Pinpoint

Pinpoint is a full applicant tracking system, with AI that you switch on one feature at a time. Its AI never decides who advances, but your own screening rules can still reject applicants automatically. You get a price only after a call. Some AI features, such as Match Score and Notetaker, use Pinpoint Credits, which are priced on a separate quote. Fees may rise 10% at renewal without notice. Several of Pinpoint’s own pages disagree on bias audits, AI providers and published price. Get the answers in writing before you sign.

Pinpoint in short: a full hiring system, optional AI and a price on request

In one line

Pinpoint is a full applicant tracking system for in-house hiring teams. Its AI scores, summarises and suggests, and it never decides who advances or is rejected. You get a price after a call.

Buy it if

Your hiring team has one to five recruiters. That is a common fit for Pinpoint at organisations of 50 to 5,000 employees. You want to switch AI on one feature at a time, with a person confirming every action. You want equal opportunity records and HR system links built in.

Do not buy it if

You need a fixed price before you talk to anyone. You need a known monthly cost for AI. Match Score and Notetaker use Pinpoint Credits, and extra use is invoiced. You cannot accept fees that cannot be cancelled and may rise 10% at renewal without notice.

Price

Pinpoint gives a price after a short call about your company and hiring process. The price scales with organisation size and capabilities, not per recruiter seat or open role. Pinpoint Credits for AI features are priced on a separate quote.

What Pinpoint does from job request to offer, and who rejects whom

Before you ask what Pinpoint’s AI can do, ask who decides that a candidate moves on or is rejected. Pinpoint’s position is that its AI never decides, but your own rules can. That decides who answers for a rejected applicant. Two things can move a candidate. Rules you write can act alone. AI tools act only when a person confirms. First, here is a hire from request to offer.

A hire starts when a manager asks for a new role. Pinpoint can route the request through approvals and turn an approved request into a job post. Pinpoint posts the job to many job boards from one place, and you build the careers site without coding. You build application forms by drag and drop. Applicants then move through structured stages. Candidate profiles hold applications, interviews, interview score forms and notes, so the team works from one record. Pinpoint schedules and manages interviews and syncs with the team’s calendars. Candidates do not all come from a job post. A Chrome extension pulls profiles from LinkedIn and the web into Pinpoint, and Pinpoint also has employee referral software. Saved candidates stay in a talent pipeline for the next role. When you pick someone, offers come from templates, go through approvals and include built-in e-signatures. Onboarding tools then cover background checks, references and day-one paperwork.

Candidates hear from you along the way. Pinpoint sends texts and receives replies by two-way SMS tied to the candidate’s profile. The conversation stays with the record. It sends candidate notifications to Slack, so the team can see candidate activity there. You can write job descriptions in several languages and show each candidate the version that matches their settings. Pinpoint also has recruitment reporting with custom dashboards.

Your own rules can reject applicants without any AI. Screening questions can route candidates by their answers. Pinpoint’s own example moves the strongest applicants to interview. It holds promising middle ones for review and rejects those who are not a fit. Application forms also connect to automations that reject candidates who do not meet criteria you set. Only multi-choice or yes/no questions from Pinpoint’s templates can feed these automations. Pinpoint’s position is that its AI never decides who advances or is rejected. Pinpoint will never allow its AI to act on its own. So the promise covers the AI only. A rule you write can still reject an applicant with no person involved. So someone on your team should own every rule.

Four AI features help recruiters screen. Match Score grades each applicant against criteria you approved. It gives a score out of 10, a verdict, strengths, concerns and focus areas for the interview. Once switched on, it scores every candidate in the pipeline who has a CV attached, except rejected and hired people. Each score uses Pinpoint Credits, so switching it on uses them for your existing pipeline too. Pinpoint advises recruiters to treat the score as a starting point. They should read the reasoning, not just sort by score. Pinpoint also advises holding back on AI screeners and AI interviewers. An unvetted AI in front of candidates creates risk.

The AI Criteria Checklist writes role-specific criteria from the job description and scores each applicant on how many they meet. Candidate Filters let a recruiter write a short prompt. The recruiter also chooses what the AI reads, such as CVs, application answers or cover letters. The results appear as fields you can sort and filter. AI Fields work the same way for yes/no or number questions about a candidate. Pinpoint’s AI works from your input and data sources. It does not work from how similar candidates moved through your hiring in the past. On its AI applicant tracking page, Pinpoint scores and ranks large candidate pools against your criteria. On its Criteria Checklist page, Pinpoint scores candidates against criteria instead of ranking them against each other. Ask which each feature does.

