Gem
Gem is an applicant tracking system (ATS) from a company that also sells sourcing tools. You can move hiring onto Gem. Or you can keep a supported ATS such as Greenhouse or Workday and add Gem’s AI on top. Gem calls its ATS ready for small to midsize businesses scaling up to several hundred employees. Every employer price is a quote. Check the AI seat, the data terms and the contract before you sign.
Gem ranks applicants with AI, and a quote sets the price
Gem takes a candidate from job post to signed offer. Its AI ranks applicants and searches for people who have not applied. For AI ranking, Gem makes no automated decision to advance or reject anyone.
You want sourcing, a candidate database and hiring in one place. Gem calls the ATS ready for small to midsize businesses scaling up to several hundred employees. Or you use Greenhouse or Workday and want Gem’s AI on top with no migration. You are fine with a price you get only by asking.
You need a fixed price before you talk to sales. You need Gem to sign your own data processing agreement, because Gem’s position is that it will not. You need AI features in other languages, because Gem develops and tests them in English only.
A quote based on your number of full-time employees. Offers exist for startups and for companies under 100 people. AI ranking sits on the AI-Powered seat rather than the Standard seat, so ask what that adds.
What Gem does, from job post to signed offer
The first question about any applicant tracking system is how much of hiring it runs. Gem ATS is meant to run all of it. It takes a candidate from job post to signed offer. A pipeline view covers every candidate, stage and open requisition. Openings track headcount. Approvals cover openings, jobs and offers.
If you want one tool in place of several, Gem covers most of the route to a candidate. First comes getting the job seen. Gem posts jobs to 100+ job boards, and through JobTarget customers can also share posts to 25k+ paid boards. Gem generates a job board for your open jobs, and its career sites are powered by HappyDance. Employees can refer people through a form, and a customer can post a job to an internal board only. So the route from post to applicant stays in one product. Next comes booking the interview. Scheduling runs from the pipeline. With a smart scheduling link, a candidate picks a time. Gem then creates the application, moves the stage and books the interview. Rules your team sets move candidates between stages, send notifications and create tasks, which means fewer steps by hand. For technical tests and interview recording, Gem works with outside products.
Gem sells its parts separately, so you can buy only the part you need. Gem ATS works as a standalone product. Sourcing, a candidate database, scheduling or analytics can be added. So you can buy Gem’s CRM without moving your ATS, as One Medical did. Gem has taken the ATS out of early access. It reports nearly 500 customers using it and 11x growth in revenue from ATS customers. Ask for references from teams that have used it since then.
Before you buy, learn how AI ranking scores people, because a recruiter will lean on it. AI ranking is an add-on inside Gem’s Application Review. A team turns it on for each job. Gem then scores each resume against criteria the user enters. A criterion marked with a star counts for more. One Gem help article puts a starred criterion at 10 times the weight. Another puts it at 5 times. Ask which one applies. An application with no resume is not scored and still appears in the list. Gem automatically blocks attempts to manipulate the score with hidden text in a resume. It marks such an application with a ‘-%’ score so the team can still review it. Gem adds an AI summary to each applicant’s profile. Gem warns that AI can make mistakes and is meant to aid resume review, not replace it.
Gem also looks for people who have not applied. Its documents differ on how far a person checks the outreach. AI Sourcing scans 800M+ public profiles plus your own candidate database or ATS data. A Gem file written for AI tools gives the figure as 650+ million, so ask which is current. Gem’s CRM page tells buyers that Gem drafts and sends personalised outreach automatically. A Gem help article requires a review of every AI-written detail in a message before sending. The sender can edit each detail. The feature that fills each message with AI-written details works for sequences of up to 500 recipients. Ask whether any message goes out with no recruiter review. Our guide to AI sourcing and screening covers Gem’s sourcing agent in more depth.
