Tribepad

Tribepad is a UK applicant tracking system for organisations that hire at scale. The real decision is the three-year contract. If it renews, recurring fees rise by 25% plus a review against RPI, a UK inflation measure. The core system starts at £6,950 a year for up to 250 employees. Pro starts at £19,000 a year in its price document for G-Cloud, the UK government’s buying catalogue. The AI score only recommends, but questionnaires can reject candidates automatically. Settle the data terms and the exit plan before you sign.

Tribepad suits volume hiring, but read the contract first

In one line

Tribepad is an applicant tracking system for organisations that hire at scale. Its price follows company size, and it is sold on a three-year term.

Buy it if

You hire in volume and want adverts, screening, interviews and onboarding in one place. You are a UK public body that wants to buy through G-Cloud, the government’s buying catalogue. You can accept a three-year term and an AI score that only recommends.

Do not buy it if

You need to leave within a year, because the standard term is three years. You need a service promise that pays you back when the system is down. Tribepad promises 99.9% availability, but it has no standard penalty clauses for missing that. You would need to ask for one in writing. You want to try it free first, and no free trial is available.

Price

Gro is for fewer than 750 employees. It starts at £579 a month paid annually, plus £2,000 set-up. Pro is for more than 750. It starts at £19,000 a year in its G-Cloud price document. Prices exclude VAT.

What you get from advert to onboarding

Before you compare prices, you need to know what Tribepad sells. It sells two products. Gro is for organisations with fewer than 750 employees, and it comes pre-built. Pro is for organisations with more than 750 employees, several brands or complex hiring. Pro is built up from parts, and its price is unique to each customer project.

Both products take a job from request to hire. For a volume hirer, the point is to get many roles approved and posted with little manual work. Tribepad handles job requisitions, which are the requests to open a role, and their approvals. Its job list covers every role, whether active, upcoming or closed, and it counts the candidates at each stage. Jobs go to job boards in one click. Indeed and Google for Jobs connect directly, and other boards go through the posting partners Broadbean or Vacancy Poster.

Next is how candidates apply and how interviews get booked. Candidates can apply from a phone, from a saved profile or through social media. They pick an interview slot from the hiring manager’s free times. Tribepad sends an SMS invite and optional reminders, and scheduling works with Office 365 and Teams calendars. Hiring managers see a candidate only from the Shortlist stage.

Tribepad adds more than tracking. Its video screening lets candidates record answers to set questions, and recruiters review them later. Willo powers it. Tribepad offers right to work and DBS checks (UK criminal record checks) of its own. It also links to partners such as Verifile and TrustID. Onboarding comes built in with Gro. Tribepad builds, sends and tracks contracts from the ATS.

Sidekick is Tribepad’s AI assistant. It is in live beta testing with customers, and it is available to all new customers. You switch it on for a role when you create the job advert. It suggests salaries, skills and interview questions, and it writes job descriptions. It also scores each applicant. You rank how important each suggested skill is, and Sidekick scores candidates against that ranking.

The AI score can be switched off, and hosting stays in the UK

These are the points in Tribepad’s favour that you can test in a demo. Ask for each one in writing.

The AI score is a recommendation, and your team controls it

Sidekick’s candidate score is a recommendation only. Recruiters can switch it on or off. That lets them review candidates first and then check their view against Sidekick. Tribepad has no current plan for Sidekick to reject candidates automatically. A recruiter can also remove the AI score from a job. That hides the score on the candidate list. It does not hide the AI insights in the mini profile, which is the short candidate view. So Sidekick leaves each decision to your team. Test the switch in the demo.

An outside firm tests the matching for bias every month

If you hire in New York City or the EU, you may need bias evidence, so an outside audit matters. Tribepad uses Warden AI to test the part of Sidekick that matches candidates to a job. Tribepad calls that part AI Talent Matching. Warden’s latest audit is dated 7 August 2026. It used a sample of 6,268 and rated all 58 results Clear, with none at Consider or Concern. Tribepad measures Sidekick against New York City’s Local Law 144 and the EU AI Act. Warden published a report for each law. Each report warns that it is not evidence of full compliance. So the audit does not do your compliance work for you. New York’s law also requires notice to candidates and publication of audit summaries.

