PerformYard review software costs $5 to $15 a person a month
PerformYard runs annual reviews, 360 feedback, goals and one-to-one meetings in one place. Each team can use its own forms and rating scales. Its AI helps managers write and summarise reviews, and an administrator switches each AI feature on. A PerformYard subscription renews on its own, and you cannot cut seats during the term.
PerformYard in short
PerformYard is a performance management platform with AI. You build the review forms, the rating scales and the timelines, and each team can run its own.
You want to design your own review forms and rating scales. You want different teams to run different review processes from one account. You want to see the price before you talk to anyone.
You may need to cut paid seats during the term. PerformYard does not allow it. You also need to send written notice at least 60 days before the term ends. Without it, your subscription renews for a year, at a price that can rise by up to 20%.
$5 to $15 per person a month, billed yearly. At $5 to $15 a person, 500 people would pay $30,000 to $90,000 a year. Your quote depends on your headcount and the products you pick. Onboarding and training cost nothing extra.
How a review round runs and what the AI does along the way
Reviews and ratings
A PerformYard review round can run self-assessments, manager evaluations and peer feedback in one cycle. You build any form from scratch or import the templates you already use. You set the questions, the rating scales and the sections. You also name every point on a rating scale and give it a number. Different questions can use different scales.
You can weight each question so the final score follows your priorities. A calculated question works out a value from the answers to other numeric, rating and goal questions. Each of those answers can carry its own weight. 360 feedback can come from managers, teammates, direct reports and people outside the company.
Different teams can run completely different reviews from the same account. Each team can have its own forms, questions, rating scales and timelines at the same time. A template decides whether the finished form is visible to the person reviewed and whether the author’s name is hidden. Administrators can always see who wrote a form.
HR can see how ratings spread across each team and can flag managers who rate differently from their peers. Reporting includes a nine-box grid, which plots people by performance and potential, and views for calibration meetings. Wildfire Defense Systems built a rating curve by department to spot teams that rate far above or below the rest.
Goal progress shows inside the review form. Notes and tasks from one-to-one meetings are there when a review round opens. While a manager fills in a form, they can open the person’s self-assessment, goals, feedback or documents beside it. New-hire forms for 30, 60 and 90 days start on their own from the hire date. PerformYard also sells performance improvement plan software for managers.
The AI
AI Review Assist turns bullet points into clear review language, and managers can accept, refine or rewrite whatever it suggests. Review Insights reads the submitted forms for one person. It writes themes, quotes, action items, tone and points where reviewers disagree. Once a review round has closed, cycle insights can name people whose reviews stand out. The reasons are exceptional performance, urgent issues or growth potential. They also report whether the reviews read as positive, negative or mixed.
A Review Quality Coach checks a manager’s draft for bias and for ratings that do not match the comments. A Form Building Coach checks review questions for traps. It flags a question with no time boundary as a recency-bias trap. Recency bias means rating the recent past more heavily than the whole period. A Goal Quality Coach rates a goal on each dimension, explains the rating and suggests a change. The employee can apply or dismiss each suggestion.
Employee Insights keeps a refreshed AI summary of a person’s performance, goals and growth, with coaching recommendations. It is open to managers, the chain of command and administrators. Meeting Coaching prepares a manager before a one-to-one meeting and analyses the meeting afterwards. PerformYard reads the text transcript of a Zoom meeting and never accesses audio or video recordings. After you link Zoom or Teams, the transcript arrives on its own. Microsoft requires an opt-in before an app can read Teams transcripts.
Ask PerformYard can draft a review form of up to 15 questions, and each question is added with one click. Ask HR answers employee questions from the PDF company documents an administrator uploads, and it respects each document’s visibility setting. An Engagement AI feature summarises open-ended survey answers into sentiment, themes and recommendations.
PerformYard tells users to read the whole review next to the generated insights. It tells them to check rephrased text before they use it. It tells them to review the underlying data before Employee Insights informs a decision. It tells managers to compare post-meeting analysis with their own memory of the meeting.
Systems and set-up
PerformYard connects to ADP, BambooHR, Gusto, Rippling, UKG, Workday and Paylocity. The link to your HR system updates about every 24 hours. Any field that comes from your HR system is read-only in PerformYard. For other HR systems it supports a recurring spreadsheet upload by SFTP, a secure file transfer. Confirm with your PerformYard customer success manager that SFTP is available on your account.
