Recruitee

Recruitee is a full hiring system. Its screening AI only counts the criteria each applicant meets, and you can switch it off. Users are unlimited. It hosts data in the EU. But screening reads only careers-site applicants, and knockout rules reject people with no person involved. Several protections sit on the top plan. The price depends on your headcount, so ask for it in writing. Stopping a renewal needs 90 days’ notice, and you may then have only 30 days to take your data out.

Recruitee’s AI counts criteria and your team decides, except where a knockout rule rejects

In one line

Recruitee is a hiring system with AI that counts how many criteria an applicant meets. Recruitee’s AI is a support tool, and hiring decisions stay with the recruiter and hiring manager. Knockout rules are the exception, because they reject candidates automatically.

Buy it if

You want AI help with screening and a person to act on the count. You also want your data hosted in the EU and an AI you can switch off. You want every hiring manager in the system without paying per user.

Do not buy it if

You need AI screening for applicants who do not apply through your careers-site form. You need anonymous screening, approvals and full automations but do not want the top plan. You want to buy single features one by one.

Price

The price depends on your plan, your number of employees and your billing period. Paying yearly gives a 20% discount. The minimum contract is one year.

It runs hiring from job post to new hire, with AI at the screening step

Before you judge the AI, you need to know what sits around it. Recruitee is an applicant tracking system. It holds your jobs and your applicants, and tracks each one from application to hire. It is not a job board. More than 7,000 hiring teams use it.

A requisition is how a role gets sign-off before hiring starts. It is a formal request for a new hire. It records the role, the number of openings and whose sign-off you need before hiring starts. Requisition approvals are on the Optimize plan. Each job then has its own application form and its own pipeline, which runs from application to hire. Recruiters move candidates between stages by drag and drop. They can also reject several candidates at once with a templated message. A mobile app lets them hire on the go.

Interviews decide who gets an offer. Comparable feedback is what lets you explain a decision later. Evaluation forms give every interviewer the same criteria, so feedback is easier to compare. Candidates book their own slots from a link based on interviewer availability. The interview syncs with Zoom, Google Meet or Microsoft Teams. Recruitee’s AI writer also drafts rejection emails for each role and candidate.

Applicants come from your careers page and job boards. What you pay for is reach in your country. Recruitee builds your careers page and posts jobs to job boards. Its career-site product page puts the reach at 2,900+ job boards. Its help article puts it at over 20 free and 1,500 paid job boards. Ask which figure holds for the boards your country uses. Talent pools hold candidates for future roles, and candidates can sign up for job alerts. A sourcing extension searches online for candidates, and Texting sends SMS directly to candidates.

The offer step is where Recruitee’s own pages disagree. Offer letters are web pages with salary, start date and benefits, sent by link. They are on the Advance and Optimize plans. On its offer-letter product page, candidates get legally binding signatures directly in the product. The FAQ on the same page adds that third-party tools manage digital signatures. Its help article goes further. The offer letter does not collect signatures, and the article points to DocuSign, Dropbox Sign or SignRequest. Ask which signing tool you get and whether your plan includes it.

If you also use an HR system, a new hire’s record should move across without retyping. Recruitee can send a hired candidate to Tellent HR in a few clicks from the candidate’s profile. Tellent HR is Tellent’s own HR system for time tracking, absence management and payroll. Recruitee also integrates natively with 16 HR systems. Workday, SAP SuccessFactors, Personio, HiBob and Gusto are among the systems that receive new hires from Recruitee. Its integrations page puts the total of native integrations at 200+ in the FAQ. The page body puts it at over 120. Ask which count is right, and check that your own tools are on it.

Reports matter when you must show leaders how hiring is going. The reporting area has over 100 standard reports, and they export as PDF or Excel.

The AI is the part to test. Recruitee positions its AI as support and not as a decision maker. Who to interview, advance and hire stays with the recruiter and hiring manager. Each tool below tests how far that holds.

The Screening Assistant is the AI tool closest to your hiring decisions. You save up to six criteria for a job. Once they are saved, screening starts on its own for each new applicant in the Applied stage. It reads the CV, cover letter and screening answers, and it counts how many of your requirements were met. You can filter and sort candidates by that count. It gives no rankings, no suitability scores and no list of top candidates, so a count is all you get. It ignores name, age and contact details. It also ignores social links, gender and nationality. Candidates do not see your criteria or the results.

Criteria can also come from a position you link to the job. The Screening Assistant reads the position’s name, description and required skills to give screening criteria. Positions and skills need an active Tellent HR subscription, so ask whether you must buy that to use them.