Hosting is in the UK, but check where candidate data travels

New customer platforms run on AWS with all data hosted in the UK. On G-Cloud, Tribepad gives its storage and processing locations as the UK and the EEA. Users control the location. Under the terms template, Tribepad will tell you in advance if it plans to move hosting outside the UK. You may then end the agreement with no further fees. Hosting is only part of the picture. Tribepad passes candidate data to HrFlow, a European HR AI company. It also uses email relay companies located in the USA. Transfers outside the UK or EEA will follow the Standard Contractual Clauses. If location matters to you, ask for every place candidate data goes. Tribepad’s ISO 27001 accreditation from NQA is dated 28 April 2025. It encrypts data in transit and at rest.

Set-up has a stated length and Tribepad helps with the move

You can plan a go-live date, because Tribepad gives set-up times. In its G-Cloud service description, standard set-up of the core system and onboarding takes 11 to 16 weeks. The time depends on Gro or Pro. Tribepad also quotes go-live from as little as eight weeks for smaller organisations. It expects to help move CVs, profiles and employee information from your old system. You are responsible for setting up your own questions, questionnaires and email content. Set aside your own team’s time for that.

Councils, public bodies and large employers already use it

A supplier does its best work for the buyers it already has, so check whether you look like them. Tribepad’s customers include UK public bodies and large employers.

A public body that buys Tribepad commits to roughly two to four years of fees. These are total contract values over the whole term, not yearly fees, and each covers a different scope of work. West Northamptonshire Council awarded a two-year contract worth £146,080 from 21 March 2026. The Royal Borough of Kingston upon Thames awarded a two-year contract worth £135,000 for school and college jobs. It runs from 20 April 2026 to 19 April 2028. Luton Council awarded a four-year contract worth £242,786 for recruitment and onboarding, from 2 March 2026 to 1 March 2030. The Regulator of Social Housing awarded a four-year contract worth £42,200 for requisition through to onboarding. It runs from 16 January 2025 to 15 January 2029. NHS trusts have separate pricing.

Private employers of very different sizes use it too. Tribepad has processed more than 2.6 million applications a year for Tesco since 2014. Tesco has more than 440,000 colleagues. Sodexo has 35,000 staff in the UK and Ireland. Tribepad reports a 40% drop in Sodexo’s agency costs within the first year. At the other end, Exclusive Hotels and Venues has more than 800 staff. It runs 10 hotels, spas and pubs across England.

Tribepad reports results for its customers. Staffordshire County Council has 5,000 employees. Tribepad reports a 30% fall in time-to-hire and 113% more applications there. For Malvern Hills and Wychavon District Councils, it reports time to offer down 75%, from 16 weeks to 22 days. These are Tribepad’s own figures, so ask for a reference at your size.

If you buy for a public body, check the accessibility evidence. Tribepad gives EN 301 549 as its accessibility standard and WCAG 2.2 AA for user support. Its 2026 release improved keyboard access, focus styles, heading structure and labels for screen reader users. Ask to see the evidence for both standards.

Where Tribepad stops, and who stands behind a three-year deal

A three-year contract ties you to the company behind it, so who owns and leads it matters. Tribepad Ltd was incorporated in 2008 and was called Talent On View Limited until January 2020. In 2023 it announced a £12m investment from BGF, a minority, non-controlling equity partner. Neil Armstrong became CEO on 3 June 2025. Its headquarters team was 60-strong at that point. Ask who will run your account and what the owners plan for the next three years.

Every product stops somewhere. Tribepad’s limits sit around the AI, automatic rejection and the support you get on the smaller plan.