Three more AI tools help recruiters and candidates. AI Hiring Copilot is an assistant that answers questions, drafts messages and carries out hiring tasks from a prompt. It can move candidates through stages, create follow-up tasks, add comments and prepare several actions from one prompt. AI Notetaker joins interviews, writes a transcript and builds a structured summary. Its notes support the interviewer’s own scoring and do not score. AI Candidate Companion answers candidates’ questions on the careers site and guides them toward roles. Outside AI assistants such as Claude can also connect to Pinpoint. They can look up data and take actions such as moving a candidate or drafting outreach.

Our guide to applicant tracking systems covers how the rest of this market handles the same decisions.

AI you control, with records for equal opportunity reporting

Pinpoint’s strongest case is control. You can switch each AI feature on or off. A person confirms what the AI prepares. The product also keeps the records that equal opportunity and data protection duties ask for.

Every AI feature is off until you switch it on

No AI feature is enabled by default, and you can turn each one on or off separately. Pinpoint works as a full applicant tracking system with every AI feature switched off. You can turn off interview score form summaries, Notetaker, Copilot or outside AI assistant access at company level. That applies to all users and records. Permissions can also separate the people who set up a feature from the people who see its output.

A person confirms every action the AI prepares

Every Copilot action needs the user’s explicit confirmation before it happens. Copilot routines run on a schedule, but they only read and report, and any action they prepare waits for you. Copilot never publishes a job for the user. An outside AI assistant works as the user. It can send an email or move a candidate with the user’s approval.

What Pinpoint promises about training AI on your data

On Pinpoint’s approach-to-AI page, customer data is never used to train, fine-tune or improve any global, shared or vendor-owned model. The same page adds that client data is never used for training models without express permission. Ask what counts as express permission. Customer data goes to the AI models when they produce an answer, and the provider does not store it. Notetaker meeting data is not used for training by any of the AI services involved. Pinpoint never stores the audio or video of the call. Its transcription partner Cronofy deletes recordings, transcripts and summaries after 7 days. Pinpoint keeps the transcript under your own data retention policy, which has separate settings for hired and non-hired candidates.

Equal opportunity questions and reports are built in

You can add EEO questionnaires to application forms, with different questions by region. EEO is the US term for equal opportunity monitoring. Pinpoint also offers EEO and OFCCP reporting, which covers US federal contractor duties, and diversity performance reporting. It can send the questionnaire to candidates who did not apply through a form. The fields are optional for the candidate. You can set the questionnaire on by default and turn it off job by job. Anonymised screening redacts names, contact details, location, dates and gender signals, so reviewers read an application without them. Affinda does that redaction.

Consent, retention and deletion are part of the product

You can collect explicit candidate consent on application forms. Candidates get a portal to manage their data, including revoking an application. Pinpoint sets retention periods automatically and removes personal data after a set period, and the periods can differ by region. An employer can delete an application with a button on the profile. Full audit logs track every action.

It connects to many HR and payroll systems

A hire’s details can pass from Pinpoint into the HR or payroll system you already run. Pinpoint has over 100 native integrations plus an open API. Two connections work both ways. With Workday, positions or requisitions flow between the systems and candidates become workers in Workday. With Oracle HCM, an application creates a Pending Worker record and open Oracle positions become Pinpoint requisitions. The ADP connection sends new hire details to ADP Workforce Now. It also pulls job titles, company details and compliance data back. Six others send new hire data into the HR or payroll system. They are BambooHR, Paylocity, Paycor, Dayforce, Paycom and HiBob. The Paycom connection can also bring existing Paycom jobs and candidates across. The Rippling connection is one-way. Pinpoint also has integration pages for Personio, SAP SuccessFactors and Gusto. Staff can sign in with their company login through Microsoft Entra ID, Google Workspace or another identity provider. Pinpoint also supports SCIM, a standard that keeps user accounts in step with your staff directory.

