CYPHER Learning drafts your courses with AI, on fees you cannot cancel
CYPHER Learning is one training platform for employees, partners and customers. Its AI assistant, CYPHER Agent, drafts courses from your own files. Your team reviews and edits every draft. Each AI task uses up an AI allowance. Under CYPHER’s terms, fees are not cancellable and not refundable.
A training platform that drafts courses from your files with AI and tracks compliance.
You build many of your own courses and want AI to draft them. You train partners or customers as well as staff. You accept a contract paid yearly in advance. Your team will review every AI draft before it goes live.
You need to cancel part way through a term. You want the AWS Marketplace offer for fewer than 100 users, because it starts at 100. You must keep health data or government ID numbers in your training platform. Under CYPHER’s terms, customers must not give CYPHER those.
CYPHER tells buyers to contact it for pricing. On AWS Marketplace it sells 12 months for a minimum of 100 users at $12,000. CYPHER sells extra AI allowance.
It drafts courses from your files and tracks who finishes them
CYPHER Learning began as a learning management system. It added a learning experience platform and then AI course drafting. It now trains employees, partners and customers from one platform.
CYPHER Agent is the AI assistant for course builders and administrators. It launched in 2023 under the name Copilot. A builder gives it files, prompts or content from the internet. It drafts a full course with skills, quizzes, images, voiceovers, game features and summaries. The builder reviews and edits the result. In step-by-step creation, the process pauses so the builder can change each result before the next step.
Learners get a chat assistant too. It has three tools called Learn, Assess and Practice. Learn generates courses. Assess finds the gaps in what a learner knows. Practice lets people rehearse sales skills and leadership conversations in simulated scenarios. The assistant can also recommend catalogue courses and help a learner enrol. It supports more than 50 languages and starts from the learner’s preferred one.
Administrators decide which users get each Agent tool. They can add limits on what the learner assistant covers. A session can use the AI model’s general knowledge or your own files. Only files flagged for the Agent knowledge base are used. A site administrator must install CYPHER Agent from the App center before anyone can use it.
CYPHER’s AI uses several outside language models, including OpenAI and Anthropic models. Customers own the content that the learner assistant and the course-builder assistant generate.
For compliance, CYPHER assigns mandatory courses with compliance periods and renewal reminders. It issues digital certificates, tracks expiry and re-enrols people automatically for renewals. It records the time a learner spends in a course. It generates compliance summary reports for audits. More than 50 ready-made reports cover progress, compliance, engagement, certifications and competency. An administrator must first install the Compliance app from the App center. By default, a learner who completes a compliance course stays compliant forever. Countdown rules can re-enrol the learner.
CYPHER connects with Workday, SAP, Oracle and ADP. Its CYPHER Connect tool has prebuilt connectors to Salesforce and Workday. Workato is a premium app that builds links to HR systems, including ADP, BambooHR, Workday and UKG. The Enterprise package includes ready-to-go Workato integrations. Ask which link your HR system needs.
Staff can sign in with their work account. Setting that up takes 15 minutes with Auth0 or about an hour with LDAP or Active Directory. Your IT team can connect through a REST API. Zapier links CYPHER to 5,000+ apps and services.
Customers report faster course building and better completion
Faster course building
Daybreak AI, a CYPHER customer, cut one course build from 90 hours to 8 with CYPHER Agent. Poulin Willey Anastopoulo, a law firm, reports course development time down 40% to 60%. It also reports new hires productive one to two weeks sooner. CYPHER labels both companies small, with fewer than 500 learners. Ask for a reference at your own size.
Large employers report better completion
NTT DATA reports training engagement rising from 60% to 96% after game-style learning paths. It also reports 100% compliance for four consecutive months. EastWest Bank has over 6,000 employees across 392 stores. Its completion rose from 88% in 2023 to 98% in 2024. CYPHER labels both companies large enterprises.
Managers can see their own team
Managers with direct reports enabled see those reports’ courses, compliance status, skills and goals. They can also enrol them in courses. Their reporting access covers direct reports only. A Monitor role gives read-only access to most pages of a site. Customers can also create custom roles with fine control over what users see and do.
The security paperwork and hosting regions are in place
CYPHER holds a SOC 2 Type 2 certification. It hosts data in regional AWS data centres. They are in Frankfurt for the EU, Virginia for the US and Sydney for Asia Pacific. It notifies customers within 72 hours of confirmed breach discovery. Its databases are backed up daily with up to one year of retention.
The AI runs on an allowance, and your team answers for what it writes
CYPHER meters its AI in units it calls “credits”, from a yearly allowance. A learner tutorial uses about 2 “credits”. Adding a PDF to the Agent knowledge base uses 200 on average and a video uses 220. A voiceover adds 1,700. CYPHER’s own figures for a whole task differ. Its administrator article puts the top at around 800. Its instructor article puts a full course at up to 500. Its estimate for a course from a PDF is 900, depending on the size of the PDF. Ask for the cost of your own course in writing.
