ProProfs Training Maker

ProProfs Training Maker is a learning management system. You build courses in it, assign them and track who finishes. AI can turn a file, a web page or a YouTube link into a course with quizzes. The price runs from $1.99 to $4.98 a month for each active learner. The bigger question is what happens when you leave. Cancelling deletes learner scores and reports, and you must export them yourself first.

In one line

A learning system that builds courses with AI and charges for each active learner.

Buy it if

You want a price you can read before a sales call. You want to turn files, web pages or videos into courses quickly. Your group has 200 active learners or fewer, or you will take the annual Elite plan. You will export your own records before you ever cancel.

Do not buy it if

You need your data stored outside the United States. You expect learner records to stay after you cancel. You want one course to carry different reminder dates for different groups.

Price

Essentials costs $1.99 a month for each active learner, Business $3.99 and Elite $4.98. Essentials stops at 100 active learners and Business at 200. Elite has no limit and is sold on annual plans only.

The AI drafts the course, and a person still checks it

ProProfs sells Training Maker for online employee training. An admin gives the AI the admin’s own material, such as a file, a web page or a YouTube link. The AI returns a course with chapters, quizzes and assessments. It accepts PDF, Word, PowerPoint, text, image and MP4 files.

The AI writes the first draft, so an admin does not start from nothing. It also writes quiz questions, makes images and suggests new wording for existing text. It narrates courses with Google Text-to-Speech. The Business plan translates course content into 70+ languages automatically. Admins can ask the AI questions about their reports in plain words.

A person still answers for the result. ProProfs tells the customer it is responsible for reviewing AI-built material for compliance. Its AI course steps end with “Review the course content and click Done.” Under its terms, the customer must supervise, review and check AI content. The same duty covers the steps the AI takes, before the customer relies on them. ProProfs also offers 500+ ready-made courses. Its pre-built harassment courses cover federal and state requirements.

Once a course exists, an admin assigns it, groups learners and sets automatic enrolments. Reports track completion, quiz scores and time spent on each page. Learners open courses in a browser on any device, with no app to download. The Zoom connection manages live sessions and self-paced courses in one place. ProProfs also sells custom course development.

Reminders, certificates and HR-system links are covered

Reminders and certificate expiry are built in

Admins set a completion date or period. They send email reminders once or several times. Automatic reminders also cover overdue training and expiring certifications. Certificates carry expiry dates and renewals. Reports show who finished, when, and the score. They export to Excel.

BambooHR connects in minutes, and three more HR systems link

A guided process connects BambooHR in minutes with no developer. Employees import as learners. The sync runs every 24 hours. Training courses go to the BambooHR Training section. isolved, Dayforce HCM and Oracle HRMS also have links that add employees as learners. ProProfs pushes completions back to HR systems at no extra cost.

Team leads can manage their own group only

Only admins see learner progress, results and personal details. A group admin is a limited role for a team lead, department manager or franchise head. A group admin manages only their own group.

Switching is quick and a 15-day guarantee applies

Most customers move over in under two weeks. A 15-day money-back guarantee applies. The Elite plan includes a dedicated onboarding manager.

Leaving deletes your records, and its pages disagree

Cancelling deletes learner attempts, scores, reports and progress. Courses stay saved after a downgrade. Under its terms, paid accounts keep private content for 30 days after expiry, then standard deletion applies. You alone are responsible for exporting your data before the contract ends. Exports come as CSV or Excel files. Under its terms, ProProfs may purge content at any time without notice. Deleted data cannot be restored, even if you reactivate the subscription.

Deleting a single learner is permanent. It erases their progress, reports, certificates and login access.

Keep confidential material out of a free trial

Under its terms, free and trial accounts give ProProfs a licence to train and improve AI models. The licence covers their public and private content. On paid plans, ProProfs will not use members’ content to train AI models or features that other customers can access. ProProfs may use paid members’ private content, anonymised and combined, to train models that improve its services for all users. Under its privacy policy, personal data is not used to train third-party AI models. Outside AI companies may process your inputs on its behalf.