Gem connects to the systems around hiring, and the links differ in direction, so check each one you rely on. Some links send data out. Hired-candidate data can be pushed to your HR system, and the Rippling integration runs one way. Others bring data in. Metaview and BrightHire, two outside tools, record and transcribe interviews and sync to Gem ATS. Slack runs in both directions, because it sends notifications and takes replies. Technical tests run through CodeSignal, CoderPad or iMocha. Scheduling works with Google Workspace calendars, and with Google Meet, Microsoft Teams and Zoom. Gem offers a public API and a Gem ATS API. Reports cover pipeline health, time-to-hire and diversity measures. AI summaries pull interview feedback together across interviewers.
Where Gem gives you control or something to show
An HR lead has to answer for the AI a team switches on. These are the places where Gem gives you control, a record to show, or an easier way in.
Your team decides when the AI is used
The first question about AI in hiring is who stays in control, and Gem leaves the switch with your team. A team turns AI ranking on job by job and can switch it off again. In AI ranking, Gem makes no automated decision to advance or reject an applicant. Gem also removes the name, email and LinkedIn profile from a resume before scoring. Customer data is not used to train Gem’s AI. Admins can turn off GeMCP, the connector that lets outside AI assistants read Gem data. GeMCP follows each user’s Gem permissions.
An outside firm audited the AI ranking
A bias audit gives you something to show, but only for what it covered. Gem completed a bias audit of AI-powered Application Review with BABL AI and commits to repeat it every year. A bias audit is an impartial evaluation by an independent auditor. The report is titled Audit of Gem’s AI Ranking for New York City’s Local Law 144. Read its scope before you rely on it. The audit did not ensure testing for any protected class beyond race, ethnicity and gender. The report also records that Gem did the testing for unequal impact on groups itself, last in September 2024. So ask for the full report and the date of the next audit.
You can keep your hiring system and add Gem on top
If moving your data is the worry, Gem lets you keep your current system. Gem’s AI agents layer on Greenhouse or Workday with no migration. Gem layers on Greenhouse, Lever and others with a real-time, two-way sync. In Gem’s Talent Pipeline, a candidate card dragged between stages moves in Greenhouse as well. AI ranking works with Gem ATS and four other applicant tracking systems. One Medical has 3500+ people and runs Greenhouse as its ATS. It uses Gem for CRM, analytics and talent marketing.
Moving in can be quick, with help
A move to Gem can be quick if your data sits in the right place. Gem puts a migration from Greenhouse or Lever at as little as 24 hours. Most teams are fully operational in two to four weeks, and Gem’s support team helps with the migration. Those are Gem’s own figures, so ask what comes across before you rely on them. The limits section below covers what a CSV import leaves behind.
Approvals, offers and checks are built in
A hire creates paperwork in many places. Gem keeps the sign-offs and forms in the same product as the candidate. Approvals cover openings, jobs and offers, and they can be managed in Slack. Hiring managers get tools to follow and work on their candidates. Offer letters are generated in Gem and sent for e-signature through Docusign. Pay ranges can be added to job posts. Demographic surveys can be added to the application, and Gem stores the answers securely for aggregate reports only. Background checks run through Checkr, Sterling or Certn.
Which companies Gem has been built and used for
Gem has said who its ATS is for. Its customer stories show the sizes of company that have used it. Match your own size and hiring pattern to these before you ask for a quote.
Companies of up to several hundred people
Size is the first thing to match, because Gem planned its first version for small and mid-size companies. Larger companies of a few thousand people were to follow in that plan. Now Gem calls the ATS ready for small to midsize businesses scaling up to several hundred employees. Three customer stories where Gem is the ATS sit in that range. Gem tells these stories itself. Excelity has 40 employees and came from SmartRecruiters. Gem titles its story about Excelity as a 40% saving from switching to Gem ATS. Linktree has 200 full-time employees and reports $75,000 in savings from better reporting. Creating a reporting view there fell from four hours to 10 minutes. Mission Cloud has 300 people. Its time-to-fill fell from 65 days to 57 days. Two recruiters made 43 hires in 90 days using Gem’s AI.
Teams with many inbound applicants
If every role draws a large number of applications, Gem has a feature built for that. Gem built Application Review for high-volume inbound roles. Gem quotes customers who use it for high-volume roles. They report 60% faster review times and significantly more jobs handled per recruiter per week. Those are Gem’s figures for its own customers. Recruiters can advance, reject or nurture applicants in bulk from the ranked list. Knockout questions were released for teams managing high-volume inbound hiring. The limits section explains what those rules do.