The AI allowance expires and then stops
Unused “credits” expire after one year. At zero, no further Agent tasks can be performed until more are assigned. CYPHER sells extra “credits” through its Customer Success Manager or support. If the allowance does not cover a task, a warning appears and the Create button is disabled.
Your team answers for what the AI writes
Under CYPHER’s terms, the customer is solely responsible for prompts. The customer is also solely responsible for use of AI output and for reviewing any output before use. The customer uses third-party AI services and their output at its own risk. CYPHER makes no representations about those services or the output they produce. CYPHER also warns that the Agent’s explanations of its own reasoning are generated text. They should not be read as verifiable logic or factual justification.
Some features are still to come
Voice-enabled multilingual learning and in-course help for instructors are coming soon. The xAPI Content Player is also coming soon. Ask which of these will be live during your term.
Reporting gaps at launch
At launch, CYPHER Insights reporting does not support skills reporting or course progress reporting. Audit logs cover user activity, admin actions, content changes and sign-in and API use. Logs tied to user IDs are not directly accessible to clients. Clients can request audit logs through support.
Some data stays out
Under CYPHER’s terms, customers must not give CYPHER protected health information or government-issued ID numbers. The same goes for biometric information and other special categories of personal data. Customers must not use prompts or output with financial, medical or other sensitive personal information. CYPHER’s privacy FAQ adds HIPAA, as applicable, among the frameworks CYPHER adheres to. Ask which applies to you.
Leaving is a job you do yourself
Under CYPHER’s terms, the licence ends immediately on expiry or termination. The customer is responsible for backing up its content. Courses export in Common Cartridge format, a standard course file. Account and assessment scores export as CSV. The courses CSV does not include course content. Help you ask for under the data addendum, beyond its self-service features, is charged at CYPHER’s then-current professional services rates. On termination, CYPHER returns or deletes personal data as instructed, but may keep data where the law requires.
Data and training
In CYPHER’s privacy FAQ, customer data is not used to train or fine-tune the models. In the same FAQ, user feedback is used to refine prompts and update knowledge sources. It is also used to retrain models when necessary. Under CYPHER’s agreement, the customer grants a perpetual licence to usage and analytics data in aggregated, deidentified or anonymised form. CYPHER may use that data to improve its products, including through machine learning exercises. The customer also licenses CYPHER to process and use its content as necessary. That covers providing and improving the platform and services.
It suits teams that build their own courses for staff and outsiders
Companies that train partners and customers as well as staff
CYPHER trains employees, partners and customers from one platform. Kerridge Commercial Systems has over 1,200 employees in 10 countries. Last fiscal year it trained 198 resellers, 128 leaders and 250 internal employees. CYPHER also sells courses, paths, bundles and subscriptions through a built-in e-commerce bundle.
Teams that will review every AI draft
CYPHER tells customers to review all content the Agent creates. Reviewing each course with a small sample of users and adjusting it takes about one day on average. Kerridge reports adoption took an overview session for instructors and a few 30-minute Teams sessions with the administrator.
Teams that mix live and online training
CYPHER offers instructor-led and blended courses. Several third-party web conferencing systems can be added. Meetings can be put on the course calendar.
Prices come on request, and the fees cannot be cancelled
Prices come on request. CYPHER tells buyers to contact it for pricing. It sells two packages called Enhanced and Enterprise. Enterprise is everything in Enhanced and more.
On AWS Marketplace, CYPHER sells a 12-month contract at $12,000 for a minimum of 100 users. Buyers with more than 250 users contact CYPHER. There, a charge above what you bought is $10.00 per user per hour. CYPHER bills on active users. Kerridge reports that the platform counts active users rather than everyone who has added a course. Files that are not for course delivery get 1TB, with a charge beyond that.
The licence includes access to CYPHER Agent and its AI allowance. An average Agent query uses about a dozen “credits”, which CYPHER puts at about $0.05 to $0.15. On AWS Marketplace, CYPHER Copilot creates a gamified, multimedia course with assessments in 10 minutes for under $10 per course. Set that beside the 900 “credits” for a course from a PDF. Then ask for your own course cost.
Support comes in tiers, and a Dedicated Customer Service Manager is available. Onboarding, data migration, managed services and custom development are separate services. Support runs 24/7 on Central Time (US), mainly through forums and email.
You are locked in for the term. Under CYPHER’s terms, fees are payable annually in advance and fixed for the initial term. All fees are non-cancellable, non-refundable and payable regardless of actual usage. CYPHER may suspend access immediately, without liability, if it reasonably suspects the customer exceeds licensed usage.