One course carries one reminder setup

Reminders set under a course apply to all its learners. Different groups on different dates need a duplicate course. A learner who misses the date keeps access unless the admin restricts it.

Uptime is quoted at 99.9%, and the terms promise effort

ProProfs quotes 99.9% uptime on its LMS page. Under its terms, ProProfs uses commercially reasonable efforts to keep the services available with as much uptime as possible. Get the figure you need into the contract. AWS and IBM host the servers in Dallas and Northern Virginia. Both hosts hold SOC 2 Type 2 reports. Transfers from the EU, UK and Switzerland rely on Standard Contractual Clauses. ProProfs gives its data processing agreement on request, and it includes those clauses.

Get the plan behind each item in writing

Its LMS page puts the free plan at 10 learners. Its pricing FAQ gives a downgraded account unlimited trainees on the free plan. SCORM is the standard file format for e-learning courses. Its pricing page puts SCORM on the top plan and also on the free plan. Its LMS page puts the 500+ ready-made courses in Essentials. Its pricing page puts them in Business. Its pricing page offers unlimited AI course creation. Its LMS page carries a message that a user has reached an AI course limit. Its LMS page requires an internet connection. Its mobile page offers offline access, or use on a weak connection. Its real estate page offers course downloads for offline study.

Customers run from a team of 15 to a global sales force

Eave Assistants chose it on price and flexibility

Eave Assistants has a team of 15. Its co-founder talks of two employees and freelancers. It compared five products and chose ProProfs for price and flexibility.

The saving at Thermo Fisher is marking time

Thermo Fisher has about 37,000 employees. It no longer grades nearly 600 exams for its global sales force by hand. That matters if you test many staff.

FirstFleet drivers train on breaks or at home

FirstFleet runs more than 2,600 company-owned power units. It expanded to over 100 training topics. Courses run in a browser with no app, which suits staff who train away from a desk.

Tupperware runs it across its European plants

All Tupperware plants in Europe use ProProfs for online training and assessment.

Three plans priced per active learner, and only Elite has no cap

Essentials and Business each have a cap, so the bill depends on how many learners are active. At the cap, Essentials comes to $199 a month and Business to $798, at the listed monthly rate. Past 200 learners you need Elite at $4.98 for each active learner, sold on annual plans only. Elite gives full platform access with HR-system sync, work-account sign-in, a developer connection and automations. A former employee can be paused to release the licence.

ProProfs shows Business at $3.99 a learner, with $5.99 before it. Elite shows $4.98, with $8.99 before it. Ask whether the lower prices hold at renewal.

Some costs sit outside the per-learner price. Suites start at $499 a month, billed annually at $5,988. The People Development Suite adds PeopleGoal, which runs review cycles and 360 feedback. White label costs $300 a year extra. A payment over $3,000 by ACH bank transfer or cheque carries a $100 processing fee.

Subscriptions renew automatically unless you cancel before renewal. Fees can change on 45 days’ written notice before the end of the term. California law governs the terms. Disputes go to binding arbitration under the American Arbitration Association’s commercial rules.

You could also run training steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

Alternatives to ProProfs Training Maker, including buying nothing

If ProProfs does not fit, look at TalentLMS and Trakstar Learn, or use the free plan.

TalentLMS’s portal export carries how your account is set up. It has tabs for users, courses, categories, branches, groups, custom user and course fields, and their relationships. Ask whether it also carries completion records. Whole courses cannot be exported as standalone packages.

ProProfs applies one reminder setup to a whole course. Trakstar Learn limits how long trainees have to finish a course after their invitation. People invited at different times get different deadlines on one course. Trainees who miss the deadline lose access, so check that suits the training you assign.

The free plan suits a group that wants to test first, with no confidential material. Test an export before you rely on it, because cancelling deletes learner results. Our market guide covers the other products in this market.
