Schoox LMS

Schoox LMS is a training platform that assigns courses to staff and keeps the records. It is built for roughly 1,000 or more learners. Its strength is required training across many sites. Its catch is the contract. Subscriptions renew on their own, and you can reduce users only at renewal. Schoox also sets a rule for AI output about a person. A customer may not use it for decisions with a legal or materially adverse impact.

In one line

A training platform that assigns courses by role and place, tracks who finished, and keeps certificates current.

Buy it if

You train many people across many sites and must show who finished what. You want training to reach staff on a phone. You want training connected to your HR system. Schoox’s Workday connection enrols employees in training. You can accept a contract that fixes your numbers for each term.

Do not buy it if

You have fewer than 500 employees and simple training needs. Schoox puts that case among those where other products may fit better. You need to cut users partway through a term. You plan to use its AI output for decisions with a legal or materially adverse impact on a person.

Price

Schoox sells a yearly subscription. The price rests on active learners and platform tier, with custom quotes for enterprises. Subscription fees are payable annually in advance.

It assigns the training, tracks who finished and keeps certificates current

Schoox LMS puts onboarding, targeted training, compliance training, skill development and learning paths on one platform. It offers self-paced online courses and instructor-led courses. Live online sessions run through Microsoft Teams and Zoom. Schoox also manages instructors, rooms and materials for classroom and virtual courses. It combines online material with in-person observation on the job, and tracks the progress in one place.

Schoox assigns training automatically by group, job role, department and region. It reports enrolment and completion by learner, course and business unit. Managers get reports on individual learners and groups. Schoox also has reports on time spent in online training and on test scores and skills attainment.

Schoox offers over 40,000 ready-made courses from content partners. Its Marketplace gives access to more than 100,000 courses from 13 providers. Schoox resells these courses, which third parties create. You can build your own too. Schoox accepts SCORM files, documents and video, and has a drag-and-drop course editor. SCORM is a standard file format for e-learning courses. Employees can build courses, and your learning team can review every contribution before it is published.

Schoox connects to ADP, Oracle, Paylocity, SAP, UKG, Workday, Okta, Zoom, Microsoft Teams, WebEx and GoTo. Its Workday connection enrols employees in training and tracks learning data. Staff can log in with their work account through Okta, Microsoft ADFS or Microsoft Azure. Users can be created by hand or through a daily FTP feed, which is a file transfer. A direct connection that Schoox builds to another system needs separate work, agreed on its own.

The AI helps with content and skills. Schoox AI generates full-length courses, short courses, short assessments, training plans and content summaries. An admin can generate a short course from a brief prompt. The AI also turns existing documentation into learning content. It maps roles to skills and finds gaps in proficiency through short assessments. Admins control whether AI is on, which features are available and what data is processed. Admins can review, refine or reject its recommendations. An admin can reject a suggested skill to hide it from future suggestions.

It keeps required training current and reaches staff on a phone

Required training stays current without a manual chase

Schoox can set training to recur, so compliance deadlines are not missed. It reports due dates and exceptions, so you can see who missed mandatory training. A learner counts as compliant while the certificate is active, even if the course was finished earlier. A course that awards a certificate can set an expiry period in months. Zero months means no expiry. For Marketplace courses and external content, the content provider decides the certificate settings. Check those expiry periods before you rely on them.

Staff can learn on a phone, with or without a work email

The Schoox mobile app is available to customers and their learners at no additional cost. Staff without corporate email addresses can get in by QR code, username and password, personal email enrolment or mobile-app login. A learner must be assigned to a private course before a QR code opens it. Schoox gives three figures for languages. Its manufacturing page puts the number at 29. Its compliance page puts it at 30 or more. Its frontline page puts it at 32.

Coaching and the API cost nothing extra

Coaching is included with the Schoox LMS at no additional cost. Schoox also offers a RESTful JSON API, free to all customers. An API lets other software connect to Schoox. Almost all user data can be pulled out through it.

Schoox is built for roughly 1,000 learners or more

It is built for roughly 1,000 learners or more

Schoox puts its main audience at 2,500 to 500,000 or more learners. It is also built for roughly 1,000 or more. Those two figures differ, so ask which one applies to you. Schoox calls itself a strong fit for midmarket to enterprise businesses. Small organisations with under 500 employees and simple training needs are among the cases where other products may fit better. The platform may also not suit very small businesses, K-12 institutions or government bodies that need FedRAMP. FedRAMP is US federal cloud security approval.

It trains people who are not on your payroll

Schoox trains employees, partners and customers. If your training also reaches franchisees, dealers or customers, ask how Schoox counts those learners in your order.

