BambooHR
BambooHR’s applicant tracking sits inside its HR system, so a new hire moves straight into the employee record. You pay per employee, and each plan allows 5, 25 or 50 job openings. Its AI rules and contract terms need a careful read before you rely on them for hiring.
BambooHR hiring ends where the employee record begins
BambooHR’s applicant tracking runs a hire from job post to signed offer. It then moves the new employee’s details into its HR records.
You already keep your people records in BambooHR, or plan to. Your open jobs fit inside the limit of your plan. You want hiring to end in onboarding without a second system.
You want Bamboo AI to help make hiring decisions. Its AI Addendum bars high-risk, significant or consequential decisions under applicable law. Ask your lawyer whether hiring decisions count. Bamboo AI is optional, and an authorised administrator can turn it off.
US prices start from $10.25 per employee a month on Core, $17.50 on Pro and $25 on Elite. Companies of 25 or fewer pay a flat $250, $425 or $650 a month.
A job post becomes a signed offer, then an employee record
BambooHR’s hiring runs from the job post through to onboarding. Following one vacancy the whole way tells you what your team does at each step. The ATS, short for applicant tracking system, is the part that holds your candidates.
A vacancy starts as a job opening, which you create in three steps. They are Create Job Opening, Application Details and Job Boards. Each opening has its own pipeline of statuses, so a part-time role and a manager role can follow different steps. A pipeline can hold 15 custom statuses, which leaves room for every step of a long process. The opening page counts the candidates at each stage, so you see where people are waiting without opening each record.
Applicants then come back into BambooHR from the boards, with conditions for each. Indeed syncs job and candidate data through its ATS Sync. Candidates who apply to a promoted LinkedIn job are routed back. ZipRecruiter candidates are routed back when they apply through ZipApply. SEEK sends every applicant straight in. So check how each board you plan to use brings applicants back.
Each candidate has one record, so a hiring manager finds everything about a person in one place. It holds contact details, CVs and cover letters. It also holds answers to your application questions, a status and a rating. You can search across CVs, cover letters, locations and those answers. You can also add a yes or no question that disqualifies a candidate by their answer. Check any rule like that against your hiring policy, because one answer is enough to disqualify someone. Previous candidates can move into a custom talent pool, so you can come back to them for future jobs.
Hiring managers and interviewers work in the same system as HR. The ATS has custom permissions, automatic alerts and messages. A Hiring app lets them review new applicants and message candidates from a phone. Candidates pick their own interview times from the team’s availability, which saves the back-and-forth emails. That syncs with Google or Microsoft calendars and works with Google Meet, Zoom or Microsoft Teams. For high-volume rounds, Cronofy can book interviews in bulk and draw interviewers from a shared pool. You must be a Cronofy customer to use it, and Cronofy charges per active user.
Email and offer letter templates fill in candidate details for messages, offers and rejections. You can choose an email that goes out when a candidate moves to a certain status. Candidates accept an offer by electronic signature. You can save an offer as a draft, and anyone involved in hiring can finish and send it. When someone is hired, their data transfers into employee records. In Onboarding, those details fill in the Add Employee form.
Background checks can be ordered, tracked and reviewed inside BambooHR. They are powered by Turn and are switched on by default for every account. New users can screen up to three candidates at no cost. When a report needs review, you can approve it or start the pre-adverse action process. Under the Turn Services Addendum, you certify that you will follow the process for pre-adverse and adverse action. The FCRA (a US background-check law), California’s ICRAA and other applicable law require that process. So you are the one who must follow that process.
The ATS has a Candidate Sources report and a Candidate Funnel report. Together they let you ask where your applicants come from and how many reach each stage. BambooHR offers more than 150 integrations, with partners such as Checkr, Cronofy and Enboarder. It also publishes a marketplace comparison of the applicant tracking partners that connect to it.
Our guide to applicant tracking systems covers how the rest of this market compares.
One system for hiring and people records, with an easy start
Three things count in BambooHR’s favour. Hiring and employee records share one system. The contract can start month to month. Job boards connect from inside the product. Each one saves work or risk for a team that hires alongside many other tasks.
Hiring and the employee record share one system
When someone is hired, their data moves into BambooHR’s employee records. Onboarding then starts from those details, because they fill in the Add Employee form. Nobody has to enter the same person twice. The ATS also has custom permissions, so you can decide what each hiring manager sees.
You can start month to month
BambooHR lets you choose month-to-month terms or an extended term. A month-to-month subscription can end at any time, effective the last day of the subscription month. That gives you a way to try the ATS before you commit to a term. The price and contract section below covers what an extended term locks in.
Job boards connect from inside the system
Each job opening has a Job Boards tab. Indeed, LinkedIn, ZipRecruiter and SEEK can appear there, where they are available to you. Two of them carry no commitment. ZipRecruiter sponsorship through BambooHR is a flat $24 a day with no commitment. LinkedIn Premium Job Ads are pay for performance with no contracts. So you can try a board without tying yourself to it.
