equal opportunity data only helps if applicants will answer, and if you control how long you keep it. Ashby can collect equal opportunity surveys from applicants on job pages or at any stage. Responses are anonymous by default, and the questions are fixed multiple choice. Retention, consent and inactivity rules are on every plan, so you set how long that data stays. Ashby sells full-funnel diversity reporting, and Enterprise adds advanced diversity analytics. Ashby can also infer candidate demographics or use self-reported data. So ask whether inference is in use on your account.

The newest AI is still early, and the contract is narrow on refunds and liability

Ashby is growing fast, and several of its newest AI products are still being built. That decides what you can rely on today. Its Series D post reports customers up from 1,300 to over 2,700 in a year. It also reports 220 staff across more than 20 countries. That growth makes it fair to ask for a customer reference for each feature you plan to use. Ashby’s support site gives a different count of 5k+ customers served. Ask Ashby which count is current and what it counts.

The AI Interviewer is an early access waitlist

Ashby is building an AI Interviewer to run structured voice interviews automatically and evaluate them against competency bands. Today it is an early access waitlist. Ashby’s CEO wrote in May 2026 that the announced version is an early step with design partners and a waitlist. The product comes from Talent Llama, whose team and assets Ashby bought in 2025. The deal closed in late 2025, and the product is being rebuilt on Ashby. So a hiring process that depends on it would depend on a product still in rebuild. The CEO gives one example of use. Ashby was hiring for APAC roles with no recruiter in those time zones. Candidates who advanced could choose a recruiter call or an AI interview, and 36% chose the AI interview. That is one example from Ashby itself, so ask for results on roles like yours. Ashby’s product terms already set the ground rules. They bar training on candidate audio, video and transcripts. Candidates see disclosures and a consent flow before recording starts. You stay responsible for compliance with the laws that apply to it. Plan the consent wording and the legal review early. Do not build a hiring process around it until you can try it.

Several other features are still early access or beta

People Workflows is a paid onboarding add-on in early access. It carries recruiting data into onboarding. The connection that lets AI tools such as Claude and ChatGPT use Ashby data is a beta. Its inputs and outputs may change without notice. The AI Candidate Assistant is still learning, so Ashby asks you to review its results. It gives your staff information and cannot take actions for them. Candidates cannot chat with it. If you plan to build on any of these, ask Ashby for dates and prices first.

The contract is narrow on refunds, liability and uptime

Under Ashby’s terms the first term is the one on your order, or one year. It renews every year unless you give 30 days’ notice, so put that date in your diary. The subscription fee is not refunded, so a disappointing first year still costs you the fee. Ashby’s liability is capped at the greater of $500 or the fees you paid in the prior 12 months. That limits what you could recover if something goes wrong. Ashby may remove features. If a change materially reduces the features on your order, you may end that order on 30 days’ written notice. So name the features you rely on in the order. Availability is a commercially reasonable efforts commitment. Ashby also targets uptime of at least 99.9% and a 4-hour response to high-priority requests. That commitment applies only where your agreement refers to its service level terms. For an outage, compensation for downtime is the only remedy those terms give.

Ashby owns your usage data and does not stand behind AI output

Ashby owns all service usage data. Under its terms Ashby may use that data to improve the service and to develop other Ashby products or services. It may also develop and commercialise benchmarks. So what your team does in the product may feed Ashby’s own products. It is fair to ask what the data covers. Ashby takes no responsibility for AI output, so checking that each output is accurate and appropriate falls to your team. You promise not to upload certain data, including health data and personal information of minors. If you hire people under 18, ask how that applies to you. Ashby also takes no responsibility for the accuracy of the data you upload. Checking your own records is up to you.

Your data is held in the United States

Ashby stores and processes data in the United States and hosts it on Amazon Web Services. It is an active registered member of the EU-U.S. Data Privacy Framework and its UK and Swiss extensions. Ashby is audited every year against SOC 2 Type 2. Notetaker recordings and transcripts also sit on Ashby servers in the United States. If you recruit outside the United States, ask whoever handles data protection for you about the transfer. Ashby also reports a security event. A Trust Center card dated 23 July 2026 covers a phishing campaign in which a malicious actor abused its platform. Ashby reports that it identified the campaign and acted on it. A buyer who stores candidate data with Ashby should ask what that campaign touched.

Its customer stories range from 17 people to 400 or more, and set-up took a week to a month

Ashby publishes customer stories that tell you what size of company uses it and how long set-up took. They are the closest thing to a reference check you can read before a sales call.