Named customers report less admin time, high completion and time saved

The named customers are mostly multi-site businesses. They range from Friedmans Home Improvement, with 500 team members, to Five Guys, with 51,000 employees and 1,700 locations. The results are the customers’ own reports. Biscuitville, with 87 locations, reports 95% less training administration time and 92% to 95% average course completion. Sonesta Hotels, with 9,000 employees, reports 20,000 training hours and 50,000 course completions in six months. KIOTI Tractors, with 520 locations, estimates a 38% time saving from moving full-day sessions to guidance after online training.

It has launched to very large groups within a month

Five Guys rolled out to 30,000 users in under 30 days. The University of Subway launched to all 540,000 users in 110 countries at 44,000 or more locations in 30 days. Schoox reported over 3,500 organisations and over 900 new clients in 2024. Ask for a customer near your own size and sector, and ask how long their launch took.

Its AI has a rule for decisions that seriously affect a person, and the contract is strict

AI output has a rule for decisions that seriously affect a person

Schoox sets a rule for AI output about a person. A customer may not use it for decisions with a legal or materially adverse impact, including employment decisions. Under the same policy, the AI is for general assistive use. It is not for surveillance, monitoring, profiling or automated decisions that significantly affect individual rights. Schoox connects goals and skills to performance reviews, and an admin can tie AI-suggested skills to them. Performance Reviews is not enabled for every customer. The customer asks Schoox support to turn it on. Ask exactly where Schoox draws the line for a skills rating that feeds a review.

You are responsible for checking the AI

Schoox does not warrant the accuracy of AI output. Under Schoox’s AI policy, the customer is responsible for human oversight and review of AI output. AI output may vary over time for the same input. It may also give other customers the same or similar output. Admins and learning staff can review, edit, regenerate or override what the AI produces.

If you use its AI, outside AI companies receive your input

Under Schoox’s AI policy, using the AI features means you consent to your input going to outside technology providers. These include OpenAI and Amazon Web Services. If a customer does not use AI, Schoox will not use its content for any AI purpose, including training. Schoox tells customers to contact their Customer Success Manager to switch AI off.

The assistant works from course content, not the learner’s records

LINA is Schoox’s AI training chatbot. Learners ask it questions and it answers only from content they have permission to access. It does not search the public internet. It does not access learner progress, assignments, certifications or HR information. LINA is unavailable on the pages for courses, learning paths, on-the-job training and exams. An admin chooses which learners can use it.

Offline learning covers lectures only

The mobile app gives offline access to training materials. Offline download covers lectures only. It does not cover exams, polls, on-the-job training or events.

Keep health and other special data out, and ask where your data sits

Under Schoox’s terms, Prohibited Data includes GDPR Article 9(1) special categories of personal data. It also includes protected health information regulated by HIPAA. The services are not intended for processing or storing protected health information under HIPAA. Schoox is hosted on AWS in separate environments. Its security page puts hosting in the US and UK. Its privacy policy puts it in the US, UK and Canada. Schoox may pass personal data to its sub-processors. These are outside companies that handle data for it. Schoox and they may move it across borders, including outside the European Economic Area. Schoox holds a SOC 2 Type 2 report, available under NDA. It provides its standard Data Processing Addendum on request.

If something goes wrong, what you can recover is limited and must be claimed fast

Schoox commits to 99.9% availability, excluding downtime that is excused under its terms. Its security page puts availability at 99.99%. For each full hour of downtime beyond the commitment, Schoox takes 5% of the monthly fees off what you pay. This applies to add-ons, renewal fees or a term extension. It does not pay this as cash. Each party’s liability is capped at the fees paid in the six months before the event, with exceptions. A claim against Schoox must be filed within one year. That runs from when the customer knew or should have known of the facts. A warranty claim must be made in writing within 30 days after the defect occurs or is introduced.

Leaving takes planning

After expiry or termination, the customer has no further access to its content and Schoox deletes it promptly. Schoox has no obligation to archive it or make it available. There is a 30-day transition period to ask for retrieval. Schoox may charge reasonable fees for access in that period, at its sole discretion. Learner data can be pulled out through the free API. Plan that export before your notice date.

Schoox sells a yearly subscription and holds you to your numbers

You commit to what you buy for the full term, and you can reduce it only at renewal. Schoox prices by entitlements. That means the users and other items you buy. Use above what you bought is charged at the order rate. A user your administrator has deactivated, who no longer has access, is not counted in those extra fees. No refund or relief is due if you use fewer than you bought. Schoox must give 30 days’ notice before it imposes additional charges or other measures for excessive use.