Companies of a few thousand people
Gem put larger companies later in its plan, so ask for proof at this size. Gem reports 10+ enterprise customers signed to migrate to Gem ATS. Gem’s teams also support enterprise customers such as Zillow, Asana, DoorDash and CarMax. Ask which of those use Gem as their ATS. At One Medical, Gem sits beside Greenhouse rather than replacing it. If you employ more than several hundred people, ask Gem for a reference at your size.
Where Gem stops, and what its terms allow
For a Head of HR the risk in a hiring system is rarely a missing feature. It is what the contract allows, where candidate data goes, and what the AI costs once you ask for it. The cards below take those in turn. Each ends with the question to put to Gem.
AI ranking needs a different seat, and Gem CRM too
The quote you get may not include the AI you see in a demo. AI capabilities unlock with an AI-Powered seat. The base set of features sits on a Standard seat. AI-powered Application Review also needs the team to have access to Gem CRM. So ask whether the AI-Powered seat costs more than the quote for the Standard seat. AI Sourcing is a paid add-on, bought through your Gem account manager. Other AI features are included for all customers.
Your own rules can still reject candidates with no person involved
In AI ranking, Gem makes no automated decision to reject anyone, but knockout questions work differently. They are rules your team sets to reject an applicant on their application answers. A rule is checked when the application arrives. It can reject and send the rejection email. Treat each rule as a hiring policy and review it before it goes live.
Fraud checks cost extra and depend on your hiring system
Fraud checks are a separate purchase, and how much they can see depends on your hiring system. Gem’s fraud agent flags suspicious applications automatically, and a recruiter confirms or dismisses every flag. The checks must be purchased. The IP address and device ID signals apply to Gem ATS only. Two Gem documents differ on which hiring systems qualify. Its fraud product page makes the agent available for Gem ATS. It tells teams on Greenhouse or Workday to talk to sales. A help article requires the team to use Gem ATS, Greenhouse, iCIMS, SuccessFactors or Workday as its ATS. Scans run through Tofu, a third-party fraud detection company. Gem does not collect biometric data for fraud detection. Ask which signals your setup gets.
Candidate data goes to an outside AI provider
Using Gem’s AI means candidate data leaves Gem for an outside provider. Gem’s AI runs on Microsoft Azure OpenAI. Under Gem’s AI terms, using an AI feature instructs Gem to send your data to the AI provider. The provider acts as an outside processor. Clicking Accept, or enabling or using an AI feature, counts as agreeing to those terms. Gem’s provider, Microsoft OpenAI, does not store or use Gem’s customer data for training. OpenAI may keep API inputs and outputs for up to 30 days to detect abuse. Gem may aggregate data derived from your data to improve its products.
Gem’s terms give it wide rights over candidate data
The promise about AI training is narrower than the rights in Gem’s terms. Gem’s AI is not trained on customer data. Even so, Gem’s self-serve Terms of Service give Gem a perpetual licence to candidate data for any business purpose. That includes improving its products. Under Gem’s privacy policy, applicant submissions may be included in an applicant tracking database that other companies can query. Ask how these terms apply to people who apply to your jobs.
Gem will not sign your own data protection contract
If you hire where GDPR applies, your legal team will want a data processing agreement. On GDPR, Gem’s position is that it will not sign individual customers’ data processing agreements. So the hosting and the certificates are what your legal team can check instead. Gem keeps data until the account is deleted. Gem is hosted on AWS. Under its Enterprise master services agreement (MSA), Gem uses Heroku for application servers and AWS for database infrastructure. Under its privacy notice for non-business customers, Gem’s data centres are located exclusively in the United States. Gem claims SOC 2, GDPR and CCPA compliance. SOC 2 reports are available under NDA. Put these terms to your data protection lead before you sign.