A team of 17 halved its seasonal time to hire

Avid4 Adventure has a full-time team of 17 and uses Ashby All-in-One. Ashby reports that its time to hire for seasonal staff fell from 24 days to 12.

Set-up took one week to one month in customer stories

PostHog has 34 or more employees and took one week to set up All-in-One. HackerOne has 400 or more and took three weeks. Brightline has 240 or more and took one month. Monte Carlo also took one month. Basic onboarding and customer success are included in the price, while Enterprise implementation is priced separately. Ask for a customer near your size to confirm the timeline.

Customers report savings, and each figure has its own context

Two of the figures are about cost. Brightline quotes a 64% cost saving over five years from All-in-One. FullStory reports a 51% cost reduction and over 2,000 hours saved. It moved from Ashby Analytics to All-in-One, not from another ATS. Three are about time. Dave quotes an 80% rise in recruiter productivity over 18 months. Monte Carlo reports 20 or more hours saved a week on sourcing and scheduling. Confluent reports 80% fewer steps to extend an offer. That comes through the Workday link, which is on the Enterprise plan only. Ashby also reports about a 46% lift in reply rate from AI personalisation, which is about outreach, not cost. All of these are figures published on Ashby’s own site. Ask which of them match your size and your starting point.

If you run Workday, the link needs the Enterprise plan

The Workday link is on the Enterprise plan only. Ashby calls it a real-time, two-way sync, and its help centre puts the sync at once every 20 minutes. One Ashby page puts the average set-up at 8 to 12 weeks. Its help centre puts set-up at a couple of days up to 4 weeks. Ask which applies to you. Ashby advertises no setup fees for the Workday link. Ashby also connects to BambooHR, Personio, Rippling, HiBob, Gusto, Paylocity, Paychex, Namely, Deel, ADP, UKG and ChartHop.

The price follows company size and paid seats, and leaving starts with a manual export

Both the price and your exit depend on choices you make at signing, so settle them first. Ashby’s bill can follow two models. It prices Foundations on total workforce size, in five tiers. It also bills for users who hold a paid seat. Elevated Access and Organisational Admin users take paid seats. Limited Access and Agency users are free. A worked example in its seat guide uses $795 per user per year. Ask which model your quote uses.

Your plan follows your size. Foundations is for companies of up to 100 employees. It includes applicant tracking, scheduling, sourcing tools, core reports and a library of report templates. Foundations is priced at $400 a month for one of its five company-size bands. Ask which band that is. Above 100 workforce members, pricing is custom. Plus is for 101 to 1,000 employees. Its price depends on company size, usage and commitment. Only Plus and Enterprise have the AI-assisted report builder. Plus also includes setup for single sign-on, which lets staff log in with company accounts, and automatic removal of leavers. Enterprise is for 1,000 or more employees. It adds managed access roles, the Workday link, audit logs and advanced diversity analytics. So a company that runs Workday or wants audit logs lands on Enterprise. Enterprise accounts get a predictable pricing model.

Annual plans take 10% off against monthly billing. Ashby invoices only annual plans. It offers a 30-day money-back guarantee to new subscribers, and its billing FAQ ties the guarantee to month-to-month plans. Ask whether an annual plan gets the same guarantee. Cutting seats mid-term gets nothing back, so count seats before you sign. Seats added later are invoiced pro rata at quarter end. Ashby also offers startup and emerging market pricing, so ask whether either applies to you. Startup pricing depends on organisation size at purchase, not on seats. That belongs in your question about which model your quote uses.

Several extras raise the bill. The AI Notetaker, the Advanced Scheduling Automation add-on and People Workflows are paid add-ons. Foundations cannot buy Advanced Scheduling Automation, while Enterprise includes it. Extra texts cost $90 per 1,000, so a team that texts many candidates should count its messages. Each plan includes 200 sourcing email lookups. Ashby prices single sign-on at $100 a month. Ask which plan that applies to, because Plus also includes setup for it. Ashby Analytics, sold on top of an existing ATS at 100 or more employees, is priced on usage.

Most AI features are free. The high-volume ones draw on an AI allowance that comes with each plan. One evaluation of one candidate against up to 50 criteria uses one unit. Fraud detection uses two units per candidate. A job with 500 applicants that uses both therefore uses 1,500 units. Extra allowance costs $500 a year for each 5,000 units on annual plans. On month-to-month Foundations it costs $100 a month for 1,000 units. Unused units do not roll over. Ashby warns you at 80% use. Ask how many units your plan includes.