Candidates cannot choose which personal data Sidekick uses

Sidekick scores a candidate from their CV, work and education history, and questionnaire answers. Tribepad passes personal data from the candidate profile to HrFlow for CV parsing. That data is the CV, the name and address, and the education and career history. HrFlow is a European HR AI company that handles candidate data for Tribepad. Skills matching then runs on AWS Bedrock. Diversity and equal opportunities questionnaires are left out. Candidates cannot choose which personal data Sidekick uses. So decide what your own privacy policy tells candidates about Sidekick. Tribepad recommends, but does not require, that you add Sidekick to that policy. The platform asks candidates to agree to your policy before they use it.

Two Tribepad documents differ on the AI model and on training

In its AI Manifesto, Tribepad puts Sidekick on OpenAI’s gpt-oss model at Amazon Bedrock. In its G-Cloud terms template, it puts part of Sidekick on Anthropic’s Claude 3 Haiku model. In the manifesto, Tribepad adds that no data is ever used to train models. Under the terms template, Tribepad may use customer data in anonymised form. The uses are reporting, aggregated reports to other customers, marketing and machine learning that supports certain product features. You cannot bring your own AI model, and Tribepad has no current plans to allow it. Your contract is what binds Tribepad, so ask which wording will sit in it.

Automatic rejection sits outside Sidekick, in the questionnaires

Tribepad promises in its AI Manifesto that Sidekick will never make decisions for the user. Questionnaires work differently. Candidates who score over your threshold can move automatically to a chosen stage. Those below it can be rejected automatically. Must-have yes or no questions, which Tribepad calls killer questions, can also reject automatically. Tribepad’s volume hiring tools include automated rejection emails with delays you set. So the person who sets the threshold decides who is rejected, even though Sidekick itself never decides. Decide who that person is before you go live.

Sidekick scores once, from the application, and is still in beta

Sidekick reads the candidate’s information once, when the application is submitted. It does not rescore if the candidate later changes the CV or profile. So a score can be out of date. It needs either a CV or work and education history to give a meaningful score. With anonymised applications it still scores from the information available to it. Tribepad runs Sidekick in live beta testing with customers, which means it is still being tested in real use.

Connecting your HR system carries its own fees

An HR system integration carries a one-off fee and an annual support and maintenance fee. Ask for both fees for your system in writing. Tribepad’s standard new-starter integrations cover MHR, IRIS and HiBob. They also cover SONA, ESR and Zellis. Zellis was due in the second quarter of 2026. If your system is on that list, the link already exists. If it is not, you use the APIs or scheduled file exports by SFTP or email. Customers have done this with Oracle, SAP and Workday. Others have used Unit4, SDWorx and Access.

There is no free trial, and Gro has no single point of contact

No free trial is available, so you will judge the product in a demo. Record the demo. Under Tribepad’s terms, the system will function as demonstrated during the sales process. Gro customers can use an account management service, but they have no single point of contact. So response times are what you rely on. Tribepad responds to a Priority 1 fault, its most urgent level, within 30 minutes at any hour. Priority 2 gets a response within two working hours. Priority 3 gets one within eight working hours.

Price follows headcount, and the contract runs three years

Tribepad prices by company size, so your first question is which band you fall in. The figures below come from its price document for G-Cloud, the UK government’s buying catalogue. Its website quotes some of them differently. Gro is for fewer than 750 employees. On the website it starts at £579 a month paid annually, or £625 a month paid monthly. Both need an annual commitment and £2,000 set-up. Pro starts at £19,000 a year in the price document. On its website Tribepad puts Pro at £2,000 a month paid annually. The exact price depends on the parts, premium features and integrations you choose. Ask which figure applies to you.

