Trainual
Trainual combines training, knowledge and operations in one platform. It is best suited to companies with 25 to 1,000 employees. Live training sessions cannot be hosted inside it. It publishes no plan prices.
A tool for writing down how your company works and training people on it. It added a Performance suite for reviews in September 2026.
You want your written processes and your staff training in one place. Your company has 25 to 1,000 employees. Your people can learn by reading, watching videos and taking quizzes on a phone or computer.
You need live training sessions run inside the product. You need courses that open on a set date. You need to limit how often someone retakes a test. You need a HIPAA-compliant system.
Trainual publishes no plan prices. Its FAQ puts a one-time implementation fee at $1,000. Its terms tie a one-time fee to the done-with-you offering, so ask which applies. Its blog quotes two starting prices, $99 a month and $588 a year for a whole team.
It writes down how your company works, then trains people on it
Trainual combines training, knowledge and operations in one AI-powered platform. Its courses page calls it an all-in-one learning management platform. Its help centre answers “Not exactly” when asked if it is a learning management system, or LMS. It goes beyond what a typical LMS covers on its own. Treat it as a home for your company’s guides with training attached, and check it against the training you run.
Trainual has Training, Operations and Performance suites. The Training suite creates and delivers courses and tracks progress and completion. The Operations suite launched on 14 May 2026. It adds a weekly AI briefing and a meeting notetaker. The Performance suite launched on 29 September 2026, so it is new. Ask for customers who use it.
Trainual calls a unit of content a subject. Mark a subject Required if you need to track it. A subject not marked Required is reference material and its completion is not tracked. For tracked subjects, a person’s completion rate is the content they completed out of all content assigned to them. Reminders go out three days before the due date. They repeat every seven days after it until the subject is completed. Setting an expiring completion date resets completions to 0% for everyone assigned.
AI content creation drafts structured content in the account, and PDF files can be uploaded as a reference. Auto-generate test builds a multiple-choice test from existing subject material, with 10 questions by default. The questions and answers can be reviewed, added to, edited and deleted before publishing. A person still reviews and publishes everything the AI drafts.
People data comes into Trainual from your HR or payroll system, and it flows one way. Trainual syncs with systems including Gusto, BambooHR and Zenefits. A Rippling integration imports employee data once, and later changes in Rippling do not sync. A sync can create groups from job title, department and location. AI generates the role chart from the synced roles. The vendor tells admins to review it.
Our market guide places Trainual among the other learning management products.
Staff can ask it questions, and it keeps the training records
Staff get answers from your own material, not the internet
The AI assistant answers from the published content and people information in your Trainual account. Its AI answers are grounded in your own content and data, not the internet. The assistant does not reveal restricted content to users who cannot normally access it. It is available under all plans. Genie Travel Company calls AI search its number one most-used feature.
Your content arrives without retyping
The AI reads uploaded files and splits them into subjects, documents and pages. Every word transfers exactly as written from the original file. Imported content stays hidden from learners until the author publishes it. An implementation specialist works with key stakeholders over the first 4 to 6 weeks.
Training records are ready for an audit
Reports can be exported as CSV or PDF for audits, compliance or leadership updates. Archiving a person keeps their completions, progress, reports and e-signatures. Excel Scientific requires a 100% pass on tests for critical functions. It keeps timestamps of who trained on what and when.
Staff can train on a phone or tablet
Learners can read content, watch videos, take quizzes and get notified about new assignments from a phone or tablet. The Trainual mobile app is free. Camel Express Car Wash put NFC tags on equipment, so a phone tap opens the training. It reports turnover falling from 175% to 62% within two years of adopting Trainual.
The security basics are in place
Trainual is SOC 2 Type 2 certified. Enterprise customers can request the SOC 2 documentation. Data is encrypted in transit and at rest. A setting can require multi-factor login. Multi-factor login is available under all plans and authenticates by email.
Ready-made courses are written by experts and vetted by lawyers
A library of 400+ expert-built courses is sold as an add-on. HR, industry and legal experts write the courses. Two third-party law firms vet them. The library keeps courses up to date and deploys recurring 12-month training cycles.
You cannot run live sessions in it, schedule a course to open on a date or cap test retakes
Check the first three limits against the training you run. Plan-gated features come next. The remaining limits matter for day-to-day use and for your data.