Its AI rules and your duties need a read before you rely on them
BambooHR’s legal terms give you several duties, and most of them concern AI. They decide who is responsible when an AI feature gets something wrong in hiring. Read them with your lawyer before you rely on any AI feature.
Bamboo AI’s addendum bars high-risk decisions
Under BambooHR’s AI Addendum, you may not use Bamboo AI for high-risk, significant or consequential decisions under applicable law. AxisCare reports that it used Bamboo AI to find stronger candidates faster. Ask your lawyer which hiring uses of Bamboo AI fall under that wording before you try it.
Fairness, notices and human review are your job
Under the AI Addendum, you are solely responsible for your own AI-use policies. You are also responsible for any notices and consents the law requires, and for enough human oversight. BambooHR is not responsible for inaccurate output. It is also not responsible for bias, lack of fairness or limits in the underlying algorithms or data. Under its AI principles, responsible-AI practices may include testing and bias or impact assessments. That depends on the system and use case. Ask which tests BambooHR has run on the features you plan to use.
Bamboo AI is in beta, and BambooHR can change it
Bamboo AI is in open beta. The Claude connector is in beta too. Under the AI Addendum, BambooHR may change, suspend or discontinue any Bamboo AI feature at any time. If your hiring starts to depend on one feature, plan for that. BambooHR may also disable or degrade Bamboo AI if your use goes past what it decides is fair usage. BambooHR makes that call in its sole discretion. The updated Audit Trail that attributes changes to Bamboo AI is in beta too. It may be removed from an account at any time.
Outside AI companies handle the data
The AI Addendum defines AI Providers as OpenAI and Cohere. BambooHR’s subcontractor list of 15 July 2026 also includes Anthropic’s Claude. All of them process data in the US. Ask which of them would see your candidates’ details. BambooHR answers “No” when asked whether Bamboo AI trains on customer data. Its AI Addendum adds that any training on your data is only to provide Bamboo AI to you. BambooHR may also use aggregated, anonymised or de-identified data to evaluate and improve its AI features. It may also use Performance Data and Feedback to develop and improve Bamboo AI.
Much of the service is in English
Under BambooHR’s terms, it provides much of its service in English, with limited adaptations to certain major languages. If you hire in several countries, ask which screens candidates and hiring managers will see in their own language.
Offers and decisions stay with you
Under BambooHR’s terms, you take sole responsibility for the information, disclosures and terms in the offers you send. BambooHR also exercises no control over your HR practices or your decisions on employment, promotion, termination or pay. So the wording of each offer and each hiring decision are yours to check, whatever the software suggests.
Its security reports cover the company, not each AI feature
BambooHR maintains company-level assurance reports and compliance programmes, including SOC 1 and SOC 2 Type 2. These apply at the company level. They are not certifications of individual AI features. If you plan to use an AI feature in hiring, ask for the security evidence for that feature itself.
Where BambooHR customers report it helped their hiring
Customer stories help most when the need behind them matches yours. Four customers with 26 to 350 employees report results with BambooHR. One had a short burst of hiring and one spent hours on job boards. One onboarded contractors, and one lets managers screen CVs. If your need matches one of these, that story tells you what to ask. BambooHR reports more than 30,000 customers, so ask it for a story from a company closer to your own.
A Family Health Team in Ontario hired 110 professionals in two weeks
The Centre for Family Medicine is a Family Health Team in Ontario, Canada, with 101 to 350 employees. It reports hiring 110 professionals in two weeks. If you face a short burst of hiring, this is the story to ask BambooHR about.
A property technology company saved more than €20,000 on job boards
Architrave is a German company with 26 to 100 employees. It reports that BambooHR saved it more than €20,000 ($22,000) over two years and three months. The savings came from the hours spent maintaining job boards, updating posts and tracking which channels convert. If your team spends hours on job-board upkeep, ask which of those tasks BambooHR would cover for you.
Hope for Haiti onboarded 96 contractors through BambooHR
Hope for Haiti has 101 to 350 employees. It reports that it onboarded 96 contractors using BambooHR’s hiring and onboarding tools. If you also bring in contractors, ask how they would move through hiring and onboarding in one system.
Avidbots managers sort CVs inside the ATS
Avidbots is a robotics company with a 185-person team. Its managers use the ATS to look at CVs, star them, delete them or put them on hold. If your managers screen CVs themselves, this is the part of the ATS they would use.
The bill follows your headcount, and the contract sets the exit
BambooHR charges by plan and by the number of employees you have. Your headcount therefore sets the bill, whether or not you are hiring this month. An extended term adds a floor, because the bill rests on the minimum employee count in your Order Form.
Companies with more than 25 employees pay per employee. US prices start from $10.25 a month on Core, $17.50 on Pro and $25 on Elite. The plan cards round Core and Pro to $10 and $17. At the starting prices, 100 employees come to about $1,025 a month on Core and $1,750 on Pro. Volume discounts apply automatically and adjust as your team size changes. Companies with 25 employees or fewer pay a flat $250, $425 or $650 a month. Registered nonprofits get an extra 15% off.
