Quantum Workplace

Quantum Workplace is a full survey platform from $15,000 a year, with benchmarks, manager action plans and setup help. In a Confidential survey, no one at your organisation gets raw results that tie answers to people. Quantum Workplace itself can trace answers, and its terms let it use survey data for its own products. Check those terms, and what it may withhold when you leave, before you sign.

Quantum Workplace is a survey platform with a $15,000 floor

In one line

Quantum Workplace runs annual, pulse and lifecycle surveys on one platform. It helps managers act on the results. It also sells Performance, Development and Recognition.

Buy it if

You want to compare your scores with other employers. You can give a survey owner time each week, usually for 6 to 8 weeks before launch.

Do not buy it if

Your budget sits under the price below. You need text message surveys for staff with mobile numbers outside the US. You need each identifying detail back when you leave. On leaving, Quantum Workplace may withhold identifying details that your confidentiality settings kept back.

Price

Packages start at $15,000. That is also the minimum annual contract. There is no implementation fee. Discounts are available by number of users.

How Quantum Workplace reaches staff, protects answers and uses AI

Four things decide whether a survey platform works for you. They are how staff answer, who sees the answers, what the AI does with them and what it connects to.

Staff can answer in several ways, and one of them has a country limit. The engagement survey is built to reach frontline, hourly, field-based and distributed workforces. Employees answer on a desktop, at a shared kiosk or by text message. Slack and Teams send invitations and reminders as direct messages. Text surveys work only for US-based mobile numbers, as the limits section explains. Lifecycle surveys launch by themselves once you connect your HR system. They cover candidates, new hires, new managers and exits.

The setting you choose for each survey decides what your own people can see. Quantum Workplace offers four settings. They are Anonymous, Confidential, Mixed and Not Confidential. For engagement surveys, it recommends Confidential. There, no one at your organisation gets raw results that attribute answers to people. You can slice results by demographic group. Anonymous collects no participant details. You cannot slice or filter results. Mixed keeps analytics confidential. Admins can choose to include who answered in an export. That export is admin-only and logs the name, email address, date and time of each access. People in a Mixed survey see a notice that identifiable data may go to chosen admins.

Small groups are protected by a minimum response threshold. Admins must set one for each confidential survey. Quantum Workplace recommends five for engagement surveys. Managers see results once the threshold is met for the people below them. It tells staff a manager never sees data by person. It tells them managers see only combined team data above a minimum number of responses. Its recommended manager role gives the Questions and Category reports and action planning. Comments access is left to your organisation. It suggests Smart Summary. Managers then get comment takeaways without seeing each comment. Admins can reply to a comment while the commenter stays hidden. The commenter gets an email.

The AI works on your comments and results, and Quantum Workplace puts limits on how it handles your data. It brings its AI features under one name, Cue. Cue runs on Azure OpenAI Service inside the vendor’s Microsoft Azure environment. Data entered into Quantum Workplace does not go to the separate services that OpenAI runs. Under its agreement, customer data is not used to train generative AI models. Generative AI features are optional. Users may reject, edit or ignore outputs. When someone adjusts a comment’s theme tags, Quantum Workplace uses the change as training data. It leaves out who wrote the comment and who adjusted the tags.

Two AI features touch each comment. Sentiment analysis is on by default. It labels each comment negative, positive or neutral/mixed. Summary Assistant sums up the comments on a survey question. Admins, survey admins and survey managers have automatic summaries on by default. Summaries are shared across users with access to the same team’s data, so check who holds that access. Ask AI conversations are private to the user.

It connects to a long list of HR systems, by nightly report or partner connector. The nightly report works with BambooHR, Namely, Ultipro/UKG (except UKG Ready) and Workday. Quantum Workplace also integrates with Oracle HCM Cloud, SAP and Dayforce. For ADP, it integrates with ADP Workforce Now and ADP TotalSource with nightly data updates. The match rules decide whether staff records line up. The integration matches records to users on username and/or employee ID. It creates a new user when no match is found. Your team handles communication with your HR system vendor. Quantum Workplace lists Okta for single sign-on. The Intelligence Data Feed sends flat files as often as once a day, to load into your own reporting tools.

Quantum Workplace also sells three more products on the same platform. They are Performance, Development and Recognition. Survey Analytics captures up to two years of Performance Review rating data at survey launch. Admins can then slice the Questions Report by performance rating. This shows engagement results by performance level.

Our guide to employee engagement software covers how the rest of this market handles the same four questions.

Comparison data, manager support and setup help

Three things give a buyer something concrete to rely on. They are a comparison pool, a manager routine and help with setup.

Comparison with a large pool of employers

Standard benchmarks cover industry, company size, sub-industry and Best Places to Work. Each customer gets them. The database covers 10,000+ organisations. It also holds 1+ million surveys completed each year. You can filter by industry, organisation size or region. You can edit a question and still compare, as long as it keeps its original intent. A question gets a standard benchmark only when enough other employers use it. The minimum is 10 organisations on a survey with at least 1,000 responses.

