It assigns courses, chases staff and keeps the completion record

Before staff can start, an administrator builds lessons and groups them into courses. A lesson can hold a video, a document, a PDF, a SCORM package, a presentation or a quiz. SCORM is the standard file format for e-learning courses. Quizzes grade themselves.

Assigning is where the plan matters. Group Auto-Enrollment adds people to a course whenever they join chosen groups. It is open to administrators and trainers on the Enterprise plan only. Administrators, trainers, managers and team leads can send bulk reminders. A trainee can get at most one reminder in 24 hours. A course deadline limits the time a trainee has after the invitation. Trainees who miss it lose access and appear as Missed Deadline in reports.

Live training fits in too. An in-person lesson records attendance, completion and optional scores for classroom sessions. It holds no learning content. The Zoom Webinars and GoToWebinar connections register trainees and send attendance back to Learn. Zoom set-up needs Trakstar’s integrations team and a Zoom administrator.

When an auditor asks for proof, reports cover training progress, course results and quiz scores, and meet compliance documentation requirements. Administrators and trainers can mark a trainee complete by hand with a date, score and reason. Every role except trainees can see reports, limited by their permissions. Learn has built-in certificate templates. A custom template with your branding needs the Enterprise plan.

Trakstar also sells ready-made courses. Hundreds of Learn customers use them. Providers such as HSI offer more, and Trakstar adds them to your account on request.

Trakstar quotes Learn by seat and renews the order unless you write first

The customer pays a per seat subscription fee that the order form sets. It is billed yearly in advance on an invoice. Payment falls due 30 days after the invoice date unless the order form says otherwise. Undisputed amounts unpaid more than 30 days after the invoice date may bear interest. The rate is the lesser of 12% a year or the legal maximum, at Trakstar’s discretion.

Ready-made course packages have their own prices. A 25-course package starts at $1,500 and a 50-course package at $2,600. Library packages start at $1,350. Each has a 50 seat minimum. The Software Skills Package is not in the bundles and costs extra. Trakstar also sells a Workplace Compliance library and a California anti-harassment library. Trakstar gives 2,400 courses in one place on its course page and over 1,400 in another. Ask for the count that applies to the package you buy.

What to put to Trakstar before you sign

1. Which plan holds each feature we need, such as repeat enrolment, custom certificates and trainer roles? Good answer: The plan named beside each feature in the order form.
2. What does one seat cost at our headcount, and what is the seat minimum? Good answer: One written price per seat, with course packages on their own lines.
3. What cap will you put on the yearly fee change? Good answer: A capped percentage in writing.
4. Will you test our own course files, and confirm SCORM 2004 and AICC in writing? Good answer: A test import of our files and a written answer for each format.
5. Which lesson types work with no signal on a phone? Good answer: A list by type, tested on our devices.
6. Do support hours start at 8 AM or 9 AM Eastern, and what is that for us? Good answer: One start time, written into the order form.
7. Can the order form keep our staff’s data out of AI training? Good answer: Yes, as a written clause.
8. How do you delete a person fully, not only archive them? Good answer: A written deletion route that meets our privacy law.
9. How do we take quiz questions with us when we leave? Good answer: A written export, or a date by which you build one.
10. Where will our staff’s data be stored and processed? Good answer: One list of countries, written into the order form.
11. Can we see your latest SOC 2 report? Good answer: A report dated within the last year.

Alternatives to Trakstar Learn, including buying nothing

If Trakstar Learn does not fit, look at TalentLMS or Litmos. Buying nothing is a third route.

TalentLMS has a free app for Android and iOS. Learners can download courses, finish them offline and sync later. Trakstar trainees use the device’s web browser. TalentLMS prices its Core plan for 1 to 40 users at $119 a month. On an annual plan, it charges $1,428 upfront. A free plan covers up to 5 users and 10 courses.

Litmos states that customer data is not used to train the Litmos AI model. Its list of outside companies that handle customer data names Anthropic PBC for AI-assisted development and productivity. Its cloud terms let it collect statistical data, stored in anonymised form, to improve the services. Ask Litmos what that covers before you rely on the AI statement. In Litmos’s 2023 documentation, deleting a user erases all records and results data, and it cannot be undone. Trakstar archives users and keeps their history. Litmos plans start at $8,000 a year for Foundation and $15,000 for Platinum.

Your required training may not repeat, and only a few people may take it. You may not need the Enterprise tools that make Learn worth its quote. In that case, buying nothing yet may be the better route. Decide that before you ask for a quote.