Live sessions cannot be hosted inside Trainual
Live training sessions cannot be hosted inside Trainual. If you run live sessions, plan for a second tool to host them. Subjects cannot be pre-scheduled to go live or gated by time.
Test retakes cannot be limited
Trainees have unlimited attempts for every assigned test. Limiting or blocking test reattempts is not an available setting. If your rules cap retakes, ask how Trainual handles that.
It is not HIPAA compliant
Trainual is not HIPAA compliant and has no plans to become so. HIPAA is the US health privacy law. Personal data may be processed in the U.S. and where service providers are located.
Several features depend on your plan
A buyer may need a higher plan for several features. These are single sign-in, IP restrictions, languages, the API, e-signatures and full version history. Single sign-in through Google, Okta and Microsoft Entra, IP restrictions and multi-language support are available only under select subscriptions. E-signatures are only available under specific plans. Premium and Enterprise plans get full access to Trainual’s API, which lets your IT team connect other software. It does not support creating or editing content yet. All plans store the last 30 days of version history, and only Trainual+ plans track all-time history. Plan prices are not published, so ask which plan holds each feature you need.
Library courses and course files cannot be edited
Library courses cannot be edited or customised. Trainual keeps SCORM content uneditable. SCORM is the standard file format for e-learning courses. AI content creation is for document and page content at this time. Smart tools only work on written text within a content step.
Trainual’s own pages differ on four points, so get each answer in writing
On SCORM, the help centre says Trainual accepts SCORM 1.2 or 2004 packages. It does not create SCORM content, but it supports uploading, displaying and completion tracking of SCORM content you own. A comparison page says Trainual supports SCORM uploading. One enterprise page says Trainual does not do SCORM. The same page offers SCORM uploads. On HR system updates, its integrations page says the HiBob integration keeps employee data in sync automatically. Its help centre says HR system updates are not applied automatically and pending changes wait for an admin. On AI search, one help article says it is part of the core platform. It adds that customers cannot opt out of it. Another says the “Enable AI features” account setting turns AI off for all users and returns the legacy search. On setup, its FAQ puts the specialist’s time at the first 4 to 6 weeks. Its implementation page puts it at 4 to 5 weeks.
Its terms let it use your usage data to improve AI
Under Trainual’s terms, Trainual and its vendors may use Usage Data to improve AI models and fine-tune internal models. Third parties may not train models on Customer Data or Usage Data. Trainual sends AI requests to OpenAI. Submitted content is not stored or logged beyond 30 days or used to train OpenAI’s models.
Multi-language support covers four languages
Multi-language support covers Spanish, French, Portuguese and German. It is only available under select subscriptions. Its translations are only available via a desktop browser. Smart tools can also change the language display of content to any of 25 in-app languages. They use ChatGPT, and automated translation cannot be guaranteed to be 100% accurate every time.
Deleted content comes back only within 24 days
Deleted content can be recovered only within 24 days. Deleting a person is permanent and their progress records cannot be recovered. Archiving a person keeps their records instead.
It suits companies of 25 to 1,000 people that train their own staff
It grows with a company of 25 to 1,000 people
Trainual is best suited to companies with 25 to 1,000 employees. Some companies use it with thousands of people. StrongMind went from 21 seats to roughly 470 in a single year. Lifted Trucks reports 100% employee adoption across about 400 people. One help article says Trainual is not an enterprise option. Its plans still include one called Enterprise.
Training for your own people, not your customers
Trainual is intended to house internal training documents only. Access is limited to your employees, contractors, agents or other individuals you authorise. If you also train customers or partners, check this first.
Reviews that pull in training records
With Operations and Training, every review pulls in goal progress, KPIs and training completion. In a review cycle the AI assistant draws on Performance, Training and Operations data. For example, it can show which of a person’s assigned courses are incomplete. The Performance suite launched on 29 September 2026, so it is new.
Trainual publishes no plan prices and bills a year upfront
Plan prices are not published, so ask for a quote before you set a budget. Trainual has four plans called Core, Pro, Premium and Enterprise. Pricing and plans vary by team size and features, and Trainual asks buyers to book a demo. Its blog quotes two starting prices. One post quotes $99 a month. Another quotes $588 a year for a whole team. Ask which plan and how many seats each figure covers.