Managers get a plan, not only a score

Managers get a library of suggested team actions. Admins can set preset focus areas, so teams line up with company-wide goals. Quantum Workplace recommends that each team picks two or three high-impact questions. Action plan owners get reminders by email and in-app message, with wording you set. The vendor recommends that all managers have access to action planning.

Setup help comes with the price

Each customer gets one-to-one help from a Customer Implementation Manager. The price includes guided implementation for each new feature. It also includes an engagement survey design session with an Insights Analyst.

Who it suits, and what customers report

By its own description, Quantum Workplace is best for HR, employee experience and people analytics teams. Its target is mid-market or enterprise organisations. If your workforce is frontline, hourly or field-based, the survey routes described under What it does matter most. If you want a large comparison pool, the benchmarks do that job. Its customers range in company size from 1-250 to 15,000+. They include Fossil Group at 10,000+ and Dentsply Sirona at 15,000+. Quantum Workplace also runs the survey behind America’s Best Places to Work programme. The results below come from Quantum Workplace’s case studies.

LAMMICO reports 21.2% more engaged employees

LAMMICO is a finance and insurance company with a company size of 1-250. It reports a 21.2% increase in engaged employees and a 90% survey participation rate.

Early Warning reports 11 points more highly engaged staff

Early Warning has a company size of 500-1,000. It reports an 11 percentage point increase in highly engaged employees. Manager effectiveness rose 5.1 points and communication rose 11.2 points.

Seacoast Bank reports a 97% participation rate

Seacoast Bank has a continuous listening strategy. It covers 2000+ associates. It also reports that 100% of engagement survey items held flat or improved year over year.

Mutual of Omaha reports 94% favourability from new hires

Mutual of Omaha has a size of 5,890. It reports 94% favourability from 30-day new hires. It also reports 93% of associates progressing on learning and growth plans. It reports an 86% employee retention rate.

Where Quantum Workplace stops, on texting, data use and contract risk

Some limits sit in the product, such as texting and reporting. Others sit in the contract and privacy policy. The contract may also change hands. The private equity firm LLR Partners invested in January 2022. Since then Quantum Workplace has bought three firms. They are TalentKeepers in December 2023, WorkDove in February 2025 and Assembly in January 2026. Under its Master Service Agreement, either party may assign it without consent. That covers a merger, acquisition or sale of substantially all assets. You contract with Quantum Market Research, Inc., which trades as Quantum Workplace and is based in Omaha, Nebraska.

Text surveys reach US mobile numbers only

Quantum Workplace limits survey text messaging to US-based mobile numbers. Recipients need a Quantum Workplace account and must consent. Employees must opt in themselves and cannot be opted in automatically. Each new text campaign needs approval through Twilio’s Campaign Registry before any text goes out. For other staff, engagement surveys can also be run by kiosk, phone and paper through the client advisor.

Your data can feed its products

Under its privacy policy, Quantum Workplace may use survey data to develop new products. Under its Master Service Agreement, it may use, aggregate and de-identify customer data. The aim is to provide and improve the services. It also pools respondent data into anonymised benchmarks shown to other customers or third parties. Under its 2024 Terms of Service, it holds a worldwide, perpetual licence over customer data. It covers using, disclosing, storing and modifying the data to run and improve the services. Under the agreement, customer data is not used to train generative AI models. Non-generative models are trained on de-identified data only. Sentiment analysis is one example.

It can trace answers

Quantum Workplace tells participants it can trace responses to them. It also keeps all survey data. Under its privacy policy, it may reveal who a respondent is in a protected survey. That applies if it deems a legal violation or threat of harm severe and credible, in its sole discretion. Under its agreement, you may not misstate its privacy or confidentiality terms to anyone you survey. What you tell staff has to match these terms.

Two help articles disagree when few people answer

A lower threshold may help you view smaller groups. It may also make employees avoid the survey or answer less honestly. Below the threshold, one article lets a team see overall results and create action plans with at least one response. Another puts the floor at two responses for focus areas, discussion starters and action plans. Ask which figure applies to your account.

Retention Radar rates groups, and its export identifies people

Retention Radar finds groups at high risk of leaving. Behind each group, an employee’s flight risk is calculated. It uses tenure and answers to a set of survey questions. The export includes each employee’s name and demographics. It covers active and terminated employees in the group. Full admins can use it. Group owners see the group’s turnover data but not survey comments or the employee list. Quantum Workplace tells analysts not to try to work out who wrote a comment.

Some features are in beta, others need a call

Beta means still being tested. Ask AI in 1-on-1s and Performance Reviews is in beta. So is the Assembly MCP feature. It connects outside AI assistants such as Claude and ChatGPT. They can then read and create recognition data. Quantum Workplace marks the permission to view comment summaries as beta in one help article. Insights Hub setup goes through your Customer Success Manager. So does unlocking Retention Radar when flight risk calculations are not enabled.

