Personio Assistant
Personio Assistant is a personal HR assistant inside Personio. Employees ask it about their remaining leave, their payslip and their HR documents. It shows each person only the data their permissions allow. It does not explain how to use Personio, and it does not advise on HR law in your country. People make every final decision. Ask Personio what it costs on your plan.
Personio Assistant answers staff questions, and Personio keeps the chats
Personio Assistant lets employees ask Personio about their own HR data in a chat. Personio stores the chats, and the only opt-out is switching the Assistant off.
You run Personio and want staff to ask about leave, payslips and documents without writing to HR. You accept that Personio keeps the chats for quality checks. You want your data processed and stored in the EU.
You want it to explain how to use Personio. Support AI does that. You want answers on employment law. You need chat storage off while the Assistant stays on.
Ask Personio what the Assistant costs on your plan. Personio charges for some AI features by use, in units it calls “AI credits”.
It answers employees’ questions about their own leave, pay and documents
An employee logs in to Personio and clicks Assistant in the main menu. They type a question. Personio’s own examples are “Can you display my remaining sick leave balance?” and “Can you display my payslip from last August?”
The Assistant can show remaining vacation days, explain a payslip and open HR documents. It shows each person only what their permissions allow.
Administrators can connect the Assistant to approved outside tools. These include Confluence, Microsoft SharePoint and Google Drive. Once an administrator switches a connection on, the Assistant can answer from the documents kept in that tool.
Personio also offers a connector that links outside AI tools, such as Claude, straight to a Personio account. Personio calls it an MCP server. It is in beta. It can start a few actions that Personio controls, such as a time-off request. The permission to make changes is off by default.
Our guide to AI HR assistants shows how the rest of the market compares.
Chat data stays in the EU and does not train AI
Chat data is processed and stored in the EU
All AI processing runs on Personio’s own servers in the EU. Personio uses Amazon’s AI hosting service, AWS Bedrock, for this. Data is stored in Frankfurt and does not leave the EU. Personio says AWS Bedrock and the language models do not keep personal data.
Your chats do not train AI models
Personio does not use your data to train AI models. It shares chat input and output with nobody except AWS Bedrock, which processes it. The models come from Anthropic and from Amazon.
Each employee sees only what their permissions allow
The Assistant gives each person data based on their own permissions in Personio. An employee asking about pay sees their own pay.
A person makes every final decision
Personio says its AI features do not decide anything alone. Every output is there to help, and people make the final decisions.
It suits companies already on Personio
The Assistant lives inside Personio. A company without Personio cannot use it.
Personio’s CEO said in 2022 that the company was unlikely to change its target size of 10 to 2,000 employees. TechCrunch reported 6,000 customer companies covering over 500,000 employees at the time.
It does not explain Personio or advise on HR law
Personio stores the questions and answers
Personio keeps what employees type and what the Assistant replies. It uses that data for quality checks and to improve the service. Switching off the Assistant in Settings is the only way to opt out. You can ask Personio once to delete past data.
It does not explain how to use Personio
A different tool, Support AI, answers questions about Personio features. An employee who asks the Assistant how to book leave in the software gets no how-to answer from it.
It does not give advice on HR law
The Assistant cannot research HR topics on its own. It does not hold in-depth, country-specific knowledge of HR laws, rules or good practice. Questions about the law go to your HR team or your lawyer.
Two parts are still in beta
Switching the Assistant on for chosen employee roles is in beta. Personio’s connector for outside AI tools is in beta too.
Personio charges for some AI features by use
Personio charges for some AI features by how much you use them. The Talent Screening Agent is one. Personio calls the units “AI credits”. Its example invoice line reads “Personio AI Credits x 1000 = EUR 10.” Ask Personio whether the Assistant uses these credits and what it costs on your plan.
The company data export has at least two zip files. One holds all your documents. The other holds all employee data as a spreadsheet file (CSV). Ask whether the stored chats come out with them.
You could also build the same steps on your own systems. We have mapped what that looks like. The HR Agent Map
Ask Personio what it costs and how long it keeps chats
- What does the Assistant cost on our plan, and does it use AI credits? Good answer: A written price, with a clear statement of what is included and what is metered.
- How long do you keep stored chats, and which of your staff can read them? Good answer: A stated period, named job roles, and logged access, all written into the contract.
- Can we keep the Assistant on and still opt out of chat storage? Good answer: Yes, as a setting we control, or in writing for our account.
- When we leave, do we get the chat history as well as the company data export? Good answer: A named file format and a deadline, written into the contract.
- Which languages does the Assistant answer in, and in which countries can it show a payslip? Good answer: A written list of languages and countries, checked against where our staff work.
- Which outside document tools can the Assistant read from, beyond the ones you name? Good answer: A full list, with the permissions each one needs.
- When does switching the Assistant on for chosen roles leave beta? Good answer: A date, and a statement of what changes for customers who use it now.
Alternatives to Personio Assistant
Three alternatives are Workativ, Applaud and Leena AI.
Workativ connects to Personio, among 11 named HR systems and 100 more. It publishes a Business plan at $349 a month. That plan covers 500 AI chat sessions. Workativ’s Enterprise plan is custom priced.
Applaud charges per user per month. Customers can start with as few as 500 users. Its pricing page says to contact Applaud for a price. Applaud connects to Workday, SAP SuccessFactors, Oracle and ADP. Ask whether it connects to Personio.
Leena AI charges a flat yearly price per employee with no limit on use. It gives a price within one business day after six questions. It has connectors for Workday, SAP SuccessFactors, UKG Pro, BambooHR and Dayforce, plus 200 more. Ask whether it connects to Personio.
Another option is to run Personio without the Assistant. Deactivating it in Settings is possible, and it also ends the chat storage.