The Matching Assistant looks at people you already hold. It searches your talent pools and your other active jobs for people to suggest. A user clicks Search for matches to get the short list. It recommends only candidates who meet at least 75% of the requirements. It never adds a candidate to a pipeline or advances anyone automatically. It gives no rankings or suitability scores. The Advance plan includes three searches a month and the Optimize plan includes 65. Matching actions are recorded in the activity tab and the audit logs.

Other AI tools help with writing and summaries. They write job descriptions, complete job fields and translate jobs. AI Evaluation Insights summarises team feedback, and answers to private questions stay out of those summaries. Recruitee’s marketplace also carries AI agents from other companies. VONQ CPA+ and ChattyHiring AI are third-party products that screen or interview applicants. Recruitee’s integrations also include Qualify Agent, an AI agent that turns every incoming application into an instant, structured interview. Ask whose terms cover each one.

WhatsApp Hiring is an add-on for candidates who would rather chat than fill in a form. Tellent owns it after buying FunnelBridge. An AI assistant guides candidates through the application at any hour, in 26 languages. It follows the structure of the job’s application form and asks its questions. WhatsApp Hiring also sends interview booking links and reminders, and it goes live in under 20 minutes.

What the bot tells candidates is only as good as what you give it. It answers candidate questions from the job description, the requirements and any text you add, so keep those accurate. It tells the candidate when it cannot answer. In a custom application flow the bot does not answer free-form questions.

Your privacy review needs to know where the messages go. The data stays on servers in the EU. Meta deletes the messages after delivery and keeps undeliverable messages for at most 30 days.

Our guide to applicant tracking systems explains how the rest of this market handles the same questions.

You can switch the AI off, and the vendor warns against using it as a filter

An AI that touches hiring needs controls you can explain to a works council or a candidate. Recruitee gives you six, and each one comes with a condition you should know before you rely on it.

You can switch the AI off, and the Matching Assistant starts off

The first control is the off switch. Your team can switch the Screening Assistant off for the whole account in Settings. It can also switch it off for a single job. The Matching Assistant is off until you turn it on. An administrator can switch off the summaries of team feedback. Under the terms, some AI features may be on by default, so check the account after set-up. They can be adjusted or disabled in the company account.

The vendor tells you not to use the count as a hard filter

A count only helps if people treat it as a hint. Recruitee tells customers not to use screening results as a hard filter to disqualify candidates. You can hide the screening score from the pipeline view. A user can override a result by hand and note the reason. The system warns you when your criteria may add bias or be unclear. Recruitee also accepts that no system can guarantee absolute fairness.

Your data is not used to train its AI models, unless the terms provide for it

Many buyers ask first whether candidate data trains the vendor’s models. Recruitee does not use customer data to train AI models or for secondary purposes. The exception applies where the Tellent Terms & Conditions explicitly provide for it. Under those terms you license your content to Tellent to provide and to improve the service. Improvement use happens only on a copy that has been anonymised, aggregated or diminished. Ask your legal team to read the AI Statement and the terms together.

Hiring managers do not cost extra seats

Per-user pricing can push you to keep hiring managers out of the system. Recruitee prices on unlimited users, not seats. So you can give every hiring manager a login without a user count raising the bill. Your number of employees drives the price instead.

The vendor hosts data in the EU and holds named security audits

Security reviews usually ask where the data sits and who has audited the vendor. The vendor hosts data in the European Union. The product is ISO 27001 and SOC 2 Type 2 certified. You can request Tellent’s SOC 2 Type II and penetration testing reports from its trust centre. Audit logs cover the past 30 days and export to CSV, so you can keep older records yourself.

Candidate privacy tools, with automatic deletion on Advance and Optimize

If you hold applicant data, you need a way to delete it on time. You set how long candidate data is kept. Candidates can ask for removal or correction through links in emails. Deleted profiles can be retrieved within seven days and are then permanently removed. Automatic deletion is part of GDPR automation, which is on the Advance and Optimize plans. When that automation is on, candidates who never consented are deleted automatically after 30 days.

Customers range from firms that started at 25 staff to more than 7,000

Your own company is the best test of fit, so these examples cover different situations. Recruitee reports each result on its own website. Ask for a reference close to your size before you rely on any of them.