PerformYard also connects to Slack and Teams and supports sign-in with a company login. It has an API, which is a technical link your IT team can use to read and manage its data. It runs in any mobile browser with no app to download.
Most teams are running within a few weeks. A PerformYard customer success manager handles the design, the training and the first launch. To see how the rest of this market compares, read our guide to performance management software.
Who uses PerformYard and what they report
Updata Partners invested in PerformYard. Updata calls it a platform for mid-sized companies and large enterprises. Updata led a $95 million equity round. Updata reported that PerformYard had stayed profitable and its revenue grew 5x over the four years before it invested. Ben Hastings founded the company in 2013. Here are five of its customer stories.
Habitat for Humanity Philadelphia’s HR director helps lead 52 full-time staff
When it had fewer than 40 employees, another vendor declined to work with it. That vendor recommended PerformYard.
Wildfire Defense Systems runs two kinds of workforce
The company has 150 to 500 employees. Roughly half are corporate staff, who go through two reviews a year. The other half are seasonal field firefighters. It moved reviews from its payroll software’s review tool to PerformYard.
Wildfire cut appraisal time by 16.9% in its first cycle
Total appraisal time fell 16.9%. The labour cost of each cycle fell by thousands of dollars. The time study covered 40 people managers who had finished reviews in both systems. Managers who called the process reasonable rose from 16 to 28.
Mascaro tripled review participation
At first, 16% of managers at Mascaro finished quarterly reviews. Over successive rounds the share rose to 48%.
CFGI runs performance work for 95% of its workforce in PerformYard
CFGI needed one platform for hundreds of employees. It now runs performance work for 95% of its workforce in PerformYard.
The Salvation Army territory moved off paper
The New Zealand, Fiji, Tonga and Samoa Territory used paper reviews. It moved to PerformYard. It now holds a development conversation each quarter.
The contract terms, security and data settings to read before you sign
You can shape the review forms freely. You get far less room on the buying terms. Read these terms before the first call with a PerformYard salesperson.
You cannot cut seats during the term
Fees are non-cancellable and non-refundable. The number of seats cannot go down during the term. If you buy fewer seats at renewal, PerformYard resets the price without regard to the price you paid before.
The subscription renews by itself and the price can rise by up to 20%
A subscription renews for one year. It does not renew if either side gives written notice at least 60 days before the term ends. At renewal, PerformYard may raise the price per unit by up to 20% above the prior term.
A trial can turn into a paid subscription
A product on a trial period turns into a paid subscription. It stays paid for the rest of the term, at the price on your order form. Some products can be free for the first year, if your order form includes that offer. Check the date each one starts to cost money.
Paying late can make the whole term fall due
Invoices are due 30 days after the invoice date, unless you agree another date. Overdue amounts can carry interest of 1.5% a month. When an amount is 30 or more days overdue, PerformYard may demand every unpaid fee for the full term. It may also suspend the service.
Ending for cause works differently for each side
Either side can end the agreement on 30 days’ written notice of a serious breach that stays unfixed. If you end it for cause, PerformYard refunds prepaid fees for the rest of the term. If PerformYard ends it for cause, you pay the unpaid fees for the rest of the term. Each side’s liability for a single incident stops at what you paid in the 12 months before. Virginia law governs the agreement.
PerformYard can name you as a customer
You license PerformYard to use your company name and logo in online and printed materials. It can also name you as a customer.
Your data sits in the United States
PerformYard hosts and runs its services in the United States. It complies with the EU-U.S. Data Privacy Framework, an agreement that lets personal data move from the EU to the United States. Under its data processing agreement, you and PerformYard rely on that framework for these transfers, where it applies. PerformYard gives 30 days’ notice before it brings in a new company to handle your data. All its staff work remotely, so on-site audits of PerformYard are not possible.
Security, uptime and backups
PerformYard is SOC 2 certified. SOC 2 is a standard security audit. PerformYard has contracted an outside accountant to run a SOC 2 Type II examination. PerformYard obtains a Type II report each year. On request, it gives you a summary of the latest one. An outside firm runs a penetration test each year. Backups go to encrypted data centres in the United States on Amazon Web Services. PerformYard commits to reasonable efforts to keep the service available around the clock. It schedules planned downtime between 9 pm Friday and 3 am Monday, US Eastern time.