Plan your exit before you sign. A data export on cancellation is processed manually. Ashby may permanently erase customer data 30 days after your account is terminated, so ask for your export before then. You can export one candidate’s data as a PDF. Resumes cannot be bulk exported inside the product. Custom reports are set up on Legacy Plus, Plus and Enterprise plans. Ashby also offers Snowflake and S3 data sharing, so ask which plan includes it. After your account closes, you may choose permanent deletion.

Deleting data inside the product needs a person too. You set a retention period. After it, Ashby flags candidate records for anonymising or deletion. It does not anonymise or delete them automatically. A deleted candidate is permanently deleted after 10 days. Anonymising removes personal details but keeps reporting data, and it cannot be undone.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Eleven questions to put to Ashby before you sign

Each question below settles something before you sign. A good answer is one you can hold Ashby to in writing.

  1. Which price model is in our quote, company size or paid seats, and how many seats do we need? Good answer: A yearly figure that gives the model and the seat count.
  2. How many units of AI allowance does our plan include, and how many will our hiring use? Good answer: A number we can set against our own applicant volume.
  3. Is a candidate marked as fraudulent archived before a person reviews the flag? Good answer: A recruiter reviews every flag first, or we can switch the feature off.
  4. Can we have the FairNow and WardenAI bias audit reports and the model cards? Good answer: The full reports, with the date and the model version each one covers.
  5. Which service level terms apply to our contract? Good answer: The uptime and response terms are written into our own agreement.
  6. If we run Workday, how long will set-up take, and which plan do we need? Good answer: A set-up time in writing and the plan named in our order.
  7. Can we take a full copy of our data on the day we leave, and in what format? Good answer: A full export in a named format within a stated number of days.
  8. What may Ashby do with our usage data? Good answer: Benchmarks that cannot identify us or our candidates.
  9. Does Ashby infer candidate demographics in our account, and can we turn that off? Good answer: A setting we control and a plain account of how the inference works.
  10. What happened in the phishing campaign Ashby reports, and did customers have to act? Good answer: A clear account and the steps customers took.
  11. When will the AI Interviewer be generally available, and at what price? Good answer: A date and a price in writing, or we plan without it.

Alternatives to Ashby

If Ashby comes off your shortlist, look at Greenhouse, Lever, Workable and BambooHR, or keep the system you have.

Greenhouse and Lever matter to an Ashby buyer for a plain reason. Ashby moves data across from both by API. They differ from Ashby on how they package the AI. Greenhouse includes its AI Notetaker in its Core plan, where Ashby sells the Notetaker as a paid add-on. Greenhouse’s fraud detection uses application data such as IP address, email and phone, and does not use AI. Under its Real Talent terms, you agree not to take action against applicants solely because of the fraud flag. Ashby archives a candidate once an application is marked as fraudulent. Ask Ashby whether its terms ask for the same care. Lever includes unlimited AI interview transcripts and summaries, AI screening and fraud prevention signals in its core platform. Ashby counts application review and fraud detection against its AI allowance. Ask each vendor what its AI costs at your applicant volume.

Workable suits a buyer who wants a price before a sales call. Ashby prices custom above 100 workforce members, while Workable publishes prices by company size. Its Standard plan is $299 a month for 1 to 20 employees, so ask for the figure at your size. Workable sells its AI credits in packs from 5,000 for $600, and they expire one year after purchase. Ashby’s AI allowance does not roll over.

BambooHR is an HR system with applicant tracking built in. Candidate details from the ATS fill its Add Employee form when you hire. Ashby’s onboarding add-on is in early access. BambooHR prices per employee per month above 25 employees and charges a flat monthly rate at 25 or fewer. Its US pricing compares plans by 5, 25 and 50 job openings. That suits a team that wants hiring and employee records in one system.

You can also keep your current ATS. Ashby sells Ashby Analytics as an add-on for an existing ATS. It is for companies of 100 or more employees and works with Greenhouse and Lever. Buying nothing is a real option if you hire only a few people a year. Under Ashby’s terms the subscription fee is not refunded, and cutting seats mid-term gets nothing back. So a year with little hiring still costs the fee you signed for.

Sources and method Everything here about Ashby comes from Ashby’s own website, help centre, terms, Trust Center, customer stories and company announcements. The alternatives section also draws on the pricing and terms of Greenhouse, Lever, Workable and BambooHR. What a vendor publishes about its own product is taken as a true description of that product. Every source was read on 2 November 2026. Where two Ashby documents give different figures for the same thing, this page gives both and puts the difference to Ashby as a question.