A company that is growing fast

A fast-growing company asks the same hiring team to handle more roles each month. Origin had 25 employees when it started with Recruitee and grew to about 200. A shorter time to hire frees the same team for the next role. Teamleader, which has over 150 employees, cut its time to hire from 40 to 27 days. Livestorm cut its time to hire from 60 to 25 days. Solutions 4 Delivery has a team of 75+ people and made 10 hires in 2 months.

A company whose candidates apply from their phones

WhatsApp Hiring lets candidates apply and book interviews in a chat instead of filling in a form. Tellent sees WhatsApp hiring as a fit for deskless sectors. Examples are construction, healthcare, logistics and hospitality. Ströer X has more than 7,000 employees and reports a 75% conversion rate for applications started through WhatsApp Hiring. Van Cranenbroek reports that its dropout rate fell from 60% to almost 0%.

A larger employer with many stores or sites

An employer with many stores or sites hires often and in many places. So the time to fill a role is the number to compare. Marks & Spencer Greece has 27 stores and 550 employees. Its time to hire was 30 days before Recruitee and is now 10 to 15 days. Keolis has 2,900 employees in Belgium and reports a time to hire under 18 days.

A team that hires through its own staff or through agencies

Referrals and agencies bring in candidates that a careers page does not. ReferralsHub lets employees recommend candidates from their networks. CM.com has over 1,000 employees and reports that 45% of referrals were hired. SPECTO reports an 80% time saving on communication with recruitment agencies. Ask whether referred and agency candidates reach the screening, because it reads only careers-site applicants.

Screening reaches only some applicants, and one rule type rejects with no person

Six limits matter most if you must explain the system’s decisions to a candidate, a works council or a regulator. The law then adds its own duties below them.

The AI screening reaches only people who use your careers-site form

Screening only helps if it reads the applicants you actually receive. It applies only to candidates who apply through the careers-site form. Your applicants may also arrive through job boards, WhatsApp, agencies or referrals. Ask which of those routes get screened. Ask about it before you count on the Screening Assistant allowance in the Advance plan.

A rule you write can reject people with no person involved

The count is only advice, but a knockout question is a rule. It automatically disqualifies candidates whose answer matches the one you set as disqualifying. A rejection email tied to the reason goes out immediately after the candidate applies. Automations can also move a candidate when evaluations are complete. The full set of automations is on the Optimize plan. So someone senior should own and review every such rule.

Several protections sit on the top plan, and you cannot buy them one by one

If you rely on the safeguards in this guide, check the plan before the price. The Optimize plan holds requisition approvals, anonymous candidates, fair evaluations and the full set of automations. It also gives full access to the Screening Assistant and 65 Matching Assistant searches a month. The Advance plan has three. Anonymous candidates use AI to hide personal details on a CV and may miss some information. Fair evaluations hide team ratings until each person adds their own. Individual plan features cannot be bought separately. The vendor offers add-ons for company login, Texting and Onboarding. Decide which of these you need before you compare plan prices. You may pay for AI features that shrink during the term. Under the terms, Tellent may reduce AI features at any time during the term.

Candidate data may reach other companies when the AI runs or a CV is read

Your privacy notice and data protection review must cover every company that handles candidate data, because candidates will ask you. Under the terms, third-party AI service providers may receive and process your AI input, AI output and customer data. For infrastructure, Google Cloud is used for the optional AI features. Microsoft Azure in the Netherlands, Sweden and Germany is used only for optional AI features and optional WhatsApp hiring. For text, the job-description writer sends its prompt to OpenAI. For CVs, Textkernel is the outside company that reads CVs into candidate profiles. It is also used for optional AI and machine learning features. Affinda is a backup if the main provider has an outage, and it also serves those optional features.

You must tell candidates that AI is used

You, not Recruitee, carry the duty to tell candidates about its AI. For screening, Recruitee tells customers they must inform candidates that AI is used. For the Matching Assistant you must also get explicit consent and inform candidates of their data rights. You can set that tool to skip candidates without valid GDPR consent. Write the notice before you switch either tool on.

Integrations and support have limits

If your HR system or support needs are specific, check these limits first. The vendor gives limited support for its API, which is the link other software uses to connect. New installs of the first BambooHR connector are unavailable. The ADP Workforce Now connector is unavailable for new installations. A link from Recruitee to Tellent HR Journeys through a new API is coming soon. Under the terms, Intercom is the main customer support tool, and it processes data in US East (N. Virginia). Ask what the support team can see of your candidate data.