EmployeesCore ATS, a yearSidekick, a year
Gro, up to 250£6,950£1,995
Gro, 251 to 500£7,950£2,995
Gro, 501 to 750£8,950£3,995
Pro, up to 1,000£19,000£4,995
Pro, 1,001 to 2,000£24,000£9,995
Pro, 2,001 to 3,000£30,000£14,995
Pro, 3,001 to 4,000£35,000£19,995
Pro, 4,001 to 5,000£40,000£24,995

Sidekick is an extra, and Tribepad does not sell it separately. Its price band may use your expected number of applications instead of your employee count, which may change the price. Under the terms template, extra Sidekick applications cost £0.20 each. Above 7,500 employees the price document and the terms template differ. For 7,501 to 10,000 employees the price document puts core at £50,000. The terms template puts it at £55,000. For 10,001 to 15,000 it is £62,500 against £67,500.

Two worked sums show what a first year costs. An organisation of 600 people on Gro with Sidekick pays £8,950 for core. It pays £3,995 for Sidekick and £2,000 for set-up. That is £14,945 in the first year. With the standard three-year term the total is £40,835. An organisation of 1,500 on Pro pays £24,000 for core and £9,995 for Sidekick. Set-up is typically £9,500. That is £43,495 in the first year. Both sums are before VAT, extras and any rise in fees.

The contract is the biggest cost risk, because it runs long and then renews. Tribepad’s terms template sets an initial term of 36 months. After that it renews automatically for 12 months at a time. At renewal, recurring fees rise by 25% plus the RPI review, unless a party gives notice. RPI is the UK Retail Prices Index, a measure of inflation. Take the 600-person Gro example, which pays £12,945 a year for core and Sidekick. If both count as recurring fees, renewal lifts that to about £16,181 before the RPI review. Tribepad may also raise annual fees from each anniversary of the start date in the second and later years. So a rise can come before renewal. Either party can stop renewal with written notice at least 90 days before the term ends. Ask for a fixed cap on rises in the order form.

Variable fees carry a separate limit. Tribepad may change them by up to 20% for third-party cost increases, no more than once in 12 months. Other things cost extra too. Tribepad charges £950 a day for additional professional services and £1,200 a day for custom development. The terms template puts project management at £1,000 a day and custom development at £1,400. Ask which rates apply to you. Each extra language costs £1,500 a year plus £750 set-up. Two-way communication with candidates is a premium add-on, and so are two more features. Right to work checks start at £4 each in the price document, falling with volume. The terms template prices bundles from £3.50 a check, so ask which list applies. Monthly billing carries a surcharge, and the terms template puts it at 10%. So the quote you sign should price every one of these items.

Support above the included Bronze level costs extra. Tribepad sells these as Customer Success packages. Silver is £3,780 a year, Gold is £7,280 and Platinum is £13,230. Charities and educational organisations get 10% off Pro and 20% off Gro.

An outage is the other thing to price in. Tribepad promises at least 99.9% availability outside agreed maintenance. It has no standard penalty clauses for missing that. Ask for a penalty in writing. Tribepad aims for 99.99% uptime in its FAQs. The two figures differ, so ask which one goes into your contract. Under the terms template, your only remedy for lost or damaged data is restoration from the latest backup. Backups are taken daily and kept for one week. Liability is capped at the greater of £50,000 or the fees you paid in the 12 months before the claim. For a customer paying under £50,000 a year, the cap is £50,000.

Under the terms template, Tribepad provides the system as it stands. It will function as demonstrated during the sales process. So keep a record of the demo and ask for the feature list to be attached to the contract.

Retention is how long Tribepad keeps candidate data. By default it deletes inactive candidate data, including CVs, after two years. Candidates with an Accepted or Hired status are excluded. Keeping data longer costs extra. Storage for up to three years costs £2,400 a year. Up to seven years costs £12,000 a year. Many customers use a one-year retention policy. Organisations that share one platform cannot have different retention periods.

Leaving takes planning, so check it before you sign. Export and import formats are both CSV, a plain spreadsheet format. You can create full data exports with Insights, Tribepad’s reporting tool, or pull all your data through the APIs. Every Insights report exports as CSV. A full candidate record can be generated as a single PDF. After termination, live data is deleted a week later. All data including backups is removed within eight days. The parties agree an exit plan after a termination notice. Ask for the exit plan’s terms now, while you are still negotiating.

