etrainu keeps mandatory training and the expiry dates in one record

You assign mandatory training by role and need a reminder before each certificate runs out. You keep police checks, first aid certificates or driver’s licences against each person. Head office needs the whole network while each site sees its own people.
You need a written uptime promise. At etrainu, the uptime aim is 99.5%, not a guarantee. You need standard support outside 9.00am to 5.00pm AEST on weekdays. Your AI-made courses must differ from every other customer’s.
Activate and Perform are priced per learner, and the rate improves as the number of learners grows. AI Course Authoring is an add-on, licensed per user. One course library, Aged Care Premium, is priced from $249.00.
It assigns the training, chases the expiry dates and keeps the record
Playlists group courses and assign them by department, role or start date. The platform displays each person’s training status and sends reminders before expiry. Continued Learning repeats cycles such as annual recertification. Activate and Perform can set recurring reminders for completions and expiries.
Evidence records police checks, first aid certificates and driver’s licences against a learner. Qualifications build in prerequisites and renewal cycles. They also build in continuing professional development and continuing education activities. Learners use the Skills Passport to check what they have finished, see when anything expires and download their certificates.
Head office sees the whole network. Each site sees its own people and reports. The Assess App handles in-person events and competency marking, and it syncs offline data. An online event can carry a video conference link.
Reports give each learner’s activity, engagement and progress. Time spent counts whenever the course is open with the browser tab visible. Mouse and keyboard activity do not count. If an auditor relies on time spent, ask how etrainu’s measure fits. The Course Status Report exports the filtered results. In etrainu, the export arrives by email to the admin who asked for it.
Learners use a browser, with no app to download. The site adjusts to smaller screens, so a course runs on a phone or tablet. Courses come as a SCORM file, the standard format for e-learning courses, or run on the etrainu platform. The etrainu platform has a library of over a thousand courses. A customer can add its own courses, including SCORM courses. The Customer Success Manager uploads the course files for the customer. Daily database backups are kept for 15 days.
The AI tool, the portable record and a named contact
AI Course Authoring turns a file into a course draft
An admin types a prompt or uploads a PDF, PowerPoint or Word file. The AI returns a draft with lessons, interactive screens and knowledge checks. It works in 30+ languages. The admin can refine screen text and add images. A Brand Voice switch writes the course in the organisation’s tone. Movement Five is a medium business in disability support. Its Behaviour Support Plans can run past 60 pages. Per etrainu, one staff member turns each plan into an interactive course in about five minutes.
The training record follows the person
A learner’s Skills Passport holds every course they have completed, whoever supplied the training. Archiving a learner takes them out of active lists and reports. Their training history stays on the record. Under etrainu’s terms, etrainu may let users keep access to their training record and transcripts after the term ends.
A named person looks after the account
Every Activate and Perform customer works with a named Customer Success Manager. Per etrainu, the Help Desk CSAT score is 90.3%. That score measures how satisfied people are after a support request. Customers deal with real people who know their account.
Who already runs their training on etrainu
Employment Hero customers get a two-way link
Employees added or updated in Employment Hero create or update etrainu accounts. A finished course goes back to the Employment Hero record as a certification. The link works with Employment Hero HR Elite and Employment Unlimited.
Large groups who are not on the payroll
Rugby Australia has over 24,000 coaches and match officials on etrainu. AYSO has 20 employees and 95,000 volunteers. Surf Life Saving Australia’s active users grew from 12,000 in 2015 to over 50,000 in 2021. Coaches, match officials and volunteers are not all employees, and etrainu holds their training records.
Size does not set a floor
SAFERVETS, a veterinary safety consultancy, has 1 employee on a Custom LMS. Interchange Illawarra has 180 staff. Its HR manager puts the saving from Playlists, which assign courses automatically, at 15 minutes per new employee. Basketball Australia has 225+ employees.
Selling your own courses to outsiders
etrainu hosts a customer’s own courses on a branded marketplace and takes single-transaction payments. That suits an organisation that trains members or the public as well as staff.
The AI course terms, the uptime aim and the support hours
Most of the limits sit in the AI Course Authoring terms. Read them before you plan around the tool.
Your own qualified person signs off every AI course
Under etrainu’s terms, a suitably qualified human must review, verify and approve all AI Outputs before use. Under the same terms, AI Outputs are generated automatically without human review by etrainu. So the sign-off falls to someone on your side. Customers must also not rely on AI Output as professional, legal, medical, financial or compliance advice.
Your AI course may look like another customer’s
Under etrainu’s terms, AI Course Authoring is not custom-trained for the customer. Outputs may be similar or identical to those generated for other customers. The tool relies on third-party AI models, infrastructure and hosting providers. At etrainu, uploaded content stays isolated to the customer’s own area. It does not apply one customer’s documents to another.