On renewal, fees become the then-current fees or the previous highest annual fees plus 7%, whichever is lower. So a renewal fee cannot pass that 7% cap. Order forms renew automatically for successive twelve-month periods unless the order form provides otherwise. Either party can decline renewal with written notice at least ninety days before the term ends.
If CYPHER ends the contract for the customer’s breach, the customer pays unpaid fees for the rest of the term. If the customer ends it for breach, CYPHER gives a prorated refund. Licences added during a term run to the end of that term.
If it goes wrong, the remedy is small. CYPHER makes commercially reasonable efforts for 99.9% monthly availability. For each full hour of downtime it reduces the bill by 2% of the monthly fee, up to 50%. The customer must ask in writing within 15 days. These bill reductions are the customer’s sole and exclusive remedy for downtime and cannot be redeemed for cash.
CYPHER typically supports 99.9% uptime, while its service promises may vary by plan. CYPHER’s total liability is capped at the fees paid under the order form in the twelve months before the event. New York law governs the agreement, with binding ICC arbitration in New York. CYPHER may update the agreement. Material changes take effect no earlier than 30 days after notice. Other changes take effect on posting.
You could also run training steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
Fifteen questions to settle with CYPHER before you sign
- How much allowance does one of our typical courses use, and what does extra allowance cost? Good answer: A written figure per task and a written price for more.
- CYPHER’s FAQ gives each learner 10,000 “credits”. Its administrator help article gives instructors and learners 1,000. Which applies to us? Good answer: One figure in the order form, with the quota we set.
- Do unused “credits” carry into a renewal, or do they expire after one year? Good answer: A written rule for unused allowance at each renewal.
- Will you cap the renewal below 7%, or fix the fee for a multi-year term? Good answer: A written figure for each renewal year.
- If the platform fails us, can we leave early, and what do we still owe? Good answer: A written exit right and a stated sum.
- What does an hour count in the $10.00 per user per hour charge on AWS Marketplace? Good answer: A written definition and a worked example at our headcount.
- What is the minimum number of users on a direct contract? Good answer: A written figure, not the AWS Marketplace one.
- In your FAQ, customer data stays outside model training. Your agreement licenses aggregated, deidentified usage data for machine learning. Which governs us? Good answer: A written answer that covers feedback and usage data.
- Which coming-soon features will be live during our term? Good answer: A dated list in the order form.
- Does the newer reporting tool now cover skills and course progress? Good answer: Yes, with the date it went live.
- Can we pull audit logs tied to user IDs ourselves, without a support request? Good answer: A named report or export we can run.
- Which help with our data under the addendum costs extra? Good answer: A rate card in the order form.
- If our training records hold health data or ID numbers, what do your terms allow? Good answer: A written answer that covers our data.
- Your buyer FAQ puts the European Accessibility Act as met and your privacy FAQ puts it in progress. Which is current? Good answer: A dated accessibility report that settles it.
- Is the 2024 WebSock Global Strategies patent case still open, and could it affect our service? Good answer: A written answer from CYPHER’s lawyers.
Alternatives to CYPHER Learning, and the case for waiting
If CYPHER Learning does not fit, look at 360Learning and Coursebox, or wait.
360Learning is the one to check if you want AI data promises in a contract. At CYPHER, the promise on training sits in its privacy FAQ. There, customer data is not used to train or fine-tune the models. CYPHER’s agreement then licenses aggregated, deidentified usage data for machine learning. At 360Learning, the promise sits in its support article on AI data. There, customer data is not used to fine-tune or train the underlying OpenAI models. It is also not used to improve Microsoft or third-party products. Prompts are stored for up to 30 days, in Microsoft Azure data centres in Europe.
360Learning’s US contract carries a second promise. Input data and results will not be used to train the AI system provider’s models. They will not be accessible to other customers or the provider. A 360Learning author can draft a course with AI. The draft stays in the edit screen so the author can review and adapt it before sharing. Ask for the same promises in your order form.
Coursebox is the one to check if you want AI course building beside the system you already run. A site administrator installs CYPHER Agent from CYPHER’s App center, so it runs inside the CYPHER platform. Coursebox courses launch inside any LTI 1.3 LMS, with grades and progress sent back to its gradebook. That needs Pro or above. LTI is a standard for opening one tool inside another.
Over LTI 1.3, Coursebox sends completion data back to Workday automatically. Dynamic SCORM and LTI courses stop working on cancelling, even in another system. Ask Coursebox which plan you need.
Waiting is a real choice. CYPHER fees are paid annually in advance, and they are not cancellable or refundable. Ask CYPHER for a pilot on one real course first. Get the AI allowance for that pilot in writing. If your current system already holds your records, ask whether CYPHER Agent can be bought without moving them. Our market guide weighs waiting against every product in this market.