Retention rules anonymise data and cannot be undone
Retention rules protect candidate privacy, but they cannot be undone, so set them with care. Admins set rules that anonymise candidate data by job or by candidate location. Anonymisation is irreversible. The rules do not anonymise hired candidates. Where a job has more than one location, Gem applies the strictest retention policy. An older Gem article makes Advanced CRM a requirement for location-based rules. Ask whether that still applies to you.
Diversity reports can rest on predicted gender and ethnicity
A diversity report is only as sound as the data behind it, and some of Gem’s data is a prediction. Gem’s analytics include diversity, equity and inclusion measures. Gem predicts a candidate’s gender from their name and location with an algorithm. It predicts race or ethnicity from first and last name with a trained model. Gem gives an accuracy range of 75% to 95% for the race and ethnicity model. You can also add your own demographic surveys to the application. Ask which of the two feeds each report before you rely on the numbers.
New York City’s audit duty falls on you, not on Gem
If you hire in New York City, Gem’s own view of the law is not safe ground. Local Law 144 puts the bias audit duty on the employer that uses an automated employment decision tool. The city’s guidance is that the vendor that created the tool is not responsible for that audit. The market guide covers the definition, the audit and the office test in its rules section. Gem’s position is that its tools are not an automated employment decision tool. Yet Gem’s AI ranking does issue a score, and its bias audit report is titled for Local Law 144. Ask your lawyer whether your use meets the definition.
The contract on uptime, refunds and liability
The 99.9% uptime figure is a claim, and under the Enterprise MSA paid fees are not refunded. Its self-serve terms and its Enterprise master services agreement (MSA) make availability a commercially reasonable efforts commitment. So ask for a figure and a remedy in your own contract. Recurring subscriptions renew automatically. After a price-change notice, fees paid for the current term are non-refundable. Under the Enterprise MSA, subscriptions renew for one year unless you give 30 days’ notice, and payment is non-cancellable. Liability is capped as well. The self-serve cap is the higher of $100 or the fees you paid in the 12 months before a claim. The Enterprise MSA caps each party’s liability at what you paid in those 12 months.
Your headcount can change your fee or end your plan
Growing past your pricing tier can change what you pay. Gem may adjust fees when your headcount moves to a different pricing tier. Use is restricted to the headcount range you selected at checkout. Under the self-serve terms, Gem may end the agreement or require different services if you no longer fit that range. Plan for growth when you compare quotes.
Moving in by CSV leaves history behind
A CSV import brings in less of your history than a full migration. Notes and feedback forms cannot be migrated by CSV import. Only active candidates can be imported into jobs. Gem’s 24-hour migration figure is for Greenhouse and Lever. If your history matters for audits or rehiring, ask exactly what comes across.
Language, mobile and messaging limits
Check these limits against where and how you hire. Gem develops and tests its AI features in English only. Its mobile apps for iOS and Android are not currently available. A mobile site covers jobs, interviews and feedback forms, but not every page. Text messages go only to phone numbers in the United States and Canada. The WhatsApp integration does not support messaging to US numbers. CAPTCHA protection, the puzzle that blocks bots, is off on job applications unless an admin turns it on.
What Gem costs, and how to leave with your data
Gem prices every employer plan by quote. You cannot compare it with other products on a price list until you ask. Gem sets custom pricing based on the company’s number of full-time employees. Gem adds that cost depends on team size and custom work. Startup pricing is available.
Three offers apply to small companies, so check which one you fit. The Startup Program is for companies of 1 to 10 employees and takes 10% off for yearly payment. Gem gives two Startup Program prices, $270 and $130 a month, so ask what each covers. Companies under 30 employees get All-in-One free for six months and then 50% off. Companies of 30 to 100 employees get reduced rates. The Free For Startups programme limits e-signature requests to 10 a year.
The base set of features sits on a Standard seat. AI capabilities unlock with an AI-Powered seat, and the AI application review agents sit under that seat. The hiring steps in the ATS are included in All-in-One plans. AI Sourcing and fraud checks are bought on top. Ask who needs which seat before you compare quotes.