Other regions have their own prices. UK plans start at £8.10 per employee a month, or £200 a month flat for 25 employees or fewer. Canadian plans start at $14.40 CAD per employee a month, or $360 CAD flat. International plans start at $10 USD per employee a month, or $250 USD flat.
In BambooHR’s US plan comparison, each plan has its own number of job openings. They are 5, 25 and 50. Account Owners can add 10, 20 or 30 openings in account settings, where the price of each option appears. The Pro plan now includes 25 openings instead of the earlier 20. BambooHR’s subcontractor list calls the ATS an add-on to the HR system. The two descriptions differ, so ask whether the ATS is in your plan or has its own price.
Some costs sit outside the plan. Payroll, time tracking and benefits administration are add-ons. Cronofy charges $15 a month for a user who schedules only for themselves.
The contract comes in two forms, and they treat the bill differently. A month-to-month subscription can end at any time, effective the last day of the subscription month. What you give up is a fixed price. BambooHR may change the price on 60 days’ notice or add new charges. It will not change the price of a subscription package more than once in a calendar year.
An extended term works differently. It cannot be cancelled until the term ends, and the fees are non-refundable. The minimum bill rests on the employee minimum in your Order Form for the whole term, whatever your actual headcount. A smaller headcount therefore does not lower that minimum until the term ends. The term renews automatically for 12-month terms unless you give at least 60 days’ notice before it ends. So the date that matters is 60 days before the term ends. BambooHR may change the price for the next renewal term on 60 days’ notice. During the term, BambooHR may not change the price other than for changes in headcount or added services. BambooHR gives no refunds for partial months or for implementation costs. All fees exclude taxes and duties.
Your candidate data is hosted in the US, Canada or Ireland, depending on the customer and applicable laws. Under BambooHR’s terms, you can download your data for 30 days after a subscription is not renewed. After that, BambooHR has no obligation to keep it. It deletes the data unless the law prohibits that or additional terms require otherwise. The Data Processing Agreement adds a choice. On request or on termination, BambooHR will destroy all personal data and certify deletion, or return it. You make that election. Ask how the 30-day download window and your right to have the data returned fit together.
One data setting needs a decision. Indeed now asks BambooHR and other ATS partners for data on how applicants fare during the interview process. All BambooHR customers are opted out of sharing this data by default.
You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Eight questions before you sign
These questions turn the risks above into promises you can get in writing. Ask them before you sign, because the contract and the AI Addendum put most of the duties on you.
- Is the ATS part of our plan, or an add-on with its own price? Good answer: A quote with a separate line for the ATS and its job-opening limit.
- What does a busy quarter cost when we pass our job-opening limit? Good answer: A set price for extra openings, in writing, without changing plan.
- Which hiring uses of Bamboo AI fall under the ban on high-risk, significant or consequential decisions? Good answer: A written answer for each AI feature we plan to use in hiring.
- Which AI companies would see our candidates’ details, and where do they process them? Good answer: A current list with locations that matches the AI Addendum.
- Can our candidate data stay out of every kind of AI improvement, including aggregated data? Good answer: A written promise that covers aggregated data and feedback data.
- Which tools we plan to use are in beta, and what happens if you change them? Good answer: A written list of those tools, and notice before a feature we rely on changes.
- How do the 30-day download window and our right to have candidate data returned fit together? Good answer: A set period and file format in the contract, matching the data agreement.
- Is sharing data on how our applicants fared with Indeed switched off, and who can switch it on? Good answer: Yes, and only a named admin can change it.
Alternatives to BambooHR
Look at Rippling, Cezanne, Workable or Breezy HR if BambooHR comes off your list.
The first question is whether you want hiring to sit inside your HR records. Rippling and Cezanne both tie hiring to their HR systems. Rippling Recruiting is an applicant tracking system that is part of Rippling’s all-in-one platform, and a signed offer triggers onboarding. Cezanne Recruitment works with the Cezanne HR system or as a standalone product. Cezanne tailors it for small and growing businesses, and teams of 1 to 200 can get started quickly.
Workable and Breezy HR are the other route. Both sell applicant tracking as its own product, with HR tools as separate packages. Workable runs an AI agent inside its ATS that moves candidates to a chosen stage when score thresholds are met. Workable prices by company size, in bands from 1 to 20 employees up to 801 to 1,000. Breezy HR prices for teams of 10 to 10,000, so ask how it sets the price for your headcount. Breezy also sells Onboard as a separate employee onboarding system. Ask Workable for a price at your real headcount, because BambooHR’s bill follows headcount too.
You can also keep BambooHR for people records and use a different ATS. BambooHR’s marketplace holds a comparison matrix of the applicant tracking partners that connect to it. If your open jobs already fit inside your plan, check what the plan includes before you buy anything else.