You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Nine questions for the demo

Use these questions in the demo. Each comes with the answer that should reassure you.

  1. Which AI model scores our candidates, and may you use our data to train or improve any model? Good answer: One named model in writing, and a clause that bars training on our candidate data.
  2. Which price applies to our headcount, the G-Cloud figure or the website figure? Good answer: A written quote that prices every part, add-on and fee.
  3. Which day rates apply to us, £950 and £1,200 or £1,000 and £1,400? Good answer: One rate card attached to the order form.
  4. What caps fee rises in the second and later years, and at renewal? Good answer: A fixed percentage cap written into the order form.
  5. Which uptime figure goes in our contract, 99.9% or 99.99%, and what do we receive when you miss it? Good answer: One figure in writing, with a stated payment or free months for each miss.
  6. Who sets the score that rejects candidates automatically, and who reviews a rejection? Good answer: A named owner on our side, and a person who reviews rejections every week.
  7. How many languages come with our plan, and which ones? Good answer: A named list in the contract, with the cost of each extra language.
  8. How do we leave? What do we get, in what format, and by when? Good answer: A full CSV export and PDF records, with a window longer than a week.
  9. Will you attach the demo and the feature list to the contract? Good answer: Yes, both are attached and the system must work as demonstrated.

Alternatives to Tribepad

Four alternatives to Tribepad are worth a look. They are Eploy, Oleeo, Pinpoint and Cezanne. Each answers a different worry about Tribepad.

Eploy answers the worry about who controls the AI. It is a UK company that sells to in-house recruitment teams. Its average customer has 2,900 employees. Its AI writing tools run on your own ChatGPT account from OpenAI or Microsoft. You hold the key, and the provider may charge you. Tribepad currently sells Sidekick as a single product, and you cannot bring your own model.

Oleeo answers the worry about proof of results. Like Tribepad, it is built for high-volume hiring and serves more than 200 public sector organisations. Its minimum fee is £13,200 a year for up to 750 FTE, which means full-time equivalent staff. Tribepad’s Gro costs £6,950 to £8,950 for up to 750 employees, so Oleeo costs more at that size. Oleeo guarantees a cut in time to hire of at least 50%. If that guarantee is written into your contract, you can hold Oleeo to it.

Pinpoint answers the worry that Tribepad is built for volume. It is a common choice for teams of one to five recruiters at organisations of 50 to 5,000 employees. Pinpoint quotes prices on request, though it publishes US dollar prices on its US page. Tribepad publishes its bands in G-Cloud. Ask Pinpoint which price applies before you compare budgets.

Cezanne answers the worry about the size of the add-on bill. Cezanne Recruitment works with the Cezanne HR system or on its own. It lets teams of 1 to 200 get started quickly. Recruitment Plus adds AI CV scoring to Cezanne’s Recruitment package. Cezanne’s AI features are part of its standard pricing. Administrators can turn the AI CV scoring off. Tribepad charges extra for Sidekick, so compare the Recruitment Plus price with Tribepad’s core fee and Sidekick fee together.

You could also buy nothing this year. Tribepad’s smallest plan costs £6,950 a year plus £2,000 set-up. That is £8,950 in the first year. Divide that by the hires you make in a year. If the cost per hire looks high, a simpler tool or your current process may do until your volume grows. Our guide to applicant tracking systems covers the whole market.

Sources and method Everything here about Tribepad comes from Tribepad’s own website, help centre and AI Manifesto, its G-Cloud 15 listing, service description, price document and terms template, Warden AI’s public reports on Tribepad, the UK Contracts Finder notices of public contract awards, and the Companies House record. What Tribepad publishes about its own product is taken as a true description of that product. Where two Tribepad documents give different figures for the same thing, this page gives both and puts the difference to Tribepad as a question. Every source was read on 2 November 2026.