The law adds duties of its own, and the EU is the first place to look. The EU AI Act puts AI that analyses and filters applications and evaluates candidates among its high-risk uses. An exemption under Article 6(3) can apply. It covers a system that poses no significant risk of harm to fundamental rights. That includes a system that does not materially influence the outcome of decisions. The exemption does not apply when the system profiles people. The EU Digital Omnibus sets 2 December 2027 as the date the high-risk rules apply to this kind of system. Ask your lawyer whether a criteria count falls inside or outside the exemption.

Colorado’s SB26-189 may also apply if you hire people who live in Colorado. It starts on 1 January 2027 and covers decisions made on or after that date. It defines a consumer to include a job applicant who lives in Colorado. It covers technology that produces scores or other output used to make, guide or assist a decision. A company using such a tool must give notice at the point of interaction. After an adverse outcome it must describe the tool’s role within 30 days. The applicant can also ask for meaningful human review after an adverse consequential decision, which includes decisions about employment.

The price depends on headcount, and you may have only 30 days to take your data out

Recruitee’s price depends on your plan, your headcount and how you pay. The plans are Start, Advance and Optimize. Start allows up to five jobs. It includes posting to several job boards, a mobile app and standard reporting. Advance includes unlimited job posts, candidate self-scheduling, custom reports and the AI Screening Assistant. Optimize adds company login and expert setup assistance. It also adds a dedicated customer success manager, requisition approvals and 65 matching searches a month. It also adds connections to business reporting tools.

Because users are unlimited, your number of employees sets the price. The vendor checks it before each contract year. A subscriber over its Maximum Number of Employees moves to the lowest-priced listed subscription that fits its employee count. So a growing company should ask what happens when it passes a band. Paying yearly gives a 20% discount, and contracts have a one-year minimum. Recruitee still offers monthly billing under the yearly contract. Fees are in euro, US dollars or pound sterling. A recruitment agency gets a custom quote. Ask for a quote for your headcount before anything else.

One public contract gives a sense of scale. A Dutch regional authority awarded Recruitee B.V. an applicant tracking contract. The authority estimated its value at 400,000 euros excluding VAT over 24 months. That is the size of one deal and tells you nothing about your own price.

Some costs sit outside the plan, so the first quote may not include them. The add-ons include company login, Texting and Journeys. They also include AgencyHub and WhatsApp Hiring. Company login also appears on the Optimize card, so ask which applies to you. Messages carry their own costs. You get 50 free texts when you first activate Texting. A separate texting subscription can then be bought, for example $75 in the US or €75 in Europe. If you use WhatsApp Hiring, Meta charges when your company starts a WhatsApp conversation. From 1 October 2026 Meta also charges for outbound WhatsApp service messages, with the first 1,000 a month free. Marketplace products have their own fees. VONQ CPA+ costs a flat €460 per campaign, which includes 20 completed applicants. Ask what counts as completed.

The contract decides what you can change later, so read these terms before you sign. Subscriptions renew automatically unless a party gives 90 days’ notice. At renewal Tellent may raise fees by up to 5% for each year since the term began. If the consumer price index change is higher, that figure applies instead. You can terminate at any time, but fees for committed terms are due. So your real exit date is the end of the term. If you miss the 90 days’ notice, the subscription renews automatically. Tellent warrants 99.5% availability per quarter for most functions. If it misses that, it reduces the quarter’s fee by 10% on request. Its total liability is capped at the fees for six months of the service.

Your contracting party depends on where you are, and it decides the law and courts that apply. For the US and Canada it is Recruitee Inc., under New York law and courts. For Germany, Austria and Switzerland it is Recruitee GmbH, under German law and the court of Düsseldorf. In the Netherlands it is Recruitee B.V.

Plan your exit before you sign, because the time to take your data out may be short. After termination you may download your content or request it through the API within 30 days. An API is the link other software uses to read your data. The vendor may then delete your content. It cannot guarantee to store data more than 30 days after the last billing period. So do three things before those 30 days end.

First, export your candidates as a CSV list of essential data. Export through the open API may need advanced technical knowledge or a developer, so CSV is the simpler route. Second, save your jobs. Recruitee cannot currently export jobs automatically, though it generates an XML feed with all published jobs. That feed is a file of your live jobs that other software can read. Third, print or save the key candidate profiles as PDF. Users with the Export data permission can do this for a single profile.

Cancelling ends access to your account, careers site and candidate database at the end of the billing period. So do not cancel until your export works. Under the data processing terms, you can choose return or deletion of personal data on termination. If you delete the company account, it is locked for all users for 14 days. All account data is then permanently deleted.