Who sees AI summaries, and what the AI counts
Review Insights is open to administrators, the direct manager, the contributors and the management chain. Post-meeting analysis measures each person’s speaking time from the transcript. When a transcript is available, Employee Insights counts who took part in a meeting. A person counts if they spoke at least 50 words.
What PerformYard costs, what is included and how you leave
PerformYard prices run from $5 to $15 per person a month. Pricing is per seat and billed yearly. It varies with your employee count and the products you choose. Larger organisations get volume pricing. At $5 to $15 a person, 500 people would pay $30,000 to $90,000 a year. Your quote depends on your headcount and the products you pick.
PerformYard sells two plans. The Performance plan covers reviews, meetings, goals, engagement, feedback and surveys. The Talent Development plan covers compensation, competencies, coaching, succession planning, employee insights and career pathing. Both include PerformYard AI. The AI features are for Premium licence holders, so ask PerformYard how Premium relates to these two plans.
Onboarding and training carry no additional fee. Connections to HR systems and company login come with every plan. The ADP connector can be listed as free in the ADP marketplace. When you add seats, a window shows your contracted per-seat rate and the smallest number of seats you can buy.
Some AI features depend on the licence. Employee Insights needs a Talent Development licence. Administrators with a Talent Development licence can use the Form Building Coach to create review forms.
During the term you can download your data with the self-service export tools. Reports of every type export to a spreadsheet in detail or summary view. Any review form a person can see downloads as a PDF. Monthly data snapshots are kept for one year.
After the term ends, PerformYard has no obligation to maintain or provide your data. It deletes customer personal data within 60 days of termination. You can ask in writing for a complete copy of your personal data by secure file transfer. You must ask within 30 days of the end date. PerformYard may keep personal data for as long as the law requires.
You could also run review steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Nine questions to put to PerformYard before you sign
- Does any AI feature cost extra? Which plan carries the Premium licence and the Talent Development licence? Good answer: A written list by plan, with every price, in the order form.
- Can we cut seats at renewal, or during the term if headcount falls, without a price reset? Good answer: A clause that lets us lower the seat count, with the per-seat price held.
- Will you cap the renewal increase below 20%? Good answer: A cap in the order form, written as a percentage below 20.
- What date does each trial product start to cost money, and who tells us before it does? Good answer: A written date for each product and a reminder at least 30 days before.
- Can an employee see their own Review Insights and Employee Insights summary? Good answer: Yes, or a clear reason and a way for the employee to ask for the content.
- Can we limit each AI feature to some roles, such as managers only? Good answer: Yes, set by role by our own administrator.
- When cycle insights flag a person, does that flag feed any pay, rating or promotion step? Good answer: No. A manager reads the full review and makes every decision.
- Will you remove the right to use our name and logo? Good answer: Yes, in the order form.
- How do we get all our data out at the end, in which formats and by when? Good answer: Spreadsheet and PDF exports, and all personal data within 30 days, in the order form.
Alternatives to PerformYard
Alternatives to PerformYard include Lattice, 15Five, Betterworks, Culture Amp and BambooHR.
Lattice Performance costs $10 per seat a month, with a $4,000 minimum agreement a year. That price covers performance reviews, succession planning, promotions, improvement plans, talent reviews, calibration, one-to-one meetings and feedback. The performance product has no extra cost for change management or set-up. Renewal fees cannot rise more than 5% above list price. 15Five Perform costs $11 per user a month and its Total Platform costs $16, both billed yearly. Perform covers performance reviews, 360 feedback and talent reviews, and it links review data to pay and promotion decisions.
Betterworks Performance costs $8 per user a month. Set-up is a one-time cost on top. Betterworks supports mid-market and enterprise organisations and adds the most value above 500 employees. Culture Amp sells Perform by quote. Its pricing depends on your employee count, the product and the service tier. Its service tiers cover organisations under 200, 200 to 999 and 1,000 or more employees. All Culture Amp products are billed yearly.
BambooHR puts reviews inside a wider HR system. The Pro plan includes 360 review cycles, at about $17 per employee a month. You would buy the HR system along with the reviews.
You could also buy nothing. If your payroll software already includes a review tool, price that first. Wildfire Defense Systems used its payroll software’s review tool before it moved to PerformYard. To see every product in one table, open the comparison.