Cutting users or the term length can trigger repricing. If you cut either one below the last term, Schoox can reprice the services at the next renewal start date. At renewal, the minimum quantity is the greater of the contracted quantity and the actual quantity. Promotional pricing, introductory rates and free services do not carry into a renewal term. Subscriptions renew automatically unless a party gives notice at least 90 days before the term ends.

The yearly fee can rise in two ways. Your order sets a yearly escalation and a renewal escalation. If either is unspecified or zero, the fee moves to Schoox’s rate at that renewal. Licensed content follows its own rule. At each renewal, its annual rate adjusts to the greater of two figures. One is the content provider’s rate at the time. The other is the order’s annual rate escalation.

Eight setup items sit outside the standard implementation unless your order adds them. Ask for each item you need to be priced in your order. The eight are moving past training records and moving courses and content. They also include sFTP (secure file transfer) integration and setting up the talent development features. The rest are staging environments (test copies of the system), custom features, help after onboarding and on-site meetings. The implementation project must be completed within 180 days after the Effective Date, which is the contract start date. Work after that may be subject to additional scoping and fees. Professional Services are invoiced in advance on the Effective Date, unless a statement of work or order changes that. They are non-cancellable unless Schoox agrees in writing. Most Schoox customers go live in weeks.

Late payment and breach carry costs beyond the payment. Overdue payments accrue interest of 1.5% of the outstanding balance per month, or the legal maximum if lower. Schoox may suspend access if a payment is due and unpaid ten days after written notice. Payment obligations are non-cancellable. Either party may end the contract for a serious breach that is not fixed within 30 days of written notice. If Schoox ends it for a breach you did not fix, all fees for the unexpired term become immediately due. If you end it because of Schoox’s material breach, Schoox gives a pro-rata refund of prepaid fees. It covers the unused part of the term.

You could also run training steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map

What to ask before you sign

  1. Can we reduce the number of users partway through a term? Good answer: Yes, in writing in the order. The standard terms allow cuts only at renewal.
  2. Which yearly escalation and renewal escalation are in our order? Good answer: Both written as percentages, so the rate does not move to the rate Schoox charges at renewal.
  3. How much can licensed content rise at renewal? Good answer: A fixed cap in the order, not the content provider’s rate at the time.
  4. Which of the eight setup items are in our order? Good answer: Each one listed with a price, and a go-live date inside 180 days.
  5. Which items sit outside the one price Schoox offers for its all-in-one platform? Good answer: A short written list, such as Marketplace courses and professional services.
  6. How many languages will our learners get? Good answer: A named list of languages in the order.
  7. Which uptime figure binds you, 99.9% or 99.99%? Good answer: The figure in the contract, with a remedy we can use.
  8. Where will our data be hosted, and which AI providers will receive our input? Good answer: A named region and named providers, in writing, with AI switched off if we choose.
  9. Which uses of AI output are allowed if skills feed our performance reviews? Good answer: A written answer that names the review process.
  10. Can we see the SOC 2 Type 2 report and the Data Processing Addendum before we sign? Good answer: Yes, both, with the report under NDA.
  11. What do you charge for access in the 30-day transition period? Good answer: A fee set in the order, or nothing.
  12. Which customer near our size and sector can we call? Good answer: A named customer, live for more than a year.

Alternatives to Schoox, including buying nothing

The alternatives to Schoox are Docebo, Litmos, Axonify, the learning product in your HR system, and buying nothing yet.

Docebo and Litmos start at smaller sizes. Docebo’s main audience is mid-market to large enterprises, with 250 to 100,000 or more users. It is typically best suited to companies training at least 250 learners, who may be customers, partners and employees. Litmos puts its company size at 200 to 5,000 employees on its AI information page. Its mid-market page puts it at 150 to 2,000. Docebo sells Extended Enterprise, for external audiences, as a paid add-on. Ask Schoox whether partner and customer learners cost extra.

Axonify delivers short targeted training to frontline employees while they work. Look at Axonify if that is your main need.

If your HR system already has a learning product, ask its vendor first. Our guide to HR system customers covers when a separate product is worth asking about. Suppose you have fewer than 500 employees and simple training needs. A smaller product, or buying nothing yet, is a fair answer. The market guide shows where Schoox sits among the other learning products.

Sources and method Everything said about Schoox here comes from Schoox’s own pages. These are its product, security, integration and reporting pages. They also include its AI policy, terms of service and privacy policy. The rest are its implementation guide, help centre, customer stories and press releases. What Schoox publishes about its own product is taken as its description of that product. Every source was read on 21 October 2026. Two of Schoox’s own pages sometimes give different figures for the same thing. Both figures are given, and the questions section says what to ask.