It holds ISO 27001, ISO 42001 and SOC 2 Type II certification

ISO 42001 means an outside body has certified how Pinpoint manages AI. Pinpoint is among the first applicant tracking systems certified to ISO 42001 for responsible AI in hiring. Pinpoint stores data on AWS and Digital Ocean infrastructure in Amsterdam, Frankfurt, Dublin and London. It also offers US data hosting alongside global hosting.

Pinpoint reports customers from 85 people to more than 10,000

Pinpoint calls itself a common choice for teams of 1 to 5 recruiters at firms of 50 to 5,000 staff. Its case stories show it at much larger employers. Kempinski has more than 10,000 staff. The New York Public Library has 400 hiring managers. Each result is Pinpoint’s own report of one employer. It is not a promise for yours.

One recruiter, or a team that grows fast

Instant Impact has 85 people and a one-person talent team. It is an embedded recruitment and outsourced hiring provider. Article grew from 600 to 1,300 employees in less than a year. Pinpoint prices by organisation size, so if your headcount may jump, ask how that moves your price.

Many sites to hire for

thyssenkrupp Materials UK is a 500-person manufacturing company across nine UK sites. citizenM runs 36 hotels with over 1,000 people. Pinpoint reports that citizenM reduced time to hire by up to 65 percent. If you hire across many sites, ask Pinpoint for a reference customer like these.

Cutting agency spend and time to hire

Twinings has 400 employees in the UK and 2,400 globally. Pinpoint reports that Twinings cut time to hire by 63% while applicant volume rose threefold. LOCALiQ has 1,100 employees. Pinpoint reports that LOCALiQ saved over £18,000 by relying less on agencies and raised applications by 336%. Network Plus placed 242 people in its first full year. It saved around £1.3 million in agency fees, paired with the Appcast integration. If agency fees are your main cost, ask Pinpoint for the baseline behind each figure.

Very large employers with many hiring managers

Butlin’s has over 4,000 employees and a 15-person resourcing team. Franklin Electric has 6,500 employees across 20 countries. Pinpoint reports that Franklin Electric cut time to hire by 55%. River Island has over 7,000 employees across 240 physical locations, and Pinpoint reports a 28% cut in time to hire. Kempinski Hotels spans over 80 hotels in 35 countries with more than 10,000 employees. Pinpoint reports that Kempinski launched a new applicant tracking system in less than 30 days. The New York Public Library runs 92 locations with 400 hiring managers and 2,700 open positions at any time. If many managers will use it, ask what training and set-up a rollout of your size needs.

AI costs extra, outside companies handle your data and two pages disagree on audits

These cards cover the costs, data handling and legal duties to settle before you sign, plus two open questions.

Some AI features and checks are paid for in Pinpoint Credits

Match Score, Notetaker, one-way video interviews, background checks and reference checks all use Pinpoint Credits. Other AI use counts against monthly usage limits. Most AI functionality is available to all clients, subject to an overall limit on Pinpoint Credits per client. Pinpoint Credits let you prepay for feature actions. Each action uses a set number of them, and Pinpoint prices them on a quote from your customer success manager. If you spend more than you bought, Pinpoint invoices the excess. Under the Pinpoint Credit Terms, no refund is payable for expired or unused Pinpoint Credits when the agreement ends early.

Usage limits can bring extra fees or a restricted feature

Pinpoint sets monthly usage limits by the size of your annual subscription. The lowest band is an annual price below 10,000 in pounds, dollars or euros. It covers 750 text message units and 43 million input tokens a month. Tokens are the units AI models use to count the text they read. The 50,000-plus band covers 10,000 text message units and 563 million input tokens. Pinpoint reserves the right to charge a reasonable extra fee above the limits. It also reserves the right to restrict, throttle or suspend the feature. Some use has no person behind it, such as candidates using the careers site chatbot. Pinpoint labels it Unattributed, so a busy month can reach the limit. At 100% of an agreed monthly AI spend budget, a limit-reached notice appears.

Notetaker does not cover every interview

Notetaker does not work for in-person interviews or one-way video interviews. By default every candidate must opt in before it joins their interview. An organisation can set an opt-out policy for countries where recording by default is appropriate. Telling candidates an AI assistant will be on the call is good practice and in some places legally required.

