One product for written procedures and courses, with AI drafting both

Zoho Learn keeps your written procedures and your training courses in one product. Staff read the guides and take the courses on the web or on mobile. The product records who finishes. Software that assigns courses and records completions is called a learning management system, or LMS.

AI helps write both kinds of content. Zia, Zoho’s AI assistant, generates articles and step-by-step procedures from a single prompt. The course assistant builds the whole course outline and drafts assignment questions. It can change the tone and length of the lesson text it generates. Your admin chooses the number of chapters, lessons and topics, then creates the structure with one click.

You can build the library and the training programmes for employees, customers, partners, members, vendors and investors. Quizzes use single choice, multiple choice, fill-in-the-blank and descriptive questions. Course files in the SCORM format load too. SCORM is the standard file format for e-learning courses.

The article writing assistant is available to all Zoho Learn users. The course assistant is available on the Free, Express and Professional plans. Admins can turn AI summaries of articles on or off in hub policies. Zoho MCP lets AI agents reach information stored in Learn. Your admin chooses which resources and actions they can reach.

Completion records and audit trails come built in

You can show who finished which course, and when

If an auditor or inspector asks who completed a course, the reports show it. Course reports show the start date, finish date, time spent, completion percentage and status for each person. Admins also see assessment scores. Reports export as CSV or XLSX for audits and regulatory inspections. Certificates can be created on all three plans. Ask which plan holds the reports you need.

Staff can be asked to confirm each lesson and follow a set order

Lesson acknowledgment adds a mandatory reading checkbox at the end of each lesson. Learning paths can require one course to be finished before the next one opens. That gives a role, such as a new starter, a set order of courses.

Audit records and security paperwork are in place

Audit logs record every write or delete action in Zoho Learn. They run at three levels, which are manual, course and hub. A manual is a book of articles in the library. On Zoho’s HIPAA page, audit trails are stored for six years, and Zoho offers a BAA template on request. A BAA is the agreement US health organisations sign with a supplier that handles patient data. Zoho Learn is SOC 2 certified and GDPR compliant. Data is encrypted at rest and in transit.

Learners get a mobile app on every plan

The Android and iOS apps are on all plans. Learners take assigned courses and track their progress in the app. Learners can also download videos from video lessons. Many authoring, administrative, reporting and set-up capabilities are in the web application rather than the mobile app.

It suits Zoho users, free starts and outside training groups

You already run Zoho products

Zoho Learn Professional is included in the Zoho One and Zoho Projects Plus bundles. Direct report analytics needs the Zoho People integration. It is for Zoho One accounts set up in Zoho People. Managers in other set-ups should ask what team reporting they get.

You want to try it before you spend anything

The Free plan is for 5 users. The trial gives full Professional access, so you can test the reports and reminders before you pick a plan. Set-up takes a few steps and needs no technical know-how. Zoho gives two trial lengths, so confirm yours first.

You train people outside your own staff

Custom portals deliver training to partners, customers, clients, investors and vendors. Portals are an add-on for Express and Professional. Each additional portal costs $10 a month. Zoho prices 2,000 portal users at $560 a month.

Live video, course languages and course exports are where it stops

Five things decide whether Zoho Learn fits. They are where live teaching happens and which language your courses use. They are also which plan you buy and whose AI account the course assistant runs on. The last is what you can take with you. Each one is easier to settle before you sign.

Live video sessions and webinars are not part of it

Live video conferences and webinars are not available in Zoho Learn. Ask how attendance at sessions you run in other tools reaches your Zoho Learn records. Test that route during the trial.

Only the menus change language, not the courses

Changing the language setting updates only the screens, such as menus and buttons. Content continues to be created and displayed in English. FoodHub’s head of product finds that Zoho Learn streamlined training across multiple countries. Ask for a customer who trains in your staff’s languages.

Expiry dates and learner reports need the top plan

Course expiry dates and reports for learners come only with Professional. Expiry can be never, a set date, or counted from the enrolment date. Professional also includes course reminders, instructors, drip lessons and lesson discussions. Reminders cover completions and deadlines of published courses. A drip lesson is released over time. Learning paths are capped too. Free allows 2, Express allows 5 and Professional is unlimited.

The course assistant runs on an OpenAI account your admin sets up

A hub admin must enable the AI integration in hub settings before the course assistant works. The admin checks their OpenAI quota, plan and billing details, then provides a Secret Key. A hub is your company’s workspace in Zoho Learn. Zoho’s AI page says something different. Zoho’s own technology lets AI train on and run on customer data without exposing it to outside vendors’ models. Ask Zoho which of the two applies to your course text.

Courses cannot be exported

Courses cannot be exported from Zoho Learn. When an account ends, all data in it is deleted. Manuals export to a zip of HTML files containing the articles, and learner reports export as XLSX. Plan how you would rebuild your courses before you commit.

What Zoho Learn costs and how the contract ends

Pricing is per user in the hub. Depending on the number of users, Zoho Learn starts as low as $1 a user a month. That figure is on Zoho’s small-business page. Paid plans start as low as $0.80 on its SOP page. Ask which plan each figure buys, in writing.

Billing is Monthly or Yearly, and Yearly is marked ‘Save 17%’. You pay by card or PayPal. Local taxes are charged in addition to the prices shown. Non-profit and educational institutions get special pricing.

Zoho gives two trial lengths. Its pricing and home page text put the trial at 7 days. Its pricing FAQ puts it at 30 days with full Professional access. Its help centre FAQ puts it at 7 days with full Professional access. After the trial, the account falls back to the Free plan.

Under Zoho’s terms, the subscription renews automatically. It does not renew if the customer downgrades to Free or says they do not want to renew. A customer who ends the account because of Zoho’s breach gets a prorated refund of prepaid fees.

Three time limits apply to an account and its data. An unpaid account that stays inactive for 120 days may be terminated. A deleted hub is removed from the system within 30 days of going to trash. Deleted data is wiped from servers within 90 days.

How does attendance from our live sessions in other tools reach Zoho Learn records? Good answer: A named method we can test in the trial.
In which languages can staff take our courses, not only see the menus? Good answer: A list of languages and a customer who uses them.
Which company’s AI model reads our course text, and where is that data held? Good answer: A named model and location, in writing.
What is our route to take our courses with us if we leave? Good answer: A written route we can test before we sign.
Which Zoho products must we run for managers to see their teams’ results? Good answer: A short list, in writing.
How are portal users counted and billed on top of the $10 for each additional portal? Good answer: A worked price for the number of portal users we expect.

Alternatives to Zoho Learn

If Zoho Learn’s limits matter to you, look at 360Learning, TalentLMS and Litmos. Buying nothing yet is a fourth route.

If you need live video sessions, look at 360Learning. It schedules live training in person or virtual, and virtual sessions work with Zoom and Microsoft Teams. Its path sessions organise cohorts of learners with an instructor each.

If your courses must read in several languages, look at TalentLMS. It can clone a course and have AI translate it into a chosen language. Course files are not translated by clone and translate. The feature is available on Premium Trial, Pro and Enterprise plans. Litmos supports 37 or more languages for delivering global compliance programmes. Ask both which of your own courses each language option reaches.

Buying nothing is a real option if your training already happens live in tools you own. CAPPM, a Zoho customer, runs live training in other tools. It uses Zoho Learn courses as support material. Then the question is whether support material justifies a new system that cannot export your courses.