You pay for seats. A seat is a person with their own profile and access to the company’s Trainual account. You enter the total number of seats to buy. Trainual has no free plan outside the 7-day trial at this time. It offers a 50% discount to qualified nonprofit organisations. Customers who signed up before 28 July 2025 are likely on a discontinued legacy plan.
Set-up may add to your first-year bill. Trainual’s FAQ puts a one-time implementation fee at $1,000. Its terms say you choose one of two implementation offerings on purchase. The done-with-you offering carries a one-time fee. Ask which offering you get and what it costs.
You commit for a year, paid upfront. Each subscription is for one year unless agreed otherwise in writing. Annual plans are charged upfront and renew automatically. Fees are non-refundable, with no partial refunds on cancellation. Mid-term seat reductions bring no refund or other money back. You must submit a cancellation request at least 30 days before the term ends to cancel or downgrade. Trainual may end a subscription without cause on 30 days’ written notice. It may change pricing, with commercially reasonable efforts to give 30 days’ notice before the end of the subscription period. Each party’s liability is capped at the fees paid in the preceding year, with exceptions. Arizona law governs the terms.
A hold plan lets you pause instead of cancelling. It costs $20 per month for 3 months, with no access to the platform. When it ends, the account renews into the original plan and billing cycle.
Know what you get if it goes down. Trainual’s terms set a 99.9% monthly availability commitment on a commercially-reasonable-efforts basis. If availability falls below it, the remedy is a fee reduction of one day of fees. It is capped at 30% of the month’s fees and is the sole remedy.
Know what you keep if you leave. After a subscription ends, Trainual provides a one-time PDF export of written content on written request within 30 days. Then it deletes content. Its cancellation help article sets data removal at 30 days after cancellation. Its plan agreements article puts removal from the database entirely within 90 days of cancellation. Once cancellation finalises, the account and data are not accessible, and the vendor tells customers to export content before that. PDF export can be enabled or disabled for the whole account.
You could also run training steps with agents built on your own systems. We have mapped what that looks like. The HR Agent Map
What to ask before you sign
- Which plan holds the features we need, and what does it cost at our headcount? Good answer: One written price per plan, for our number of seats.
- Your blog posts quote $99 a month and $588 a year. Which plan and how many seats does each cover? Good answer: A named plan and seat count for each figure.
- Can we cap test retakes, or open a course on a set date? Good answer: A clear answer, and a written date if it is coming.
- Will you load one of our own SCORM files during the trial? Good answer: Yes, on the plan we would buy.
- Is HR system data updated by itself or only after an admin approves it? Good answer: One answer for our HR system, in writing.
- Can we turn AI search off, and what is left when it is off? Good answer: The setting that turns it off, and the legacy search still working.
- Can we opt out of Usage Data being used to improve AI models? Good answer: Yes, in the order form.
- Which implementation offering do we get, and what is the fee? Good answer: One named offering with its fee and its timeline.
- Which date do you delete our data after we leave, 30 days or 90? Good answer: One date in the contract, after a full export.
- What do we get back if availability falls below 99.9%? Good answer: A remedy beyond one day of fees.
Alternatives to Trainual, including buying nothing
Pick by the gap you need to fill. TalentLMS suits live sessions and published prices. Docebo suits training for customers or partners. Rippling suits a company that keeps its staff records in Rippling. Buying nothing is a fourth route.
TalentLMS sets up recurring instructor-led sessions, offline or online, linked to online courses. Its virtual sessions connect to Zoom, Microsoft Teams, GoToMeeting, GoToTraining, GoToWebinar and BigBlueButton. All plans include SCORM 1.2, Tin Can and cmi5. TalentLMS publishes prices. Core costs $119 a month for 1 to 40 users. Grow costs $229 for 1 to 70 users. Pro costs $449 for 1 to 100 users, plus $6 per additional user.
Trainual is for your own people. Docebo trains employees, customers and partners on one platform. Extended Enterprise is a paid add-on for external audiences. Docebo’s price depends on the product tier and active users.
Trainual’s Rippling integration imports employee data once, and later changes in Rippling do not sync. The Rippling LMS runs on employee data inside Rippling’s HR platform. It assigns courses from employee attributes. It assigns live and online courses, tracks progress and reports.
Buying nothing yet is a real option if your training is a few written guides that nobody needs to track. The market guide covers the other products.