Check the list of outside companies, not only the AI page

Pinpoint’s approach-to-AI page gives its position. It works only with OpenAI for large language models and Affinda for reading and redacting CVs. Large language models are the AI that reads and writes text. Its list of other companies that handle data also has Anthropic in the United States. It adds Dweet Ltd, trading as Nova, in the United Kingdom. So the list is the one to check. Pinpoint uses OpenAI’s public commercial models through its own OpenAI account, not a private copy. Nova does automated CV screening that scores candidates against structured hiring criteria. Cronofy handles calendars and interview transcription in the United Kingdom or United States. Kombo, in Europe, manages the links to HR systems. Pinpoint marks some companies on the list with an asterisk, and customers may choose not to use those. Under the July 2026 data processing addendum you can object to a new one within 30 days. You cannot prevent it.

Pinpoint doubts today’s tools for spotting fake candidates

Pinpoint’s position is that current vendor solutions for detecting fabricated candidates produce unacceptable false positive rates. It adds that this is an evolving challenge. If fake applicants worry you, ask what Pinpoint does today.

Two Pinpoint pages disagree about bias audits

On its approach-to-AI page, Pinpoint is actively reviewing third-party providers for independent bias auditing. On its comparison with Greenhouse, Pinpoint has third-party bias audits. Ask which is current and ask to see the audit. New York City’s Local Law 144 puts the bias-audit duty on the employer, not the vendor. Pinpoint’s position is that its design with a person in the loop meets human review rules in four laws. They are NYC Local Law 144, Illinois HB 3773, California FEHA and Colorado S.B. 24-205. Pinpoint also provides tools for candidate notifications, audit logs and disclosures. Ask which duties that covers and which stay with you.

What you pay, what the contract commits you to and how you leave

Pinpoint gives a price after a call, so read the contract terms as closely as the quote. Before you agree to a quote, read what you pay and what you sign. This section covers what you pay, what you commit to and how you take your data out.

Pinpoint gives a price after a short call about your company and your hiring process. The price scales with organisation size and capabilities, not per recruiter seat or open role. Its UK page sets pricing in pounds sterling. On its US page Pinpoint publishes pricing in US dollars with no per-seat charge for hiring managers. On its platform overview Pinpoint quotes on request instead of publishing a fixed price. Ask which applies to you.

Leaving is easier when you can take your data out. Pinpoint lets you export data at any time with the custom report builder. Report Builder comes with Unlimited plans or as an add-on to any other plan. So ask whether you need that plan or add-on to export your data. Exporting onboarding responses needs the Pinpoint Premium plan or the Advanced Reporting add-on.

Most small and mid-market customers go live in 4 to 6 weeks, including data migration, set-up and hiring manager training. On its UK page, Pinpoint reports that most customers go live within 4 to 8 weeks for mid-market teams. For more complex enterprise rollouts, most go live within 8 to 14 weeks. On its platform overview Pinpoint puts complex enterprise rollouts at three to six months. Ask which timeline Pinpoint will commit to for your rollout.

You can upload CSV files yourself at no charge on every tier. Other formats such as SQL backups, XML and JSON must be converted to CSV or a spreadsheet first. The Migrations Team service is priced on request through your account executive or customer success manager. A data import project takes 15 business days from receipt of the files. It covers job postings, applications with their status, the talent pool, CVs and other files, and notes and comments. Imported candidates need at least a full name and email address. Imported jobs need at least a title and location.

The contract decides who carries the risk, so read these terms before you sign. Under Pinpoint’s July 2026 sales agreement, fees are non-cancellable and non-refundable, and invoices fall due within 30 days. The term renews automatically for periods of the same length. Either side can end it by asking at least 30 days before the term finishes. So diary that notice date. Pinpoint may raise fees by 10% at the end of the first term or any renewal term without notice. That is why question 8 asks for a cap. Pinpoint may also raise fees to reflect changes in use on 60 days’ notice, which may be sent by email. Pinpoint’s total liability is capped at the fees you paid in the 12 months before the first claim. You are responsible for information or results obtained from the services, and AI-generated output carries no separate indemnities. So the risk of an AI-assisted decision sits with you. Pinpoint may use your name and logo for marketing. Disputes go to the English courts under English law.

Pinpoint may use Derived Data to improve its services and for benchmarking. The deletion duty in its agreement does not apply to Derived Data. You may opt out of the benchmarking use by written notice. Ask Pinpoint what Derived Data includes.