Check the data rules before you upload anything
Under etrainu’s terms, nobody may input personal information, sensitive information or regulated data without the needed rights, notices and consents. Under etrainu’s Australian terms, AI Course Authoring is directed to users residing within Australia. For Australian organisations, AI Course Authoring stores data on Australian servers. For US and UK organisations, it stores data on US servers.
You carry the risk of what the AI writes and of the tool ending
Under etrainu’s terms, etrainu excludes all liability arising from or connected with AI Outputs. That holds to the maximum extent permitted by law. It may remove an AI-made course it has reasonable grounds to assume is out of date or inaccurate. It may end AI Course Authoring on 90 days’ notice. That applies if it ceases to be authorised to supply parts of the service. It then refunds prepaid amounts for the period after termination.
Uptime is an aim and support hours are Australian
etrainu aims for 99.5% uptime but does not guarantee it. Standard support runs 9.00am to 5.00pm, Monday to Friday, AEST.
Other systems are agreed one by one
etrainu connects to Employment Hero, Deputy, Tanda, Zoho, Dynamics 365, intellihr and iMIS. For any other internal system, options and pricing are agreed through the Customer Success Manager. Sign-in with a work account is available to some organisations. Ask whether yours is one of them.
You can take AI-made courses with you. They export as SCORM 1.2 and can be uploaded into another LMS. The customer may download SCORM files for training it owns the IP in, excluding etrainu’s generic courses. After an AI course is finalised, the customer asks its Customer Success Manager to publish it. Ask how long that takes. Before you upload, know that scanned PDFs and image-heavy files usually need manual rework. The upload limit is a combined 50 MB.
A rate per learner, an extra charge for AI and a yearly CPI rise
Activate and Perform are priced per learner. The rate improves as the number of learners grows. Learn is an off-the-shelf plan for training a team with courses. Activate lets a customer brand the platform, automate compliance and track everyone in one place. Perform is the full solution for enterprise and sports organisations.
AI Course Authoring is an add-on for Activate or Perform, licensed per user. For AI Course Authoring, the Statement of Work sets the number of users allowed and the charges. It renews for a period equal to the initial period unless either party gives 60 days’ notice.
Under etrainu’s terms, charges may rise on each anniversary of the commencement date. The rise may be the change in CPI, the consumer price index, at etrainu’s election. Invoices are payable within 14 days of receipt.

What to put to etrainu before you sign
- Which terms apply to us, the Australian terms or the US terms? Good answer: One named set, in the order, with its governing law. Queensland law governs the Australian terms and Delaware law governs the US terms.
- What is the rate per learner at our learner count, and the rate per user for AI Course Authoring? Good answer: Two written rates. The Statement of Work, the document that sets the users and charges, covers AI Course Authoring.
- Can you cap the yearly CPI rise? Good answer: A fixed percentage in the order, instead of a rise at etrainu’s election.
- Where will our AI Course Authoring data sit? Good answer: A named country, written into the order.
- How does etrainu judge an AI-made course out of date or inaccurate, and what notice comes before removal? Good answer: A written test, and notice before any removal.
- Who answers a support call outside 9.00am to 5.00pm AEST, Monday to Friday? Good answer: A named team and a response time, in writing.
- Can the Customer Success Manager quote the link to our HR system before we sign? Good answer: A written price and a delivery date.
- How does a finished course reach learners, and how long does publishing take? Good answer: A stated time between our request and the course going live.
- Which training records can we take with us when the term ends, and in what format? Good answer: All of them, as an export file.
- Can we see the security documentation the Trust Center offers, including the GDPR and ISO/IEC 27001 papers? Good answer: The documents, sent before we sign.
Alternatives to etrainu, including buying nothing
If etrainu stops short of what you need, look at LearnUpon, Cezanne Learning, iSpring and Access LMS Evo. Buying nothing is a fifth route.
All LearnUpon plans come with technical support from real people 24/7, 365 days a year. Set that against etrainu’s weekday hours.
Cezanne Learning integrates directly with over 50 HR systems. It comes inside Cezanne HR, or on its own for another HR system. Support runs 7.00am to 9.00pm UK time, Monday to Friday. Its service level agreement guarantees uptime of at least 99.7% during supported hours. A set-up it has not supported before may involve extra work at additional cost. Custom field matching is one example.
iSpring’s AI translator offers 104 languages and regional variants. It is available at no extra cost. Set that against the 30+ languages in etrainu’s AI Course Authoring. The iSpring AI features may not be available in all regions.
Access LMS Evo is UK-hosted and ISO 27001 certified. Set that against the server location in etrainu’s AI Course Authoring. Access’s AI features come with their own terms. Service levels, uptime and support commitments that apply to its products generally do not apply to them.
Buying nothing makes sense when one supplier already records every course your people take. The Skills Passport adds most when training comes from several suppliers. Every other product in this market is listed in our market guide.