Gem also sells plans to recruiting firms. Professional is $149 per user a month, billed yearly. Essentials is $99 per user a month billed yearly, or $139 billed monthly, with up to 3 users per account. Those prices are for recruiting firms. An employer gets the quote described above.
Plan the exit before you sign. Gem documents a data export and provides it as a CSV file, which opens in a spreadsheet. The export includes application status values. Gem’s standard retention extends 90 days after the last active contract ends, and you can set custom periods. Under the Enterprise MSA you can ask for export or deletion during the term. Gem has no obligation to keep or provide data after termination. Data you submit to AI features may not be retrievable after termination. Export your data before the contract ends.
You could also run hiring steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Thirteen questions to ask Gem before you sign
Gem gives different figures in a few places, and its terms are wide in others. Put these questions to Gem before you sign. Get the answers into your order form, not only on a call. A good answer is one you can read in writing.
- Which seat does each person need for AI ranking, and does it also need Gem CRM? Good answer: A written list of seats and products, with one price for each.
- What will we pay when our headcount moves into the next tier, and at renewal? Good answer: The next tier’s price in writing, and a cap on the rise at renewal.
- Gem will not sign individual customers’ data processing agreements. What will you give our legal team instead? Good answer: A standard agreement that meets the data protection law we work under.
- Where do our candidates’ data and AI requests sit and run, country by country? Good answer: A named country and provider for each, the same in every Gem document.
- Will you limit the licence over our candidate data to running our account? Good answer: Yes, written into the order form.
- Do people who apply to our jobs enter a database that other companies can query? Good answer: A clear answer, matched by a written term.
- Does a starred criterion count 5 times or 10 times in AI ranking? Good answer: One number, written down, and the same in every help article.
- Does any outreach message go out without a recruiter reviewing it first? Good answer: A yes or no, matched by how the product behaves in a live demo.
- Can we read the full bias audit report, and will an outside firm test more than race, ethnicity and gender? Good answer: The full report, the date of the next audit, and wider testing.
- What uptime figure will you put in our contract, and what do we receive if you miss it? Good answer: A figure such as 99.9% in the contract, with a stated remedy.
- Which of our notes and feedback forms come across when we migrate from our current system? Good answer: A tested method, shown on a sample of our own data.
- Do the fraud checks work with our hiring system, what do they cost, and which signals do we get? Good answer: A price and a list of signals for our setup, with device signals marked as Gem ATS only.
- How do we export everything when the contract ends, and for how long can we? Good answer: A CSV export with application status, notes and feedback forms, and a stated time window.
Alternatives to Gem
If Gem comes off your shortlist, look at Greenhouse, Ashby, Workable, Lever or SmartRecruiters. You can also keep the system you have and add nothing. Each route answers a different worry about Gem.
If the worry is moving your data, keep your current system and add Gem’s AI on top. Gem’s AI agents layer on Greenhouse and Workday with no migration, and Gem syncs with Lever and SmartRecruiters. Under a Gem help article, fraud checks can also run for teams on iCIMS or Workday. You then keep your current contract and data terms. You take on Gem’s terms only for the parts you use.
If the worry is a price you cannot see, look at Workable. Workable publishes prices by employee band, from 1 to 20 employees up to 1000+. Its Standard plan is $299 a month for 1 to 20 employees, and it offers a 15-day free trial. Greenhouse sells three plans called Core, Plus and Pro, and prices them to your hiring needs. Ashby has a Foundations plan for up to 100 employees. Its Plus plan is best for 101 to 1,000. Its Enterprise plan is best for 1,000+.
If you want sourcing and a candidate database inside the same product, look at Greenhouse. Its ATS includes a recruiting CRM. Its Core plan includes Sourcing and CRM. Ashby covers ATS, CRM and sourcing. It adds scheduling, analytics and AI. Workable’s Agent searches 400M+ profiles, finds fits before anyone applies and messages them.
Buying nothing is the last route. A small team that is not sure it needs a system can try Gem’s All-in-One free for six months. That offer is for companies under 30 employees, and after six months it becomes 50% off. The saving shrinks then, so ask for the full price now. Our guide to applicant tracking systems covers the rest of the field.