Pinpoint will use reasonable commercial efforts to deliver 99.5% service availability in any calendar month. Pinpoint reports historical uptime between 99.99% and 99.999%. If monthly uptime falls between 99% and 99.5%, three days of service are added to your term. Those extra days cannot be exchanged for money, and they are your only remedy for missing the uptime target. Pinpoint must notify a personal data breach within 72 hours under its data processing addendum.

For 30 days after the agreement ends, Pinpoint makes your data available for download on request. The format is a standard machine-readable one. After that period Pinpoint may delete all customer data. On request, Pinpoint removes data from production within 15 days and from all backups within 45 days.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Eleven questions to put to Pinpoint before you sign

Use these questions to get Pinpoint’s answers in writing before you sign. Each has a good answer, so you can tell a firm commitment from a vague one.

  1. What is the yearly price for us in writing? Your US page publishes pricing and your platform overview quotes on request. Good answer: One quote with the subscription, each add-on and a stated allowance of Pinpoint Credits.
  2. What happens when we reach a usage limit, and what do extra Pinpoint Credits cost? Good answer: A stated rate for extra use, and nothing restricted or suspended without written notice.
  3. Which independent firm has audited Pinpoint’s AI, when, and can we have the report? Good answer: A named firm, a recent date and a report we can publish if the law asks.
  4. Which AI providers will handle our candidates’ data? Your approach page covers OpenAI and Affinda, and the list of other companies adds Anthropic and Nova. Good answer: A current list for our account, a country for each and which ones we can opt out of.
  5. On your AI approach page, client data is never used for training without express permission. What counts as express permission? Good answer: Nothing counts, and our data is never used for training under the contract.
  6. Does Pinpoint rank candidates against each other, or only score each one against criteria? Good answer: A clear answer for each AI feature, written into the contract.
  7. Who on our team can write automatic rejection rules, and where do we see every change? Good answer: Named permissions for writing rules, and an audit log of each change.
  8. Will you cap the renewal rise below 10% and give written notice before it applies? Good answer: A written cap on every renewal and a notice period before it starts.
  9. Does our plan include Report Builder, and what does the export hold when we leave? Good answer: Yes, with notes, interview score forms and files in a named format, inside the 30-day window.
  10. What does Derived Data include? Good answer: A written definition of Derived Data in the contract.
  11. Which go-live timeline will you commit to for our rollout? Good answer: One go-live date in the contract.

Alternatives to Pinpoint

You might look elsewhere for a price you can see before a call. You might also want an AI allowance you know in advance. Alternatives to Pinpoint include Workable, Breezy HR, Recruitee and Greenhouse. You could also buy no applicant tracking system at all.

Look at Workable or Breezy HR if you want to see a price before you talk to anyone. Workable’s Standard plan costs $299 a month for a company of 1 to 20 employees. Its Premier plan costs $599 a month for 1 to 20 employees. Workable sells AI credits in packs, such as 5,000 for $600. Workable AI credits expire one year after purchase and are non-refundable. Under the Pinpoint Credit Terms, no refund is payable for unused Pinpoint Credits if the agreement ends early. Whichever you pick, ask how long the AI allowance lasts. Breezy HR has a free Bootstrap plan that holds one active job opening or candidate pool at a time. Every Breezy plan includes unlimited users. Its AI add-on, Breezy Intelligence, can be added to any plan, including the free one.

Recruitee prices on unlimited users and not seats. Its subscriptions are tiered by plan, number of employees and billing period, and paying annually gives a 20% discount. Recruitee evaluates your employee count before each contract year. Pinpoint also scales its price with organisation size, so the question is how a headcount change moves each price. Greenhouse quotes its price like Pinpoint, based on the plan, hiring volume, organisational complexity and required features. It sells three plans named Core, Plus and Pro, and auto-reject is available on Plus and Pro. Compare what each plan includes before you accept a quote.

Buying nothing is the last option if you hire rarely. Breezy HR’s free plan holds one active job opening or candidate pool at a time. That lets you test whether an applicant tracking system helps before you pay for one.

Sources and method Everything here about Pinpoint comes from Pinpoint’s own website, help centre and security and legal pages. All of it was read on 2 November 2026. The facts about Workable, Breezy HR, Recruitee and Greenhouse come from their own pricing and help pages. What Pinpoint publishes about its own product is taken as a true description of that product. Where two of Pinpoint’s pages differ, this page gives both and puts the difference to Pinpoint as a question.