Coming in is simpler. Recruitee asks you to have your previous system export candidate data into a CSV file. It tells you to contact sales if that does not cover your migration needs.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Eight questions for the sales call

These eight questions cover the AI, the plans and the exit. Each has a good answer to look for.

  1. What does each plan cost for our headcount, and what is the price at renewal? Good answer: A written price per plan, and the exact cap on the renewal rise.
  2. Which offer letter signing do we get, and is it included in our plan? Good answer: The name of the signing tool and a line on whether it is included.
  3. Which of our applicants does the Screening Assistant read? Good answer: A written list of the entry routes it covers, including job boards.
  4. Which rules on our account reject a candidate with no person involved? Good answer: A full list of those rules, and who on our side can change them.
  5. Where does candidate data go for each AI feature we switch on? Good answer: A named company and region for every AI service.
  6. Which of the plan features we need are in the plan we are quoted? Good answer: A feature list in the order form, covering approvals and anonymous screening.
  7. How many job boards in our country will a posting reach? Good answer: A list of named boards for our country, and which ones cost extra.
  8. Can we take jobs as well as candidates out when we leave, and for how long? Good answer: A full export of both, with a window longer than 30 days.

Alternatives to Recruitee

Workable, Breezy HR, Teamtailor and Pinpoint are the four alternatives to Recruitee that this guide covers. The right one depends on which worry on this page weighed most with you. You could also buy nothing yet.

If your worry was a rule or AI that acts without a person, compare the products. Look at how each starts out and how you stop it. Every Pinpoint AI feature is opt-in and never on by default. Pinpoint works as a full applicant tracking system with every AI feature switched off. Its Hiring Copilot needs your explicit confirmation before each action. A recruiter’s own action on a candidate stops Workable’s Agent. Workable has one combined switch for all its AI. It also has separate switches for sourcing, screening, auto-advance and auto-disqualify. Recruitee lets you switch the Screening Assistant off for the account or for one job. Workable lets you switch off one step at a time. Teamtailor’s Co-pilot features are opt-in, and you choose which ones to enable. Its Smart move can then move candidates automatically from the screening evaluation, and candidates cannot opt out of that evaluation.

If your worry was that screening reaches only careers-site applicants, ask each vendor which entry routes its AI reads. Each product has its own rule on which candidates its AI reads. So the same question applies to all three. Breezy HR scores every applicant from 0 to 10 against criteria you control. It does not review candidates who were in the pipeline before you switched it on. It also skips resumes it cannot read, such as a scanned resume. Workable scores every candidate out of 100 against an ideal candidate profile. It reads the CV, application answers and custom fields. Pinpoint grades each applicant against criteria you approve. Switched on, it scores every candidate already in the pipeline with a CV, except those rejected or hired. Ask all three whether job-board and agency applicants are included.

If your worry was the cost of giving every hiring manager access, Recruitee already prices on unlimited users. Breezy HR also includes unlimited users on every plan. It has a free plan with one active job at a time. Pinpoint prices by organisation size and capabilities, not per recruiter seat or open role. Teamtailor gives a price after you tell it about your company. Compare what drives each price, and not only the headline figure.

If the 90 days’ notice and the 30-day data window worried you, compare the exits. Teamtailor needs one month’s written notice to stop a renewal. Workable needs 45 days’ notice, and Pinpoint needs 30 days. Workable’s full export is a zip file with a CSV for each data area, and signed offers can be included. Breezy HR exports position data to CSV, while Recruitee cannot currently export jobs automatically. Pinpoint makes your data available to download on request for 30 days after the contract ends, which matches Recruitee’s window.

Buying nothing yet makes sense if you cannot say which applicants need screening or who would own a knockout rule. A tool will not settle that for you. Count how many applicants arrive through your careers-site form, because that is the only route Recruitee’s screening reads. Then run one real hire through a trial. Recruitee’s trial lasts 18 days on the Advance plan. It allows no more than five published jobs and 50 emails. Ask whether the trial includes the Screening Assistant, because the Advance plan does. The WhatsApp Hiring trial lasts 14 days and is free. A trial costs less than a signed year, because the minimum contract is one year.

Sources and method Everything here about Recruitee comes from its website, help articles, terms and AI Statement. Some facts come from Tellent’s own pages. The alternatives come from each vendor’s own pages. Law facts come from the laws themselves. What Recruitee publishes about its own product is taken as a true description of that product. Some of Recruitee’s own pages give different figures, such as on job boards and integrations. This page gives each figure with its source and asks Recruitee which is right.