US law, a liability cap and a customer indemnity

Delaware law governs the Master Service Agreement. Disputes go to federal courts or Nebraska courts in Omaha, Douglas County. Each party’s liability is capped at the subscription fees paid or payable in the 12 months before the claim. The software is licensed as is, without warranty. The customer indemnifies the vendor for certain claims. These arise from customer data, activities with customer data, breach and use of the services. One term protects you. During the term, Quantum Workplace must not materially reduce what the service does.

The price is a floor, and leaving has a 60-day window

The starting price is a floor, not a quote. What you pay depends on headcount and products. A few items cost extra, and launch takes staff time. Leaving has its own terms, set out at the end of this section.

Base pricing depends on your total number of employees. There are multi-product and user volume discounts. Pricing varies with the products and services you buy, and you get a customised quote by contact. The Signature plan is the most popular. The Premium plan includes a dedicated Insights Analyst.

Each plan includes the mobile app for iOS and Android and 40+ languages. HR system integration, Slack, Teams and calendar integration, and secure sign-on come with each plan too. Three items carry a fee. Importing past Feedback data costs an extra fee. Translations from professional linguists cost an extra fee. The ADP data connector is installed from the ADP marketplace with a Buy Now button. Benchmarks+ and the Lightweight CSAT Survey are an extra feature and an add-on, so ask for their prices.

Time is a cost too. Quantum Workplace usually recommends 6 to 8 weeks from implementation call to survey launch. A survey implementer on your side manages the implementation. They set time aside each week to prepare. Once the build begins, a nightly report link to your HR system takes up to 5 business days.

Late payment is costly. Overdue amounts accrue interest at two percent per week, or at the highest rate the law permits if that is less. Under the Master Service Agreement, fees are payable within 30 days of the invoice date. A statement of work can set other terms. The agreement continues until there are no active statements of work. It then ends by itself.

Leaving is where your survey history is at stake. Under the agreement, customer data is stored for 60 days after the contract ends, so you can retrieve it. It is then securely deleted unless you direct otherwise. The 2024 Terms of Service let you download a copy of all customer data. That right lasts 60 days after expiry or termination. They also let you request destruction of customer data at any time.

The limit sits in what you can take. On termination, Quantum Workplace may decline to hand over survey responses with identifying details that confidentiality settings kept back. Confidential survey data can be transferred to another vendor you name. That needs you to pay extra fees and both parties to sign confidentiality agreements. The Excel report includes translations, with the original and translated language. Quantum Workplace usually keeps your data while you are a client, unless you ask for deletion.

You could also run survey steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Ten questions to put to Quantum Workplace before you sign

  1. Which governs our data, the 2025 Master Service Agreement or the 2024 Terms of Service? Good answer: One named document in our order form that overrides the other.
  2. Can we opt out in writing of our survey data feeding benchmarks and new products? Good answer: A written opt-out in the order form.
  3. On leaving, you may withhold identifying details our confidentiality settings kept back. What will you hand over? Good answer: A written list of exactly what we receive.
  4. What is the minimum response threshold on our account, and the floor for action plans below it? Good answer: One figure in writing, with the same rule everywhere.
  5. Which features in our package are in beta, or need your Customer Success Manager to switch on? Good answer: A named list, with what each one costs.
  6. What do Benchmarks+ and the Lightweight CSAT Survey cost, and are they in our quote? Good answer: A price for each, written into the order form.
  7. Who can open the Retention Radar export with each employee’s name and demographics? Good answer: Named roles only, and a log of each export.
  8. How do we survey staff whose mobile numbers are outside the US? Good answer: A named method for each country, with its cost.
  9. If we buy Performance too, who can slice survey results by performance rating? Good answer: Named roles, and the minimum group size that applies.
  10. What happens to our contract if Quantum Workplace is bought or sells most of its assets? Good answer: A right to end the contract without penalty if ownership changes.

Alternatives to Quantum Workplace, including buying nothing

Three stops above are worth testing elsewhere. For text surveys, look at Culture Amp. For data use, look at Empuls. Buying nothing avoids the contract terms.

Quantum Workplace limits survey text messaging to US-based mobile numbers. Culture Amp also sends survey invitations by SMS. It includes SMS survey messages with Engage subscriptions at no extra cost. This is subject to future monitoring. The SMS survey must be an Attributed (Snapshot) survey. Attributed means answers are tied to the people who gave them. Ask which countries Culture Amp’s texts cover.

Quantum Workplace pools respondent data into benchmarks shown to other customers. It may also use survey data to develop products. Empuls never uses survey data for third-party benchmarks or to train products without explicit consent. Its privacy policy allows anonymised or combined data to be used. The uses are analytics, reporting, benchmarking, product improvement and research. Both rules leave questions, so ask each vendor to write its rule into the order form.

Buying nothing avoids the data-use licence, the 60-day exit window and the US-law contract above. It suits a one-time, low-stakes survey. Quantum Workplace advises that such a survey is a case where a general AI survey tool may fit. It also warns that feedback uploaded to a general AI tool leaves your controlled environment. That holds even when the tool claims it will not train on it. Our market guide covers the choice, and the compare page puts 40 products against the same questions.
